What is QuickBooks Online?

QuickBooks Online is a SaaS verison of the QuickBooks product. It contains all of the features found in the local version, features typical of similarly priced accounting software. The monthly fee for this service starts at $10 and climbs to $30 with the Plus version, which has the richest features. The base level allows for unlimited invoices and estimates, expense tracking, importing from Excel or Quickbooks desktop, data backup, mobile accessibility, and integration with many other applications. The Essentials pricing plan contain more automation, more bill and payment management, as well as inventory and time tracking, and the Plus package contains budgeting and analytic features.

In our organization, Deloitte, being a large accounting firm, we use QuickBooks Online to manage financial accounts for multiple industrial clients. The platform allows for centralization of financial data and easy navigation between client accounts. During the onboarding process for new industrial clients, QuickBooks helps set up client accounts, configuring charts of accounts, and establishing a standardized structure for financial data.

Post-COVID period most of the businesses switched to remote work. QuickBooks's cloud-based environment makes it well-suited for businesses with remote workforces. Also, I need to emphasize that it seamlessly integrates with numerous 3rd-party apps, enhancing functionality and allowing our unit to create a customized and integrated subsystem.

We manage accounting for 7 entities.
The product is supposed to address accounting, but, in my experience, it is continuously problematic at that level.
  • In my experience, change the labels and locations on buttons to make you click on their sales items rather than complete tasks.
  • In my experience, waste huge amounts of screen space with useless information and pop-up advertising
  • In my experience, change the meanings and names within their program of accounting terms that have been in use for over 100 years.
  • In my experience, block users from doing certain accounting transactions because they are smarter than the accountants that use the program.
  • Support - In my opinion, their support staff does not understand accounting, basic logic, and in most cases, the QBO program itself.
  • Terminology - Use the terms "Debit" and "Credit" with or instead of the terms "increase" and "decrease." And stop making up new terms to describe old things.
  • In my opinion, stop trying to make more money off of your customers by forcing them to make extra clicks to accomplish tasks.
QuickBooks Online might work ok for someone who has absolutely NO accounting knowledge. However, that person will eventually need support and will not get it. In my opinion, QuickBooks Online's continuous approach of controlling what you can and can not do, combined with their ever present time wasting ads and button changes, make the program a complete waste for anyone who knows what they are doing and wants to complete their tasks in a reasonable amount of time.

We use QuickBooks Online for our company accounts at our agency, Doublesided. In my sales role, I use it to create estimates for prospects, record my expenses, and review the profit and loss reports.

My partners use QB to generate invoices and also record both staff and company expenses.

  • Slow to resolve tech issues (VAT payment).
  • Add a direct link in the navigation to view estimates!
  • Add document signatures to estimates.
QB is a very mature product. In my first business in 2001, I used a windows version of QuickBooks; they have a long history!

We used to send out estimates using Word, making a PDF and emailing, so it's a big time saver to just login, fill in some details an send it out.

For people in the UK it handles VAT calculations and making tax digital, so this also saves us time each quarter.

We use QBO to track sales, invoice customers, control inventory, issue POs, and link with bank. I also do accounting work for my daughter's business. As an esthetics spa, they use it to track sales and expenses. In my opinion, the integration with Square, which is used to collect credit card payments and control appointments, is abysmal. My other daughter is a CPA and has to manually do entries from Square to QBO to keep revenues updated in the system. I feel that both platforms are atrocious.

I am stunned that a company that has been around for so long has a product with so many deficiencies. From my experience, issuing POs to suppliers is an embarrassment. In my opinion, not only is the customisable format brutal, they include information totally irrelevant to the supplier (who is receiving the PO) and looks a mess. I feel the inability to use a calculator function in so many fields is hilarious. From my experience, if you enter an incorrect date into the bank reconciliation field? No problem. But there is nowhere to undo this, despite info to the contrary online. The dropdowns indicated in the actions fields don't exist. I feel that the inability to interact with Square for transaction sharing is awful. They have a shared app for doing so and it has the worst rating of any app in the QBO app section. I could go on and on about the frustrations of using this software. I have used Quicken personal software for over 30 years, so am quite familiar with QuickBooks logic. And I feel Quicken has been so much a better product since it left the Intuit fold.

