De-Centrelised indirect procurement departments in different countries. One dedicated department in Austria, which is responsible for dedicated commodities. However, the company hasn’t had any kind of indirect procurement department before the digital transformation started approximately 7 years ago and orders for indirect products and services were commited by phone or email.

SAP Ariba is a business standardized procurement solution which was developed for industrial and producing organisations. We own Sourcing and Contracts, B&I, SA. We also use Guided Buying.
We use it for Indirect spend
  • Keeps full P2P cycle documents within one application and easy to access
  • Has a complex variety of tools and options to build P2P process flows to fulfill organization's needs
  • It is flexible to be able to customize processes
  • Simple Service POs/POs to purchase services are not as easy to use and understand for inexperienced user
  • Overwhelming number of different scenarios of supplier connection via business network and lack of one good solid guide that would allow IT to use to solve issues. In many cases, we have to rely on trial and error methods.
  • Return to the previous page in B&I is not consistent for different types of documents. it can be OK, Done, Save, Close, Back...
It is well suited for large organizations with large amount of transactions where P2P processes and policies need to be defined and implemented in the system.
It is good tool for decentralized procurement where each user can submit requisition.
It is also good for power-buyers as it keeps all documents related to P2P transactions in one tool.

We utilize Ariba SCC for communication between Crown and our Suppliers for Purchase Orders, Order Confirmation, Ship Notices, and Invoices. This gives our Supplier a repository to receive our Purchase Order data, provide acknowledgements on the orders, give us updated Shipment Information, and Invoice against those orders. Ariba SCC helps to collaborate and process all this information in on place effectively.

The processing of information is very effective but there are failures that occur occasionally that I wish were less often as this results in duplicating the process for Buyers and Suppliers. Issue Resolution could be better as well, feels like it is a burden to report issues to Ariba Technical Engineers and not something that anyone likes to do. They almost always come to Crown rather than Ariba.

SAP Ariba Procurement was implemented to expand our procurement capabilities. Both upstream and down stream are used at my company. The product offers significant gains for procurement related activities such as sourcing, contract development and flexible spend channels.
  • Offers a variety of methods to purchase.
  • The system has flexible configurations.
  • Approval flow creation is extensive yet user friendly.
  • There is too much reliance on invoice approvers who regularly get things wrong without providing AP the tools they need to correct problems.
  • I've been told my SAP that Ariba is not an accounting system, but the fact is invoicing is an accounting activity. More capability is needed around managing the accounting of an inovice.
  • There seems to be an expectation that every IR Exception has a tolerance. It is extremely difficult to configure an exception without a tolerance.
  • There's no ability to change the value of an invoice.
It's an excellent system for making a purchase, but it is lacking as it pertains to processing the payment for said purchase.

Was a procurement business leads for our company-wide integration, currently over catalogs and optimization?
  • Integrating supplier catalogs with internal procurement policies.
  • Simple, user friendly requisitioning and approval tool.
  • Receiving portion is simple and easy.
  • Report building can be confusing. Fields are named differently than the front in the interface, etc.
  • Difficult to use as a central procurement tool across different business units/company codes. Had to build a custom solution for assigning buyers to requisitions.
  • Req>PO> Receipts are integrated, but invoicing has a separate group of documents. So PO status only progresses to "Received," and you have to go to separate screens/reports for payment status.
Great for catalog buying. However, we use mostly punchout catalogs that the supplier maintains. Several benefits to this, but some of the guided buying functions, like the search bar, don't work for punchouts. For non-catalog requirements, Ariba P2P works well for smaller organizations. If an organization has multiple business units are a large number of buyers, it's complicated to assign buyers to the requirements.

After evaluating various S2P products like ARIBA, Coupa, etc, ARIBA was finalized. We're already using many SAP products so it was worthwhile to invest in this product due to more accessible integration options and also the backing from SAP was important.

  • UI needs to be modernized
  • The learning curve for users is still huge
  • vendor pipeline feature is expensive
It's a one-stop shop for suppliers and buyers. If the company has global operations, access to international suppliers is within reach. I would say it's a one-stop shop. The ARIBA links can be easily personalized for the company, providing complete transparency for any purchases and easy workflow integrations for approval processes.

