- It allows us to link to bank accounts in order to get up-to-date, real-time information, which is so important in today's lightning speed work world.
- The "canned" reports are excellent and allow for extreme customization also. This makes them very helpful to both me and my clients.
- The user interface for QuickBooks Online Advanced is easy to navigate and is intuitive for novices. The screens are well laid out and have cohesiveness on each screen to match tasks with others that match up well.
- The Help function associated with QuickBooks Online Advanced is good but it could be improved. Sometimes it is difficult to use when you do not spell a vendor name, for example, correctly.
- The Merge feature is very handy for combining duplicate entries, but it would be nice if the operation were available for all users, not just those at the Accountant level.
- I have noticed that when one makes a deposit with multiple customers, the reports do not list them separately and the customer names are difficult to search for. I have a workaround by typing the customer names in the memo field, but it would be nice if the Name field was searchable and appeared in Reports.
QuickBooks Online Advanced - The Good and The Bad
- Provides customizable reports
- Dashboards are quick and easy tools to see a snapshot
- Easy to use customer database
- Search functions are good
- When updates are performed it eliminates the ability to delete or update certain settings, leaving us stuck with invoices going to email addresses that are no longer valid which makes the invoice pop up with delivery issues when there technically aren't any. This crowds the dashboard information.
- Another update eliminated the ability to make changes in the reference field when notating received payments. Thus, if it was saved with information that needs changing prior to posting the payment we have to take extra steps to delete the entire entry and do it again instead of just changing the reference field.
- The process for correcting records when a customer payment is rejected by the bank is long and tedious, leaving room for mistakes on the entry end. It would be nice if this could be more standardized and straightforward.
However, if you need to perform more complicated tasks, the route is often convoluted and frequently changes. It would be nice to have some consistency.
We are a SaaS company and QuickBooks Online Advanced allows us to track our sales, our cost of goods sold as the number of users grow, which allows us to plan for the future upcoming months and years.
- Connects really well to bank systems to easily reconcile bank accounts with books.
- It is intuitive in pre-filling items such as lines in the chart of accounts.
- It is user-friendly and makes financial tracking simple.
- It would be nice if there was a little bit clearer guide in doing journal entries.

- Provide more ways to view reports, as in, sometimes we like to see only what we have paid in payroll taxes without having to run a full accounting history.
Always a trade-off, even between offerings in the same product line... Due diligence recommended.

- Ability to handle multiple locations under the same tax ID.
- A commonly used program, such that it is reasonably easy to hire or contract people who are familiar with the system.
- Recurring ACH & Credit card revenue transactions.
- Repeating, reminder, and template transactions to avoid repeat entries when managed correctly.
- Extremely slow data entry rates for all forms: invoices, sales receipts, POs, bills, bill payments, checks, and deposits. If you are heavy into data entry like this, QB desktop will run circles around QB online.
- Need to refresh browser tabs containing reports, transactions, and reconciliations because they do not automatically update after entering or changing a transaction. This requires you to monitor the app to be sure the information it is giving you is accurate or at least makes sense after you make entries or adjustments.
- Inadequate tablet/phone app -- very limited functions, especially for a business owner.
- A quasi-desktop/cloud interface app for QB Online that in the past caused blue screen errors for me, requiring uninstallation.
- Quality of support varies SIGNIFICANTLY depending on time of year, current onshore or offshore strategy of Intuit, and organization of support delivery.
- Extremely weak support and willingness to stand by their merchant services, in one case causing a month-long delay to receive payment on a check from a regular customer who banked at the same bank as me. And the CEO's office could not resolve either.
- Loyalty to customers and advisor networks has consistently decreased.
- Costs continue to rise, well before our recent inflationary period, roughly doubling in about 5 to 6 years.
- Will sell your employees' salaries to credit monitoring services without your actively taking steps to prevent.
- "Anonymizes" your business' performance data to share with other business owners, including your competitors. It is unclear how much is shared and to what depth. You cannot opt out.
- If you don't know what you are doing, or if your bookkeeper doesn't, you can create one helluva mess.
- Introductory offers for product set-up and advice (from Intuit directly) are weak.
- For implementing QBO you really need training from someone who can work directly with you on your books. This is increasingly true as you move up the ladder of product complexity/function.
- Software look, feel, and feature changes that happen with no real notice of what is coming and its impact on your work flow.

- Ability to charge customer's cards & bank accounts. When needed, refunding is also easy.
- QBO online cannot handle negative deposits and it should.
- Sales tax reporting should be more accurate and customizable.
- There should be an option to add a discount per line item vs a discount per invoice total. I want my customers to know my regular rate and the discount they are receiving.