  • The program itself is great. Its easy to use and many videos are available for instruction
  • Financial statements are available, easy to access
  • They use a 3rd party vendor (Melio) for bill pay and getting in touch with them is impossible. It was so bad I was ready to cancel QB. There is a disconnect
  • Although most reps know their stuff, I think more training would help as I realized when dealing with Melio
  • I think all companies should have a phone number that a person answers in addition to emails
Prior to a huge issue with bill pay, I had nothing but good comments regarding QB. The program is fantastic, they are responsive to customers and generally made my bookkeeping better and easier. The bill pay issue was a glitch in QB or Melio (not sure). I had 16 checks issues for the same amount to the same company. It took me over a month to get it straightened out while thousands of dolllars came out of our account. Eventually we were refunded the checks and were able to stop the process. It was ridiculous and left a bad mark on my experience with QB

Many problems with Quickbooks online: 1. Even though Quickbooks receives a payment and deposits it into our account, it will not show it as "deposited." 2. To get help, I pushed the "chat" button; got a chat person from Intuit, and he/she refused to help me because we are a nonprofit and not a "merchant." 3. The program will not let you charge the "customers" (members of the homeowners association) for the 10% ACH fee, so I have to pay for it myself. 4. There are no instructions on how to use the program. This was supposed to save me time, and it doesn't, and it doesn't work well at all.

It is being used by myself and the COO of the company. We use it for just about everything.....banking, payroll, accounts payable, accounts receivable and payroll; as well as customer invoicing and receiving payments online.
  • Handles the quarterly taxes for us - or at least figures them for us and let's us know when they need to be paid (for those that QuickBooks Online can't electronically transfer)
  • I love the payroll feature too - sooooo easy to use and update!
  • The reports feature is very informative and easy to navigate.
  • Hopefully they will add the ability of Schedule K's into their online service
I don't have very much to say against QuickBooks Online. The only issue I had for a couple months was the fact that when the State of Washington lowered our Unemployment rate, it took 4 calls to QBO to finally get it changed and matching what the state website showed that we owed. Other than that....it has been great using QBO. I have used the desktop version in the past, and I have to admit....I really like the online version, especially with COVID-19 shut downs....I was able to work from home ;-)

Our whole AR/AP, Payroll, Direct Pay all is done through Quickbooks which is owned by Intuit unfortunately

BEWARE!! If you use Quickbooks bill pay service, Intuit and the service provider Melio will take your money out of your account and put it in their account at Silicon Valley Bank and you may not get it back ever. My story, I paid a vendor with a check for over $16,000, supposedly the check was stolen and deposited into Chase bank. I tried for 3 months now to get Intuit or Melio to tell me where our funds are, show me an affidavit they filed, anything. Myself and our CFO have over 25 calls into each and over 10 emails, even threating to come to NY to get it straight with the owners. They do not answer the phone at Melio, maybe 1 in 26 times calling and they will not let you talk to anyone in their operations or other divisions. The customer service agents are just shields for their company. I called Intuit(Intuit's name is on the check along with their phone number) one day and got a guy named Bright who told me that he had our $16k right there and he would process a refund to us and we never got it. Now Intuit says they don't know where the money is. If you don't understand that the money leaves your bank and goes into some form of a combination of Melio and Intuit account that you can not have access to after they take it from your account, you may end up still owing your vendor another $16,000 and not even know who to sue to get your money back because they play a shell game with your money!!

I've listed four specific issues where this program has made it much, much harder for my accounting processes. Wait times on the phone are ridiculously long, and more often than not, take several phone calls to resolve. Not compatible with all banks, and often duplicates deposits and/or doesn't download all transactions.

Quickbooks is used across our organization for quoting and following up on estimates, tracking sales and profit/loss over the financial quarter, sending and automatically chasing outstanding invoices, bookkeeping and reporting. The dashboard overview provides key information in an easy to scan view.

  • Fixing the bug where I can’t access the Taxes tab to log and make payment for Vat returns. It is tedious to remember having to open QB in Chrome in an incognito browser window. Sometimes it works, sometimes not. This issue has not been resolved since I noticed it at the beginning of February 2021.
Great system for bookkeeping, creating estimates that can be converted to invoices, automated invoice reminders sent to clients saves time, see budget allocations, cash flow, and profit/loss accounts. After some initial getting used to the interface, QB is easy and a pleasure to use. QB’s online forum and phone support are also excellent.

We use it for business bookkeeping like billing, invoicing, quotes, expense tracking, inventory, and most important payment integration. This is SME, so it is used mainly by the owner. Can't undo mistakes, which ends up calling support. A price hike on a regular basis and integration with other products not as seamless as one would like.

