Quickbooks Desktop Pro is accounting software from Intuit, Inc. It allows a user to create invoices and track sales, enter and pay bills from vendors, and download bank and credit card transactions directly into QuickBooks. It contains analytic features, and its reports can be exported into Excel. Its home page conveys an overview of business activity at a glance, providing insight into business processes. Quickbooks Desktop Pro for Windows Desktop can be obtained presently for a one-time purchase fee of $230, while Quickbooks Desktop Pro Plus is available for $200 annually as a cloud-based service with the support, data backup, and free updating typical of cloud-based services.

QuickBooks is our corporate accounting software used for financial reporting, payroll, tracking expenses, and reporting income. It is used on a daily basis for general accounting purposes as well as used throughout the year to analyze trends, prepare budgets and keep executive management abreast of financial performance. QuickBooks Pro is our one-stop shop for accounting and financial reporting.
  • It's easy to use. I came into this job having no QuickBooks Pro experience and became a power user in no time. In a small business where people where many different hats (such as I do), it's important to have financial software that is easy to use with little to no learning curve.
  • QuickBooks Pro is great for reporting financials in an acceptable way for government contractors. The ability to track income and expenses to specific contracts and cost centers (overhead, G&A, fringe benefits) is essential and QuickBooks Pro does this effortlessly.
  • QuickBooks Pro makes it easy to invoice customers, get paid by customers as well as pay our employees. It's really a one-stop shop for money coming in as well as money going out and then being able to show where it came and went.
  • There are some quirks with all software. Sometimes, I cannot export an invoice into PDF format on the first try but if I do it again, no problem. Also, since upgrading, certain information doesn't appear on the first page of an invoice. It's not essential information and does appear on the 2nd page or if the invoice is only 1 page but still, kind of annoying.
  • I'm not a fan of having to upgrade our version of QuickBooks Pro every few years because we use payroll. While newer versions always offer more features, I find it as a revenue scheme to get current customers to buy a new version of the product. I don't like being forced to upgrade - let me upgrade when I want. Minor issue because I know a lot of companies do this.
  • I honestly don't have another example. And the ones above are pretty minor as well.
QuickBooks is perfect for small businesses. As I mentioned earlier, a lot of times, managers in small businesses wear many hats and knowing your financial software is easy to use, affordable and dependable is essential to running a successful business. In addition, as a government contractor, QuickBooks allows us to structure our accounting procedures in ways that are acceptable for reporting certain things to the government and do it effortlessly. There are many features within QuickBooks Pro that small business probably doesn't need or use, however, it's great to know they are there if we were to use them (i.e. budgeting features).

We use QuickBooks for our bookkeeping services. We manage our books with QuickBooks. We connect it to a 3rd party service that imports and export our payments and invoices. It makes keeping our books up to date very easy and helps us with the reporting that we need to make sure that numbers are staying in line with our business standards. We only use it for accounting purposes so not everyone in our office uses it or needs to use it.
  • Quickbooks does very well for customization of customers, vendors, and employees. The ability to have all of the information about these parties is great.
  • I like having the ability to write checks and print them directly from QuickBooks. Makes balancing the books and keeping up with the register so much easier.
  • The ability to have multiple users on at the same time is great. We can all be doing something different and not interrupt the work that others are doing.
  • It is hard to get a new computer set up sometimes with the web connector side of the application.
  • I don't have a lot of issues with QuickBooks other than setup sometimes.
QuickBooks is great for small businesses. I am sure that large companies could benefit from it as well. It provides all of the tools and more for my business and has plenty of features that help me manage my books well.

