Quickbooks Desktop Pro is accounting software from Intuit, Inc. It allows a user to create invoices and track sales, enter and pay bills from vendors, and download bank and credit card transactions directly into QuickBooks. It contains analytic features, and its reports can be exported into Excel. Its home page conveys an overview of business activity at a glance, providing insight into business processes. Quickbooks Desktop Pro for Windows Desktop can be obtained presently for a one-time purchase fee of $230, while Quickbooks Desktop Pro Plus is available for $200 annually as a cloud-based service with the support, data backup, and free updating typical of cloud-based services.

  • It's easy to use. I came into this job having no QuickBooks Pro experience and became a power user in no time. In a small business where people where many different hats (such as I do), it's important to have financial software that is easy to use with little to no learning curve.
  • QuickBooks Pro is great for reporting financials in an acceptable way for government contractors. The ability to track income and expenses to specific contracts and cost centers (overhead, G&A, fringe benefits) is essential and QuickBooks Pro does this effortlessly.
  • QuickBooks Pro makes it easy to invoice customers, get paid by customers as well as pay our employees. It's really a one-stop shop for money coming in as well as money going out and then being able to show where it came and went.
  • There are some quirks with all software. Sometimes, I cannot export an invoice into PDF format on the first try but if I do it again, no problem. Also, since upgrading, certain information doesn't appear on the first page of an invoice. It's not essential information and does appear on the 2nd page or if the invoice is only 1 page but still, kind of annoying.
  • I'm not a fan of having to upgrade our version of QuickBooks Pro every few years because we use payroll. While newer versions always offer more features, I find it as a revenue scheme to get current customers to buy a new version of the product. I don't like being forced to upgrade - let me upgrade when I want. Minor issue because I know a lot of companies do this.
  • I honestly don't have another example. And the ones above are pretty minor as well.

  • Quickbooks does very well for customization of customers, vendors, and employees. The ability to have all of the information about these parties is great.
  • I like having the ability to write checks and print them directly from QuickBooks. Makes balancing the books and keeping up with the register so much easier.
  • The ability to have multiple users on at the same time is great. We can all be doing something different and not interrupt the work that others are doing.
  • It is hard to get a new computer set up sometimes with the web connector side of the application.
  • I don't have a lot of issues with QuickBooks other than setup sometimes.

  • Invoicing is my favorite part of QuickBooks Pro. The ability to not just invoice but keep track of clients and all of the information is paramount. Plus being able to access all of their old invoices and estimates in the same platform is great.
  • I also really like how QuickBooks handles finances. The ability to set up multiple banking accounts and add transactions to each and balance inside of QuickBooks makes my life and our finances easier.
  • Paying bills is also super simple in QuickBooks. I can keep track of all of my vendors and send out checks for monthly bills on the same platform as well.
  • I also have to mention the tax aspect. Being able to have QuickBooks keep track of our sales tax and payroll taxes is also a huge benefit.
  • Even though I love QuickBooks it does seem to get bogged down from time to time. I have to wait for it to catch up with what I am doing. This doesn't happen often but when it does it can be a little annoying.
  • Even though you can set a reminder for late invoices I wish that the system for alerts was a little more intuitive and customizable.
  • From time to time I have had issues with losing information. It hasn't happened recently but there were a couple of times the software would crash while I was doing something I would have to input a couple of transactions in again.

  • QuickBooks pro was user friendly especially for those users that do not have a business or accounting background. Once set up the daily functions are pretty easy.
  • Being able to save favorite reports helped my customers a lot so that once I ran a report for them they could save it and just change the dates.
  • Ability to create checks or journal entries that will be posted frequently is a huge help. Especially being able to set up re-occurring entries to automatically post so that you don't have to. For example - depreciation, rent payments, etc.
  • Connection to credit card receipts is best for users that receive their sales receipts via credit cards.
  • The employee and HR section can be hard to work with - like payroll. But this is [true] with a lot of accounting software. Linking with your payroll company more easily than it is currently set would be good.
  • Ability to create customer reports within the system would be good.

  • The reporting function is very good. There are several canned reports that need minimal customization.
  • The Accounts Payable is useful and user friendly.
  • I enjoy being able to use the check register directly as needed. Some systems do not easily allow access to the register.
  • AR is not very user friendly. When you don't go through all the steps through that module errors result.
  • The payroll functionality is difficult to use. The entries are very confusing and hard to follow. Making changes is very difficult because the screen is different and by person.
  • A custom report manager would be wonderful!

  • Inventory control. Prior to converting to QuickBooks desktop, we had to manually charge inventory items to cost of sales. Now it happens automatically when the customer invoice is produced.
  • I wish that there was more flexibility in reporting. The stock reports are great, but if we have to tweak them, this has to be done manually.

