What is Smartsheet?

Smartsheet is an online project management and collaboration tool from Smartsheet.inc in Bellevue, Washington. The software has a characteristic spreadsheet like interface but contains the full panoply of features expected of project management and collaboration software, such as automated alerts, instantaneous updating and sharing across team members, resource management facilitating budgeting and task allocation, nested tasks organized in a hierarchy, a Gantt chart view, the ready production of exportable reports (e.g. Excel), and integration with email. Across spreadsheets cells can be linked allowing the creation of master spreadsheets that provide ready summaries or automated reports. Smartsheet's capabilities can be expanded with a multitude of apps (e.g. Dropbox, Google Apps) or integrated into combinatory solutions (e.g. with Salesforce) to tailor fit business needs. It supports full mobile access.

Three tiers cover Smartsheet's pricing options. The Basic level provides core features for small groups of individuals, while the Team level is recommended for groups of up to 50 people and supports more user features, allows multiple sheet creators, and has reporting functions. The Enterprise level is a custom fit tier for groups of greater than 50 individuals or companies, and may include dedicated support personnel if desired.

Smartsheet in our company is used as an alternative to typical Spreadsheets because employees can save a lot of time by using automation to collaborate with other employees. Every department that is using Smartsheet replicates their typical manual processes into automation provided by Smartsheet. To create Automation no coding skills are required, so employees feel empowered to create their own solutions and save a lot of time on repetitive tasks.
  • Document Builder - e.g. all the contracts are generated automatically with data from Smartsheet.
  • Ticketing Systems - using forms we can create tickets that are automatically assigned to preferred people.
  • Request for update - if we need to have updated data in some cells but we do not want to share the entire sheet with someone, we can send a form just to update the data in rows.
  • The community of Smartsheet is amazing if there are any questions or problems the community is eager to help.
  • With the paid license you get access to Smartsheet University.
  • Some of the basic functionalities that were part of the business licenses are moved to enterprise licenses, so in our company we can't use them anymore.
  • Additional features like Pivot Table etc., need to be purchased extra
  • Smartsheet is sometimes bit too pushy to buy new licenses or go to Advanced Model

In general, Smartsheet is considered as Project Management Tool, but this part of Smartsheet is only the tip of the iceberg. What I love about Smartsheet is that whatever requirements from businesses are coming we can fulfil them with basic smartsheet functionality.

We use Smartsheet to record and report on all of the services provided by our organization. We are grant funded and so we need to report to our granters in very specific ways. Smartsheet allowed us to build a really complex and robust array of functions and reports to fulfill this need. We have 30 people using the software, and everything is text-based entries or attachments.

Will probably be a waste of money and time, just use Excel. Would not recommend it for what we are using it for, it is the wrong tool for grant reporting or most kinds of reporting. I would recommend it to people wanting to trick people into using Excel over Word documents, or just for keeping company data in one nicely searchable place. Good for really non-tech savvy users who know how to do basic data entry into Excel.

The smartsheet is used for creating schedule and sharing with stakeholders. It is basically helping us in keeping track of the project particularly for our large scale projects. We mainly used it for task management and automating the work flow. Since reporting formats are mostly not found in project tracking tools but smartsheet provides this feature which we find it very convenient.

Smartsheet potrays as best automation tool in order to streamline the flows while there are security issues as the sensitive information could be leaked from cloud based platform. Currently being used sporadically in place of MS Project. Especially useful for team members not familiar with building a project plan but need to organize and assign task to multiple team members. Our Organization is currently in the process of maturing and while we don’t have the technical skills to develop thorough plans we are moving in that direction and Smartsheet is really intuitive and helpful in that way.

Directly, as an Account Manager, I use Smartsheet directly to manage my daily sales operations. I built a dashboard to have important insights about my opportunities, closed deals, products proposed, billing KPIs etc. Also external marketing partners are using it as an input form tool to gather information from customers assisting to events and webinars. It gives visibility of many important insights about our day-to-day in sales/marketing.

