I use QuickBooks Online Advanced for several of my accounting clients because it is relatively easy to navigate and allows my clients the flexibility to be able to access and view their own data. The reports are clear and easy to understand and are well put-together so that my clients and I can view them and discuss changes in strategies, marketing, and tracking in real time. It also allows us to upload corresponding documentation to the appropriate entry, which saves us research time and storage space.
  • It allows us to link to bank accounts in order to get up-to-date, real-time information, which is so important in today's lightning speed work world.
  • The "canned" reports are excellent and allow for extreme customization also. This makes them very helpful to both me and my clients.
  • The user interface for QuickBooks Online Advanced is easy to navigate and is intuitive for novices. The screens are well laid out and have cohesiveness on each screen to match tasks with others that match up well.
  • The Help function associated with QuickBooks Online Advanced is good but it could be improved. Sometimes it is difficult to use when you do not spell a vendor name, for example, correctly.
  • The Merge feature is very handy for combining duplicate entries, but it would be nice if the operation were available for all users, not just those at the Accountant level.
  • I have noticed that when one makes a deposit with multiple customers, the reports do not list them separately and the customer names are difficult to search for. I have a workaround by typing the customer names in the memo field, but it would be nice if the Name field was searchable and appeared in Reports.
QuickBooks Online Advanced is best suited for businesses and companies that do invoicing and bill tracking (accounts receivable and payable). The tracking modules really shine and make reporting a breeze. In my own personal experience, I have had some difficulty with grant tracking for nonprofits with QuickBooks Online Advanced for both the income and expenditures, although it allows me to be creative and flexible to make things work.

I use QuickBooks Online Advanced daily to create new customer accounts and new vendor accounts as well as all accounting related activities. I create invoices, enter vendor invoices to bills, enter customer payments to their requested invoices, and create journal entries for miscellaneous expenses and credits. I also create mailing lists, AR reports, and other customized reports to help with my daily tasks.

  • Search functions are good
  • When updates are performed it eliminates the ability to delete or update certain settings, leaving us stuck with invoices going to email addresses that are no longer valid which makes the invoice pop up with delivery issues when there technically aren't any. This crowds the dashboard information.
  • Another update eliminated the ability to make changes in the reference field when notating received payments. Thus, if it was saved with information that needs changing prior to posting the payment we have to take extra steps to delete the entire entry and do it again instead of just changing the reference field.
  • The process for correcting records when a customer payment is rejected by the bank is long and tedious, leaving room for mistakes on the entry end. It would be nice if this could be more standardized and straightforward.
QuickBooks Online Advanced is a great tool for keeping all your customer and vendor information in one place as well as recording payments incoming and outgoing. It allows customizable reporting and is easy to use for routine tasks.
However, if you need to perform more complicated tasks, the route is often convoluted and frequently changes. It would be nice to have some consistency.

We use QuickBooks Online Advanced to maintain all financials for the organization, including invoicing, budgeting, investor tracking, expense tracking, etc. The product addresses where we stand in our finances and allows us to do due diligence in our forecasting and planning activities.
We are a SaaS company and QuickBooks Online Advanced allows us to track our sales, our cost of goods sold as the number of users grow, which allows us to plan for the future upcoming months and years.
  • Connects really well to bank systems to easily reconcile bank accounts with books.
  • It is intuitive in pre-filling items such as lines in the chart of accounts.
  • It is user-friendly and makes financial tracking simple.
  • It would be nice if there was a little bit clearer guide in doing journal entries.
I think that QuickBooks Online Advanced is well suited to most businesses. As far as I can tell, it is less appropriate for businesses that use affiliates, as it doesn't seem to be able to track those transactions, what is owed to them, including providing statements and reporting for what was earned and what was paid out.

