We currently have UltiPro implemented in the US and are working on implementing in Canada. We use Core HR and Payroll, Benefits, Performance Management, Recruiting, Onboarding, UTM, and Business Intelligence in the US today. All US employees have access to review and update personal information, review job history, enter timecards, review paychecks, review benefits information, submit a life event for benefits changes and, enter and update goals for Performance Management.
  • Benefits is one of our most used features. The life events are easy to set up. Life events and open enrollment assist the employees in the enrollment process by walking them through step-by-step. This helps make the process smooth and less stressful for our employees.
  • We use Recruitment and Onboarding in the US. The system has helped to streamline the process from posting jobs, to applicant, to hire, to employee.
  • UltiPro is a cloud based system that can be used anywhere that has wifi. This has enabled our employees to log in and review/update their personal data, review job history, review benefits, submit life events for benefits changes, enter timecards, enter goals and update for performance management, and review and print paycheck history. It can be accessed on a mobile device too.
  • "Things I Can Do" and "Quick Tours and Tips" are just a click away for all users. This is a great feature to help the end user.
  • We would love the ability to approve timecards from the mobile feature or via email. We currently have to log in to the full website on the mobile device or iPad so at least there is a work around if we are not at a computer.
  • Spell check would be great in the Performance Management area. I typically type my responses in a different application to spell/grammar check then copy paste as a work around. Having the ability within the application would be a bonus.
  • The timecard approval notification doesn't list the period that needs to be approved. It would be nice to have it in the email or link directly to that timecard.
UltiPro offers a full suite to meet HR/Payroll needs. We have the ability to house all information for an employee from applicant to employee including performance information, benefits, and more. Having this information in one place is a plus!

We implemented HR, Payroll, Recruiting & Onboarding and Benefits Open Enrollment and Life Events. It is being used by mainly HR and Payroll but we also have employee self-service so that employees are able to view their pay stubs and update personal information as well as tax and direct deposit. It helped us go almost paperless in Payroll and has allowed more visibility to employees of their information as well as managers.
  • It is super intuitive so non-tech savy people can use it very easily
  • The reporting is great.
  • They are always improving and enhancing the product.
  • Their people are GREAT!
  • Benefits Module - Especially Life insurance limitations to setup - Rounding rules do not work in OE.
  • Recruiting Module has some gaps that could be filled. Ultimate is working to improve the Recruiting module.
  • Training - Web courses are very lengthy. Would be nice to have them split into 2 hour blocks because it is difficult to block 4 hours at a time.
It is a great Payroll and HRIS system. There are some limitations in regards to Benefits so if a company has complicated benefit plans, UltiPro might not be the answer without a lot of customization. The Recruiting module is getting better but was much lacking when we first went live about a year ago.

We used Ultipro during our company's start-up phase. It was a legacy system in place and in use by our parent company at the time our company was set up as a joint venture. We were very pleased with the functionality of the system; however, when we decided to disengage from the parent company's shared services, Ultipro was no longer able to support our company's needs due to the size of headcount (75 employees at the time). There was a minimum number of records Ultipro needed to support before we could subscribe, unfortunately we did not meet that threshhold. As such, we had use a different HR platform.
  • Reports: The platform was functional for our reports and data management needs.
  • Compliance and updates. I felt the platform was maintained and updated on a regular basis to ensure compliance with payday and taxation changes.
  • Portability: The platform was easy to use for any computer in any location. It was easy to work from home without any added security.
  • Reports. The platform was very robust in reporting, but sometimes pulling a simple report required [more effort].
In our case, Ultipro was not able to support our company's requirement due to having less than 200 employees.

We use UltiPro throughout our organization, creating a self service system for our managers and associates. UltiPro has allowed us to automate most of our HR function throughout the organization and is helping us move to becoming "paperless". Managers and associates have real time information at their fingertips.
  • Life Events/Open Enrollment - creates a seamless process for our associates to enroll in benefits - one stop process to connect directly to our vendors.
  • Performance Review - Creates a paperless performance review process
  • Recruitment - Ease of use for both applicant and hiring manager
  • Training - would like to see other training besides webinars for mid-market companies
UltiPro is a perfect solution for organizations who want to create a self service HR process for their managers and associates.

