What is QuickBooks Online?

QuickBooks Online is a SaaS verison of the QuickBooks product. It contains all of the features found in the local version, features typical of similarly priced accounting software. The monthly fee for this service starts at $10 and climbs to $30 with the Plus version, which has the richest features. The base level allows for unlimited invoices and estimates, expense tracking, importing from Excel or Quickbooks desktop, data backup, mobile accessibility, and integration with many other applications. The Essentials pricing plan contain more automation, more bill and payment management, as well as inventory and time tracking, and the Plus package contains budgeting and analytic features.

QuickBooks Online failed to upload a specific time range. In our experience, we attempted multiple calls to QuickBooks Online help desk to get support and instead of giving us answers they tried to sell us products. On the 3rd call to QuickBooks Online, we asked for a manager and they absolutely REFUSED to elevate our case. Their answer is it "goes against our protocol." In my opinion, in what world do you deny a customer an opportunity to speak to a manager? We have been with QuickBooks Online for over 10 years. I think that is insane.

In my opinion, QuickBooks has become one of those too big to fail company and they obviously do not care about their customer relations. I think, to refuse a customer an opportunity to talk to a manager when facing multiple issues with the representatives themselves is ridiculous. A Customer should feel safe going to a manager when it is needed.

In our organization, Deloitte, being a large accounting firm, we use QuickBooks Online to manage financial accounts for multiple industrial clients. The platform allows for centralization of financial data and easy navigation between client accounts. During the onboarding process for new industrial clients, QuickBooks helps set up client accounts, configuring charts of accounts, and establishing a standardized structure for financial data.

Post-COVID period most of the businesses switched to remote work. QuickBooks's cloud-based environment makes it well-suited for businesses with remote workforces. Also, I need to emphasize that it seamlessly integrates with numerous 3rd-party apps, enhancing functionality and allowing our unit to create a customized and integrated subsystem.

We are a residential remodeling company in the suburbs of St. Louis, MO. We converted to QuickBooks Online (QBO) from QuickBooks Desktop (QBD) at the beginning of September 2023 to prepare for integration with a new Project Management software we are beginning to use. I was skeptical about moving to c6 because it is limited in its ability to effectively manage job costing. Unfortunately, it has only proven me right by not being able to provide the reporting I need and was able to get from QBD. My major complaint though is with the Payroll Elite subscription. An electronic data migration was possible for everything EXCEPT payroll data. Using Elite meant that a team from Intuit had to manually enter our year-to-date data into QBO so the W-2s would be correct at the end of the year, and tax filings would be accurate. I was instructed to create a portable file from QBD to send to the Elite team and give them almost two weeks to get it all entered. In my experience, I have had nothing but problems ever since! A payroll type we have never used before was created called "Non-Taxable Per Diem" where entries were made on 9 out of 13 active employees. I currently have ten (10) active cases/investigations open without, in my opinion, any clear answers from Intuit. I would not recommend this product. In my opinion, their call centers employ representatives with almost no experience in accounting or bookkeeping to support an accounting product! Very disappointed!

It seems Intuit is more interested in generating revenue than taking care of their customers. The product is supposed to address accounting, but, in my experience, it is continuously problematic at that level.
  • In my experience, change the labels and locations on buttons to make you click on their sales items rather than complete tasks.
  • In my experience, waste huge amounts of screen space with useless information and pop-up advertising
  • In my experience, change the meanings and names within their program of accounting terms that have been in use for over 100 years.
  • In my experience, block users from doing certain accounting transactions because they are smarter than the accountants that use the program.
  • Support - In my opinion, their support staff does not understand accounting, basic logic, and in most cases, the QBO program itself.
  • Terminology - Use the terms "Debit" and "Credit" with or instead of the terms "increase" and "decrease." And stop making up new terms to describe old things.
  • In my opinion, stop trying to make more money off of your customers by forcing them to make extra clicks to accomplish tasks.
QuickBooks Online might work ok for someone who has absolutely NO accounting knowledge. However, that person will eventually need support and will not get it. In my opinion, QuickBooks Online's continuous approach of controlling what you can and can not do, combined with their ever present time wasting ads and button changes, make the program a complete waste for anyone who knows what they are doing and wants to complete their tasks in a reasonable amount of time.

We use QuickBooks Online for our company accounts at our agency, Doublesided. In my sales role, I use it to create estimates for prospects, record my expenses, and review the profit and loss reports.

My partners use QB to generate invoices and also record both staff and company expenses.

  • Add document signatures to estimates.
QB is a very mature product. In my first business in 2001, I used a windows version of QuickBooks; they have a long history!

We used to send out estimates using Word, making a PDF and emailing, so it's a big time saver to just login, fill in some details an send it out.