We are actually using SAP Ariba Procurement within our whole organization as our main central purchasing platform. With this, our users can purchase materials and services for all most all their needs.

SAP Ariba is deployed across our global organisation to receive purchase orders and for the majority of clients submit their invoices. There are also numerous punchout and cif catalogues that allow for seamless ordering either directly from the clients Buyer platform or by navigating around ours, building a basket of goods and executing an order automatically.

  • Simplistic user interface making it easy to navigate
  • Flexible configuration for multiple clients
  • Good security controls
  • Built to manage global transactions
  • Limited routing options for different departments or systems
  • Reporting is sub par for a supplier
  • Multiple account manager for a user needs reviewing
  • Little coordination between the supplier and buyer when launching global enablements
  • Experienced suppliers sometimes know the process better than the enablement team
  • Little ability to test punchout processes without the client
Although SAP Ariba supplier platform has its faults, the overall process and management of the documents and notifications on the platform make it an absolute essential tool to a supplier. Added to that the Discovery option where suppliers have the ability to build their revenue by responding to RFPs that are published matching their organisations capabilities seems like a winner. Tapping into a vast network can only bring good things to any supplier.

We leverage the tool to address overall category and spend management. This begins with the RFI / RFQ and RFP process. From there we may or may not enter an auction, but we will execute a contract that will be leveraged for the procurement of goods and services. Those items will be received either centrally or locally before they are invocied.

We leverage the tool for approvals and reports as well as looking at opportunities for early payment discounts.
  • Sourcing - Ability to run complex events and match against scoring benchmarks.
  • Buying - the updated user interface requires little to no training.
  • Invoice Management - Users are able to view approve or address invoice issues from within email or mobile applications.
  • Contracts - the UI is not intuitive and is clunky for end users.
  • Administration - due to the robust flexibility the administration can be difficult to learn.
I sell the product as it has the ability to manage simple straightforward scenarios as well as complex engagements. With the ability to easily integrate with both SAP and Non Sap ERP's deployment can be fairly quick.

That said the tool can be difficult for the public sector in regards to leveraging the contracts module due to the regulation and manual oversight required.

The bank uses SAP Ariba Procurement for its end to end Request to Payment process. When users have a an indirect product or service need, they go to SAP Ariba Procurement. There based on their need, the system guides them to where they need to go, whether it is a smaller, low risk purchase or one that is medium to high risk purchase. The system is able to determine what the need is based on answers to questions and guides them to the best procurement method that is required for the purchase. The end to end process is routed through dynamic tasks and all sourcing, contract and procurement documents are stored in the system. The SAP Ariba Procurement solution allows for the bank to use the strength of the Ariba Network to do business with thousands of suppliers electronically and touchless. It allows for the bank to ensure there is contract compliance to all contracts and provides line level detailed spend visibility into what we are buying. With this data the bank has been able to rationalize and risk assess suppliers so that we are doing business with a core group of suppliers and that we understand the risk of doing this business.
  • The Ariba Network - Allows for seamless mining for suppliers, touchless transactions and monitoring and updating of supplier data around information and risk.
  • Contract Compliance Matching - Ensures appropriate spend management of supplier spend and that invoices are matched to the appropriate negotiated rates with our preferred suppliers.
  • Spend Visibility into what is being purchased - Allows implementation of business processes and reporting that ensures detailed information on our spend.
  • Automation of end to end request to payment process - Allows us to have an automated process managed by workflow, centralized location for all indirect spend requests and purchases, and provides a centralized location for all sourcing activities and contract repository
  • Out of the Box Reporting - This has been an area where SAP Ariba could improve and are working to improve. The data is in the system however, combining and displaying the data in the system leaves little to be desired
  • Easily combining / linking to other SAP Products such as Concur, Fieldglass, SuccessFactors is a limitation but is improving
SAP Ariba originally was built for goods transactions and excels in this area through catalogs and various other ordering methods. Being a heavy services spend financial services institution, we were looking for a solution that was able to handle processing services spend. SAP Ariba offers many different methods for procuring services and provides line item detail for this spend that allows us visibility into this (What was bought, How much was paid, How many received, Who consumed, Supplier utilized).