I handle the company's accounting and bookkeeping, I register bills, match bank transactions through the feeds to have with our different banks, we also have integrated with Tipalti and WooCommerce. I create invoices and send them through QuickBooks Online. I generate financial reports, create recurring transactions for amortizations and depreciation. Something that I would like to see is to be able to import CSV files for large journal entries, so far I haven't seen that feature. I like the availability there is for training and certification, which I'm definitely looking forward to. I like how is easy to use, how it can connect to vendors and customers through every type of document that you create and how easily I can track transactions and run reports. Reconciliations a greatly fast given the match transaction options, which takes away the struggle for period closing. Overall I love this software and definitely recommend it.

It is well suited for AR and AP management, bank reconciliations, and financial reporting. I don't have experience yet in payroll or 1099 tracking but I've seen the option which is great whenever we consider using it. We use QuickBooks Online for inventory, creating orders, invoicing, billing, financial reporting and sales reporting. We needed an online service which can be used simultaneously by sales, accounting, operations and other users. We also needed integration of products and inventory available with our online ecommerce store (Shopify). QuickBooks Online provided this solution and much more. What is lacks is the ability to create sales orders which can then convert to invoices after they ship. The estimate feature is not appropriate for that.

We use QBO for all things accounting -- keeping track of our payables and receivables, producing the financial statements, bank reconciliations, etc. We do find that we need to have ancillary schedules and spreadsheets outside of QBO for more complex calculations (depreciation, cost accounting) but are able to post our journal entries in QBO and keep attachments within the system.

QBO is excellent for small companies, startups, and any general business case where the accounting is not complex or the transaction volume is reasonably low. In a manufacturing environment or a larger company with a fuller schedule of fixed assets/many transactions on a daily basis, this software would be inadequate to support all of the needed accounting functions. QBO also does not support more complicated revenue recognition schedules for service contracts, requiring manual journal entries for any accruals -- I know several ERPs allow you to program a revenue recognition plan when entering an item nowadays.

I used to be the bookkeeper, CFO, and Financial Manager of my Real Estate Brokerage, however the role got too big for me and I've contracted with a third party Bookkeeping service. Having QuickBooks Online Advanced made that transition extremely easy. They were able to plug into all of my accounting history, accounts, and various transactions that needed updating and organization. Very easy transition.

Previous reasons listed as it seems to be a universal application amongst many companies. Easy transition to using third party accountants or if you were doing a Merger and Acquisition it makes the transition easy. Most CPA/Tax Attorney's seem to be proficient in it's use as well. Easy banking syncing is a nice feature saving time.

QuickBooks Online Advanced has revolutionized the way our nonprofit manages reporting, revenue, expenses, etc. As a very small operation, efficiency and cost-effectiveness are the daily struggle. While it took some time to get our data loaded, it was well worth the time spent. Now we have access to slice and dice data at will.

We use QuickBooks Online to track our payables and receivables; the scope of my responsibilities is to input invoices from vendors, approve them for and schedule payments, as well as reconcile all accounts for the business. QuickBooks Online makes it easy to manage these tasks by simplifying the process of creating multiple invoices, recurring invoices, recurring bills, and expense entry.

