We currently use Ultipro as our total HR and Payroll system. We use the ESS and MSS on a daily basis to give our employees access to information that they would normally come directly to either HR or Payroll for. We have the eRecruit, Talent Management, UTA and other modules that help to improve our internal business processes. This is the first year that we are doing our midyear reviews online, where the employees have a self-assessment and then sends the review to his/her immediate supervisor for completion. We are very excited about this and the paper it will save us from printing these reviews and then having to file them in each individual personnel file.
  • Business Intelligence Reporting
  • Benefits Open Enrollment/Life Events
  • Employee/Management Self-Service
  • Overall HR and Payroll Processing - very intuitive
  • On the reporting side, I would love to see more training around joins and unions. I build a lot of complex reports and have had to engage the services of a BI Consultant through knowledge transfer sessions. This can become costly over time.
  • I would like for us to move to Onboarding, we don't use this functionality right now because we don't have enough staff for the implementation at the present time.
  • I would like to throw Position Management out of the window. I hate it. We have made the decision to move to Labor Allocations, but again due to staffing constraints this has been put on the back burner. I did meet a vendor at the Conference who can assist us with making this transition. Looking forward to getting it done in the near future.
My only recommendation to a potential client is that all the necessary key players are at the table from the start. It takes everyone working together to make the implementation a success!

We use UltiPro globally as the central data source for our Employees, as well as for Performance Management. Within the US and Canada, we also use UltiPro for Payroll and Benefits Administration.
  • Customer Service representatives are responsive and always professional.
  • The Open Enrollment has great customization - for example, we can add healthcare provider logos and really make it as easy as possible for users to understand what they are selecting. We have had a great experience with the OE module.
  • Compliance modules such as ACA make it so much easier for us to stay on top of all the US requirements for compliance.
  • The UX is clunky and inconsistent.
  • There are multitudes of browser issues with UltiPro. The site isn't optimized for Chrome, and as a Google Suite enterprise that is very problematic for us.
  • Customer Service representatives are not knowledgeable about their product. They will spend time on the phone with us with no solution (it's really like a brainstorming session), and we get conflicting information from different reps.
  • There are so many functionality limitations, particularly in the Performance Management module.
UltiPro is well suited as a rather simple HRIS, where we mostly just need the data storage and benefits admin. Would not be appropriate if we needed to use it as a one stop shop for ATS, Performance Management, Global payroll, etc. because it doesn't have all of that functionality or doesn't work very well yet. Users of UltiPro need to have some HRIS experience or technical savvy, because the Customer Service reps won't be able to solve everything for us, and integrations/tax pieces are very manual and burden is put on the client.

UltiPro is being used throughout our organization. We replaced another HRIS with UltiPro and have consolidated other vendors and applications into one umbrella. Employees now have self-service, can view pay statements and enter timesheets and conduct open enrollment all in one easy to use single-sign on portal. The Business Intelligence (BI) is robust and allows us to create reports for data analysis.
  • Training - free training for all - we utilized this during the implementation and continue to use it for new hires in HR and also as responsibilities evolve for the HR and Payroll staff who support UltiPro.
  • User community groups/ support - UltiPro encourages user to talk to each other and facilitates that for us. We can exchange ideas, discuss how to tackle an implementation, even share the report structure from BI.
  • Flexibility - we have been able to adapt our needs to a more standard approach, eliminate feeds between different software packages, reduce IT support and move HR and Payroll away from processing paper.
  • Payroll processing is faster, within minutes we have the preview report and can make changes on our own quickly and rerun the process if needed.
  • No more importing benefit deductions from a third party vendor and then making edits for events that occurred between the file generation and the import.
  • The benefits module needs some improvement, it can be cumbersome to program. Our programs require customization for biometric screening options.
  • Onboarding has been improved, we took a step back when we moved from the prior onboarding vendor to UltiPro, having the ability to customize the experience based on job code or some other such category would be helpful, we have had to add manual steps to work around what we no longer have.
  • Implementation of some of the modules - we had some good project leaders from Ultimate or a third party, but more project planning needs to be provided to the customer in advance. Some of the key contact clearly were spread too thin or had been assigned to a new account during our implementation to the point they were hard to contact.
Our company did not make this change in HRIS quickly, it was years of due diligence and examination of the options available in the market place. For us, it was the right choice, still is the right choice. Their conferences are wonderful, full of information, networking. The process for support, learning, and for issues works very well. We had been with our prior vendor for 20 years and had evolved through different HRIS with them. They were no longer able to meet our needs at a competitive price. The ability to bring multiple HR, training, and payroll needs into one software solution was the most appealing. Our employees and management have embraced it thoroughly.