  • Allows integrations and to get data from Databases, other SaaS such as Salesforce, etc.
  • Allows to create custom reports, publish them on the web easily and filter content availble depending on the user looking at the resource.
  • Allows comments, file attachments, proofing, reminders and automations all in the same interface.
  • Charts, Cards and Dashboard components could be more customizable in the visual aspect. Compared to Power BI features, Smartsheet Dashboards do not look exciting. We need more colors, more charts, possibility to put animated images on background, etc.
  • Could have a more friendly interface or module to manage uploaded files in folders instead of row/file attachments.
  • Dashboards could have filters that dynamically change all data available on cards as Power BI already does.
Is well suited for organizations looking to improve processes, build workflows, handle input information via forms and show data through dashboards. Is less appropiate for organizations looking for a Project Management Tool using Agile; it has board features but maybe not the best practices in term of sprints, issue types, versioning integration, deployment insights, etc.

We primarily turned to Smartsheet as a way to manage our projects using a familiar interface to Microsoft Excel. A number of users in the organization were proficient with Excel and we wanted a tool that would allow us to be able to have some familiarity of Microsoft Excel but also gave us the flexibility to customize it to our liking. We were able to tackle the early learning curve with this approach and achieved a good adoption rate across the staff whom the tool was deployed to.
  • Its hard to overstate the value of familiarity. Being able to use a tool that has some familiarity takes away the time needed to train and orient employees on a new tool and allows an organization to hit the ground running.
  • Smartsheet covers most of the basics of a project management tool, the usual tasks, milestones and project viewing options.
  • For data viewing, you get multiple data viewing options including a calendar view (good for marketing teams and those who work around scheduling), Kanban, Gaant etc
  • Smartsheet can feel like a clone of Microsoft Office especially with 365 being a valuable option for most businesses, in this regard it is hard to justify the separate cost for it.
  • Zapier is available for outside integration but you have to pay to use it, it would be good if some integrations were built into Smartsheet itself.
For teams and users who are very familiar with Excel and its mode of operation, Smartsheet will feel like a walkover. If you have a number of users who use Excel or Google Sheets for their personal project management then you will find this tool to be very useful and somewhat familiar.

Teams that may be used to other project management suites or styles would find Smartsheet a bit challenging to adapt to, as formulas and formatting can be challenging to adapt to.

Smartsheet is a software as a service (SaaS) platform for collaboration and project management. It is used to assign tasks, track project progress, manage calendars, share documents, and manage other work, using a tabular user interface, similar to Microsoft Excel. We use it to manage web builds, app builds, content and social projects.

The Smartsheet platform is extremely similar to Microsoft Excel, so if you are familiar with Excel, you will pick Smartsheet up quickly. Even if you aren't Smartsheet has a relatively simple user interface, meaning just about anyone can learn it. One thing to note is that the interface is that some may consider the interface so simple that they feel the need to look for more robust platforms. If you have a small to medium project that needs to be manages in a central hub, Smartsheet would be a great fit. If you have a very large project, I might consider looking into more advanced platforms.

Smartsheet is used as a Project Management tool to track the implementation projects in real time. Our employees are able to stay up to date with project timelines while easily sharing the status of a project with our clients. The majority of our company are daily users of Smartsheet which saves time on project task communication.

If you're using Smartsheet as a replacement to Microsoft Project and then Smartsheet is a no brainer. It works great as a tool for Project Managers to effectively manage their team and keep projects on track. If you're in need of reporting and overall dashboards to keep track of more than one project you'll have to upgrade to the much more expense Business License. Wish they were more supportive of their legacy 'Teams' license.

We presently use it for small dataset where constant updates are needed. The form tool helps in establishing correct format for every entry and automation triggers help in approving the submission or reminding people to update some information at a certain period of time.

We use it to integrate it with Power BI to have live dashboard basis information input by users for live tracking.

  • One can easily check that the row count is significantly less than Excel hence data with significantly less number of observations can be created.
  • If you have created a workspace, you can't give individual access without providing access to the entire workspace. For e.g., I have two files in my workspace, and I want user ABC to have access to the first file and user XYZ to have access to the second file. I can't do that.
  • You cannot attach any item in an automated workflow. The observations go as a table in the body of the email.
  • Real time Multi-user edit is a pain for all collaboration tools and Smartsheet is no exception.