For people in the UK it handles VAT calculations and making tax digital, so this also saves us time each quarter.

We use QBO to track sales, invoice customers, control inventory, issue POs, and link with bank. I also do accounting work for my daughter's business. As an esthetics spa, they use it to track sales and expenses. In my opinion, the integration with Square, which is used to collect credit card payments and control appointments, is abysmal. My other daughter is a CPA and has to manually do entries from Square to QBO to keep revenues updated in the system. I feel that both platforms are atrocious.

I am stunned that a company that has been around for so long has a product with so many deficiencies. From my experience, issuing POs to suppliers is an embarrassment. In my opinion, not only is the customisable format brutal, they include information totally irrelevant to the supplier (who is receiving the PO) and looks a mess. I feel the inability to use a calculator function in so many fields is hilarious. From my experience, if you enter an incorrect date into the bank reconciliation field? No problem. But there is nowhere to undo this, despite info to the contrary online. The dropdowns indicated in the actions fields don't exist. I feel that the inability to interact with Square for transaction sharing is awful. They have a shared app for doing so and it has the worst rating of any app in the QBO app section. I could go on and on about the frustrations of using this software. I have used Quicken personal software for over 30 years, so am quite familiar with QuickBooks logic. And I feel Quicken has been so much a better product since it left the Intuit fold.

I was really hoping that all the reviews about poor customer service were isolated incidences. They clearly are not. I cannot believe how atrocious the customer service is. Twice on the chat function I've had reps say they were transferring me and they did not. I wonder if it's possible to transfer with chat. Previous to that I had a rep call me back because I was told I would get a call back about an issue. The rep immediately hang up when I answered. Presumably to make it look as though they called, but so they didn't actually have to help with anything. It seems next to impossible to actually get help with anything. It's transfer here and transfer there and disconnections etc. Based on the industry that this is in and what it is used for it blows my mind that it is so bad. There are some minor issues with the functionality of the website as well, those are minor and not a huge hinderance at this point.

I use QuickBooks Online to keep track of all my business financials. I send invoices, keep track of expenses and use the reports at the end of the year for taxes.

  • Live Bookeeping is terrible in my recent experience-they messed up my books and then I have had to spend many hours with someone at QuickBooks trying to fix them while I have to continue to pay $200 a month for the service of fixing the mistakes and mess they made.
  • Extremely poor communication regarding the process of them cleaning up my books and changing categories and not telling me. Also, they switched me from clean up to monthly live bookkeeping without telling me and thus taking away any option I had to get reimbursed for the clean up that they totally messed up. They say 100% guarantee but only if you catch it before they switch you to monthly. Since I did not know I was switched to monthly I could not catch it.
  • The premise of bookkeeping clean up is great but the implementation was extremely poor. They should have asked me more questions about my use before changing things.
Until recently, QuickBooks Online has been perfect for my small business. It works well for a very small business like mine. However, my recent experience has left me feeling very differently about the company.

QBO appears to be a great product on the surface, but don't expect any help when their software glitches out. The support chat is extremely frustrating - agents don't have a clue what they are talking about and can't even comprehend a simple explanation of the issue. They often then disconnect the chat and you are left with no recourse other than to start from square 1 again. QUICKBOOKS SUPPORT IS TERRIBLE!

  • The program itself is great. Its easy to use and many videos are available for instruction

  • They use a 3rd party vendor (Melio) for bill pay and getting in touch with them is impossible. It was so bad I was ready to cancel QB. There is a disconnect
  • Although most reps know their stuff, I think more training would help as I realized when dealing with Melio
  • I think all companies should have a phone number that a person answers in addition to emails
Prior to a huge issue with bill pay, I had nothing but good comments regarding QB. The program is fantastic, they are responsive to customers and generally made my bookkeeping better and easier. The bill pay issue was a glitch in QB or Melio (not sure). I had 16 checks issues for the same amount to the same company. It took me over a month to get it straightened out while thousands of dolllars came out of our account. Eventually we were refunded the checks and were able to stop the process. It was ridiculous and left a bad mark on my experience with QB

QuickBooks Online is being used to do all of our bookkeeping, accounting, payroll and budgeting for all of our different accounts. Although I am the primary user, our grant writer, accountant, treasurer and auditor all have access to the program.
  • It enables me to do a P&L for each specific program as requested by the county for the grant money that they give us.
  • It enables me to do [an] organizational budget as well as a budget for each specific program
  • It enables the accountant and the auditor access at any time for transparency
  • I would like to be able to post a refund to come out of expenses instead of income
  • Correcting posting errors could be made easier
  • Matching unapplied payments could be easier

The hope was that it could provide bookkeeping services for our eCommerce business. We were previously on QuickBooks Desktop, and it seemed to make more sense to be with QuickBooks Online to have a more direct integration with our website. However, we never actually completed the implementation. Their Commerce product (which is supposed to integrate eCommerce with QuickBooks Online) is subpar and wasn't able to handle some basic eCommerce functionality. Beyond that, my experience with QuickBooks customer service has been so terrible that ultimately we've given up on trying to switch over, and will be canceling and going back to QuickBooks Online. It has been an exercise in frustration trying to deal with this company.

