- Document Builder - e.g. all the contracts are generated automatically with data from Smartsheet.
- Ticketing Systems - using forms we can create tickets that are automatically assigned to preferred people.
- Request for update - if we need to have updated data in some cells but we do not want to share the entire sheet with someone, we can send a form just to update the data in rows.
- The community of Smartsheet is amazing if there are any questions or problems the community is eager to help.
- With the paid license you get access to Smartsheet University.
- Some of the basic functionalities that were part of the business licenses are moved to enterprise licenses, so in our company we can't use them anymore.
- Additional features like Pivot Table etc., need to be purchased extra

- Charts, Cards and Dashboard components could be more customizable in the visual aspect. Compared to Power BI features, Smartsheet Dashboards do not look exciting. We need more colors, more charts, possibility to put animated images on background, etc.
- Could have a more friendly interface or module to manage uploaded files in folders instead of row/file attachments.
- Dashboards could have filters that dynamically change all data available on cards as Power BI already does.
Spreadsheet Project Management for the Rest of Us - How Smartsheet compares to Excel and other spreadsheet tools
- Its hard to overstate the value of familiarity. Being able to use a tool that has some familiarity takes away the time needed to train and orient employees on a new tool and allows an organization to hit the ground running.
- Smartsheet covers most of the basics of a project management tool, the usual tasks, milestones and project viewing options.
- For data viewing, you get multiple data viewing options including a calendar view (good for marketing teams and those who work around scheduling), Kanban, Gaant etc
- Smartsheet can feel like a clone of Microsoft Office especially with 365 being a valuable option for most businesses, in this regard it is hard to justify the separate cost for it.
- Zapier is available for outside integration but you have to pay to use it, it would be good if some integrations were built into Smartsheet itself.

- One can easily check that the row count is significantly less than Excel hence data with significantly less number of observations can be created.
- If you have created a workspace, you can't give individual access without providing access to the entire workspace. For e.g., I have two files in my workspace, and I want user ABC to have access to the first file and user XYZ to have access to the second file. I can't do that.
- You cannot attach any item in an automated workflow. The observations go as a table in the body of the email.
- Real time Multi-user edit is a pain for all collaboration tools and Smartsheet is no exception.
I generally use Smartsheet where I need to work with less data. Generally, for documenting projects or maintaining process trackers. This tool serves really good if you have to remind other teams to input the data at a particular time of the month/week/fortnight or any other frequency. One can create a requisition form so no one has to rely upon Outlook where one can never audit old items. It is more transparent, and the entire world knows what the team is working on.
I used it for some projects, too, because it has Gantt template. Also, managing the team's leaves is a piece of cake with the help of Smartsheet.
I would say, wherever you have to collaborate, and the data is less, you can use it.

It doesn't solve all resourcing needs, so those are solved for in other programs/software.
- Easily creates table schedules with preset column types for different types of information.

Smartsheet may not be the best suited if you: want similar control and advanced capabilities such as Excel offers, want ultimate control over editing reports and output of information, all users to be licensed, and full ability to create sheets from nothing.

- Easy to use - as it follows the basic set up of Microsoft Excel. You can also upload Excel files to Smartsheet rather than starting a new sheet from scratch, which is very helpful.
- Reminders and requests can be sent to team members directly from the tool, which is an enormous help and was one of the selling points for our company, specifically in choosing Smartsheet. The reminders/requests go to the team members' email addresses with a link to make the specific update to the required sheet, and once that is completed, the sheet owner is notified that their request has been fulfilled.
- Smartsheet set up is similar to Excel, yet when you upload an Excel file, things like conditional formatting are lost. Smartsheet has its own conditional formatting, and you have to reinstate the rules. It would be great if those would apply automatically once a file is uploaded
- Some Smartsheet management and access rules can take some tweaking to work properly. This may be a case of offering more info to admins so they can apply these better and with more efficiency
- Fantastic dashboard creation and customization.
- Sharing permissions are generous and enable non-paid users the opportunity to collaborate.
- In order to remain stable, rows and columns are more limited than competitors.
- Automation creation is nice but could further be refined and expanded in the future.
- Cross-team collaboration - Sharing with internal resources and external contacts is easy and permissions are clear.
- Live on-demand reporting - If your data lives in SmartSheet, or in a location that is accessible from SmartSheet, your dashboards are always available.
- Dashboard widgets are somewhat limited. There are enough options to be functional, but it is not an exhaustive list of widgets available for use.
- Workspaces and individual files can't be used in tandem. You must choose one or the other for the storage of your sheet.

Smartsheet is a tool that offers both performance and collaboration. - It keeps everyone in the office up to date on certain changes that have been made in real-time.
- It works similar to excel spreadsheet but is more cloud based.
- Applying better navigation thru Smartsheet.
- Formatting the cells.
- You can set reminders to alert you of due dates and expiration dates. This is crucial for my position since I'm responsible for renewing licenses and agent appointments. Love it!
- Keeps me organized! You can sort information in various ways to keep projects and deadlines managed and very user-friendly. You can also give outside parties access which is great for conference calls/meetings.
- It seems like it took a while to learn the functions of the Smartsheet since there are so many. It was a little bit of a robust learning process but once you get used to navigating around it's great.
- One of the things about Smartsheet that could be better is the ability to copy info from one sheet and create a new sheet.

- The color-coding and alerting by using conditions is a fantastic and easy way to call things out.
- The fact that everything associated with each task is all together in one row is so nice - attachments, comments, reminders, plus all your column specific details!
- So much functionality options that it can be tricky to make sure the right things are locked, or you're sharing the right pieces to the right people. Double check everything.
- Works best when everyone is using it, but can require some training. Can be tough to get everyone on board because it can either be intimidating with all the use options, or boring looking off the bat because they think it is just Excel.
Solid, easy to use project management tool
- Great for managing and updating timelines as projects evolve.
- Good "extras" for communication, sharing, and file management.
- Excellent use of dashboards for rolling up information across projects.
- Creating and managing the dashboard can be a cumbersome and confusing process.
- The product gets a lot of updates with new features that aren't always user-friendly.
- The more features are added, the harder the tool is to use.
- Smartsheet is excellent for managing projects. One way we use it is to create a baseline of project timing that we can measure against to know if we are ahead or behind schedule. The Gantt views are a helpful way to see timelines and get a high-level view of planned dates.
- There tends to be a lot more manual manipulation of sheets than expected. Things can get out of date quickly if project managers don't stay on top of it. This requires daily interaction with the tool.
- Licensing and permissions are a bit confusing. You don't know what features are unavailable to you until you try to use them.