We use the Ultipro Software suite to support the core HR, Payroll, Succession Planning, and Performance Management processes.
  • Integration is a key component that links the various modules – eliminating repetition and enhancing efficiency.
  • The product works extremely well for mid-sized companies. The total cost of ownership is extremely reasonable.
  • Initially, as Ultimate was growing at an extremely fast rate, it was difficult for the support arm to keep up with all the new functionality. This is no longer the case and customer support is robust.
  • Perhaps, more quickly adopting user recommended functionality enhancements.
Ultipro is extremely functional and effective for mid-sized organizations. It is intuitive to use and quickly implemented without monumental hassle. Very large companies that have unique requirements may have unmet needs, but my organization has not found that to be the case.

My company uses UltiPro to process PTO for salaried and hourly employees using a time clock. There appear to be additional features within the application such as compensation planning, talent management, and open enrollment, however, my company has decided to use other software providers for these functions.
  • I can't even think of one. I really do not like using the software and find it very clunky and not user friendly.
  • Too many clicks to approve employees time off.
  • Too much information within 1 screen
I'm sure my company selected Ultipro based on cost, other than that, I can't imagine why other users would like this software. I guess it gets the job done but without any bells and whistles.

Bethesda has implemented multiple functionalities of Ultimate Software since September 14, 2014. We began the implementation in February 2014 and have just finished with the last module for Performance Management and concurrently Benefit Open Enrollment. We also use Recruitment, Onboarding, HR/Payroll, UTA, and Compensation Management. It is used across the entire organization. We did not have a complete suite of modules to support all aspects of HR until this implementation. Much of our work was done manually on paper or at best on spreadsheets. It has empowered users to take care of their own changes and business situations related to HR.
  • This is a very user friendly software, with many people figuring out how to perform actions with little or no instruction.
  • It is very logical in sequence of events and leads the user through the process they are attempting to accomplish
  • It allows many actions which were previously manual to now be automated, eg. benefit enrollment, address changes, tax changes, etc.
  • We sometimes have to pay an employee retroactively and the software does not allow for that to be completely automated. We have created a workaround to give the retroactive pay but it needs to be automated within UltiPro.
  • Customer service is good but always a work in progress to ensure that it continues to be good. This company is growing so rapidly that it will continue to be a challenge to ensure issues are resolved as quickly as possible. Their service model will need to be continuously modified. Human interaction is critical to ensure cases are not prematurely closed or misguided.
  • Garnishments are priority based not date based which can be problematic. The choice for either way should be an option.
  • Recruitment and onboarding need to be completely integrated to reduce any redundancy.
For a company that did not previously have many automated features, this is a great solution. It also appears to be flexible for us as we grow as a company. The business intelligence capabilities will be very valuable as we learn more about the functionality. If a company does not want this much support or automation, it would not be appropriate.

Key questions to ask: flexibility with pay practices? What kind of support and training are provided? What kind of analytics are available?

UltiPro is used across the entire organization for HRIS and payroll. It's also used for recruiting and onboarding. It helps consolidate data and moved our payroll processing internally.
  • Most all data within Core - recruiting and onboarding not yet.
  • Visual display for exempt employees.
  • Access to data via BI.
  • Creating of own interfaces including adjustments/changes to what is currently in place all done by the customer.
  • Hoping the new recruiting and onboarding solutions resolves some of the issues with the current versions.
  • 401k tracking for limits - we had to customize, this should be available in the core product.
We have found the service request process to be not as effective as it could be. We have to work with developers, provide SQL, escalate on timing of project completion due to limited developer resources.