I generally use Smartsheet where I need to work with less data. Generally, for documenting projects or maintaining process trackers. This tool serves really good if you have to remind other teams to input the data at a particular time of the month/week/fortnight or any other frequency. One can create a requisition form so no one has to rely upon Outlook where one can never audit old items. It is more transparent, and the entire world knows what the team is working on.

I used it for some projects, too, because it has Gantt template. Also, managing the team's leaves is a piece of cake with the help of Smartsheet.

I would say, wherever you have to collaborate, and the data is less, you can use it.

Smartsheet is being utilized across the organization by using it as a request queue for anyone in the company for website and marketing automation needs. We currently have two different request system processes going for website needs and updates and then a separate request queue for marketing automation needs. For both request queues we have individuals fill out a form detailing their request and then submit it and it allows for the proper team members to pick up the request and work on the task.

  • Not being able to tag people who have submitted the request if they don't have an account with smartsheets
Specifically for our companies use case it has been incredibly helpful to manage projects and tasks as a project queue. With the ability to have a form where the requester can fill out all of their specific needs, upload documents if needed, and then submit it. Then our team is able to assign themselves or others to a task, we can monitor the progress, reply to the requester if need more clarification, and then mark the project as complete.

Smartsheet is being used by our Operations team's Project Managers to provide a collaborative, transparent plan that both the customer and vendor can execute. Smartsheet solves the gap in communication which is one of the primary reasons projects fail.

Very well suited in the Healthcare environment. Many times healthcare has 'lock downs' on computers and networks due to HIPAA concerns. We use Smartsheet primarily for creating full project schedules and Gantt charts. We also create project status summaries, key milestone summaries and are looking into the full project management capabilities of it. It is being used for a particular client only at this time but may be useful in broader applications across our studio, and even our company. So far, Smartsheet has been very useful at communicating the full project schedule and breaking down the process into smaller steps, and identifying not only the critical path for the projects but also the interrelationship between tasks. This capability allows us to get on the same page as our client while also maintaining accountability on our end to hit our milestones.
  • Easily creates table schedules with preset column types for different types of information.
  • Generates a Gantt chart from tables with little complication.
  • Exports a clean looking PDF for client presentation and deliverable.
  • Allows filtering of information for easy focusing on certain parameters.

  • Buttons/options on top, right, left, in pop ups is not always intuitive or user friendly.
Smartsheet is great for: Project schedule management such as creating Gantts with a breakdown of tasks, understanding processes with many steps complexities and interdependencies and creating simple reports

Smartsheet may not be the best suited if you: want similar control and advanced capabilities such as Excel offers, want ultimate control over editing reports and output of information, all users to be licensed, and full ability to create sheets from nothing.

Smartsheet is being used by my organization on a wide variety of operations. We track our employees' and consultants' time across multiple projects. We track projects' progress with the Dashboard feature. We track and manage all company and consultant invoices. We also store resource contact information, leave/vacation tracking, and track our onboarding process for new employees.
Overall, Smartsheet has helped our business track and manage many different processes throughout our entire organization.

We use Smartsheet to support project management within the company, giving access to specific project 'sheets' to the team members involved in its progress. We're able to provide each person the access type that matches their involvement in the project. As well as send them requests for information and updates directly from Smartsheet, which saves time from a management perspective and ensures all necessary info is added to the tool, rather than dispersed across an email. For a company that operates across different office locations, Smartsheet has been our solution to project management challenges that come up due to remote teams needing to work together closely.
  • Easy to use - as it follows the basic set up of Microsoft Excel. You can also upload Excel files to Smartsheet rather than starting a new sheet from scratch, which is very helpful.
  • Reminders and requests can be sent to team members directly from the tool, which is an enormous help and was one of the selling points for our company, specifically in choosing Smartsheet. The reminders/requests go to the team members' email addresses with a link to make the specific update to the required sheet, and once that is completed, the sheet owner is notified that their request has been fulfilled.
  • Smartsheet set up is similar to Excel, yet when you upload an Excel file, things like conditional formatting are lost. Smartsheet has its own conditional formatting, and you have to reinstate the rules. It would be great if those would apply automatically once a file is uploaded
  • Some Smartsheet management and access rules can take some tweaking to work properly. This may be a case of offering more info to admins so they can apply these better and with more efficiency
If you've encountered any issues managing a project with your standard tools, try Smartsheet. It's inexpensive and easy to use. Smartsheet is such a simple tool that I can't think of any situations where it isn't helpful to teams and beneficial overall to companies.