I use QuickBooks online for my small business as my accounting software. I also use it as the Accountant/Bookkeeper for several other small businesses to process their payroll & bookkeeping. I use the full product including payroll & time and attendance, with bookkeeping on a daily basis. I request my clients set up their businesses with QuickBooks to make processing easier.

Many problems with Quickbooks online: 1. Even though Quickbooks receives a payment and deposits it into our account, it will not show it as "deposited." 2. To get help, I pushed the "chat" button; got a chat person from Intuit, and he/she refused to help me because we are a nonprofit and not a "merchant." 3. The program will not let you charge the "customers" (members of the homeowners association) for the 10% ACH fee, so I have to pay for it myself. 4. There are no instructions on how to use the program. This was supposed to save me time, and it doesn't, and it doesn't work well at all.

It is being used by myself and the COO of the company. We use it for just about everything.....banking, payroll, accounts payable, accounts receivable and payroll; as well as customer invoicing and receiving payments online.
  • Handles the quarterly taxes for us - or at least figures them for us and let's us know when they need to be paid (for those that QuickBooks Online can't electronically transfer)
  • I love the payroll feature too - sooooo easy to use and update!
  • The reports feature is very informative and easy to navigate.
  • Hopefully they will add the ability of Schedule K's into their online service
I don't have very much to say against QuickBooks Online. The only issue I had for a couple months was the fact that when the State of Washington lowered our Unemployment rate, it took 4 calls to QBO to finally get it changed and matching what the state website showed that we owed. Other than that....it has been great using QBO. I have used the desktop version in the past, and I have to admit....I really like the online version, especially with COVID-19 shut downs....I was able to work from home ;-)

Completely Disappointed!

I was referred to QuickBooks Online by several friends for my real estate business. I was told that it was the best accounting software to go with. So, I tried to sign up via the mobile app today, as I was told I could do this. However, when I signed up, I was automatically taken and enrolled in the next higher package, which I did not need. I only needed specific features. I was also trying to sign up under a specific online promotion, and immediately following that sign-up, a box popped up that said, 'the promotion has expired' and then went on to say it was charging me the full price, not the online promotional price. When I went to log on through my laptop, to try and see what had happened and to try and go into my account to change the plans/pricing - it was completely not user-friendly, whatsoever. And I couldn't change the account settings through the app either! So, I decided to call QuickBooks myself. Unbeknownst to me, I would then proceed to be on the phone for the last hour and a half, being transferred around to five people (literally)! Not one of them could help me (except for a woman on the online team named Jamie - she at least tried her best, but even she couldn't find the account settings to even help me navigate changing them because it wasn't user-friendly to her either!) She called and talked to the Sales Team, who said they could help me, and when she tried to transfer me, she couldn't. She told me that I would, unfortunately, have to call them directly. I tried this, and then had to explain the entire story for the fifth time and when he went to 'transfer' me again, NO ONE even picked up on that line! He told me that no one was picking up and that he was going to try again! At this point, I am so fed up, that I decide to just hang up! I had wasted the last hour and a half, time that I needed for my own business, and it was now wasted. I will now be going with a different accounting software program, especially when you can't even get help when you need it. This is absolutely unacceptable in my eyes, and I am extremely disappointed. And it's too bad because multiple of us were going to sign up to start using their software.

BEWARE!! If you use Quickbooks bill pay service, Intuit and the service provider Melio will take your money out of your account and put it in their account at Silicon Valley Bank and you may not get it back ever. My story, I paid a vendor with a check for over $16,000, supposedly the check was stolen and deposited into Chase bank. I tried for 3 months now to get Intuit or Melio to tell me where our funds are, show me an affidavit they filed, anything. Myself and our CFO have over 25 calls into each and over 10 emails, even threating to come to NY to get it straight with the owners. They do not answer the phone at Melio, maybe 1 in 26 times calling and they will not let you talk to anyone in their operations or other divisions. The customer service agents are just shields for their company. I called Intuit(Intuit's name is on the check along with their phone number) one day and got a guy named Bright who told me that he had our $16k right there and he would process a refund to us and we never got it. Now Intuit says they don't know where the money is. If you don't understand that the money leaves your bank and goes into some form of a combination of Melio and Intuit account that you can not have access to after they take it from your account, you may end up still owing your vendor another $16,000 and not even know who to sue to get your money back because they play a shell game with your money!!