Our company uses QuickBooks Pro as a whole. We use it to keep track of invoices, make payments to vendors, balance accounts, employee payroll, pretty much every aspect of QuickBooks Pro is used by us. This allows us to keep track of everything on one platform and it makes it simple to integrate our financial accounts and vendor accounts. I am able to write out all of the month's checks and bills at the same time and I can print them when needed. I can also keep track of taxes and paying use and sales tax in QuickBooks. We even have QuickBooks set to remind us if an invoice is overdue so we can resend it. QuickBooks Pro definitely saves us time and effort every day.
  • Invoicing is my favorite part of QuickBooks Pro. The ability to not just invoice but keep track of clients and all of the information is paramount. Plus being able to access all of their old invoices and estimates in the same platform is great.
  • I also really like how QuickBooks handles finances. The ability to set up multiple banking accounts and add transactions to each and balance inside of QuickBooks makes my life and our finances easier.
  • Paying bills is also super simple in QuickBooks. I can keep track of all of my vendors and send out checks for monthly bills on the same platform as well.
  • I also have to mention the tax aspect. Being able to have QuickBooks keep track of our sales tax and payroll taxes is also a huge benefit.
  • Even though I love QuickBooks it does seem to get bogged down from time to time. I have to wait for it to catch up with what I am doing. This doesn't happen often but when it does it can be a little annoying.
  • Even though you can set a reminder for late invoices I wish that the system for alerts was a little more intuitive and customizable.
  • From time to time I have had issues with losing information. It hasn't happened recently but there were a couple of times the software would crash while I was doing something I would have to input a couple of transactions in again.
QuickBooks is well suited if you need a platform that can controll all of your bookwork and office work. If you want things to be in one place and easy then use QuickBooks. It might not be best suited for someone in a smaller company or who works by themselves. It would work no problem but you may find yourself not using a lot of what is there to offer.

At my previous job as a tax accountant I was helping my clients with their QuickBook Pro accounts, reviewing it, etc., or helping new clients set up a brand new account using QuickBooks Pro. I helped them with the basics of setting up the Chart of Accounts, Customers, Employees, Vendors, etc. I was also creating and reviewing reports and saving them as favorites and showing them how to filter on reports. I was creating journal entries, writing checks and creating SO and POs, etc. - the day to day process of any business.
For other clients I was reviewing their books and cleaning up any accounts or reports needed.
  • QuickBooks pro was user friendly especially for those users that do not have a business or accounting background. Once set up the daily functions are pretty easy.
  • Being able to save favorite reports helped my customers a lot so that once I ran a report for them they could save it and just change the dates.
  • Ability to create checks or journal entries that will be posted frequently is a huge help. Especially being able to set up re-occurring entries to automatically post so that you don't have to. For example - depreciation, rent payments, etc.
  • Connection to credit card receipts is best for users that receive their sales receipts via credit cards.
  • The employee and HR section can be hard to work with - like payroll. But this is [true] with a lot of accounting software. Linking with your payroll company more easily than it is currently set would be good.
  • Ability to create customer reports within the system would be good.
QuickBooks Pro is great for small businesses that don't have a lot of daily transactions or can lump a lot of their transactions into one. It is also user friendly and there are a lot of videos that are helpful when first starting. Once you get the initial items set up, the day to day process is a breeze.

We use QuickBooks Pro as our accounting system. It's used for AP and financial reporting. We recently switched to a subsidiary ledger with another system for our AR but in the past we did use QuickBooks for invoicing.
  • The reporting function is very good. There are several canned reports that need minimal customization.
  • The Accounts Payable is useful and user friendly.
  • I enjoy being able to use the check register directly as needed. Some systems do not easily allow access to the register.
  • AR is not very user friendly. When you don't go through all the steps through that module errors result.
  • The payroll functionality is difficult to use. The entries are very confusing and hard to follow. Making changes is very difficult because the screen is different and by person.
  • A custom report manager would be wonderful!
You need to have someone who is well trained in the use of QuickBooks. If you have an occasional user or someone inexperienced, they don't follow the sequence of the modules and the file becomes less accurate. I have many clients that have to pay me to clean their file up because the AR and AP are incorrect.

I don't think it's very easy for a non-accountant to use.

  • Not easy to alter cash transactions after reconciliation
Most of our clients are very happy using QuickBooks Pro, as it is a straight forward and reliable program. And it is also well suited for most industries, with a few exceptions of where our clients need to turn to alternate software because QuickBooks Pro is missing the functionality that they need.

