Trello is Great for Small Teams, Not so Much for Large Organizations

Individual departments use Trello to organize tasks - and they all use it differently. Our department has two separate Trello boards to organize general tasks and content creation ideas. Some other department managers have a separate shared board with each employee, while still others choose to have a board with tasks for each client they manage.
  • Simple and complex cards. Probably my favorite thing about Trello is that the task cards can be as simple or complex as you need. Just want task title, owner, and due date? Check. Want to include a cover photo, detailed description, and link a file? Also check.
  • Task tags. Users have the ability to tag tasks with custom tags. This is very helpful in our editorial idea board.
  • Assign multiple users to tasks. This is not something that many task management platforms offer.
Cons
  • Dashboard. My main frustration with Trello is that I have to navigate between each board I have access to in order to see my tasks. I wish that I had a dashboard that contained all of my current tasks in an aggregate format.
  • Task dependencies. We have several project templates in which certain task timelines rely on other task timelines. It would be nice if the sub-tasks were dependent on the original task.
  • Board templates. Right now the only way to create a "template" is to have a dummy board that you copy to create a new board. This is an okay workaround, but the copied board also copies all the original task due dates and owners.
I think Trello is great if you have a small team you want to get organized. The free version of the product is great. It is not great, however, for a large organization looking to integrate tasks and task management across departments. Because of the inability to roll-up tasks into a dashboard, I think tasks might get lost in the abyss.

I use Trello to track projects and tasks that I pick up throughout the day. I was introduced to Trello by a previous manager who used it to manage different projects that we were working on. When we would meet together we would create new "cards" for tasks we were working on and apply a label for the project it applied to. Now I continue to use a similar setup, but for my smaller tasks that need to be done throughout the day. When I am in a meeting I create cards for the new tasks that come my way.
  • Trello is really lightweight. I don't know if it's because of the minimal design or some great coding, but it's extremely responsive.
  • Collaboration! After switching to Trello I stopped receiving update requests via email. Because we were working in real-time we didn't need to worry about updates via email.
  • Mobile! Trello's mobile app is really good.
  • Their free plan is also really good. Maybe I am a bit of a cheapskate but using their free plan is anything but painful. Many cloud based apps give you just a taste in their free plan, but I have yet had a need to upgrade.
Cons
  • Responsive Design: I would like to be able to resize my Trello window to be like a sidebar or something other than a traditional square, however it's not supported.
  • I wish it was easier to remove boards. When I first started using Trello I was using different boards for different projects, after a project was closed it took me quite a while to figure out where the setting was to delete that board.
In my mind Trello works great for smaller teams. When using Trello on a team of 6 individuals it was great. I was able to quickly and easily see what each individual was working on. As a team we would create new cards for a project, pass the cards from one person to another attaching docs, images and links needed for each project. However I found that when working with large teams (15+) with separate projects the layout of the cards became too unwieldy.

We are using Trello for the following things:

1. Create boards and cards according to the project.

2. We create a card for every small task that needs to be done.

3. The ability to add labels and assign cards makes it easier to know the stage the task is in and the person responsible to complete it.

4. Boards can be set as public or private. It's great to display a public roadmap for a product.

5. We use Trello to manage tasks within our organization. It is a great tool when you have many people working on something.

6. It can also be used to manage one's to-do list.

7. We also have a few public boards that we share with our users and use to display a roadmap for our products.

  • Tool to organize and manage tasks: We can create lists, activities, upload documents, and share them with our colleagues. It is very easy to use and I have not only used it for my company but also for personal use, as it also allows me to have multiple projects on the same board.
  • Flexibility and Ease of use: I love how simplistic and visual Trello is. Instead of having to mentally keep track of tasks or flow or keep track via email, I can organize all the information about a project in a visually appealing and intuitive way. Checklists are the key part of this tool.
  • Prompt Notification Service: the fact that you can follow a card and be notified when a team member completes a task without actually being tagged is amazing. It sends emails that are easy to digest about the new changes.
Cons
  • It doesn't have a feature to make a task repeat. The user needs to keep on adding the task if the task needs to be done frequently.
  • Integrated support for media playback (audio, video) would be very welcome -- i.e. when referencing a media file, it would be nice if it could provide player functionality right within the Trello card, rather than merely linking to the content.
  • More customization options are needed.
I totally recommend using Trello because it is multipurpose, easy to use, versatile, and practical, for personal and work purposes. There are no excuses to be unorganized with this application. What I like the most is that it has, in its columns, what we have to do, what we are doing, and what we still have to do. It is a way to see our progress and to make future decisions with time.
To organize tasks at a small level team, Trello works efficiently. But it will have issues for large team management.

We are a small organization and don't require any kind of enterprise-based, costly software for our project management needs. It's currently used organization-wide. It's our primary tool for sprint planning, task assignment, tracking future project needs, etc. It's been an invaluable tool for keeping our projects organized and on task.
  • Intuitive - Doesn't require a bunch of training or documentation review to get up and running.
  • Collaborative - Allows multiple users to easily collaborate on projects/tasks.
  • Integration - No shortage of add-ons/plugins giving you the ability to integrate with other tools your organization uses.
Cons
  • Can be tedious to remove cards.
  • Calendar integration could be better.
  • The ability to automate is limited (at least with the free version).
For an organization such as ours where we do not have a central office, Trello is invaluable for keeping projects organized, communicating on tasks, and planning. When working remotely, it is not always feasible or preferred to reach out to team members for simple checks on project/task status. It's great to be able to quickly and easily find what you're looking via the Trello boards. The feature set may not be ideal for a larger organization managing 100's of projects, but it's perfect for an organization our size.

Some people in our organization use Trello, and most users are happy to use it as their primary method to plan projects and smaller tasks. For my small Digital Media department (2 persons) we use it to store all tasks and ongoing projects. This way we keep track of anything, and can let our manager know what's ongoing.
  • Easy color categorization of the "Cards" (which can represent anything from projects to tasks)
  • Ease of use overall - you can divide work into columns and move it from column to column depending on status
  • You can create multiple boards, which are spaces to store tasks (for different work contexts, or even private boards)
  • You can easily share boards with another person
  • You can easily assign tasks (Cards) to persons
  • You can store information in cards, like files and short format text
Cons
  • Allow tables as content for comment or description in Cards
  • Assign priority to certain cards (easy for sorting)
  • Create an open invite link for others to join/view the Trello board, without edit rights (so people don't need to install/use Trello if they want a quick glance on what's going on)
It's great for easy collaboration between colleagues, but only for smaller teams. If we were to launch this in a bigger team, the board will be a mess as too many people will make edits and it's hard to keep track of everything. We use it during weekly standups and it's particularly useful for these instances, where some tasks that are not "on paper" yet can be written down in our weekly to do list.