We are a small construction company building and remodeling houses in the Pacific Northwest. I use QBO for bookkeeping, project accounting and payroll (3 employees). I handle most the bookkeeping activities at the end of each week, payroll at the end of each month, and my tax accountant handles quarterlies and annual filings.

Program features and usability are pretty good and generally way more than I need. The way they bundle features drives you to select the more expensive option. This probably works okay for merchants and larger companies, but it's a financial burden for small companies like mine. In my case, I wish there was an option to trade off inventory management features for project management features. But I have to pay for both (currently $860/yr 2021). The payroll package is convenient, but too expensive (currently $1200/yr).

I currently support QuickBooks Online for one of my customers who uses it to manage all of their accounting needs along with the selection of inventory they sell in their storefront. I manage it from an admin/rollout standpoint and have several years of experience using it myself. It handles all the accounting needs with ease for this company and then some. They used to have QuickBooks software installed on a server and several of their PCs, and the online version has completely eliminated the need for that server and the worry of having to back it up daily.

  • Straightforward and easy to use
  • It's not exactly cheap, but you do get what you pay for
  • Depending on your level of experience with accounting software, it could be a little overwhelming to an inexperienced user
For anyone looking to handle all their accounts in one place, I would look no further than QuickBooks Online. There's no software to install and they've been one of the leaders in the industry for years when it comes to accounting software. It's very easy to get up and running quickly. Setup is simple, the user interface is easy to navigate and understand, and the fact that it's online means you never have to worry about data loss or expensive servers to maintain.

We use QuickBooks Online for our accounting needs including tracking estimates, invoicing, banking, receiving payments, bill payment, and tracking expenses. We are also able to create financial reports to help us predict volume of work trends and let us know how we are performing. Additionally, our accountant has access to QuickBooks Online so that they can retrieve the information and reports they need to prepare our taxes.

I am an engineer by profession, with no accounting background. This saves time and gives me peace of mind that my books are accurate and up to date. Much of what is done in QuickBooks Online is automated, so it also saves me time.

I've listed four specific issues where this program has made it much, much harder for my accounting processes. Wait times on the phone are ridiculously long, and more often than not, take several phone calls to resolve. Not compatible with all banks, and often duplicates deposits and/or doesn't download all transactions.

We use QB as our general accounting and payment system across our entire organization. As a small company, it offers a tested, acceptable, and cost-effective solution to our accounting needs. It offers a variety of functionality important in tracking planned expenditures and commitments (eg Purchase order generation), goods receipt, accounts payable, and integrates with our 3rd party payroll providers. We currently utilize its check printing capabilities and are planning the future implementation of its electronic payment functionalities. As a small company, we find it easy to train new users due to readily available training materials and pragmatic built-in help functions.

It well serves the needs of small size enterprises with a broad variety of useful functions commonly useful to small businesses. Broad installation base and user support groups supplement the manufacturer's support. The system is easy to use and implement including for the occasional user.

QuickBooks Online is an integral part of our business. We run all invoices, recurring revenue, and e-commerce transactions. We bill clients for services with a variety of billing terms (monthly, quarterly, annually) and having QuickBooks Online keeps us on track for all billing, organized, and makes month-end reconciliation easy for my bookkeeper.

QuickBooks Online is well suited for any business with multiple clients and billing. Quickbooks desktop is better if you are tracking physical goods/inventory. We manage 500+ clients' billing with ease; you will find QuickBooks Online an awesome solution to managing your billing.

Our company uses QuickBooks Online for all of our billing and financial reporting. We currently have 5 active users, 4 of which are for project managers on our team, and then one account for our accountant to monitor activity for tax/accounting purposes. Primarily though, QuickBooks is used for sending out invoices for work completed.

QuickBooks has long been a standard when it's come to small business accounting. Their tools work, the user interface is fairly intuitive to navigate, and it has suited the needs of our small business (11-20 employees) for the past 10 years. However, as we continue to grow and come into a greater need to control our branding, we find that QuickBooks Online often limits us in customization and branding. Plus, it just has some odds quirks in the coding of how the invoices are setup up that often requires us to "fight against the system" in order to accomplish what we want in our invoice structure.

We use Quickbooks for all of our bookkeeping and payroll for 2 clients.
  • It's easy to use
  • The implement new features every year
  • The dashboard provides quick insights
  • Their customer support is disorganized
  • Sometimes the new features they implement will work for a couple of months and then they stop working
  • Their multi-currency is very limiting
Although the interface is easy to use for a lay person I have often found that when I sign on a new client that they have made several accounting errors that have impacting their P&L and Balance sheet that I've had to go back years to correct. So, I don't recommend it for anyone who doesn't have a basic bookkeeping degree.
