Our organization started using QuickBase as a solution for gathering customer requirements and giving them to our procurement team to find sources for materials that were in demand with the customers. I've developed additional apps for us that include commission tracking, and test lab tracking for our warehouse in QC storage somewhere to grade our vendors. So it keeps track of vendor performance.
  • I love that it is customizable and that it's very low code. I do enjoy learning the different formulas, and I love how many resources there are available online to accomplish what I need without additional costs.
  • I'd like to be able to customize forms a little more, make them prettier if you will
Definitely the solution that we've developed for our commission structure. I know from working closely with an accounting department that commission structures across all organizations are very, very different. So there isn't one specific database that works well for multiple companies from the commission standpoint. Developing ours through QuickBase has been game-changing.

We use it primarily to track funding across our organization. We track all staff funding, number of donors, average gift. We track health levels of different accounts and map performance over time. We keep track of all funding programs that we run. We keep track of everyone who's been involved in our programs in different ways. There's a ton of use cases we have.
  • One of the best things it does well is make data visualization possible and super easy. With just a couple of clicks you can display a ton of data in a really simple-to-read way.
  • I'd really love to see document creation be part of an internal thing in QuickBase and not just through a plugin outside. Pipelines generally work really, really well, but they can be tricky to set up. So just walking through more of the setup for pipelines.
The best use case would be if you have a lot of data that you need to manage or keep track of or visualize using it there. I can't really think of an example where wouldn't it be helpful, honestly.

Well, Quickbase is actually the structure of the old operation that we have in the company. We have people that were in the warehouse, but most of the technicians are in the field. So that is the connection between everything that happened in the field and the staff that work in the office or right now after the pandemic, in home. So without the software, it's not possible to do it.
In the beginning we need to know exactly how we want to solve the problem. Usually when you go with software that is already made, you adjust to the software, but now we have a perfect fit for us. So thinking about how to do it was a challenge in the beginning.
  • Okay, so in the past when our technician in the field did a job, they send an email with the picture. But at the end of the day, my staff has 100 emails, and it was very difficult for them to try to simplify the information. So now all my technicians have the app. So they take a picture before and after the job. They don't need to think, they just need to follow instructions. The program simplifies all the information for the different departments that I have and the invoicing and the process to answer to the customer service fast, very fast.
  • I guess one of the challenges I know because I asked the staff of Quickbase is when you are dealing with the picture. Because a picture is external, it's an attachment. Right now I have fields that say "Follow 1," "Follow 2," or "Follow 3," because I can't send in, an attachment with multiple files. So that is an issue. But the good thing is most of my jobs, they don't require more than five pictures. When I have more than five pictures, I use another tool.
I guess right now most of the companies we learn a lot after Covid. So because it is a program doing by yourself, it's gonna work in the way that you want it. If you like any other program, you need to adapt to that program. If that program doesn't have another picture, you just can't do it. So it's not a case for QuickBase. You can do whatever you want if you know how to do it.

We use it for different applications, but one of them is how we handle the intake of ideas and work that is being used that the engineering team then works on as part of the development.
  • I think it's easy to get set up and running and building systems, even complex ones, pretty quickly.
  • I've found that because it is a low code environment, there are times where you wanted to do certain things, but that's not really what it's built for. Maybe some of that is just a mindset.
  • I think they could increase some of the functionality on the reporting side
For best suited, I'd say if they need a database system to be up and running with forms and information where people, users, and customers can submit information that's very easy, very quick to do, then QuickBase doesn't require a lot of programming. If you're looking for a large system that integrates with lots of different systems, QuickBase can do it, but you may want to look and see if that's really the system for you or if you need something a little bit, you know, larger, a robust SQL server or something like that.

  • User Landing Page and User Dashboards can be customized depending on who the user is. Only relevant information and pertinent reports are visible streamlining what the user sees . Since access to QB is roles based, role clarity becomes inherent in a QB system - QB actually forces roles clarity within the process.
  • It is very easy to develop a process workflow in QuickBase. The built in notifications and reminders are very powerful in maintaining and tracking progress across multiple interrelated systems involving different departments.
  • QB is very intuitive and easy to use. It also helps that you can access the database anywhere in the world via internet.
  • More chart type selection for reports - i.e. combination charts.
  • API calls can be cumbersome especially when you deal with process loops (forces you to go non-native).
  • Documentation & version control almost non-existent
  • Management of pipelines need some improvement to make pipelines easier to manage
QB is well suited for processes involving workflow, where you can track progress at each workflow step. QB is not well suited for applications demanding complex mathematical calculations and reports requiring complex combination graphs.

