Before, it was a nightmare of spreadsheets, email templates, and needless to say, many many applicants fell through the cracks or left with a bad impression of our firm due to the poor communication. With Trakstar, we're able to easily track where every applicant is in the funnel, collect information on how they are doing, and manage the whole communication process. I love being able to work in both Gmail and in their software and I love how it tracks the conversations so that I can easily go back and review where things are with any given applicant.
That said, the product is more geared toward someone that is hiring for one person per role. We make it work, but there is a lot of functionality that doesn't get used because of that.
Recruiterbox helps us work efficiently in our global hiring. We hire roles all over the world and without Recruiterbox this would be quite difficult.

Trakstar Hire is our current ATS platform. It is primarily used by me, my VP of Operations, and my hiring (department) managers. Of course, there are also interviewees who submit evaluations via the platform. Trakstar seemed the perfect ATS for us - not overly robust with features that don't work for our SMB, and not way beyond our limited budget, yet still with many customizable features in terms of the recruiting workflow, open API, and great personal support.

For a small/mid-sized business I'd absolutely recommend TrakStar. I've loved it since day one and have only seen it improve. Now if you 100% need certain types of integrations, or have a large company or an HR team over 3-4 people, this may not be robust enough for your needs. I can't speak to onboarding since it doesn't integrate with our HRIS and we don't have a specific onboarding platform. We also don't utilize some features like the EEOC survey or do many pre-employment testing or assignment scenarios.
The use of Recruiterbox in our company was driven by the need to create a better employee recruitment plan, where the company could invest less and get better results for management. Recruiterbox is intended for all those companies that wish to optimize their recruitment process through an automated system that organizes and analyzes the data of all candidates and proposes the best offers for the development of your company. The customer service was available every time we needed it, being very friendly and solving every inconvenience in very short periods of time.

RecruiterBox is designed for small and medium sized companies that are looking to reinvent their recruitment method, by using its candidate management, it effectively allows the attraction of suitable people for each position. In large companies it can be complicated to use, due to the fact that it is still constantly being optimized.
Recruiterbox's evaluation system basically lets us create our own levels of employee evaluation, so that during any recruitment process it is possible to make sure of all the capabilities that each applicant possesses, and it is more feasible to bring them to work in the section of the company that best suits those capabilities, and thus improve the workforce in a short time. It keeps us informed of the totality of each stage that each applicant is going through, and we can evaluate forecasts about their performance in those stages, mostly to know early on which are the best prospects to work in the company. It is possible to manage employee pages from the platform, so that, in case of staff failures, you can evaluate their performance and know which ones should be replaced by applicants who are in the interview or resume evaluation system. Fully shared compilations of each employee's employment experiences can be made, so that it serves as an informative review for new applicants, and they can feel more confident with the company, or simply know what kind of working relationship to expect.

The platform automatically creates analyses based on the resumes of each candidate, so that, depending on each resume, they are shown offers that are fully compatible with their type of employee and their previous work operations.
We like the customer service offered by Recruiterbox, which has been able to meet our employment needs in a short time and in a mostly accurate way. Thanks to this, we were able to solve the usage error we had with the platform and our current results are much more profitable in terms of analytics of recruitment operations.

There are not enough functions at the moment to follow up the interviewers by the company, since the platform generally works with self-service and a system where they can evaluate themselves. The best for this would be that the candidate can evaluate the interviewer and the quality of the process.
Spreadsheets are not handled well within the platform either, which is a big disadvantage for those of us who need to use a tool to filter applicant information and be able to tag them depending on our level of interest in them.
The function that allows us to create hiring funnels does not allow us to include all the information of the applicants, so the level of detail of the reports, despite being high, is never large enough to allow us to choose the candidates from the first instance.

For large companies Recruiterbox can be a software with exceptional results, allowing the application of all kinds of functions, mostly based on the execution of steps in recruitment operations with large lists of interested parties, which makes it useful in businesses such as supermarkets or services oriented to governmental management. Since it works well with emails, Recruiterbox is good for creating job interviews that do not directly require face-to-face management, as in the case of most software development jobs that are currently held. Recruiterbox is good for working in human talent departments that do not have enough experience in handling human resources software, or that are from a new business, thanks to its simplicity of use.
We used Recruiterbox as an ATS, organizing recruitment efforts across the company. Recruiterbox allows us to publish job postings on our website w/o needing any IT team involved. It also allowed us to push out jobs to other job boards - some of those job postings were free, some were paid posts that we also used. Recruiterbox was fairly easy to configure and to navigate - it is great for small companies that don't need anything too advanced in terms of functionality. The team does not require much training to use the tool.

For a small business needing an ATS, the price was reasonable and the product provided solid functionality. A bigger business may find that they grow out of the system or need more integrations than Recruiterbox offered.
Recruiterbox is currently primarily used by our Manager of Employee Engagement who handles recruiting, however employees at the Director level occasionally log in to Recruiterbox to review applicants' resumes and profiles. Recruiterbox allows us to house all applicants within one tool, helping streamline the entire recruiting process.

Filters on candidates and openings: Sometimes it can be confusing when filters are not turned on correctly (which is very easy to miss), which means that the wrong candidate or opening results will appear.
Search: Sometimes candidates won't show up in a search (based on what page you're on), but there doesn't seem to be any rhyme or reason to when they do or don't show up.
Multiple applications (Recruiterbox calls these "copies"): While it's helpful that a little symbol will show up next to an applicant's name if they're in the system multiple times, I think there could be a better way from a UX perspective to integrate this feature, as sometimes it can be for the same position, sometimes it can be across multiple positions, and sometimes it can be over the course of a number of years.

We had some questions about some functionalities in Recruiterbox that we wanted to utilize and the customer service was phenomenal. They got back to us extremely fast and walked us through how to set everything up on our end.
Recruiterbox is being used by our department to screen potential new hires. It allows us to quickly see resumes and to request references from any prospective hires we are screening. It also allows us to easily contact multiple interviewees to request interviews. In addition it allows multiple people to view the profiles remotely.

The system of being able to save pre-drafted emails when contacting multiple users to request references, or interview times saves so much time.
Being able to see users that have applied to more than one position within your company allows screening to go more quickly.
Having potential new hires upload their resumes saves time in requesting them later on.

Sending email correspondence can be tricky, if a potential new hire then has access to your professional email address since emails are forwarded to your associated recruiterbox account. If you reply from your email and not the Recruiterbox application directly it can create confusion.

It is well suited for departments that are going to have a large influx of applications. It allows you to sort through the applications and decide which ones should go on to the next level of the hiring process. It is also a great way to contact potential hires and screen them, via asking for references, etc before you decide if it is worth the time for a phone or face-to-face interview.
Recruiterbox is being used by our organisation as applicant tracking and management software. It manages the process of every application to one of our roles, from sending in a CV via the web portal, through the selection process all the way up to the final hiring stages. We also use it to manage any prospective candidates who we are speaking to, but who have not yet applied for the role.

Duplicate candidates are a problem - a new candidate record is created every time someone applies for a role - which may be 20+ in our case. This means screening notes and candidate details are in multiple places.
Can't action more than one page of candidates at a time - so mass emailing etc is a pain.
Search results are poorly displayed - you can't sort them or export them.

Recruiterbox is a REALLY great tool for small to medium sized businesses, where there is no requirement for mass mailing, and where candidates are unlikely to apply for multiple roles. It is less appropriate if you want integrated CRM, or for recruitment businesses who need to manage a large database of CVs.