UltiPro is our human resources management and payroll system for supporting our workforce. We utilize HR Core, Benefits Administration and Talent Management. It is also our producer of HR analytics and reporting for the organization. Prior to UltiPro, we had no system of record for HR data, which created a challenge for providing data to senior management. With UltiPro, our employees and managers have real-time, any time access to HR data, including pay statements, time management and personal information.
  • UltiPro was easy to implement - less than 3 months for 200 employees!
  • UltiPro is easy to use and well received by our employees.
  • UltiPro Business Intelligence tools are intuitive and provide tremendous value.
I have implemented UltiPro for two uniquely different companies, one for 18,000 employees and one for 200 employees. UltiPro is uniquely created to handle companies of all shapes and sizes!

We use recruiting, UltiPro Time Management, and BI but do not use benefits. We currently struggle because mid market customers cannot import benefits. We need to manually key these in. We are also struggling with getting the system to preform at its full potential. Need to build a product road map with my customer success MGR.
  • Core is very user friendly.
  • Payroll is simple and easy to use/understand.
  • Love Cognos capabilities.
  • Good canned reports.
  • UltiPro Time Management (UTM) - Not user friendly and hard for end user to navigate.
  • When creating custom fields, those fields should flow through the entire platform.
  • Need better service/better partnership building so customer service could really understand my needs and goals.
UltiPro is a strongly desired system with lots of good opportunity but there is definitely room for improvement. I wish mid market customers had more cabaility to do things on their own without always having to involve account managers.

Ultipro is used as our core HRIS program in addition to providing solutions regarding performance management, succession management, compensation management, onboarding, recruitment, employee self service, business intelligence, and data integration. It is utilized by our entire organization and we have multiple administrative end users as well.
  • Performance Management - easy to use/administer and has bolstered our organizations focus on goal setting and strategic alignment
  • Business Intelligence - although predominately managed through self service, once the needed skill set is acquired, any type of report/metric is available. Very diverse environment, and you will never have to pay for complex reports as long as you are willing to roll up your sleeves
  • Employee Self Service - goes beyond traditional self service web portals and not only provides a user friendly environment to casual participants, but it is highly customizable. Internal branding is always important and Ultimate got it right.
  • Data integration with third party vendors - Ultimate continues to improve and expand on this area, and I don't have in depth knowledge of what other HRIS vendors provide in this area, but this process is typically associated with a paid service request. Again, Ultimate is constantly improving and I foresee this changing in time.
  • Capturing diverse reporting relationships - Basic security and numerous modules are based off of 'Supervisor' information. However, this is not a dynamic field and users only have the ability to select one supervisor. As organizations continue to have increasingly complex reporting relationships, this is not always ideal. A tough problem to fix from a security perspective, especially when considering module functionality, but something Ultimate should address long term.
  • Proxy Access - currently unavailable which makes trouble shooting certain issues more onerous.
Ultimate is the perfect solution for most environments. With the newly developed Onboarding and Recruiting modules (V14), all software has been developed by Ultimate and syncs well with their core HRIS (unlike other vendors who purchase products then mash them into their core - often poorly). Ultimate may not be appropriate for extremely large, global and dynamic organizations. That being said, I'm sure they could make it work if the right resources are allocated.

We currently use UltiPro as our system of record and payroll processing. We export data to AD and I am looking to expand into Recruitment/Onboarding Products.
  • Care for their customers(Customer Support)- When I reach out to my account manager she is always available to listen and retrieve resources to help me with any road blocks.
  • Innovate- Ultimate Software is always on the leading edge of what is out there! I can always be confident that they are looking to the future to support my growing organization with me.
  • Inform- Ultimate software is great at communicating with their customers changes and updates.
  • Training and Tools- The Ulti University team is amazing with the availability of training and resources for the product and always looking to make my experience more exceptional.
  • Payment Services-Sometimes I feel lost in the direction I need to go with a particular issue and its hard to tell whether it is a customer actionable item or a Ultimate actionable item.
  • CSM's/ERM's- I know that the squeaky wheel gets the oil. Until I registered for Connections I had not heard from my CSM or ERM. I dont think that the contact should only be when I have an issue. I loooove this product and want to evangelize Ultimate!
  • Imports- I would like to be able to import my own data and do mass updates.
I believe large or small every organization can benefit from using a cutting edge HCM software. It is important to be prepared upfront with how you want your data organized in the system. Meet with your peers and have discussions. You may be spending time up front but it will pay off in the long run!