I assist my clients who use QuickBooks Online products, including Advanced. My assistance includes bank & credit card entries (using the bank feed whenever possible) monthly reconciliations, monthly-quarterly-annual reporting, troubleshooting with payroll and payroll taxes as well as sales taxes, implementing project/job costing, and correcting errors related to mis-entries by my clients as well system-generated problems. I also train clients to operate all these functions on their own.
  • Rule-driven categorization of expense transactions.
  • Good reporting for P&L, Balance Sheet, Profit by Job.
  • Ability to handle multiple locations under the same tax ID.
  • A commonly used program, such that it is reasonably easy to hire or contract people who are familiar with the system.
  • Recurring ACH & Credit card revenue transactions.
  • Repeating, reminder, and template transactions to avoid repeat entries when managed correctly.
  • Extremely slow data entry rates for all forms: invoices, sales receipts, POs, bills, bill payments, checks, and deposits. If you are heavy into data entry like this, QB desktop will run circles around QB online.
  • Need to refresh browser tabs containing reports, transactions, and reconciliations because they do not automatically update after entering or changing a transaction. This requires you to monitor the app to be sure the information it is giving you is accurate or at least makes sense after you make entries or adjustments.
  • Inadequate tablet/phone app -- very limited functions, especially for a business owner.
  • A quasi-desktop/cloud interface app for QB Online that in the past caused blue screen errors for me, requiring uninstallation.
  • Quality of support varies SIGNIFICANTLY depending on time of year, current onshore or offshore strategy of Intuit, and organization of support delivery.
  • Extremely weak support and willingness to stand by their merchant services, in one case causing a month-long delay to receive payment on a check from a regular customer who banked at the same bank as me. And the CEO's office could not resolve either.
  • Loyalty to customers and advisor networks has consistently decreased.
  • Costs continue to rise, well before our recent inflationary period, roughly doubling in about 5 to 6 years.
  • Will sell your employees' salaries to credit monitoring services without your actively taking steps to prevent.
  • "Anonymizes" your business' performance data to share with other business owners, including your competitors. It is unclear how much is shared and to what depth. You cannot opt out.
  • If you don't know what you are doing, or if your bookkeeper doesn't, you can create one helluva mess.
  • Introductory offers for product set-up and advice (from Intuit directly) are weak.
  • For implementing QBO you really need training from someone who can work directly with you on your books. This is increasingly true as you move up the ladder of product complexity/function.
  • Software look, feel, and feature changes that happen with no real notice of what is coming and its impact on your work flow.
Other than market share dominance and somewhat lead-on features, Intuit is a company that has lost its small-business focus, its customer service focus, and its partnership ethic with the many professionals who help support and recommend the product. It has seemed to place its focus on becoming an artificial intelligence leader when it should really be an artificial intelligence integrator and consumer for the sake of its customer base and professional support base. While the QuickBooks Online product line will continue to dominate the market share for the foreseeable future, it is ill-advised for an accounting/bookkeeping professional or business to rely upon Intuit. It is important to understand the growing number of available options and cultivate relationships and skills with these new products. To fail to do so will be either a disservice to yourself or to your clients.

We use the Banking module to record daily banking operations and maintain reconciled bank balances. We also issue financial reports to load the currency conversion sheets and consolidated financial statements.

Our organization utilizes QuickBooks Online Advanced every day. We process cash receipts, accounts receivable, accounts payable, budgeting, creating reports, etc. in the software. As far as business problems, the software has made it more easier to produce reports that are more understandable for staff and the foundation's board. In addition, the budgeting feature makes the entire budgeting process more efficient. With access to the software online by various users it has also made staff very aware of the finances. Personally, utilizing QuickBooks Online Advanced has made my position more efficient.

I use QuickBooks Online Advanced in a variety of ways for the variety of my clients. For some, I use it to keep their new Real Estate business organized for tax purposes. For another, I use it to keep track of investors and payouts. For another, I use it for full-blown accounting cycles- invoices, payment receipts, bills, etc. I can truly use this system with any type of client and customize it as needed.

We switched from an on-prem accounting and management ERP to QuickBooks Online Advanced. We use it for all accounting functions. Our main challenge with the prior software was online access and ease of use. QuickBooks Online Advanced has enabled that. There are some features we had to leave behind, but we are working on implementing those with other cloud-based software.

QBO Advanced is used to send recurring invoices to our contractors, track accounts receivables, and payables. The problem faced the constant amount of data entry, which QBO has helped to reduce and automate much of it. Highly recommend this product as it will give you reports - which are completely customizable.

We use this program for AP/AR/Inventory and Payroll. It is pretty user friendly for the most part. Has some speed issues and oddities occasionally. Running reports can sometimes be difficult. Does not always transfer to excel well. You may have to add your own formulas to get totals and such. This has allowed us to stay organized and on track with our budgets after some tweaking/customizing of the reports.

My clients use it for their accounting needs.

I am able to access client records from my office easily. The advanced version allows tracking from two different categories, ie, location, and class. It is so dumbed down that it often creates incorrect entries that need [to be corrected]. Printing things take way too many steps when compared to the desktop version.