  • The company is constantly growing to meet customer demands. Each release brings improvements to the software.
  • Our business is very complex, so we occasionally struggle with configuration for the multiple lines of business we manage.
Having a strong understanding of the capabilities at implementation is key. There were areas that we set up at implementation that were not properly utilized or set up that have impacted us in the long term.

We are planning to roll it out to the entire organization, globally. We went live with payroll and HR on December 22, 2014 in the US and Canada. UTM is used in the US only. Globally, China, Peru, Colombia, and Bangladesh employee data only data is entered by Canada HR but will be rolled out to those countries later this year.

UltiPro is also used for:

  • Employee and manager information accessibility.
  • Employee and manager self service, workflow implementation and workforce dashboard.
  • Easy to navigate for users and administrators.
  • Integrated with payroll and HR on a single platform.
  • Streamlines processes.
  • Corporate policies and/or Handbook acknowledgments. Our company requires each employee annually to acknowledge receipt of the updated corporate policies or handbooks.
  • Ability to attach PDF job descriptions for promotions.

Ultipro is being used as the main software by our company. All employee information as well as payroll is used in Ultimate. Our employees each have a log in with Ultimate so that they can view their profile information, make any changes (address, direct deposit etc.), and view their pay stubs.
  • Great 'quick tours' that are very helpful to learn things you are unsure on how to do in the system.
  • All information is in the system and we can run payroll in the same system. Many other software/companies sometimes need to use two different software.
  • E-mails get set frequently on the new updates that Ultimate Software provides.
  • Our company backdates a lot of changes in the system. It would be nice to go back and put in a date that has passed without getting an 'exception'. Right now we need to put in a case for it.
  • To delete a mistake. For example, salary history and job update, if it is a mistake we would like to delete it from the history section so we don't get confused in the future as well as employees. Right now we need to put in a case. Relating to the whole 'backdating' note above.
  • Ability to create multiple profile accounts by ourselves. Due to us having a union, we need two active accounts for some of our pilots and we are unable to add ourselves.
Ultipro is a great software that can work with your company specifically to meet its needs. Our payroll is very complex, and Ultimate was able to accomplish and get many things set up for us that another software might have a hard time doing. For example - we have daily, salary, and hourly employees. Our daily employees are paid on a different pay scale. Ultimate was able to set up a specific pay structure for those employees.

UltiPro software is used for payroll and HR, and covers all of our domestic employees. We use an interface to another software for timekeeping, and to our ERP for general ledger downloads. It has provided structure across different departments and different payroll personnel, and eliminated most manual calculations or various listings we previously kept. It is easy to use, easy to train others. Set up for new departments, companies, and people is easy and can be set up to use wizards as a training tool. Our original cut over from a previous software was not complicated.
  • Ease of use - tree format is set up in a manner that is intuitive, and access is available to data in multiple ways.
  • Ease of set up - Payroll takes responsibility for setting up most new codes and departments, etc. Again, very easy to set up anything in the fields you need.
  • Report writing - payroll reports are generally set up well and can be used as canned reports. HR reports are not as easy to manipulate or set up, but are not a problem if someone is familiar with report writing software like Cognos or Access.
  • Would love to have a few more customizable fields, or at least fields where we could change the names of the field, but not lose them with upgrades or lose the integrity of the report writing.
  • We need a strategic presentation, with a hands-on demonstration, of where we are under-utilizing the programs we have - without it being a sales pitch to buy another module.
We used it for +900 employees in six different states - worked quite well. As we have down-sized, it scales with us. Just released some international capabilities, and we may decide to move forward with that in 2016. There are clients with +5000 or more who use it, and it still is appropriate for larger sizes.