Quickbase is used by my entire organization. We use it to manage accounts, sales, projects, and for contact management-- you name it.
  • Quickbase is incredibly flexible. You can do almost anything you can think of.
  • Quickbase is a great database system that doesn't require knowledge of specialized database commands, just a simple and easy user interface.
  • Unfortunately, Quickbase is a little expensive, but there are multiple feature levels and payment levels for those who need just a simpler or limited use of the site.
Honestly, Quickbase is suited for almost anything. There are templates for all kinds of scenarios, and anything not in a template can be custom built.

My previous organization used QuickBase in multiple departments to support cross-functional processes. The processes range from fixed asset management to salesforce automation to project management and resource allocation.
  • QuickBase is extremely flexible in helping you design a solution that maps to the process you are trying to automate. There are very few process issues that I've not been able to create a QuickBase solution to improve.
  • QuickBase has great reporting and dashboards that are easy to create and customize to help line managers visualize and manage the business.
  • QuickBase makes iterative system development possible and even easy.
  • QuickBase connects seamlessly with existing systems like salesforce.com.
  • Quick base automation capabilities have improved immensely in recent years, and I have been able to connect many systems and automate many processes that previously required manual imports.
  • QuickBase administration, particularly their legal department when negotiating a new account agreement, is quite difficult.
  • The QuickBase document management capabilities are ok, but could be improved.
  • QuickBase does not handle non-western letters and characters (I.e. Chinese or Japanese) well.
  • I'm grasping for areas of improvement. Honestly, I am able to make the QuickBase system do almost anything. It's that easy and flexible.
We have used QuickBase for asset management, project management, resource management, salesforce automation, customer surveys, employee idea trackers, and salesforce iPad tools. All have been successfully deployed. I do think QuickBase is best at project management and probably less good at document management.

We use Quickbase to store and manage practically all of our data. I spend 90% of my day managing our Quickbase system, and although it does have its limitations, it is fantastic to easily store any data that we need. Quickbase does not have a steep learning curve making it easy to quickly build a new useful app in an efficient manner.

Well suited to track large amounts of data across a number of tables. Table-to-table relationships make organizing data simple and straightforward. High-level integrations such as pipelines, APIs, and webhooks can be difficult to implement for the citizen developer. However, Quickbase does have fairly decent documentation and a great community that is always willing to help.

I've been on several teams with the company, and we used it for various reasons. As far as keeping track of. Various metrics related to operations. Within Southwest University, we're also using it to develop solutions to support our different business teams, particularly as it pertains to developing learning solutions within the university, as well as helping with project management initiatives.
  • One of the things we rely on is that it's really easy to go from concept to developed solution. You can build solutions collaboratively with the customers. That's one thing we're doing.
  • And I think as far as, uh, giving you the insight as far as visuals and graphics, we're leveraging a lot of ours, the dashboards that they've created.
  • And lastly, the automation with pipelines. That has been tremendous with automating a lot of repetitive tasks.

I think where it's well suited is if you are in the business of managing projects, I think that's great if you're in the business of producing, timelines, things like that, trying to take things on a level above spreadsheet, so to speak. We have implemented Quick Base as a CRM, and are also starting to develop apps for managing inventory, purchase orders, vehicle maintenance, and sales data.
  • The automation and triggers to move data from table to table is very convenient.
  • The ability to organize apps and tables to display info that is most relevant, as opposed to some other programs that have "cookie-cutter" home pages.
  • There could be some more specific training available to learn some of the more complex formulas. There is a lot of trial and error, although I will say that the "help requests" are answered very quickly.
  • A decent understanding of MS Access and Excel will help you in designing your apps, but Quick Base does use a different format for creating formulas, so there can be some frustration when trying to create some automation in your tables.
Quick Base is a very good option for maintaining a database for your company. We specifically use it as a CRM and order tracker. The basic included functionality is very handy for database operations alone. There is a lot more that can be done if you opt for some of the partnered add-ons for an additional cost. As a standalone solution, it is not best for use as a POS replacement. With some integration and certain payment processing providers, this can be accomplished.