It is used for the entire corporation. We use it to manage receivables, payables, general ledger and cash. We generate our monthly financial reporting package and commission statements.
  • Inventory control. Prior to converting to QuickBooks desktop, we had to manually charge inventory items to cost of sales. Now it happens automatically when the customer invoice is produced.
  • I wish that there was more flexibility in reporting. The stock reports are great, but if we have to tweak them, this has to be done manually.

We use QuickBooks to do clients' payroll, general ledgers for year-end and make adjustments at year-end to do tax returns.
  • As CPA, can set up to track who makes entries. Can track what is added and deleted, in case a problem arises.
  • When used correctly, provides good information for generating financial statements and getting a trial balance to do annual tax returns with.
  • QuickBooks in general provides certifications so that employees new to QuickBooks can learn and get up to speed quickly to work with our clients.
  • Too easy to delete transactions.
  • Does not give enough warning to voiding invoices, checks, deposits, etc that relate to a prior period. Once financial statements have been done, and the tax return filed, you cannot just void items, because it will void them in the period it was entered. For instance a check written 2/14/14 is voided on 3-25-15. The retained earnings is thrown off from what was used on the tax return because it was posted to QB's on 2-14-14 and is voided back to that date. This is especially frustrating.
  • When you have an accountant's copy outstanding, when the client imports the changes, if any entry has been made to adjust cash, the client's bank reconciliations are undone and have to completed again. Very frustrating for the client and for the accountant, because the import of our changes caused the issue.

How many transactions do you expect to have? Large amounts of transactions, will slow the program down.

How many employees and how many states you have employees in? QuickBooks does not work with all states, and it does not work at all with local taxing agencies within a state. We have had issues with getting the information needed to print W-2's. Fairly large company.

It is used as our only bookkeeping software for in house and client use. We do support Premier and QuickBooks Online. As an accounting firm we need a common platform to create financials and prepare tax returns.
  • Payroll is seamless and mostly trouble free.
  • Class system can enhance user reporting and understanding of profitability of segments of their business.
  • Basic financials easy to configure and use
  • Budgeting, forecasting and cash flow statements are very weak. For anything but very basic budgets we use Excel. However, QuickBooks is a $300 software program, not thousands of dollars.
  • Level of tech support is weak. Have to get to a supervisor or second level for anything other than the most basic questions.
  • Have an option in inventory to not allow an invoice or sales order for any item that has zero or negative quantities.
If someone cannot use standard cost for inventory they will have a problem. Also, if the client wants fairly sophisticated job costing we recommend Enterprise. I find that QuickBooks is good for the majority of our small business clients.

We use QuickBooks Pro to access our clients' information as well as track our own accounting income/expenses. Everyone in the organization is trained to use the program. In most cases QuickBooks Pro is fairly intuitive and easy to use, however, some of the users have trouble coding the entries into the proper categories. The biggest problem I've seen with QuickBooks is that users generate an invoice and then just write a check which leaves the invoice unpaid and double books the entry.
  • QuickBooks Pro works like a checkbook and is intuitive to use.
  • QuickBooks Pro makes it easy to track income and expenses by requiring a category to save the entry.
  • QuickBooks Pro tracks 1099 vendors and can print the 1099's directly from the program (if set up to do so).
  • QuickBooks Pro could use improvement with setting the category for the transaction. Most users aren't accountants and some can easily incorrectly categorize assets as expense items. A short accounting tutorial for users might be beneficial on types of expenses or assets like inventory.
  • QuickBooks Pro could use improvement with invoices to be paid. Some users will set up an invoice and then just write the check leaving the invoice in accounts payable and doubling the entry. More could be done to remind users to either pay the invoice or take them to that area and ask if they were paying an invoice or match up transactions easier.
  • QuickBooks Pro could use improvement with fixing transactions that are either doubled or need to be matched up but some of the categories cannot be changed with a journal entry and require countless hours of time to go back and edit transactions. It would be nice if there were some kind of override for accountants so we could easily manipulate any and all categories with a journal entry to fix problems we encounter when reconciling the books for tax purposes.
I would recommend the desktop version of QuickBooks Pro but not the online version. Our firm has a few users in the cloud with the online version and the features you get for free in the desktop version you pay extra for in the online version. Just about anyone can use QuickBooks if you know how to write a check but larger firms might want a more robust accounting system if they have more than 10 users or need to track inventory better.