Our company uses UltiPro to manage all of our departments and contracts. We use it for payroll but we do not use their timekeeping system. Through the use of the optional modules (recruiting and onboarding), we have the entire employee life cycle automated with UltiPro. We chose UltiPro because of their level of support and because it allowed us to integrate all our HRIS functions in one system. We had been using multiple systems to manage the same functions, and that became an operational challenge for us, with interoperability and support.
  • The implementation team is amazing in coordinating the transition from a legacy system. There is a well-developed implementation plan.
  • Ultimate becomes a partner with you in your work and they are always interested in how they can support you. They have continually refined and improved their support model.
  • They are committed to making UltiPro interoperable with other systems. Their latest project has been a relationship with Informatica to make integration a user-achievable goal.
  • Product updates are driven my customer response. They have a voting system for requested changes. Twice a year, the product receives a significant update. Not all customer requests are implemented each cycle, but they do evaluate them.
  • One area is already being addressed is the interfaces of the optional recruiting and onboarding modules. These are currently products not developed by Ultimate, so the operation is not standard across them. However, they are bringing these products in-house.
  • We just went through open enrollment, so this is foremost in my mind at the moment - open enrollment sessions are difficult to configure and copy from a prior year.
  • It would be great to have a sandbox for testing. Such an environment is available, but the commitment is for a year and the price is somewhat high. Barring access to a sandbox, extending testing capabilities to other program areas would be useful.
UltiPro is well suited as an integrated environment. Consider the timing of the conversion effort to make sure that your company has internal resources sufficient for the effort and that it integrates with your financial year. Decide if you want to purchase the optional products and consider the timing for the deployment of them in your project plan. Consider your potential growth in planning for the implementation and the cost.

We use UltiPro's Payroll, Time Management, Benefits, Talent Management, Salary Planning, and Career Development. It is used as our hire to termination Human Resources Information System.
  • Benefits are handled extremely well. Easy access for employees to complete their enrollment.
  • Payroll is also handled very well. Easy pay, W-2, and changing of tax exemptions is seamless.
  • Salary planning is also a good process. No problems there.
  • If you are to be a hire to retire system for smaller companies, I would like to see less integration with other companies to make sure UltiPro's system does what we need it to do, (i.e. for example, hiring CERTPOINT to integrate a more robust training module).
  • BI still makes me feel like I have to be a system analyst to pull reports, not user friendly.

UltiPro is our current HRM system. The system is used by our HR department primarily with access granted to managers and staff. We are in the process of implementing the Time Management Module, and the Recruiting and Onboarding Module. The purpose is to house all of our processes in one system making reporting easier. As we enter the age of BIG DATA, HR is looked to for more than just [being] the compliance and rules and regulations department. They are looked at more as a business partner. UltiPro helps us leverage our data and have an impact on business decisions.
  • UltiPro provides excellent client service. Their account executives are dedicated to their accounts and are ready to help at a moment's notice. This is primary for me because no matter how great a system is, if the people supporting it are not as great, that system fails. The company lives their mantra of " People First".
  • The UltiPro system to a large degree allows me to configure the system to meet most of my needs. The ability to control what I want the system to accomplish and how I want that task accomplished is very important. Many different demands are made by various departments and having the ability to configure the system to accomplish that task is invaluable in having the HR department serve as a Business Partner
  • The reporting capabilities of UltiPro and the ability to create specialized reports to fit the company's needs is also something that UltiPro does very well.
  • The recent upgrade with the mass update capabilities has proven to be of great help. A dynamic company such as ours needs the ability to make the changes as the needs of the business suggest.
  • UltiPro's limitations are there. For example the system does not have a way to enter and track corrective actions, and I think that is very important data to monitor especially as it relates to performance management.
  • The Mass Update feature should apply to more than just the Supervisor change because there are other group changes that need to be made that would be easier if done as a mass update.
  • I would love to see the system have SMS capabilities so that we can communicate with all of our staff via text message regarding different issues that they need to be aware of. This is especially true since we have a lot of employees who are constantly on the road.
With the advancement in technology, I don't believe a company should settle when it comes to competitive advantage. If you envision what you want the system to do, you should not compromise. My recommendation is to know exactly what you want the system to do for you and how you want it to accomplish that task and ask for that. The limitations that the system has are not insurmountable for Ultimate, they don't add to the system what people don't ask for. I think the Ultimate model is sound by putting in only what the clients ask for, but I would like them to take a more Steve Jobs approach by giving the clients something they did not even think they needed.

