My use case is fuel pricing. We've been developing an app with a consultant firm over the past year and a half, I would say, to build a platform that allows us to price fuel.
  • Automation
  • Simplifying the process that is based on what we're using today, this is a much better overall platform.
  • There are some limitations that I've run into. A lot of it has to do with the amount of data that I can bring in versus some other platform that we use for the behind-the-scenes database. So hitting the data limitations is sometimes a risk, an issue, I'll say.
I think handling big data is where it hits the limit. It's a pretty obvious ceiling that exists with that. But I think developing a simple app with not a large amount of data is what it's best at.

So we have multiple use cases, but primarily we have Quickbase as the core of the platform for acquisitions. We use Quickbase to query MLS and other data sources for properties that we are interested in buying. We use Quickbase to underwrite these properties using different APIs and formulas. We create a list of properties that we wanto to buy. We have workflows that we send to our teams for them to review the properties. They have approval and rejection workflows. They send those to clients for review, clients approve them. Then after that, we have workflows to make offers on these companies, on these properties. We buy the properties, then we go through our renovation process. We also run renovation in QuickbBase. And after that, we rent the properties and we use Quickbase to help us with the rental of these properties. We have an end-to-end integration.
  • Dashboards, reports, having different users have different accesses to the platform.
  • Being very flexible to make changes in terms of adding functionality to the platform.
  • Different fields, different formulas, having different users do different things.
  • Integration with third parties to have access to maps, have access to different systems, images, etc.
  • Missing functionality is a full end-to-end lock file of every change that user made in the platform.
  • Number two is integration with email systems. Having a client inside quickly so that you can import emails and have an email functionality there. Additionally, the attachment is limited in terms of size, so we need to use third party application like Amazon S3 to host our files there. This should be native in the platform.
  • There's more improvement in forms. I think they're going to come up with new versions, but as of now there's a lot of improvement that we can have in the forms.
Well-suited for any process that you have an Excel, an email combination that these teams are working on Excel files and they're sharing the files. So having them move out of Excel into the platform, share communication via tasks notes instead of using their email. That's the basic and the most powerful functionality of Quickbase, and you can expand from there.

Not suited: things that require a lot of processing massive amounts of data in the millions of rows that the system is not suited for mass data.

We manage boarding and training services for canines, for dogs. And we have to keep track of all the information like a database of all the canines with the names, the microchip numbers, the training sessions, all ofthe information about the vendors and the medications, and everything related to the canines. Then, we have to keep track of the training sessions, which is another separate piece of information. Of course, we have to track boarding and the channels of different employees and I mean, it's a lot of information that we keep in the system.
  • The fact that it's a low-code solution is certainly a plus.
  • It's also very easy to implement and to interface with other sources of data, such as an Excel spreadsheet can be easily just uploaded to the tables.
  • We have created some specific tools using some third party programmers that interact with Quickbase, and it's been a great experience.
  • We have a large community of people that we need to interact with, and it hasn't been that easy to create some kind of portal to add a request feedback form from people outside the Quickbase system. Yes, I would say we probably need to learn more about the product and how to use it, but that has been one of the biggest challenges.
If you have a lot of information in Excel and you're managing a ton of spreadsheets, this is the perfect solution because it's very easy to integrate and very easy to manage. You can set up user permissions, you can set up subscriptions, notifications, everything is very easy. Now, if you want to interface that with other systems or interact with other types of solutions, then it's a little bit more challenging. But I understand that it can be done. We're not there yet, but we know it can be done.

We use it for our entire project management side of the business. From start to finish, from quoting to installing the goods, it's all managed inside of our database. Our accounting is also inside of it as well, so it's all intermingled and it's given us an edge over our competition because we can always add anything a client wants or needs. If we don't have it already, we can modify it to be able to produce whatever they need and it gives us an easy and quick way to deliver results.
  • The efficiency of how quick you can modify, adjust, and add features - and the simplicity of it as well.
  • It's user-friendly.
  • The fact that they are always adding more and more, it gives a peace of mind that they added pipeline. So now we can connect to our SharePoint, everything's always fluid.
  • I would say that they do have a really good user support type network, but it's not as entrenched and not as many use cases as would be ideal.
It's very well suited for quick-moving industries where you need to be able to adjust to certain clients in certain ways. Like project management, I think it's suited extremely well in all personalities with accounting as well. I think where it may be not as well suited is HR, such as time off. We couldn't really pin down a good way to have the HR side in our business with Quickbase.