Smartsheet is one of the major project management and data collection tools for our company. Smartsheet is used quite frequently across all departments in admin levels and offers a wide degree of flexibility with regard to dashboard creation and reporting. I use Smartsheet for a wide variety of projects that are both internally and externally-facing. The platform offers a unique cloud-based tool that allows for cross-team collaboration, file sharing, and data analytics. Smartsheet has been a fantastic tool for tracking, communicating with customers, and making work more efficient.
  • Fantastic dashboard creation and customization.
  • Sharing permissions are generous and enable non-paid users the opportunity to collaborate.
  • In order to remain stable, rows and columns are more limited than competitors.
  • Automation creation is nice but could further be refined and expanded in the future.
I think Smartsheet is an incredibly useful tool that enables users to manage projects efficiently and effectively. It is incredibly refined and never feels too slow for a cloud platform. It is incredibly expansive and updates are regularly rolled out to improve and stabilize the platform. Smartsheet is one of my most recommended professional tools for anyone because it is easy to pick up, learn, create meaningful reports, and projects. Furthermore, the user-base is incredibly supportive and engaging with those who ask questions.

SmartSheet is used in several different aspects of project management. We track financial status as well as operational status in separate sheets, and use reports and dashboards to mash-up and report on the data in a consolidated view. It is used in a variety of departments, but not across the entire organization. Use is mostly centralized within project managers, account managers, and service directors. It primarily solves client-facing collaboration issues in project management. We have internal tools for tracking our projects, but SmartSheet gives us a simple, concise way to share and collaborate with our clients using data from our other internal systems.
  • Cross-team collaboration - Sharing with internal resources and external contacts is easy and permissions are clear.
  • Live on-demand reporting - If your data lives in SmartSheet, or in a location that is accessible from SmartSheet, your dashboards are always available.
  • Dashboard widgets are somewhat limited. There are enough options to be functional, but it is not an exhaustive list of widgets available for use.
  • Workspaces and individual files can't be used in tandem. You must choose one or the other for the storage of your sheet.
I often recommend SmartSheet to other colleagues. Its dynamic nature makes it very easy to adapt to your particular needs and style. Because it supports formulas, you can adapt many types of Excel sheets to use in SmartSheet, but it is capable of so much more than that. The collaborative sharing functions work great and the cloud-hosted platform is reliable and provides a consistent experience.

Smartsheet is being used as a tracking mechanism for strategic initiatives, unique projects, and a personal task list tracker. Specifically, Smartsheet tracks KPIs, roadmaps, and project action plans.
Smartsheet is a tool that offers both performance and collaboration. Users can add attachments per line, assign users to cells, apply a Gantt chart view, and smart collapse items to manage the complexity of the document, and keep the team informed on changes. This solves several problems against incumbents such as Excel and other Project Management tools, including version control, document speed, easy notifications without the need to check files in and out.

  • Exporting Sheets.
  • Exporting to Excel.
Smartsheet is well suited for any project-driven scenarios or process documentation. It is suitable for small or large teams, but it is more valuable if all team members have licenses (at least view only). The tool is flexible for any user, but content production, product, and marketing teams seem to be the most natural fits.