We also utilize its payroll functions and allow the client to directly interact with Intuit to handle these functions. It's well suited to handling the accounts receivable and accounts payable functions as well.

I use QuickBooks Pro for my clients who are in need of accounting software for their businesses. I train and support their user issues.
  • QB is fairly user friendly. It can be used as simply as a glorified checkbook to as detailed as they need.
  • It can be adapted to pretty much any entities needs.
  • I feel the inventory module is cumbersome and difficult for some clients to understand. Also the progress billing.
It is well suited for the client who needs a fairly simple desktop accounting software program.

We use QuickBooks Pro to collect time, bill hours for invoicing, collections, payroll and accounts payable. We send out a monthly statement with finance charges. We track customers by rep and class. We pay bonuses to staff based on their billing. We print checks and paychecks.
  • I like how you can track direct charges to a client, and then be able to pull them into the invoice
  • You can see time by client, and revenue by client -- but not at the same time
  • The mapping of items to revenue accounts can be used to track lines of business, or sales by state
  • Tremendous depth for the price
  • Invoice forms are customizable
  • Time tracking can provide chargeablilty, but not realization by staff
  • Reports can be filtered and saved, but the filters cannot be transferred to another report, they have to be recreated in the new report
  • Pro limits company file to 3 users -- but goes to 5 with Premier
Its inventory is okay for resellers, but probably not strong enough for manufacturers. It uses average costing, not a standard. Pricing has to be monitored. The Pro version will not handle assemblies, but the Premier will.

I use QuickBooks to maintain the books and records of the Wareham Middle School and Wareham High School PTA as the Treasurer. I am a CPA (sole-proprietor) and have many of my clients using QB for years to maintain their business books and records. Some clients I maintain the books and others I train and they maintain the books and direct questions to me and send me their QB file at year end.
  • Accurate at maintaining double entry accounting (even when the client does not know what that means)
  • There are many ways to find a transaction, which is helpful when trying to determine how a client posted a transaction in QB.
  • Payroll is streamlined and easy to understand and enter
  • The ability to design forms or the design layout could be more user friendly.
  • Need an easier way to change a group of transactions at once (such as if all transactions to one payee were entered under the wrong category - to group and re-assign the whole group)
  • Easier customer support to answer questions on how to get QB to perform a task that you are trying to enter.
Clients that must maintain an inventory -- it can be tedious to set up but it is still the best program available.

We use it for our own bookkeeping and we work with our clients on using the software as well. It is the preferred software for the majority of our clients. We also use it in conjunction with Lacerte tax software to prepare tax returns by importing form QuickBooks to Lacerte.
  • Imports easily.
  • Switches between cash and accrual easily.
  • User friendly for our clients, but sometimes too user friendly.
  • The online version has improved, but needs to be more.
  • Clients set up the same account several different ways, for instance office supplies; office exp; off supplies; supplies - office. If the software could prompt them that a similar account already exists, that might cut down on this issue.
  • The software should default to prompting for report date before generating a report - it shouldn't have to be a change by the user.
Needs unique to a specific industry are the usual reasons that people don't select QuickBooks. The online version has more serious competition for most businesses than the desk top version - I see a need for improvement there. And Mac versions aren't easy to work with for PC based users - which is most accounting firms.

It's used by the whole organization. We train clients on it and oversee their accounting using it.