We use Quickbase in our organization internally as well as externally. Here we use Quickbase as the integration of Quickbase with Quickbook online to fetch the data into Quickbase and create some useful analysis out of that data. We solve many business solutions as we track the data on a real-time basis like we create the different dashboards as our clients see it on regular basis based on the data of QBO (Quickbook online)

Quickbase is very well suited where there is a workflow-related scenario where different user can get access to different role based on their position and changes the data accordingly. The biggest problem is in our insurance industry, the need for an agency management system is crucial for operations, for clients, and for accounting purposes. So we essentially use Quickbase to put together in one place all of our customers, all of our information, all of our revenue, all of our compliance, and all of our accounting.
  • The charts and tables are incredibly fast. Exporting to Excel or CSV is super fast. Migrating in and out of different applications is super fast. So I think everything in terms of moving in and out of different robust data systems is still very fast.
  • I think the one that pops to in my mind is a drag-and-drop feature. Some of our tables and application charts don't have that. I have to go in and manually upload a link or URL. I'd rather just take something from a file or from a URL and drag and drop it.
I think it's well-suited in all areas. As a matter of fact, someone was talking about film and how they can use collaboration and information and apply it to a Quickbase database system. I'm just amazed that it could probably be used almost anywhere. Someone said even recipes for a cooking website.

We are solving the problem in clinical lab industry where a patient submits a sample to be tested at the lab. That sample undergoes a lot of processes. Ultimately, the result is generated on the equipment in the lab. We import the results in the Quickbase and we create a final report, and the PDF report that goes back to the patient.

  • So the user licensing is a kind of challenge. I can have only a certain number of users if I'm collecting multiple data from multiple different people, I have to design some things like forms and other things.
So Quickbase is a solution to your problem. If you have a problem and you can crystallize the problem and create a solution, then you can easily code it onto Quickbase and make the solution work for you.

We are an international company dealing with bevs of information coming from all sources at all different times. We use Quickbase to make sure we have a shared data pool to process the information before we hand it off to our users to summarize all the work that we get done. Really to handle large amounts of information coming from all different ways and make sure that everyone can see this good information at the same time.
  • Quickbase is great for large data information and processing. We use it very much for qc, pre-work, and automations taking care of a lot of the information that can be handled automatically before we hand off to our human users. Automation as far as transforming information quickly and effectively as soon as possible to optimize or optimize our workflows.
  • We've switched from automations to pipelines and we would like to see some additional logging in pipelines if at all possible. The more information we can get, the better seeing how connected it is and what tables the pipelines are touching, how often they're running, what information is running through them at any given time. That would be a big help to us.
A good example I can think of is we have large-scale quality control that we use for live products within the industry. And we were able to up our ability to process by I would say tenfold at least. Just again, doing a lot of pre-qual and a lot of automatic checking that they could then we can hand off to our users for the more qualitative aspects. Areas where it could use a little bit more support: I would say large data tracking for quick responses. A lot of times we need feedback on a minute-to-minute basis and Quickbase runs much more on an hourly cycle. I would say getting speed of use of information and processing when you're looking for something much more shorter scale than say a daily, weekly, or monthly.

We primarily use, or at least the part that I'm involved in, it as a sales portal. So all of our sales that we used to track through Excel spreadsheets, that we had to send around, are all loaded in. We also have links and resources and things like that. They can place orders, and we track shipments once those orders are placed. We reconcile, and we've got an RMA module built out. We've got a whole bunch of things and all geared towards a sale, like a third-party Salesforce.
  • It makes it easy to, I guess like a lot of things that used to be like really cumbersome and tedious to put together in Excel, it just does it for you automatically. You can set notifications and subscriptions and things like that, and build out a bunch of customer reports that'll automatically send things out to my users and just send them the information - that way I don't have to go cut up a report a bunch of times. It just makes all that kind of stuff easy and automatic.
  • So right now we're gonna have to restructure and figure out some archiving solutions. I guess because we're running out of capacity. We've got about, I don't know, 800,000 entries in one of our tables, like our main table that we use for sales reporting and which represents about 14 months of sales. But we'll probably double that in the next six months easily. Because of the rate of our growth, my long-term concerns are making sure we can house enough data and present it to people quickly enough you know, where it's not loading. That's my main thing.
  • There's a learning curve. I've got a bunch of people on my team who have not been building this thing for the last year, and I can't just assign stuff over to them, but I guess that's job security.
I've always used it as a sales portal with different permissions, and I think it's great at all of that. That's something that I haven't seen other people talk through, but at both the companies that I've used it with, it's been really great for that.