We use Smartsheet to collaborate between different departments, such as our recruiting, operations, and hr departments. It is cloud-based and updates its self in real-time. It allows you to set filters such as editors and or viewers. I like being able to look at it anywhere. Instead, it is from the office or off sight.
  • It keeps everyone in the office up to date on certain changes that have been made in real-time.
  • It works similar to excel spreadsheet but is more cloud based.
  • Applying better navigation thru Smartsheet.
  • Formatting the cells.
Smartsheet would be well suited for an office/corporate environment. With its cloud-based technology, it allows the users to make changes and or edits in real-time so the rest of the office can see the updates. The customization is well maintained, allowing users to color-code certain areas within the worksheet. It also allows you to create filters to search for essential data quicker.

As a licensing and appointment coordinator, I personally use it mostly to keep track of license and appointment renewals. We also use it go manage new projects and relationships.
  • You can set reminders to alert you of due dates and expiration dates. This is crucial for my position since I'm responsible for renewing licenses and agent appointments. Love it!
  • Keeps me organized! You can sort information in various ways to keep projects and deadlines managed and very user-friendly. You can also give outside parties access which is great for conference calls/meetings.
  • It seems like it took a while to learn the functions of the Smartsheet since there are so many. It was a little bit of a robust learning process but once you get used to navigating around it's great.
  • One of the things about Smartsheet that could be better is the ability to copy info from one sheet and create a new sheet.
I managed licenses for many individuals which are due for renewal at all different times of the year. Smartsheet alerts me when a license will be expiring and helps to keep me on task. As far as copying one sheet to another and updating info on the new sheet, this program would be less ideal since it doesn't have that ability as far as I'm aware of.

My organization lives and dies by the Smartsheet. We manage multiple comm plans that have stakeholders over admissions, marketing and IT. With stakeholders spread across multiple departments, Smartsheet allows everyone to be on the same page, especially for tracking approved for emails.
  • Centralizes info

  • Nothing. This tool is great for large companies.
Good for large spread-out companies, good for individuals keeping a to-do list, good for project management.
Good even for small teams. This tool has seriously been imperative to our success.

It is being used company-wide for various problems. For my team, it helps us to keep everything organized in one centralized place and eliminates security risk by emailing spreadsheets.

We are using Smartsheet to manage our large project as a whole, and also breaking it down with different sheets to manage smaller pieces of our project. It is only being used by 1 department currently, but I'd love to see it shared a bit more. We are using it to address a few main business problems. 1. Overall, high level organization of tasks and deliverables according to our existing clients and contracts and 2. Detailed views into progress on each importance phase of our project.
  • The color-coding and alerting by using conditions is a fantastic and easy way to call things out.
  • The fact that everything associated with each task is all together in one row is so nice - attachments, comments, reminders, plus all your column specific details!
  • So much functionality options that it can be tricky to make sure the right things are locked, or you're sharing the right pieces to the right people. Double check everything.
  • Works best when everyone is using it, but can require some training. Can be tough to get everyone on board because it can either be intimidating with all the use options, or boring looking off the bat because they think it is just Excel.
I really enjoy Smartsheet because it is more fun and better organized than Excel, with a lot more functionality that makes it easy and clear for me to track items and do my work. I really can't think of a time when you can't use it... because it can be as simple or as complicated as you need it to be. You can literally be as simple as making lists, or tracking complex projects over time.

We use Smartsheet primarily as a project management tool for managing individual projects relating to the development of learning materials or software development. This is an excellent tool for managing timelines and communicating those with the client. We also use it for high-level strategic alignment across projects giving a roll-up view of status and performance.
  • Great for managing and updating timelines as projects evolve.
  • Good "extras" for communication, sharing, and file management.
  • Excellent use of dashboards for rolling up information across projects.
  • Creating and managing the dashboard can be a cumbersome and confusing process.
  • The product gets a lot of updates with new features that aren't always user-friendly.
  • The more features are added, the harder the tool is to use.
  • Smartsheet is excellent for managing projects. One way we use it is to create a baseline of project timing that we can measure against to know if we are ahead or behind schedule. The Gantt views are a helpful way to see timelines and get a high-level view of planned dates.
  • There tends to be a lot more manual manipulation of sheets than expected. Things can get out of date quickly if project managers don't stay on top of it. This requires daily interaction with the tool.
  • Licensing and permissions are a bit confusing. You don't know what features are unavailable to you until you try to use them.