We use UltiPro companywide to assist employees with self management and managers with managing. Additionally we use it for payroll, performance, compensation, recruiting, onboarding, and more. We are using it to assist with meeting certain objectives in those areas. This product will not save you time or FTE but it will assist in reaching certain goals and objectives of HR and Senior Management.
  • Core HR is its strength. That is management of HR data to assist HR and Management.
  • Compensation Management is a great tool but works best when paired with performance management. It can be used as stand alone but has some integrated features that make using both advantageous.
  • Payroll works well and is much better supported than other features of Ultipro
  • Their ATS or recruiting module is really bad, especially for the price when compared with other options on the market. The on-boarding features make it bearable but there are some real issues with the questions library and posting and closing opportunities.
  • Their much touted customer service model struggles. We have only heard from our Account Manager one time in over a year and that is because we complained about it to several levels of people. Often it feels as though they want you to accept a resolution to a case before it is resolved so they can move on or their resolution is a partial solution but not one that really satisfies.
  • It feels similar with module implementations, sometimes 4 calls and you are on your own. That doesn't feel like a sincere interest in our success. No follow-up calls a few weeks later to make sure you got it and are ready to go. Once or twice I called asking follow-up questions right after a module implementation and they try to bill you for the help. Not cool.
An HRIS is well suited for most companies but smaller companies should be looking at products like Bamboo HR while those approaching 200 EE's should look at Kronos, UltiPro, Namely, etc. Then for very large companies there are products suited to your size and resources.

  • We are in the process of implementing Infor/CERTPOINT LMS and were sold on it's integration with UltiPro (which is also featured on UltiPro's Support Portal). During the implementation we experienced a lot of back and forth between the two providers; both blaming the other for not being knowledgeable about the specifics of the integration. It would be helpful if each group could have a better understanding of the integration. The back and forth resulted in significant delays in our implementation and added weeks to the project's overall timeframe.

UltiPro is used across our whole organization for our HRIS needs - recruiting, onboarding, open enrollment, talent management, etc.
  • Recruiting - great for managing all of our applicants.
  • Reporting - very easy to run a report and keep data organized.
  • Talent Management - the obsolete training tabs are very confusing to our users.
UltiPro is less appropriate for our field employees in the construction industry. I always suggest that employees utilize the product when they can, but it can be difficult on site.

We use it across the entire organization. All employees have access to various portals of UltiPro. We refer to it as the ER website. Our HR department is actually referred to as "Employee Resources". We use it to inform EEs about our benefits, job openings, and employee mgmt
  • The employee admin portal provides a wealth of information for each particular employee all in one place
  • The business intelligence portal allows for detailed reporting and is useful for our organization
  • The recruitment portal works very well for our organization and it allows employees to easily search for job openings and descriptions
  • We didn't elect the benefits portal because it did not meet the capabilities we needed. Mainly in benefits administation more so than metrics
  • The recruitment portal would be nice if it provided a match % of each candidate against the qualifications
It is suited for those who want to have a robust HRIS system that meets multiple needs. The business intelligence portal is helpful, if you know how to do the report writing involved. It's hard for a new user to get right off the bat.

