Our entire company uses Ultipro as our HRIS system as well as the associate self-service portal to handle administrative functions for associates. This software processes our payroll and houses our associate information. We do run many reports using this software as well.

  • Building reports is not something that can be done by all HR associates, and it is not an easy process. It could be improved if there were a way anyone working in HR could select information they would like in a report and create their own. I have done this with other HRIS systems and it is something I miss when using Ultimate.
Ultipro seems great for large companies that have thousands of associates. The site never crashes or is down for any reason. It is easy to access from anywhere, although the organization I work in does not use an Ultipro app and I wish that was available. It is easy and intuitive when using basic administrative functions (entering new hires, terminations, changes of wages, etc.). However, I can't see a small company getting a lot of use out of this product because they would not have a need for all the features Ultipro has.

UltiPro is an excellent software tool that allows organizations to track staff time and attendance, ensure that time is coding to the correct payroll expenditure accounts, enables a variety of reports to be run, facilitating data analysis. We use it across the entire organization, and it allows for information to be collected and disseminated to accounting, human resources and other departments. UltiPro will be a partner with our organization as we go forward into more technological areas and need to respond to staff needing mobile alternatives.
  • Enabling mobile clocking in and out.
  • Great customer service that has a group that concentrates on concerns when you are running payroll, and then another group that handles the more systematic issues that you may come across.
  • The ability to build reports that meet your organization's specific needs.
  • Easy exporting to Excel for analysis.
  • You have to navigate through the "layers" of UltiPro, since at times it seems segmented, resulting in one silo not communicating your need to another silo.

UltiPro is a full service software that is NOT just a time sheet manager. They have modules that allow you to start your relationship with staff and potential staff before they are hired, by posting job openings and having people apply through the software. That then brings the information into time, to human resources for salary and benefit information, and accounting for coding. If you have a medium to larger sized company, and you need to have reporting information for invoicing customers for your time, or reporting out payroll information, this is a great product.

If you have staff who are not all located in an office, the mobile app is great and allows staff to still process their time and staffing related activity through the system.

Our company moved from various instances of payroll to a fully consolidated and transparent global "hire to retire" employee lifecycle system. UltiPro allows us to create efficiencies, proactively audit and manage risk, aggregate our reporting and automate processes. UltiPro's Human Capital Management (HCM) solution spans our 40+ acquired companies representing diverse industries and states with unique compliance requirements.
  • Reporting. UltiPro provides over 400 standard reports and Cognos for any customized reporting needs. The reporting tool is robust and simple to use.
  • Training. UltiPro provides free training and free "refresher" training courses to all their clients either in-person or online.
  • User Friendly. Our employees think UltiPro is slick and super easy to use regardless if they are on a computer or on their mobile phone. Our admins can process payroll with a few clicks of a button. Super simple!
  • Networking. UltiPro employees are not just an extension of your team, but also like family. They are always happy like those people at Disney. I always joke that they drink the kool-aid and they share it with me also. They make technology fun.
  • Implementation. By far, UltiPro had the best implementation team that I have ever worked with. The key word is team. They provided us with enough knowledge and resources for implementation so that we could not fail.
  • Direct Deposit. It would be nice if they could separate direct deposit accounts for payroll and expense reimbursement. Ex. If 50% of pay goes to checking and 50% to savings. Then 50% of expense reimbursement also goes to checking and 50% to savings.
  • Support Ticket System. While I appreciate the email communication, I wish there was either a link in UltiPro to open a ticket or check status OR wish that there was a link in my email that directs me back to the ticket system.
  • Benefit enrollment. Open Enrollment was a tad difficult to configure, but easy for employees to navigate. More importantly, I wish the OE messaging could carry over from year to year.

We use Ultipro to process payroll, UTA and HRIS. We are able to keep most of our functions within one software so things flow smoothly
  • Great integration between UTA and Ultipro
  • GL Exports to enter payroll into our accounting software flow without any issues
  • Tons of reports are available and you are able to create your own reports as well
  • HR seems to have issues with onboarding
  • I wish all functions were available in .NET
  • UTA support staff seems to change a lot for our company

We're using UltiPro to manage payroll and HR benefits for the whole Organization. It's used for on-line Open Enrollment, tracking and managing Payroll earnings, deductions and taxes, and providing wage & benefit data to our Project Time system for Prevailing Wage projects. Partner (employee) information is fed from UltiPro into Active Directory, and used in our SharePoint intranet / Partner Directory.
  • We're able to build "special" calculation rules for deductions that are a little unusual.
  • Integration with our other systems (Project Time, Service Dispatch, Active Directory) is relatively easy
  • The reporting tool and our access to the data lets us get all the information we need when we need it.
  • Customizing the Open Enrollment session to get it to display available benefits the way we want them can be a little tough
As our business need change, the system is flexible enough to make the changes we need.