We keep track of tasks that are incoming and we basically complete them through the application using automation tools.
  • It makes it so much easier for us to be able to utilize the automation tools.
  • I think sometimes we just have issues with template replication. Other than that, it's hard to tell if that's a product issue or a user issue.
It's definitely been really great for keeping track of our projects, making sure that we have an eye on what is in most immediate need of attention, what is being delayed, and for what reason giving feedback. Then improving our efficiency through the automation tools.

The biggest thing it really does is help minimize the number of different systems that we're using. So instead of having 10, 15, 20 different systems, you're able to do everything in one single platform. And by doing so, it just minimizes. There's an old phrase of too many cooks in the kitchen, so it kind of takes all those extra cooks out and you can be sure everything's flowing right.
  • It takes all your existing systems and it actually connects them together versus having to purchase another system to then figure out how everything can get connected. This has been built up from the beginning to actually help accommodate that.
  • More templates that there are ways that they might code certain ways, certain manners to actually bring information into the system or highlight different data points, rich text images, things like that. If other users could use those as templates as a starting point, that'd be a game changer.
Quickbase is good about being upfront about where it's not well suited. There are going to be certain complexities around use cases or maybe just people need more robust functionality and a better system might be suited for them because it's going to be more specific to a niche. Quickbase is going to come in when you have so many different systems and so much going on and you really just wanna simplify your process day-to-day in Quickbase and kind of take all those pieces, minimize whatever might be excess, and use it move forward.

I've been using Quickbase for many years across many use cases. My function is finance, so my primary use case is going to be around the finance function. Managing my team around traditional finance and accounting tasks, whether it's budgeting and forecasting or audits or closing our books to approving expenses. Managing outside service providers. Quickbase has been a key tool in, you know, aggregating data, sharing data, workflow automation, just getting us organized bringing teams together that are in dispersed geographical locations. I can go on and on.
  • Centralized data aggregation
  • Workflow automation
  • Organizing teams. For example, we have offices in Singapore, offices throughout the United States, offices in London, with teams that are largely focused on similar tasks. They need to have visibility of what other team members are doing. Management needs to have visibility of what the broader team is doing. We have end-user stakeholders that need to have information delivered to them. Quickbase provides the platform to solve all of that.
  • I would welcome improvement in the data delivery interface. So right now, if I want to send my executive team reports and their on their mobile apps, there are some limitations. There are some mobile apps out there that are really dynamic. If I go to my Bank of America mobile application, it's really easy to get what I need. It's not that dynamic yet on Quickbase. I'm looking forward to the evolution of that.
  • I could say the same thing about emailing the reports that you give via email. I think there's an opportunity to enhance that, modernize the look and feel.
It's going to be less appropriate if you're compiling material to deliver to a diverse audience that requires ad-hoc data aggregation. Let's say I'm putting together an agenda and materials for a board of directors meeting. The information that I'm going to compile is very dependent on the content of the meeting - and so it's not repeatable, it's not leveraging a data warehouse, it's not leveraging workflow. Quickbase may not work so well for that. Now, Quickbase may work well for extracting the data that you need for that content, but it's not going to be your go-to solution for preparing for that type of task.

Ascena Consulting is a specialty tax consulting company. We focus on tax incentives for corporations. Most specifically the research and development tax credit. So any company that does anything that's innovative, they have an opportunity to at least look at the R&D credit. We document, calculate, monetize, and then provide support to them in the event of an audit. We make sure that the credit we generate for them can be used to reduce their tax liabilities.
  • From a volume perspective, prior to using Quickbase, we were using an access database and that's great, but we couldn't really compile any of the information. So Quickbase allows us to take all of our clients in one place, and now we can create lots of reporting and analytics that allow us to really look hard at industries and companies and what kind of credits are we generating and allows us to streamline. From a quality control perspective, make sure that all of the calculations are always going to be the same over and over and over. So from our perspective, it allows us to scale much faster, much easier than using either Excel or Google Sheets, or our old access database.
  • The text editor in the program is a little bit rough. We use Quickbase for all of our calculations. We really have two parts that we document. One is the projects that the company, our clients, do, and we have to document how it meets the IRS criteria. The other side is the calculation, which generates the credit. That side of the credit calculation works great and we can certainly enter all the information into Quickbase to document how a client qualifies, but then reporting on that in a format that we can then drop into a final report and into our work papers could use some work. It's just not quite as clean as it needs to be. It's not client ready. So we've had to find some workarounds.
From a really good scenario perspective, we've been able to, and we're actually in the process of it now, is automating the flow of information from our HubSpot CRM system and all of our client data in there into our Quickbase application that we've developed. So that's been fantastic. It allows us to make sure that we really have the same information in the same place so we don't have two different truths in the world.

