We currently use Qvidian RFP & Proposal Automation software to support our knowledge base of canned answers and marketing materials. We use it to keep a source of truth when responding to RFPs. Within Qvidian we also manage our RFP projects by uploading the questions received from a client and use the Qvidian software to answer questions more rapidly than a manual lookup, cut & paste process. Document automation is something we have also used Qvidian for. We have the ability to create templated materials that would be used in support of proactive proposals and solution design documents for our clients.

  • Creating an automated reactive proposal can be done in minutes vs a day or more; at least a baseline to work from.
  • I lost a document the other day that i was working on externally from Qvidian; I learned a lesson and put it into Qvidian and was able to recapture my lost responses in 4 hours vs 8.
I was not part of the selection process. But I think it measures up to others that I have seen demoed. I feel like they listen to their customers/partners and always bring new tools out each year that have proven valuable. It integrates with Salesforce as well for document creation.

Al licensed users support the process. There are people who actively update the content used for RFP responses. Those that update document content. Those that work on automation task.

  • We dabbled in integration with Salesforce. It is very effective in pulling/pushing information across platforms and tying automated docs to a customer in SF.
  • Using it to store knowledge, report on the usefulness of the knowledge: how many times used; times since last use; date/time created and/or updated. This is very effective to understand common questions being asked.
  • Tying it more to new powerpoints and word docs across business units
  • Putting more of our product set into the library for common FAQs
I am unsure of the status of this platform to date. I am an active user, but my role has changed and I am no longer actively making decisions on automation going forward. I do act as a subject matter expert on usage and hope to drive further adoption.

They are very much in support of great customer service. They respond quickly with emails and in some cases phone calls to resolve any issues and often times user questions in the past when I could not figure something out.

One time I was new to automation and had attended one of their conferences. One of their employees who presented gladly took time to get on a call with me and other users to answer some questions when we were challenged in completing some set up tasks. She went above and beyond her role

We use Qvidian in our proposals department as a depository of technical, operational, and corporate information for preparation of RFPs. We also utilize the automation tools to some extent to build corporate overviews and executive summaries.

  • Automation tool is helpful and if used correctly, will save time and formatting issues.
  • Developing an automation template is difficult because of issues of formatting with word and making sure your files are coded right so they pull in.
  • When you have an update, we don't always realize it until some of the functions aren't working correctly.
  • We have to make an effort to add content because of the preparation it takes (using the right formatting template). We do annual reviews of each section, but I know I have to make time to enter new or update information.
I think its a great tool, but is very complex so it would depend on what kind of work the colleague did and how big of a group would be using it. We don't use it outside of our own department so I can't speak to that, but if we expand our team to Europe and Asia, we will appreciate the scope of Qvidian even more.

The Qvidian Community site offers training webinars and our team all sign up for a couple of these training sessions per year. Whenever we are stuck with something, we go to the community and get assistance.

My department uses Qvidian for help with our proposal generation. The library is a great central place to house our records and keep them up-to-date. All of our licensed users are able to access these text records for their documents. We also use the projects feature to pull certain records together into a full document.
  • Qvidian's advanced search feature makes it easy to narrow down results and find what you are searching for in the library.
  • When licensing over cross functional teams, the RFP Builder is very powerful in generating a team-wide point-by-point response.
  • The architecture behind the projects is easy to set up, and allows common documents to be quickly generated by users.
  • After going through some basic training, the product is easy to use.
  • The logic on the "doc type" architecture is on the simple side. The simplicity is great for setting up most doc types, but can make it difficult when trying to allow for a very complex document structure with many conditional pieces.
  • For a new user, Qvidian 10.0 is not very intuitive to figure out on your own; a brief training is needed to get up and running.
Qvidian is a wonderful product for cross-functional teams, particularly for responding to point-by-point responses. For the cross functional team, Qvidian is a very powerful tool, providing a great place for collaboration on the project documentation and response. In our case, with only our department using Qvidian Proposal Automation, we are not able to capture the full functionality of the tool. The library and document generation through the projects feature has met our individual team needs.

The licensing for Qvidian Proposal Automation is expensive. We are not getting the full power of the tool with only our department as users. I think it is a wonderful tool when you are able to license across different disciplines and get full use of the library, the proposal generation, and the point-by-point response capabilities.
The support has been great. Most of the time support has been able to resolve the issue right away. On the times where the issue has been more complex, they have been great with keeping me up to date on progress. I have never had an issue with support, the support personnel are always friendly and knowledgeable.