We use UltiPro for HR, benefits and payroll. We allow users to enter data on their records as well as give managers tools to do their jobs. We use it to get data in and out to other down stream systems. We are the source record for Active Directory and other systems. We use the tools to transfer data to our vendors.
  • Tax recon - the best tool on the market. We run it each payroll.
  • Getting data in and out of the system is very easy.
  • Configuration - easy to use tools to configure what we need.
  • Built in report writing tools, like cognos, we don't need to send data elsewhere to get reports.
  • Compliance and staying ahead of the changing rules and reporting.
  • Position Management. Need to - have more products that will work with positions.
  • Benefits - getting better, but not quite there.
Integration is built and needs little IT support.

We use UltiPro for our payroll, HR and reporting needs across multiple companies with various business needs and requirements. The core strength of UltiPro is the payroll knowledge and expertise. Upon implementation 8 years ago, we noticed major improvements in our data quality and assurance that we are compliant with payroll regulations. We have implemented several HR products (Recruitment, Onboarding, Performance Management) to address our HR service needs across many locations across 12+ states in the US. The business intelligence tool allows us to share data across the organization in a way we were unable to in the past.
  • Payroll - compliant, good canned reports.
  • Reporting - Cognos is a powerful tool that allows you to provide solutions to your customers - if the data is there, it can be captured in a report.
  • Onboarding - The tool allows us to reduce paper and improve communication to internal resources and management of expectations related to hiring employees.
  • Learning about how features could be implemented for your organization as soon as they are available.
  • Transition from back office tool to web based tool requires patience as many features aren't immediately available.
  • UltiPro's growth has challenged the availability of resources related to support and building a strong relationship management with your immediate support personnel.

We utilize UltiPro across our company for payroll, recruitment, on-boarding and HRIS. We have been with UltiPro for 6 years and it has allowed us to communicate more effectively with our remote employees, run reports more effectively and has allowed us the opportunity to eliminate the need for paper checks. Throughout the 6 years of using UltiPro we have seen them step up to the programming challenges as new laws have been passed, making our lives easier. I would highly recommend UltiPro.

UltiPro is used across the whole company for all current and past employees to track their employment information, benefits, and personnel files. It is also being implemented for recruiting, benefits elections, and soon we will be using it for for time-keeping/payroll. It is a centralized and easy ( for the most part) interface for employees and managers to access and change information. It is also particularly helpful with its reporting piece and has excellent service to provide customization and special changes.

  • Client Education on HR industry and product - workshops, webinars, and constantly updating with the field and laws.

