The main thing we liked was the ease of use of GlobalSearch. Also, the people doing the demo were able to answer somewhat technical questions without having to get back to us a day later from one of their more technical people.

We reached out to Iron Mountain but did not pursue this option since we had an established relationship with Square 9 Softworks that could be expanded and not a complete restart.

Square 9 was a better fit for our organization due to the costs and features that it offers. With Square 9, we were able to get 3 years of licensing for about 1 year of the competitors licensing costs.

Square 9 is also much easier to manage and use on a day-to-day basis than DocuWare.

We did not research other product offerings so I have nothing to compare the program to. I can only share why we selected Square 9 Softworks to use as our document management system. Square 9 Softworks was amazing to work with from day 1 - we worked with Xerox initially for our scanning, but they introduced us to Steve Stratton from Square 9 Softworks who made every effort he could to make us feel supported as well as educated on the product offering.

I have not used other document management software. Prior to Global Search we manually entered metadata through Adobe Acrobat. This was extremely time consuming and not exactly user friendly. Global Search cut the indexing time to less than 1/4 the time we were spending on each document. It also places all documents in one place so we don't have to search all over for them.

We actually had installed IBM FileNet and ended up switching to Square 9 Softworks due to an issue with the IBM reseller. In the end, we're happy it worked out this way because Square 9 Softworks was more suited for our small business. It was not only easier to use but required fewer resources to implement.

At my last job we used Square 9 for document storage but chose AvidXchange for Accounts Payable processing because of price and because also paid the invoices. At my current job, we chose Smart Search because it was more customizable, our invoice approvals were less complicated, and we did not want our payments made by a third party.

I did not comparison shop. It was offered by a very trustworthy local business that we were currently doing business with. I was presented with the software, and bought it without hesitation. No regrets.

SmartSearch is getting so strong, that even at it's lower price, it is closing the gap with the higher dollar enterprise players. It was a ways to go on advanced workflow and capture processing, but it is closing. You can stack it up to most anything, its a threat to lot of players. Could wipe out DocuWare, MS SharePoint and Digitech for the best of the lower tiered price products, can probably wipe out Alchemy, SMEAD and Docubase too.

  • Time Matters
A similar product I have used was Time Matters. For a Law Firm, I think Time Matters is more useful as it keeps track of everything for a client, including billing. However, since I now work for a legal department of a corporation, SmartSearch is definitley more useful. It is not possible to seperate the documents we have internally in neat client files. We have various miscellaneous documents for many different services and customers or vendors. SmartSearch allows us to organize in broad categories that make sense to internal employees using it and to make sure security is set on specific documents. Time Matters would not have been sufficient for our managers to have access to, since it uploads all documents to the file - some of which are confidential.