Where is it not appropriate? I'm not really sure, being the founder while I've been involved in the creation of it and the use of it I don't know what I don't know. I know there are things that I can do with the program that I just haven't really uncovered yet. And so that's part of our discovery over the next few years as we continue to build out new modules within our application to connect more with our clients.

We track work from our sub or through our customer. They issue us work and we manage it from start to finish. From inception, we build out work order packages. We price the work that we do. We do so many things in the system. We monitor quality, we monitor the actual tasking and pricing of it, we do environmental, there's so many different functions we use the product to track. And then we also track customer metrics. Our customer that we deal with, they have their own metrics that they use for us, and we have those same tracking features within the system.
  • Quickbase is really easy to use. It's super easy to build reports.
  • It's really easy to build customized dashboards for individual team members.
  • I have about around 10 people on my team that each one needs to have a customized dashboard and be able to see specific forms per se. So I really like how easy I can build something and build it out and modify it and match it up for that individual user. That's probably one of the best things that I like about it.
  • I don't really see any cons. A lot of the stuff I see is more so positive. I've never really seen anything where I'm like, "I wish you could do this", or "I wish you could do that". I mean, there's little things here and there, but I can't think offhand. The positives outweigh the negatives.
For us, it's well suited. There's a lot of times in a day when I get called and it's specifically about one single site. "Hey, what happened at this site?" And I'm able to pull it up on my phone, on my tablet, and I'm able to research an issue. That's really what I like. We're able to research things with the way that we're organized. We can basically just, at the click of a button, type in a simple structure and I can find out the specifics of a job. And I don't have to go anywhere else to look for that information. Whereas our customer, it could take a day to research an issue. It takes me 10 minutes.

We use the services for scheduling our tasks and our IQC reports and providing the data back to clients and using applications for automations.
I would really like to see if it's able to utilize an asset a portion of it so that way it can be all-encompassing for our company or other companies. That way we're able to access those particular assets right away, whether it's pulling from a cloud or some type of cloud-based application. More AI would definitely help as well.

The scope for my use case is having information just in time and in real time. I'm able to provide my clients with all the information they need and reporting out efficiently and effectively. With my team, we update the system from a completion standpoint, which produces Gantt charts, reports, and gauges, and the client is extremely happy with us because I tell them exactly what's going out in the field.
  • Quickbase is an Excel on steroids that put on makeup. Excel is one of my favorite tools. However, Quickbase and being a Quickbase builder has enabled me to grow in my profession personally. Especially being able to build anytime a client or internal stakeholder needs something built for them, I can immediately do it within several hours and produce an end product that's easily received by the end user.
  • With the new dashboard functionality, they need to work on that and they also need to keep the old-style look and not get rid of it.
  • They should always keep the toggle switch from old to new.
Project management is a very good area to utilize Quickbase for. I don't find any area where Quickbase cannot perform well. For us, it's for customer completions and projecting from a project manager perspective, including scheduling, we do not use Primavera P6. We were Quickbase-ing it out and we're killing it.

I collect data for our risk and safety team. The property manager sends me an incident for which I send them an incident submission link that I created so that it goes into a table, into my Quickbase that I can review before I actually create the incident. Some incidents turn into claims, some incidents become legal cases, and some incidents start out as an incident to a claim to a legal matter. So I'm keeping track of all those three things.

So, we have about 10 consultants that work on our customers and projects and they log their time. They log the projects and the tasks that they do for these customers and they log their time and the description of the work that they do. We use that to manage the projects and it ultimately translates into our billing.
  • It's been incredibly useful for our task management system.
  • We keep track of our projects, keep track of loss, which is invaluable. I couldn't do without it, so it's critical for us.
  • If I can use it for financial reports so that I can have columns by year, by month on the same report and maybe I can do that. I just don't know how to do it yet. Cause I'm, I'm fairly new so that's okay.
Definitely. I mean, before I had Quickbase, recording time was quite a challenge and then we would have to get that time into our accounting software. I would have to review it. I would spend at least a day or two on our billing. So now every time someone enters time, I get a popup so I can review it and then before we import it, I do review it all the time again. And so what used to take us two days probably takes me half a day.