UltiPro is our HRIS and Payroll enterprise solution for The Co-operators group of companies. This covers 9 legal entities. The software as a service product is used as our foundational system for Core Payroll, HRIS, Performance, Succession, BI Reporting and Time and Attendance. We have a roadmap to integrate Salary Planning, Recruitment and Onboarding in the next 3 years. UlitPro was initially selected to act as a single source data product that would improve our time and attendance tools from paper to system and to increase our ability to delivery on strategic HR tools in the talent management area.
  • Core Payroll - The processing engine of pay meets the needs of our payroll requirements with minimal customization. We were able to configure the system to handle our multiple legal entity pay outcomes.
  • Business Intelligence Reporting - With the attached Business Intelligence capabilities reporting can be done directly from the source data. There are many canned reports but having a skilled on staff report analyst allows us to create our own reports using the attached BI reporting tools.
  • Single Source Data - This ties to having all legal entities in one system and having core payroll and HRIS data in one spot. Several of our past inefficiencies have come from having multiple systems for each of payroll and HR and by legal entity. By consolidating data to one complete system, compliance, system upkeep, processing of pay cycles and data reporting processes have greatly improved. Single source data is more than reporting, it prevents the duplicate entry of data into multiple systems and allows for consolidated views of your enterprise data. Our introduction of Ultipro was coupled with the introduction of an Enterprise Shared Service Department to get the maximized use of the combined data
  • Excellent Account Support by the executive relationship manager and the customer success manager. After implementation we have felt very supported on all aspects of daily operations. The support teams are responsive, help identify which Ultipro resources are needed for support vs. service requests and new work. They take a holistic approach to meet your needs as a partner.
  • More Configuration on the Talent Modules. When you buy a SaaS solution you need to expect that your best outcome is to adopt the modules provided by the vendor. If you plan on making numerous changes to the functionality you run the risk of frustration. Having said that, the talent modules of salary planning, performance and succession are fairly restrictive. And when I say restrictive that means when you are trying to bend existing programs into UltiPro's format. I believe that UltiPro offers good out of box functionality and for anyone with no existing programs you can rely on UltiPro for good functionality. UltiPro has been increasing the ability to configure fields and add data elements in the Core but the Talent Modules are more locked down. The benefits of this are that you get updates on a regular basis and UltiPro does a good job of incorporating feedback using client forums to enhance the product two times a year.
  • More Consultative Approach on Time and Attendance Module. The Time and Attendance Module, UTA, is a very robust toolset. It offers lots of functionality. The support model for UTA is slightly different than for CORE Payroll. In CORE UltiPro resources train you to configure your own outcome. For UTA you rely on UltiPro resources. It is very important to have clear requirements and it would be ideal if UltiPro resource could spend a bit more time up front to capture and recommend best approaches for the implementation. More upfront knowledge on pay groups and calc groups to allow you to narrow your configuration to isolated groups that required different schedules etc. There is a large role of the purchaser to be prepared with requirements which can be a challenge if you don't have documented processes prior to any conversion
Overall I rate Ultipro high given they offer a wide range of HR and payroll solutions with a strong support and training module. I believe that single data source with an integrated reporting tool is foundational to any HR strategic system. UltiPro continues to grow its offerings with things like predictive analytics and you gain the benefit as a SaaS customer to get continuous upgrades based on the SaaS model.

We are using UltiPro for HR and payroll functions across the organization. We have been able to provide self-service functionality to employees, develop workflows for property provisioning, and leverage the performance management module to improve employee engagement.
  • Payroll is very flexible and meets the needs of varied payroll processes.
  • Self-service for employees and managers
  • Integrating more back-office fields into the web. For example, we've requested that "Exams" be under the Health and Wellness tab so that employees have access to important information with our Wellness Program. In addition, this would allow for additional administrators to have access and update these fields.
  • I wish there were better ways to query workflows so that we could identify the specific owner of a workflow in process.
  • We have not been able to leverage open benefits enrollment due to lack of workflows for benefits that are contingent upon underwriting or other factors.
I don't have any feedback for this question at this time. If I do, I will provide it. We were very impressed with the Ultimate Software representatives during the selection process and felt they were very honest about the capabilities of the software, even pointing out where the software had limitations.

  • Provides a central repository for employee information.
  • Automates many manual processes in HR/Benefits/Payroll which reduces data entry error.
  • Empowers the employee to get information on their own.
  • Organizes and streamlines our recruiting/onboarding/new hire process.
  • It would be great if employees could make PTO requests in the web with UltiPro Time Management (UTM).
  • Still room for improvement in Open Enrollment - a simple example is not allowing someone to pick Spouse Life if they don't have a spouse, likewise with Child Life.
UltiPro is an easy choice for companies who do not have overly complex processes in place. That being said, it is also well suited for more complex companies. There are so many variables it is really hard to say. My most important tip is to make sure that you are willing to have some dedicated internal support - having someone who can fulfill an HRIS Analyst type role, and Cognos BI Author(s) on staff makes a big difference!

UltiPro is used for payroll HR/onboarding/recruitment. We are able to produce reports that benefit the entire organization. Once the talent management module goes in we will use it in succession planning.
  • Business Intelligence (once I become better at it)
  • HR/Payroll relatively straight forward
  • History is not very good within UltiPro. Not being able to change history at a system admin level and it changing salary information as well is very limiting. System admins should have access to two tier and training in order to get the system corrected "all the way through"
  • UltiPro Time Management (UTM) needs help. It is not intuitive at all, and does not work well when you are project costing, very slow and very frustrating.
  • Much of what you do is "manual" every time there is the smallest issue, you need to get Ultimate on the line in payroll. We have only been using the product for 1 year, so I am sure much of this is a learning curve, but becoming short tempered.
  • Global is not ready.
Specific scenarios: "Gold Standard" products are probably better than the modules, but you need to decide whether integration is better than managing other third party vendors.