  • As CPA, can set up to track who makes entries. Can track what is added and deleted, in case a problem arises.
  • When used correctly, provides good information for generating financial statements and getting a trial balance to do annual tax returns with.
  • QuickBooks in general provides certifications so that employees new to QuickBooks can learn and get up to speed quickly to work with our clients.
  • Too easy to delete transactions.
  • Does not give enough warning to voiding invoices, checks, deposits, etc that relate to a prior period. Once financial statements have been done, and the tax return filed, you cannot just void items, because it will void them in the period it was entered. For instance a check written 2/14/14 is voided on 3-25-15. The retained earnings is thrown off from what was used on the tax return because it was posted to QB's on 2-14-14 and is voided back to that date. This is especially frustrating.
  • When you have an accountant's copy outstanding, when the client imports the changes, if any entry has been made to adjust cash, the client's bank reconciliations are undone and have to completed again. Very frustrating for the client and for the accountant, because the import of our changes caused the issue.

  • Class system can enhance user reporting and understanding of profitability of segments of their business.
  • Basic financials easy to configure and use
  • Budgeting, forecasting and cash flow statements are very weak. For anything but very basic budgets we use Excel. However, QuickBooks is a $300 software program, not thousands of dollars.
  • Level of tech support is weak. Have to get to a supervisor or second level for anything other than the most basic questions.
  • Have an option in inventory to not allow an invoice or sales order for any item that has zero or negative quantities.

  • QuickBooks Pro works like a checkbook and is intuitive to use.
  • QuickBooks Pro makes it easy to track income and expenses by requiring a category to save the entry.
  • QuickBooks Pro tracks 1099 vendors and can print the 1099's directly from the program (if set up to do so).
  • QuickBooks Pro could use improvement with setting the category for the transaction. Most users aren't accountants and some can easily incorrectly categorize assets as expense items. A short accounting tutorial for users might be beneficial on types of expenses or assets like inventory.
  • QuickBooks Pro could use improvement with invoices to be paid. Some users will set up an invoice and then just write the check leaving the invoice in accounts payable and doubling the entry. More could be done to remind users to either pay the invoice or take them to that area and ask if they were paying an invoice or match up transactions easier.
  • QuickBooks Pro could use improvement with fixing transactions that are either doubled or need to be matched up but some of the categories cannot be changed with a journal entry and require countless hours of time to go back and edit transactions. It would be nice if there were some kind of override for accountants so we could easily manipulate any and all categories with a journal entry to fix problems we encounter when reconciling the books for tax purposes.

  • QB is fairly user friendly. It can be used as simply as a glorified checkbook to as detailed as they need.
  • It can be adapted to pretty much any entities needs.
  • I feel the inventory module is cumbersome and difficult for some clients to understand. Also the progress billing.

  • You can see time by client, and revenue by client -- but not at the same time
  • The mapping of items to revenue accounts can be used to track lines of business, or sales by state
  • Tremendous depth for the price
  • Invoice forms are customizable
  • Time tracking can provide chargeablilty, but not realization by staff
  • Reports can be filtered and saved, but the filters cannot be transferred to another report, they have to be recreated in the new report
  • Pro limits company file to 3 users -- but goes to 5 with Premier

  • There are many ways to find a transaction, which is helpful when trying to determine how a client posted a transaction in QB.
  • Payroll is streamlined and easy to understand and enter

  • Bank reconciliation. The ability to reconcile in real time on the screen with check offs for cleared items makes reconciliations smooth.
  • The ease at which information can be transferred to us via a backup file is also useful.
  • The accountants file where changes are automatically imported is very useful.
  • The accountants export file has to be in the same year and version. This leads to extra work to match them up.
  • The ability of clients to go into a closed year and make changes to invoices causes problems.

  • Easy to correct when the client makes a mistake.
  • The payroll system is a nightmare unless the client is well versed. I strongly recommend that all of my clients use an outside payroll service.
  • One additional report that I would like to see, but have not yet found, is a report that will simply list all invoices by number for a given period of time. This can be helpful not only in an audit, but in verifying that the client has not doubled up on using the same in number.

  • I like how easy their payroll process is and how easy it is to file year end reports.
  • It is very simple program for people who are not accountants to use. Very intuitive.
  • Very easy to share files with your accountant.
  • There needs to be an easier way to close prior years so you can't change prior years numbers after you have finalized the numbers.
  • Clearing out old Accounts Payable and Accounts Receivable can be difficult.
  • Being able to have more ability to customize reports would be nice.