QBO Advanced is for financial record-keeping for my entire nonprofit organization. It is also used for invoicing some customers, and tracking payments to independent contractors. Some of the best functionalities include automatic bank feed sync and integration with many key programs including Divvy expense management and Squarespace website sales. Also as a nonprofit, we are able to use classes to track functional expense allocation, and locations to track restricted and unrestricted funds.

  • The budgeting option for the yearly budget automatically divides by the month, which is unhelpful if you're organization finances aren't the same from month to month

  • Need to add an easier way to log occasional vendor refunds by cash or check
QBO Advanced is well suited to almost any mid-sized organization, probably up until the enterprise level where a more customizable solution might be appropriate. At a 1 mil budget, my organization is just scratching the surface of the features. Inventory management is not a strong suit, so organizations needing a robust inventory solution should be prepared to integrate a separate system or look elsewhere.

We use this system across our entire organization to manage our financial reconciliations and reporting. It addresses the reconciliation of our bank accounts, allocation of expenses by project/funder, as well as identifying the various accounts associated with those expenses.

It's really good for small or medium organizations that don't require a great deal of customization. While the functionality isn't impacted, for organizations that have both donors and traditional sales invoices, there is only one set of nomenclature available for use when it comes to these sort of transactions, which can be confusing.

We use QuickBooks to manage our entire organization which includes multiple businesses. Once training was complete, our users have gotten more efficient and they report feeling productive. Can't really ask for more when it comes to accounting software. QuickBooks also makes it easy to collaborate with our outsourced accounting team.

It is mainly used by the finance department to keep track of all financial documents and figures. It used to ensure accuracy and accountability for all charges, expenses, and anything finance related. The finance department uses it for accounts payable, accounts receivable, payroll, expenses, manual checks, journals.

We use QBO across our entire organization; in our sales department, purchasing, AR/AP, and managerial reporting. QBO provides a one stop shop for all of our needs. We can rely on reporting to help us manage expenses, plan for growth, and ensure we always have enough cash in our banks. Additionally, QBO makes it easy to collect payments with recurring sales receipts and payment links we can email to our customers.
  • Fathom reporting.
  • Batch invoicing: cutting invoice creation time by more than half.
  • Ability to charge customer's cards & bank accounts. When needed, refunding is also easy.
  • QBO online cannot handle negative deposits and it should.
  • Sales tax reporting should be more accurate and customizable.
  • There should be an option to add a discount per line item vs a discount per invoice total. I want my customers to know my regular rate and the discount they are receiving.
Quickbooks Advanced is well suited for companies that may not have employees who are accountants or CPAs but still can keep accurate books. Because it is easy to use, it does not take much to teach entry-level employees how to accurately enter information in QBO. However, it is not well suited for more complex journal entries and accounting issues. And it is harder to do audits to find mistakes.

I use QuickBooks Online Advanced everyday to keep the books for our Law firm. Today I had to call Priority Support to help me find the 1099s that were generated by QBO to send to our contractors. The customer service was excellent and the agent stayed with me until the problem was resolved. I always appreciate their help and willingness to stay with me until I get what I need.

We are an independent private high school and we use QBO in the business office. It allows all of the employees in this department access to real-time information and allows custom user permissions.
  • QBO Advanced allows very large chart of accounts.
  • QBO Advanced allows for automatic emailing of reports to department heads.
  • QB Advanced allows for seamless app intermigrations allowing us to import large journal entries easily from our outsourced payroll company.
  • There are several reports that limit the ability to customize or filter data fields.
  • It would be nice to attach a document to a general ledger number during setup
  • The pay bills online feature is not available when paying bills in a batch under the pay bills screen.
Online Advanced does not work well for companies that need to do assembly invoicing or product costs that change often. Certain reports and customization are available in the Desktop version but not in the online version. I think the bank feeds and reconciliation process in QBO is much quicker and easier to use. The integration with Fathom reporting produces a more professional financial reporting presentation, including key indicators and the ability to incorporate easy-to-read graphs.