We started using Quickbase as our publishing database, so basically it manages our entire publishing schedule. We're introducing a finance forecasting app. We have a contract app and we have a CRM app. All of our apps communicate with each other and manage all of the data throughout the organization.
  • I think that complexity of organization of data has been really great. Our data on the surface seems very simple, but when you really dive into it, it's very complex and it has a lot of different levels and it. Quickbase has allowed us to really structure it in a way that we can grow with it, but also it keeps everything very organized.
  • We had to hire out building it. It was a little bit too complex for our knowledge base. But we have great team building our system, so we're happy with it.
I think in our industry we probably could have gone with something that was already built, but the flexibility of Quickbase has allowed us to, I think, scale differently than we would have with a pre-built system. We've been able to really cater it to exactly what we need. We've also added some of the add-on apps that are adjacent to Quickbace which have allowed us to automate a lot of workflows. So it's been great across the board for us.

It solves having a spot where everyone can see all of the information that is needed to move forward with publishing.
  • Gives you a large realm of what information we can use and put inside of it.
  • Little bit faster with importing the data. It takes a little bit to load, but then again we use it for a large scope of things. So probably speed of saving the product in there.
It is good for data entry. I think that's perfect. It works really well and smoothly for that. Probably where it could improve is being a little bit more easy to manipulate where you can change it on an easier basis.

We collect data, we collect voter information and contact information for all the neighborhood councils in the city of Los Angeles. We use that information for contacting them.
  • Keeping track of contact information, expiration dates, you know, simple CRM stuff.
  • There was one thing I sent in to Quickbase and requested about reporting. It was making multiples of the same type of report, but with one aspect of it being different per report. If I wanted to make a report to pull all the people from one neighborhood council but I wanted it just for one, and I needed to copy that for all 99, it wouldn't. I wasn't able to do that, I had to create each report separately.
I really can't think of anything where it doesn't really do what it does well. I like it for everything honestly. Products like Quickbase are designed to make building, deploying, and maintaining custom business applications faster and easier.

Historically a scientist would go into the lab, measure something like a chemical, and then they would take the data and copy it into an Excel sheet. What we've done is we've created a tunnel to the cloud. So when they measure something, a file is outputted and we put it into AWS, and then we actually use the Quickbase API and then write it out to Quickbase, and then we dashboard their basic analytics and aggregate statistics, such as quality.
  • High throughput development. Building a database and relating things quickly.
  • Honestly, I work a lot with the API and there were some changes to API, I think this past year or earlier this year. It was not formally announced the changes were going to happen and it broke some of our pipelines. So communicating those technical details more. I've already talked to people who said they're working on it.
  • There's a disconnect between the API verbiage versus the UI, the front end aspect. For example, the field types are actually labeled differently than in the front end. In the UI, instead of multi-text, it's multiple-choice or something else. There's a disconnect in the wording between the two.
I would say in inventory tracking is probably where it's well-suited.
Where it's not well suited, I would say extremely early research data that doesn't quite have like a formalized schema. If things are constantly changing, it's hard for Quickbase to keep up with. It's also more that you just got to know what you are working with, right? So very early research is hard to capture in the air.

We use it for the most part for our customer relationship management. So pretty much everything that we do from our customers to get back to the office all runs through QuickBase, essentially. I think the biggest problem is if somebody gets brought into it without creating this from scratch there's not a ton of support yet to be able to help out without having to pay. Small companies don't really have the capability to pay for all that type of consulting, if you will. So a better way to get some consultation there, to help some smaller companies, would be awesome.
  • Organization is probably the best thing. Keeping everything that we do. It's a vast amount of information that we have to keep together. QuickBase has a one stop shop for all of that. And to have a CRM that's very low code for somebody that doesn't have any background in coding to be able to grab that platform and use it instantaneously is awesome.
  • There's not a bunch, but I would say the most important to me would be the level of support for questions. Random questions that might pop up or, for the most part, anything that I say fails support cases are getting back to us as the customers for support would be the best thing that I could think of.
I think the no code thing is great. The fact that there is a little bit of coding takes a lot of people out of the comfort zone. However for me, I've been able to use what QuickBase does for the coding side and has made me able to understand a lot of other products and how they use certain things as well. So it kind of gave me a behind-the-scenes look into some things.

Track assets, time sheets, work orders, field change orders, all our internal processes are done through there.
  • Data connection and visualization. The ability to drill down on connected data, that's very helpful.
  • Pipelines are helpful for automating processes
  • The mobile app needs a lot of improvement. But today I've seen that they're investing in there, so that's good.