UltiPro is used by our whole company for HR and payroll purposes. It allows employees to log in individually and see all aspects of his/her employment records.
  • Functionality. Ultipro succeeds very well at permitting complex setups to work consistently. This shows a high level of programming skill.
  • Customer Service. I've dealt with many software companies in the past. Ultipro has the best.
  • Documentation. With so many things that can be accomplished comes a great need for learning materials. And Ultipro offers them.
  • The overall look. Ultipro is not a painted rocking horse. It offers very little bling. But I prefer function over form every time any way.
  • Its look prohibits intuitive learning. With so many possibilities (ways that companies can create different setups), knowing where to go, how and why things work, takes education. You have to want to learn. If you have users that just want to wait for someone to instruct them, it's going to be a hard road...
  • Training materials often tend toward where to go to do something rather than the how it functions with the rest of the system.
Customer service is fast and well educated on the software. I always get a friendly voice on the phone or through email that is helpful.

Ultipro is being used across our organization for over 130 facilities for payroll. Ultipro has helped us standardize our payroll and bring it in house, as opposed to having it done in the field, where costly mistakes can occur.
  • Payroll. Ultipro has the flexibility you need to get your payroll done.
  • Importing benefit files. UltiPro makes it particularly easy to bring in files from your 401K and health and welfare providers.
  • Importing Time Files.
  • SUPPORT! Their support is top notch. We've had year end issues as new users and their customer service reps worked many long hours to help us complete our year end in a timely manner and correctly.
  • The year end process could be a little more user friendly.
  • Tax reconciliation can also be a bit more user friendly. Best practices for that functionality is not explained very well at all.
  • Some of the front end imports could use more user functionality. We do a lot of conversions. Being able to do a direct deposit stand alone import would be great. We've asked but so far have not recieved that functionality.
Ultipro is suited for anyone who wants a very versatile payroll system.

We are using Ultipro's payroll system and On Boarding and Open Enrollment modules. We have 539 Employees to keep track of in the HR and Payroll departments and the ability to push the constant EE status changes onto the EE's themselves has been a great time saver for our company. The org levels and ability to implement rate increases and reviews thru this program are wonderful. The BI has been amazing for us to pull all the information we need for staff, board and manager meetings along with budgeting and salary planning.
  • Payroll is made Easy with Ultipro, Minimal steps, time import is a snap.
  • Reporting is amazing. You can make any report necessary for your business from the Senior management level to the supervisor levels.
  • Organization is great with Ultipro. The ability for Employees to make status changes on their own is a great time saver.
  • Fund accounting with multiple jobs and multiple rates with the same employee. We had a very hard time getting this set up and getting the GL entry to book correctly to our financial software
Salary and Planning have been disappointing to us. We were expecting this module to have a full budgeting aspect to it and it does not.

We use UltiPro for the payroll and benefit administration for all US payroll. We use the back office for payroll entry currently and process on the web.
  • Benefit selection is very easy.
  • Pay Data entry is easy to move around.
  • Employee Self Service through SaaS is great.
  • Reports need to be upgraded.
  • Looking at the employee's check through the back office is difficult.
  • We are unable to process non-taxable earnings though the payroll and NOT have deductions taken.