Ultimate has become the "official" record of employee data across our entire organizations. It provides all our employee data in one place and allows us to use that data with other systems.
  • Ease of use. With little training, employees can access and make changes to their own data.
  • Reporting. The Business Intelligence module really gives the user flexibility to create simple to highly complex reports and dashboards.
  • Partnering with customers. Ultimate is really good at listening to its customers and what they need. They try to incorporate as many customer related enhancements as possible with each new release they deliver.
  • Problem Resolution. There are delays in getting responses when cases are escalated.
  • Integration. When they release new functionality or fields, they do not always make sure it is available in the Business Intelligence module so it limits your reporting capabilities.
  • Company specific filtering. We have multiple companies in our health system and there is no way to filter some of the business rule tables in the web for the companies employees, managers or HR/Payroll employees need specific to their companies.
If you are coming from a system that did not have employee or manager self service like we did, ask a lot of questions about security and workflows. Ultimate Software has a pretty robust workflow configuration process to help companies ensure managers and employees are not just doing things without some type of approval or review.

We are 'Live' in Canada (effective April 7, 2014). We are implementing Core HR, Recruiting, Onboarding for U.S. in October 2014.
  • I think the Core Payroll processing is a great tool. You can customize the payroll model to your company needs
  • The onboarding process is a great tool to allow you to "move" applicants to the Core application
  • BI Reporting offers a powerful tool to perform business analytics.
  • Onboarding paperwork into the Core application needs to be created
  • Canada payroll/payment services/check printing needs improvement and/or creation.
  • More basic setup to be in the .NET side.
I think the Core Payroll is excellent however, the .NET needs to be enhanced.

UltiPro is being used across the whole organization. We are using UltiPro for HR, Payroll, Recruitment, Time Management, Onboarding, Tax Services and employee self service.
  • UltiPro is a web based service, best part about it, makes it much easier for me to work when traveling.
  • Customer service is always on point. I send email or submit a help ticket and I receive a reply back within minutes.
  • Reporting feature is very user friendly.
  • UltiPro makes updates to their system often. I see they are improving everyday.
UltiPro is a great system to use. It is user friendly and the best features are reporting and time keeping.

Pro Mach Inc. uses UltiPro with almost all of its divisions which include our Canadian facilities. This is our HRIS system; we use many of the UltiPro modules but not all of them as of yet. It allows us to manage employees in several divisions across the US and Canada. The corporate office is able to run reports out of one system to get data for analysis. It also allows the employees to view their information online. We use the recruitment module which helps our recruiting efforts. The time management module allows us to collect employee time for payroll processing.
  • I like the recruiting module and am excited to move to the newest version. We are getting ready to implement it soon. It allows us to search previous candidates when positions become available and also has saved us money in recruitment fees.
  • I like the employee self service which we just recently implemented. It frees up some time for the HR directors by allowing employees to change some of their own information.
  • I like the reporting features. Even though I use BI query more than I use the BI reports; I look forward to learning more about how to write BI reports. I took an introduction class last year at Connections and this year am taking an intermediate course.
  • I would love to start using the benefits enrollment system. We currently use Mercer and have interfaces written to upload data into UltiPro. The last time I checked, the enrollment system would not support contingent benefits which is why we don't use it. Hopefully that is something that is being addressed and we can start using it in the near future.
  • The mobile time punching could use some improvement. We have several service technicians that travel all over the world and have not found the mobile app to be very user friendly. They need to be able to punch in and out in all parts of the country with all types of devices. It sounds like from what I am hearing that UltiPro doesn't support all browsers on the different types of phones.
  • I would like to see more support in the time management side of UltiPro. It seems like sometimes they are very overwhelmed with cases and it can take a few days to get support.
  • I wish we didn't have the browser issues that we have. As a company we do not dictate what version of IE or Mozilla our employees use. Because our divisions operate separately under the IT umbrella this causes quite a bit of problems for us.
  • Interface support is very slow and very aggravating as a user. We have an interface with our life insurance provider and I have had a case logged for a while to get the code rewritten.
Benefits Enrollment for our company does not allow for contingent benefits. If I remember correctly from Last Connections; it won't control what an employee can select if they pick a certain benefit. For example, if I choose $100k in supplemental life I am only allowed to select $50k for my spouse. I also am subject to a spousal surcharge if I elect to cover him/her and they have insurance available to them through their own employer. I don't believe UltiPro supports that.