UltiPro is used by our entire organization to provide access to payroll information (current and historical pay statements), enable direct deposit and/or allocation of those deposits across numerous financial institutions, and various benefits provided by the company including enrollment, life events and documentation required for any aspect of the benefit plan.
  • UltiPro enables a one-stop-shop for employees to gain payroll and benefit information.
  • Interface is user friendly and doesn't require a great deal of suppor in order to find the information you need.
  • Quick and easy organizational search for employee contact information.
  • I can honestly say that I have not uncovered any inefficiencies that should be improved.
UltiPro is well suited to an organization that needs a single place for their employees to go to find their pay stub and pay history, benefits, documentation etc. It literally is a one-stop-shop that makes it easy for the employee to find information they need and documentation they are required to complete.

Currently we went live on our Payroll side on January 1st. We already used Ultipro on the HRIS side. Since initially we did not implement both the HR and Payroll simultaneously we are encountering a few issues with the data exchange.
  • Business Intelligence: The reporting solution has been a key asset to our payroll/compensation dept and has streamlined many of our processes.
  • Back Office: User friendliness. Since launching on 1/1 without much training we were able to navigate with ease.
  • Business Intelligence: Scheduling reports has been a timesaver and allows us to safely secure and report data on a timely basis.
  • We currently are using the back office for our payroll module and are encountering tax issues based on the setup and cannot get accurate help or find a solution to our issues.
  • Back office canned reports...please provide tutorials on the reports available and variables to run them.
  • Requesting BI bootcamp many of the courses offered are often spread out and a little cumbersome.
BI: Prior to implementing our ultipro payroll we had the BI function for reporting which made it an easier transition to the back office.

We use UltiPro globally. We have offices in NC, DC, African countries, Latin American & Caribbean countries, India, West Bank/Gaza and Tajikistan.

We use UltiPro Payroll and Onboarding for the US. All of our offices use Core, Talent Management, Recruiting (newly implemented). We are now able to produce an accurate headcount globally and keep electronic performance reviews.
  • Independent training for end-users - there a quick tour or tip for every module. Users can schedule free training throughout the year without traveling to a facility.
  • Payroll administration for the US - Payroll admins have more control over the product.
  • Share ideas - Ultimate always welcomes suggestions for improvement . They've actually used some of my suggestions to make improvements.
  • Recruiting R14 - Recruiters should be able to delete requisitions that have not been posted to have applicants tied to them. In the applicant experience, applicants should be able to see all the skills at one time instead of one by one when "Discovering their Potential".
  • Global Core functionality should match that of the US (deleting job history entries).
  • Global Payroll needs to support more African countries. We have to use another company to interface with UltiPro. The feed will come from the company to UltiPro.
The Global functionalities still need work. They company makes improvements every day so I am confident that improvements will soon be made.

  • UltiPro Business Intelligence provides the ability for HR and managers to receive and digest data to gain a deeper understanding.
  • Employees enjoy the ease of navigating through the system.
  • Supervisors now have access to information about their team at the click of a button!
  • I'd like to see the Company Org Chart accessible from the Company tab rather than the Employee Admin tab.
UltiPro is a fit for a company of any size.

UltiPro is the system of record for all HR people management needs at BOK Financial.
  • UltiPro allows for configuration of processes to meet individual company needs.
  • UltiPro allows for online benefits enrollment through Open Enrollment and Life Events Sessions.
  • UltiPro allows for report development through Business Intelligence/Cognos reporting.
  • The Organization Chart could be more user-friendly by having a download functionality.
  • Need more pages of UltiPro to be configurable through platform configuration.
  • Need the ability to copy and delete sessions in Open Enrollment and Life Events.

We are using UltiPro's Core HR processes including Recruitment and Onboarding. It provides daily notification report information to members in other functional areas to help them be aware of HR related changes that affect how they might service members.
  • Core processing for Human Resources processes is fairly solid. The ability to add approvers and observers to the processes allows for finer grained control without the need to be particularly worried about bad data entering the system.
  • The Business Intelligence Cognos platform is very powerful and is able to provide information in multiple formats and in timely fashion.
  • The integration between the Recruitment, Onboarding and Core systems is sorely lacking. I know this area is marked for improvement.
  • The security configuration options in Recruitment and Onboarding don't allow for the same level of record level control as in Core.
  • The inability to effectively perform some tasks in the web portal vs. in back office is frustrating.
Does the sales process show all aspects of the product? I don't believe that during the sales process we were even aware of the BackOffice product and we were surprised to learn of its existence when we were first configured to login into the system.

