The data are easily shared across our team and also to external recipients such as clients. The only problem we have is the export back to Excel for users who are not able to view data in Crystal. The formatting of such reports takes a lot of time. We feel that this should be improved.

It does not have data collaboration as is, because the reports can be excecuted only by a user who has access to the SAP client and then it needs to have user permissions to access the report, once it has the report executed on his screen he can download to pdf or xls file and then share information.

You can publish Crystal Reports to a report server and this allows all of your technical users access to the files themselves. End users have the ability to run the reports with read only access and export out to a variety of sources (i.e. PDF, Excel, HTML, Word). But your technical users can update the base file itself and keep one version published on the report server for consistency.

They provide a free developer's kit for Visual Studio, that makes it possible for people to develop new reports with no additional expense. The Report Server was prohibitively expensive, as compared to the Report Server delivered at no additional charge with the full version of SQL Server. I can include reports in web pages, using the reporting API.

Sharing the capabilities of this tool is very handy when other team members are on reports that require the same data object or SQL commands. We can share, re-use or modify the data we use in our reports by a centralized system which can be accessed by different people/team members with their account. Report distribution is also very useful if members are at different places on different devices.

Multiple users can simultaneously use the system and the reports generated can be accessed by multiple users simultaneously. The report generated is well formatted, but when converting to Microsoft Excel, the format of the report can be distorted. Data from multiple data sources can be exported from multiple systems and it is easy to format the report with constant data changes

Access control is only really available when using one of the SAP BI Platform tools. SAP Crystal Reports doesn't have anything of the sort embedded into it because it is a desktop thick client tool.

Reports that are run in Crystal can be output to a number of different formats, some of which work better than others. There is also a "Crystal Reports Viewer" application that is available to display reports that have data that has been saved into them. This tool, however, doesn't allow the user to refresh the data in the report.

There also are two very rich Software Development Kits (SDKs) that are available - one for .NET and one for Java - that allow developers to integrated Crystal Reports into their own applications.

Crystal Reports by itself doesn't have a good distribution and security functions. at least none that I'm aware of. We recently purchased RePORTAL software to distribute our reports via an internal web page. It allows us to set up report security based on Active Directory users and has a way to schedule and distribute reports via email. It has worked great for our needs.

Crystal has a front end where administrators can manage access pretty granularly. It shares data in regards that multiple users can run the same report. It also handles multiple data sources for one report very well. Automation is pretty strong to. Scheduling and delivering of a report, once setup, is very reliable.

The security stands out the most since SAP Crystal has a security compliance that takes you to granular permissions roles, besides that you can choose or set up the target and the group of user that you wanted to get involved in each process. Starting from admin rights to collaborative access to edit and replace information without disrupting the source path and the goals. You can customize the format of your reports and the way you want to send them out, you can program the layouts or even so incorporate objects from other database sources like MS SQL.

From the standpoint of an end user, we can create practically any report necessary for our end users so it works well for them. It may be a lot of trial and error on our part, but practically anything can be done that we need to do. So at the end of the day that's what brings us back to this product and solution.

Crystal Reports is a design tool, not a delivery system. There are plenty of great scheduling and delivery tools for Crystal out there, though I won't be discussing them here. Sharing is fairly easy as you can run the report and send it as a PDF, Excel, or other popular formats.

Sharing reports with Crystal Reports is easy-peasy. Only the person one wants to share the report with can view it. It has good quality of security like Google Docs. Can assign any role to any person from read-only to can-edit the report. Reports can be downloaded and converted into a PDF file and shared across teams easily.