We use QuickBooks to support our clients that use it for their accounting software. Overall the product does a very good job of managing the accounting function for my clients. Ease of use is a priority along with the ability to quickly reconcile items on the bank statement. The bank reconciliation product is a very useful feature with easy to understand steps. Accounts receivable and accounts payable registers are good, however the ability of a client to go to a prior year and change an invoice causes me no end of problems reconciling opening retained earnings to tax returns already filed. Inventory tracking is light, but I understand this is a very low end accounting software.
  • Bank reconciliation. The ability to reconcile in real time on the screen with check offs for cleared items makes reconciliations smooth.
  • The ease at which information can be transferred to us via a backup file is also useful.
  • The accountants file where changes are automatically imported is very useful.
  • The accountants export file has to be in the same year and version. This leads to extra work to match them up.
  • The ability of clients to go into a closed year and make changes to invoices causes problems.
Any situation with large customer databases or significant inventory are not well suited to QuickBooks Pro. Large customer databases will quickly use up the "items" in QuickBooks. Once an item is used (name, inventory piece, etc) it is gone forever, even if the item is deleted in QuickBooks. Inventory management in Pro is not very powerful, but for the low price, you cannot expect much.

We utilize QuickBooks for our business. We are an accounting firm so many of our clients are using QuickBooks for their financial records. This allows us to become more experienced with QuickBooks which we can provide to our various clients.

We use QuickBooks for all accounting functions of our company, with the exception of payroll. In the past, we have used the payroll module, but currently we are using ADP as our payroll service provider. It addresses all of our current accounting situations and concerns.
  • Costing - We use the class codes to account for government grants and research projects
  • Accounts Payable - Very simple and easy to use
  • Reports - Customizable and very easy to run
  • Manufacturing - keeping up with costs (possibly another version does this better)
  • Reports - history on invoices (A/P and A/R) - wish some historical info on invoices was easier to capture in a report format
  • Bank Reconciliations - I use to be able to print several previous recons - no longer - do not like not being able to do this
I think it is best suited to businesses who are simple and have limited costing situations. Also, it is best to have someone with a healthy knowledge of accounting using it and closing the books each month. QuickBooks is so user friendly, it is easy to mess up for those without adequate accounting knowledge, and therefore it requires accounting discipline running it.

Well suited to situations where the client implementing has personnel with experience. It is less appropriate to a situation where client has no accounting experience. The online version is great for clients who need to have a reliable place to work and security is good. We recommend the online version a lot. There is less concern about keeping the product updated etc.

QuickBooks Pro is used across the whole organization. It provides us with monthly profit and loss statements, monthly balance sheets, accounts receivable, and reconciled bank account balances.
  • Maintains accurate and timely financial reporting, imports account information particularly well from bank websites
  • Easy to use
  • Easy to set up new companies
  • Handles multicurrency very easily and accurately
  • Customer service is terrible
  • Getting through to Intuit and getting to a person that will help you and care about your situation is difficult
  • The attitude of the customer service folks I have spoken to is demeaning and proud
QuickBooks is good product, but poor company to work with.

I am a single accountant. This software is easy enough for my clients to use and then provide to me on a quarterly basis for review and corrections. I also use it as the only software for my own accounting and for those couple of clients where I am also the bookkeeper.
  • Ease of use for a non accountant.
  • Easy to correct when the client makes a mistake.
  • The payroll system is a nightmare unless the client is well versed. I strongly recommend that all of my clients use an outside payroll service.
  • One additional report that I would like to see, but have not yet found, is a report that will simply list all invoices by number for a given period of time. This can be helpful not only in an audit, but in verifying that the client has not doubled up on using the same in number.
QuickBooks Pro is great for small clients who are starting their business and have a limited budget. All of my clients are under $1 million of annual sales.

I use it in my side business as a tax accountant. I recommend my clients who run businesses to use QuickBooks. I then can get an accountant's copy and help them keep their books up to date. I also use QuickBooks to prepare their taxes.
  • I like how easy their payroll process is and how easy it is to file year end reports.
  • It is very simple program for people who are not accountants to use. Very intuitive.
  • Very easy to share files with your accountant.
  • There needs to be an easier way to close prior years so you can't change prior years numbers after you have finalized the numbers.
  • Clearing out old Accounts Payable and Accounts Receivable can be difficult.
  • Being able to have more ability to customize reports would be nice.
QuickBooks Pro is very well suited for the small employer with 1-25 employees where you need a basic set of financial statements and do not want a high level accountant working in your bookkeeping area.