The product is used for payroll processing in the US and Canada. Back office is for all of your imports and exports. The web is for payroll processing, Employee self service and UTA. Fujitsu has 17 component companies with three of them not using UTA. The only issues I see is at 5 pm central the web product slows down. Hard to process payroll with the issue. In speaking to other customers at Connections 2014, this was a complaint as well.
  • Handles Multi-state taxation
  • Payroll process is simpler
  • UTA needs to be more flexible. Looking forward to the upgrade.
  • W2 process is simple
  • SaaS needs to be faster.
  • More communication when service is interrupted.
  • The web needs to have the same functionality as back office.
  • Updates should be beta tested by customers first. There has been instances it changes integration.

We use UltiPro for all our human resources needs. We start with Recruiting, Onboarding, Core and Payroll as well as Performance Management. We also use it for Open Enrollment. Our work transactions are completed through the system as well.
  • The Recruitment and Onboarding modules are strong and they certainly help our new hires assimilate better to Berkeley.
  • The Open Enrollment module has been strong and has definitely eased our paperwork.
  • Self Service has been strong for us as it has made our associates more self aware of their benefits.
  • The Performance Management module can be confusing at times and does not always "talk" well to the other modules. The averages of ratings can also be difficult if one of the rating is N/A.
The Performance Management system can be confusing for reviewers and the reviewee at times.

Right now we are using UltiPro basically for human resources and processing payroll and benefits. Last year we converted to SaaS and we want to expand our utilization to the whole company. We are in the process of extending the software to hiring managers, managers and eventually all of the employees. We have been using UltiPro for 15 years as a company for payroll processing and want to start using it in a greater capacity.
  • They keep up to date with all of the laws and updates in the ever changing world of payroll and human resources.
  • They are generally helpful in resolving problems and errors.
  • UltiPro does try to encompass a lot of the complexity of the HR/Payroll processes within their software.
  • They can be expensive and sometimes "nickel and dime" you for any little change.
  • In the past [we] had a lot of problems with upgrades, but now that we are on SaaS that problem has gotten better.
It is designed to take the process from the applications through to the hiring processes and eventually to the payroll system and benefits. They also have many "add on" products which I believe can be incorporated throughout the process, such as, Onboarding and Talent Management. Thus, I believe UltiPro's software could be utilized basically as far as the company would like to take it and ultimately depending on the company's resources.

UltiPro is used to manage employees. Employees and managers use self service. It is also used for time. We are having issues with Security profiles, workflows and the way the system was implemented about five years ago that doesn't seem to meet our business needs now. We need to do a complete review of how we can make the system work better for us. We need training help to make sure we know the system.
  • Able to access anywhere. Multi locations within our business.
  • First opening page is great for messages to employees and is easy to use and change.
  • The product is easy to use for someone with little computer skills.
  • Benefits - need to streamline so that the plans drive what the deduction should be. Not the other way around. A one page summary of benefits is needed on an employee page with plan, level of cover, amounts elected and payroll deduction (costs)
  • Performance Management - needs to be more flexible - Goals and Competencies should follow the employee so that the new manager can review the past goals if the employee transferred mid year.
  • Benefit calculations for life amounts and disability coverage should be easily accessed.
  • Customer Service - getting an answer right away with a phone call instead of having to wait and put in a ticket and then have to wait again until someone with the expertise can call back with knowledge.
  • Product Development seems to be a priority - but sometimes when one thing is upgraded it effects something else and was not tested enough.
