Being able to easily publish data from the desktop to the server provides some level of sharing and collaboration. However, the tool is lacking in more interactive collaborative features which have been introduced in other dashboarding products. There is not an easy way to annotate or comment in-line on content within the Tableau server environment.

This is also one of the amazing features of Tableau Server. Its access control is fully customizable. You can control end to end who can read or write on the dashboard. Also, because of the server, everything is available worldwide so you can even manage global users. Sharing reports is achieved very beautifully with personal notifications going to the concerned users.

In the end, we couldn't collaborate. We chose a strategy with GoogleDrive for now instead of Tableau Server. Connections between desktop clients and Tableau server were slow for no clear reason. To this date, no one at Tableau has assisted us in making things work or tried to help us properly use the product. It really failed to live up to expectations for sharing data.

Tableau Server is built on the approach of collaboration. It is great for publishing, sharing, and everything in between. You can set alerts for dashboard refresh. All of this must obviously be managed through user/group rights but nevertheless, the sharing capacity is great and convenient.

Tableau provides one beautiful feature called Alert. In this, we can set the point on the chart. If there are any changes to that graph, i.e it's high or low, it sends direct notifications to concerned persons. Talking about security, it provides a user filter option to isolate certain users. Sharing of the dashboard is also very easy. It's simply publishing to Server.

Tableau Server is easy to share creative control. The software doesn't require any special networking knowledge to create interactive dashboards across the organization. The alerts and security take a bit more time (especially the security), but nothing outrageous. It's really easy to collaborate with Tableau Server. This is one of the software's strong points.

There are several applications that one can use with Tableau server - online (web), mobile as well as specialized application Tableau Reader. An analyst can produce "views" that can be easily updated with new data and the views can be shared. Any user that subscribes for a specific view will get distributed updates via e-mail ...

It's very easy to share dashboard or manage access controls, and it syncs fairly well with authentication providers. The alerting can get better, and undoubtedly will get better as it seems to do year after year. In the meantime we have built custom notifications to handle the unique use cases we have, but out of the box, Tableau Server does its job.

As previously described, access can be very granular. We have integrated group joins in our internal distribution list management, which works with Tableau Server (guessing through the SSO integration...) to allow users to selectively join groups (with or without approval setup) to get access to the appropriate projects in Tableau Server. Works quite well and it's quite secure. This means dashboard owners can use the same governance of groups to share to the appropriate audiences and setup notifications.

Once the data is captured and represented in a visualization, it is very simple to assign user and role-based security to each representation. We use Active Directory for account provisioning. We also use existing AD security groups to assign permissions to Tableau visualizations. In addition, we use our student information system to provide security as well.

The subscriptions and alerts are good and the control to what is available is good overall. The export process can be a little cumbersome and it would be nice to be able to see who has exported data from where to where

Tableau's interactive charts can easily be shared among responders that need specific information. Using the granular access controls, we have substantially decreased the number of errors reported by field staff. The security is robust, yet quite simple to maintain. We also use the statistics on the number of views of a particular dashboard to fine-tune the dashboard or retire visualizations that are no longer relevant to our users. This has reduced "clutter" and support calls on how to get to the right viz.

With our users being external to our company, and served through a front-end web app, it is challenging to use the native interface for sharing. With that said, we do allow users to save custom filter settings for later retrieval.

  • Managing Security on the Tableau Server is really easy. Sharing the dashboards to other users and sharing the comments between users is also useful.
  • Alerting should be improved, like looking into multiple metrics on the viz before sending an alert.
  • Subscription options are limited to a few. Adding the text message is enabled but the text message is displayed at the bottom of the email. It would be great to have that at the start or provide a selection to users for bottom or top. Also when a user is subscribed to the workbook, the workbook name appears on the email which should be optional or removed.

We don't utilize the alerts and subscriptions structure (although people have the option of setting it up themselves) but having a single place to log in to and view regularly updated data is one of the primary benefits of a BI tool and we utilize it constantly.