As business grew, tracking revenue/invoices and expenses/payables through excel spreadsheets or other offline/manual methods quickly became challenging and a better solution was needed. However, as a small business, a robust and expensive accounting software wasn't what we needed. We were looking for a simple solution that would be easy to use and handle the basics of our accounting and finance needs, along with giving us some room to grow with the platform as our business grew. We used QuickBooks Online to do this, and the platform what used primarily by myself as COO, a part-time bookkeeper, and a tax professional at times.
  • Easy to link to bank accounts and credit cards.
  • Intuitive interface for most things.
  • Manageable chart of accounts that allows for good customization of products and services.
  • Basic customization of invoices and language to be used in customer facing invoices/emails.
  • All major financial reports are a few clicks away, most can be customized, filtered, saved, exported.
  • Allows for rules to be set for common, recurring revenue and expenses - with some limitations.
  • The budgets feature leaves a lot be desired - difficult and clunky to populate and maintain.
  • Reporting for Budget vs Actual is available but the ability to reforecast based on updated data is not.
  • The rules function to default common types of expenses isn't perfect and will get confused if like amounts or a number of similar items present.
It really is a perfect tool for small businesses that don't have a ton of complexity in their needs. It can easily handle a lot of customers, revenue and product types, etc. along with providing pretty good reporting. Where it will fall short is when you try to build out a more sophisticated account function that will look to more regularly report, budget, forecast.

We use QuickBooks Online for our accounting/bookkeeping. I am the sole user at my company, but also advise others with their QBO setup and use. I also use QBO Accountant to do bookkeeping for other companies. For me, QBO solves the business problem of easily achieving real-time bookkeeping and reportable financial information.

QuickBooks Online is perfect for small businesses who want an easy-to-use User Interface (UI). It’s very intuitive and easy to learn. You can even send invoices and process payroll on the same system. One area that may be difficult is if you have a lot of fixed assets to manage. There’s a lack of automated useful life/depreciation tracking.

I am currently using QuickBooks Online for my consulting operation. The software helps me categorize all transactions and build out financial statements. I also use the software to reconcile my bank statement each month. I also use QuickBooks to generate my monthly sales invoices. The software handles all the needed sales and back end accounting functions for my consulting work.
  • QuickBooks Online has amazing support to help quickly answer questions.
  • There is an initial discount off the monthly charges for a set time.
  • QuickBooks is well known and trusted by many business owners/accountants.
  • There are continual updates and improvements to the functionality.
  • I feel that some more features could be added to the lower subscription tiers.
  • There could be more customization options for reports at the lower tier.
  • I feel overall that QuickBooks does a great job, so no other recommendations beyond these listed previously.
QuickBooks Online is something that I would highly recommend to another small business owner. I am very happy with the product and features that I use it for with my business. Between the QuickBooks support and YouTube a person can easily find training content or answer a question about a specific task they are trying to complete.

I use QuickBooks Online daily for my Accounting/Bookkeeping business. My primary business is to serve my clients with various accounting, bookkeeping, and QuickBooks Online Support so they stay focused on running their business. In addition, I use QuickBooks Online for my own business financial accounting. I find the majority of my clients see QuickBooks Online as a good solution for their business.
  • Customer Invoicing - Easy to create and email invoices to customers
  • Bank Feeds - Transactions synced daily to easily record income & expenses
  • Accountant Access - Easily connect your QBO file to for your accountant
  • Paying Bills - In the spirit of simplifying Intuit complicated & confused this process
  • Sales Tax Reporting - Still a work in progress for QBO
  • Support - Extremely inconsistent support; too many support techs lack accounting knowledge & cause accounting errors
  • Pricing - Unfortunately Intuit continues to nickel & dime small business with their various "improvements" & services. Customers have NO input or choice.
QuickBooks is well suited for both accountants and end users as far as usability and working with the basic software.
For accountants serving their business clients QuickBooks can more than suffice small to medium sized businesses.
For small business users it is a good option for starting out simple and then gradually using more aspects of the software.
I heartily recommend that all small business users connect with a QuickBooks Pro Advisor in order to get the most out of the software.

Our organization uses QuickBooks Online to track the Accounting and bookkeeping for several small entities that are unrelated to our main business but are owned by the same owner. Since the entities are never going to be consolidated, using QuickBooks Online is a simple and easy solution for managing the entities.