  • We have been on the UltiPro product for 14 years and have added modules from their suite of products to enhance the overall payroll/HRIS system. We started with the recruitment and employee self-service modules and, more recently, have added other modules like time and attendance, performance management, and onboarding. We are now virtually paperless thanks to the full suite of products they provide.
  • Would like to only have one inbox for all modules of the system instead of having to go to each area. For example, if someone gets promoted to a new position, I can see it in my inbox and I can approve directly. However, for a new hire offer letter, I have to go to the recruitment module to approve the offer. It would be great to be able to everything from one place instead of having to go to the various different modules.
Ultimate listens to their users and will add functionality or updates to their system based on the ideas that are voted on by their users. We have been on the product for 15 years and are investing in more of their products to enhance our system.

UltiPro is used across all of our organization. One of the most important features of UltiPro for our organization is the ability to report accurate data to our executive team. We also use it to provide our president with up to date information when speaking to the board of directors.
  • The reporting capabilities are outstanding. We auto generate over 100 reports a month to our various companies which are emailed directly to the stakeholders.
  • UltiPro provides up to date information for managers to make informed decisions regarding pay increases and/or promotions.
  • I believe the customer service that UlitPro staff provides is outstanding
  • Any improvements that I'd like to see seem to be in the development stages already.
We have a more difficult time with our employees that are not very familiar with computers.

It is our USA HRIS system. Canada was currently using UltiPro too, but just migrated off UltiPro to go into Success Factors. We use it for onboarding, recruitment, performance management, payroll, benefits, BI. We offer "self serve" to our employees. Data entry is done in the field, and work flows are in place where Payroll is final approvers.
  • User Friendly - easy to use
  • Security and business roles are very easy to use and understandable
  • Reporting is great
  • Performance Management - Goals are not part of the process and that is a HUGE downfall. 40% of our managers do not put goals in for their employees because of this missing workflow piece. And also when employees are doing their review, the system does time out and they loose all comments.
  • Customer Service - admit it is getting better, but still is lacking. Turnaround times for responsiveness was horrible at one point. But, getting better.
I have worked with many HRIS systems and I do like UltiPro.

We use UltiPro from the beginning interaction with our candidates in the recruitment module and all the way through the life cycle of our employee until their termination.
  • Offering a user community where users can collaborate with other UltiPro customers. This really helps when you are looking for ideas or how others may handle a task or even a problem that you are running into.
  • They keep up to date with big/new regulations and laws coming into effect (PPACA, upcoming FLSA Exemption, etc.) and make it easy for the customer to adjust and get on the right track.
  • Continue to bring us new features based on customer feedback.
  • I wish their reporting was more of a dashboard approach where they put some standard reports with charts and graphs available with a click of button. They offer a lot of capabilities to build your own reports but it can really end up taking a lot of time to build a report.
  • Some of the tasks are not as streamlined as I think they should be. For example, when someone on our team processes a job change where the work location also changes, they have to first fill out the 'Change Job' function and then have to switch to go to another tab to change the employee's location. But it's just about switching tabs, the 'Change Job' function is effective dated and the work location will automatically post to the employee's history. This results in a current dated line item in the employee's history and then when the 'Change Job' gets approved with a date that is backdated (very common) the request would not go through due to a date in the history being greater than the date of the job change.
  • Their Org Charting feature is not very user friendly when trying to print or export to a workable format. (I hear they are working on this though! :)

UltiPro's payroll processing has been very smooth and never really had any issues. The Time and Attendance system is probably the most unliked for us, it is just difficult to administer and a lot of manual process to manage our PTO (a pro-rated balance for our mid year hires and for balance transfer rules at the end of the year.)

For the most part we are satisfied with all the other different modules that UtliPro provides us. There of course are a few things in some modules that don't work exactly how we would like it to but we have found ways to make work arounds or ways to adjust our process to fit what UltiPro provides. I'm liking what the future looks like for UltiPro and for all new features they are working on to further enhance their product.