QB is used departmentally and across organizations. We have used QB for: Project Management Outcomes management Supply chain management Volunteer management Capital budgeting Reporting Incident reporting Program management
  • Quickbase generally plays well with other systems in an organization's application ecosystem. This is important as many organizations have multiple applications in their ecosystem and information sharing and cross application reporting is a common requirement. For example, we have used dimensions from CAD software, merged with information from take offs to produce good, better best estimates for a roofing construction client. In another instance we use QB to merge information between a production management system and CRM to track performance. Having a great api and an active user community is extremely important in this regard.
  • We find that QB users love the ability to produce self-serve reports. This is efficient in 2 ways. Users get the exact reports they need in a timely manner because they don't have to ask a QB developer to make the report for them. QB developers can focus on developing great software instead of writing reports.
  • Organizations are ever changing entities and systems requirements evolve along with those changes. In QB it is relatively simple to make changes to a system. The sandbox is a particularly great tool that allows developers to test changes before implementing them in a production environment. Also being able to change labels in fields without penalty of having to manually cascade changes across the system is an incredible time saver.
  • One recent improvement that has made a great difference to many clients is the ability to specify the drill down report associated with a report such as a chart. This is an example of Quickbase' ability to let users customize their experience with the system which has made a great difference in its usability.
  • It would be great to be able to change column labels in summary reports the same way users are able to do so in table reports.
  • It's great to have calculated columns in reports. It would be even better if you can add more than one calculated column per report.
  • It would be great if calculated columns in summary reports could be based on the summarized data instead of underlying data.
  • Having support for different languages would be great. For example in North America, French and Spanish are important in addition to English.
  • I like the way Code Pages work, I wish there was a way to hook into events on forms to make the form more interactive like React or Vue.
Not for profit organizations can especially benefit from QB. Most not for profit management solutions are expensive and is generalized for a limited number of types of organizations. Often this leads to having to create work arounds or change the way users have to work or multiple systems have to be used. QB can easily be customized to handle the specific requirements of each organization. For example, donor management is common across not for profits, but programs can be vastly different across organizations. One organization can have simple programs where only program and client management is needed, but in another organization the requirements could be quite complex including loans, housing, client programs and specific cross organization linkages. Being able to use in house terminology, develop systems to adapt to specific processes and integrate easily with other systems make QB ideal in so many NFP organizations.

I enjoy how simple Quickbase is to use. Aside from being user-friendly, there are several free training tools available, including self-paced e-courses, recorded webinars, daily office hours, and live events.

We use Quickbase for internal projects tracking, as well as support custom applications for clients with a variety of uses. Our main internal project management application is accessed by all employees in our division. It is a tracked for ongoing projects, requests, billing and for forecasting for staffing as well as financial.

Easy to use for end users doing routine data entry, adequate reporting in a tracking type of application. Exports could be more flexible. When an application needs particular enhancements, QSPs are available - though that is not the most cost-effective solution for everyone. Forms design is simple, and with upcoming redesign will be even more so.

Our company uses Quickbase to manage our customers, and keep track of their purchases, contacts, forecasts, activities, and more. We mainly use it as a forecasting tool to determine how much of each product we need to buy, and when, based on the individual forecasts that are entered for each customer.
  • The customizable dashboards are a life saver for our company, allowing different stakeholders and users to view the information specific to them
  • Creating new tables and fields is very easy, especially now with the Smart Build feature
  • Dynamic forms are confusing, and are not intuitive to set up
  • Sometimes we have problems with automations that are supposed to run, and everything looks set up correctly, but it does not always work properly
Quickbase allows us to run reports to view all kinds of metrics about our customers, their purchases, and their future demand. It allows us to see where our customers have fallen short based on what they said they would buy, which gives us a great place to start when we need to reach out to win new business/win back old business.

Currently, we use QB to manage all our projects from inception to completion - cross-departments/cross-functionally. Our Corporate offices are wanting our location to move over to Salesforce, but we are hesitant because QB offers more diversity with what we need for our business.

  • To get reports the way I need them can be quite cumbersome sometimes - all the filters and knowing what and where they show up. I find that I have to do many "trys" before I get what I'm looks for or I give up.
QB is most excellent for project management. It allows you to assign tasks to other departments and track the project all the way through the process. There is so much flexibility within QB that makes it versatile for all departments. We have only begun to tap into all the capabilities QB has to offer.

I use it for mostly project management. We use it for entering facilities, and data. There are a lot of different things that we use it for down to creating surveys.
  • I would say I love that it's very user-friendly. It's very easy to build if you know where you're going.
  • It's easy to learn. There is a lot of information on the internet.
  • Google is definitely your friend and YouTube for finding help with Quickbase.
  • Always coming up with new innovative things
  • At this point, there's not much that's missing that I have come across. I think it covers a lot of different aspects of many different industries.
  • I would like to open a table to a default report of my choosing and not have to select that report again to make edits to the report
I really can't think of anything less appropriate because it's got such a broad spectrum of what you can do with it. I would say project management is probably the biggest thing. You can use it for accounting tracking. Employee information is pretty much anything. Timekeeping, payroll, etc.

  • Forwards work thru notifications and assignments once one person has approved
  • Report development is easy to write and customize
  • Not being able to edit pipelines that you are not the owner of, but you are an admin. It should not take a transfer to another user, they should allow multiple admins to edit pipelines.
  • Do NOT take away functionality when there are upgrades - see my note about pipelines