  • Check printing can be a hassle
  • Chart of Accounts can be confusing if you don't have a strong knowledge of accounting
I think QuickBooks Online works best for small entrepreneurs who are starting to get real about their business. It doesn't require a lot of hardware investment, but it is as fully featured as some accounting software I have used for larger enterprises. If you are making consistent payments to multiple vendors on monthly basis, it's probably time to get an account.

We use QuickBooks Online to keep our accounting books, for financial statements, for forecasting and to track customer and vendor activities. The founder/CEO, the bookkeeper and I use it.
  • I like the QuickBooks Online dashboard and how it gives me a running total of revenue and expenses for the past thirty days. It is brief, well-illustrated, and easy to use.
  • I like the QuickBooks Online interface with our banking accounts for easy reconciliation and import to book transactions.
  • I like that we can each access the books from different locations and see the QuickBooks Online transactions real-time.
  • QuickBooks Online needs help with journal entries. If I accrue a sales transaction to the proper month and reverse it the next month, it may show up in the overdue balance in the customer's activity. This is confusing when confirming outstanding balances due.
  • We would use Direct Deposit in QuickBooks Online, but it is costly. Our bank provides free options for transfers.
  • When I update the bank balances, the transactions showing the difference do not always appear. Yet, it will show a green check mark, anyway.
For a more robust organization, you really need to use QuickBooks Enterprise to provide more functionality. However, for a lean company with straightforward financials, it is an excellent choice, especially if you work remotely.

We are a small business and QuickBooks handles all our accounting needs from invoicing our clients, keeping track of mileage, [and] tracking expenses. We love using it. The reporting gives us everything we need to see to make the correct financial decisions within our company.

We use QuickBooks Online at the accounting department. Overall, QuickBooks Online is a great accounting solution for the company of our size (around 150-200 employees). QuickBooks Online focuses on addressing various accounting issues of small and medium size businesses such as simplifying the process of bank reconciliation, running numerous reports used by small/medium businesses daily just in one click, and other useful features.
  • QuickBooks Online has a great and easy user-friendly interface.
  • QuickBooks Online is integrated with many other software packages through a convenient auto-sync such as accounts payable and expense reimbursement applications.
  • QuickBooks Online has great customer support through Intuit forums.
  • QuickBooks Online unfortunately doesn't have some important features such as journal entry approval workflows which are necessary at most companies for internal control purposes.
  • QuickBooks Online reporting feature is not very robust. QuickBooks Online has mostly basic reporting capabilities and limited functionality to customize reports.
  • QuickBooks Online still hasn't added some important accounting modules or capabilities that would make accountants' life easier such as automatic prepaid expense amortization and fixed asset depreciation features.
QuickBooks Online is definitely a great accounting software for small and medium-sized businesses who need a basic system to keep their books. For example, QuickBooks Online is a great fit for service organizations, contractors and freelancers who need to send invoices to their customers, record basic expenses and run a couple of standard reports to assess their profitability and financial position. We use QuickBooks Online at our software startup and it's a great fit at the moment. I would not recommend QuickBooks Online to manufacturing or some businesses that have production or inventory as they might across some limitations of QuickBooks Online.

We use QuickBooks for our accounting purposes and reporting to the board. Our accountant is able to access to also audit our financials. The business problem it is addressing is a one-stop shop for financials. This also helps with reconciling our accounts on a monthly basis. It is easy to use and very user friendly when you have a problem.

We use QuickBooks Online for all our bookkeeping and payroll. It is easy and downloads info from our bank.

We're a drop-shipping e-commerce store. Our web store is built on Shopify.<br><br>It's pretty easy to use. I like how it syncs automatically with my bank and with Shopify.

QuickBooks is not being using by the whole company just by our accounting department. We use QuickBooks to enter in invoices for payment, record bank transactions, pay bills, currently run a variety of reports, enter in bank deposits and create invoices to mail to customers.

QuickBooks helps a small company like us keep track of basic bookkeeping. We currently use invoicing from customers and vendors which we pay our bills and make deposits in QuickBooks as well. We track reporting which is easy to read and understand. Printing checks is easy to set up and use. QuickBooks for us, can run into connection issues which makes it frustrating at times.

QuickBooks is used as main accounting software. We are a small company and the basic software version suits all our needs. The cloud version provide access by our accountant to do end of month verification, AR and invoicing.

The software cover the basic part of accounting. Easy to enter supplier/vendor invoicing as well as customer invoices. On an other side, there is some room to improve the exporting feature as well as the weekly timesheet.
