VanillaSoft is used as a management tool for prospective students. It addresses any "lags" in new leads, meaning it automatically populates the next lead for each admissions person. We also utilize text messaging, along with appointments to help organize the leads. They are automatically put into recirculation as needed.

This software is extremely helpful in sales and well-integrated into the world of college admissions. The streamlined process in which leads are maintained and worked is very user-friendly. I've been utilizing VanillaSoft for 4 years now at my job in sales for major arts organizations in Southern California. VanillaSoft provides an excellent interface for phone work. It makes important data visible and accessible, with useful fills to organize contacts. VanillaSoft allows our company to manage multiple campaigns at one time while keeping data from each campaign searchable and active. I am impressed by the advanced search capabilities that can pull up contacts from every campaign ever created in our system. Furthermore, with one click from the stats page, we can create reports to pull up sales records daily, weekly, monthly, and for all time. Vanilla soft records all phone calls made with time, date and notes easy to view on the contact page. It also allows us to place our contacts' buying history right next to the contact information for easy viewing while making calls. Administrators can create fields for users to fill in sales details, auto-sum pricing and load into a printable pdf. We can also easily print mailing labels from the contact page. Lastly, users can sign in online to access campaigns from multiple locations. I consider VanillaSoft the ideal platform for sales success.

All sales agents use VanillaSoft on a daily basis within the organization. Our managers, directors, including myself as the CSO of Live Rich Closing utilize the incredible customizable reporting and dashboards to manage sales performance across our multiple marketing channels for our clients. Rather than just the one department of sales, our entire organization utilizes the platform due to how clearly you can utilize the result codes and sort out the high-performers from the bottom-tier agents. The business problem this addresses for an organization like ours with 30+ agents is communication. We are a fully virtual team so it is critical to have access to call recordings and dial records from a daily, weekly and monthly standpoint in order to make the most money for our clients.

Easily the best customer service. We were pleased by our account manager, Chase, who helped us every step of the way to integrate our current systems with VanillaSoft to ensure the team was informed on a smooth transition with VanillaSoft. There was one particular situation where Chase was able to help us with an integration issue with an extremely short turnaround time to find a solution. This enabled the entire sales team to get back on the phone and enroll more customers for our client's products rather than losing money!

It is used across the organization to track contacts, organize a database of recruits, schedule, call, and send mails for market research recruiting. It combines different samples in an easy to use format seamlessly combines different groups in one stream of contacts to use for market research purposes. The classification enables accurate resolution codes for all participants to follow easily.

Ease of use calling a contact when using VanillaSoft Connect. Voicemail Drop feature is particularly effective. Scheduling follow ups is easy and effective. This application encourages teamwork through the notes section that is visible for each contact. Follow up made easy with the scheduling function when resolving a call.

It probably could use some beefing up in the Notes area for more in-depth information to be captured.

VanillaSoft is used by the Bucknell student-calling program for managing the university's alumni information and giving records. It is being used by that department to address the problem of repeatedly calling alumni, disorganized record keeping, and call marking for research and managing alumni relationships / collecting alumni/parent feedback effectively. It is also used to manage credit-card versus pledge-letter funds and keeping an accurate record of conversations had with alumni/parents.
  • There are many accurate explanation options for why a call must be researched, which helps managers resolve issues effectively. There are also a lot of valuable resources available as in scripts and the ability to send more information--these tools really come in handy.
  • The option to write comments for calls and general notes gives me the opportunity to thoroughly explain and clarify what went well in the call, or what went wrong as to why someone did not give. This reduces discrepancies between managers and callers and highlights achievements as well as areas for improvement--helps in training.
  • After I choose a number to call, I have to double-click a white confirmation button in the top, center of the screen to go through to the call itself. This step is tedious and a hassle when I am trying to call as many contacts as possible.
  • I do not understand why I have to double-comment when there is a badge for something like "no number" on the right-hand side. Why can't I just click that and move on? Why do I have to also comment "no number"?
VanillaSoft is well suited for CRM for a university because we have the ability to alter notes about the parents and alumni in real time, which saves the supervisors time and ensures that the next time the prospect is called the caller has fresh information to go on and can have a more meaningful conversation / demonstrate that we are invested in knowing more about them. We can even see the activities they were involved with while they were a student here, which leads to a lot of commonalities in conversation.

We are calling alumni of our college and asking if they would like to make a donation to the campus. It is being used by all callers. There aren’t any problems I have seen but my supervisor every shift has to reset our phone numbers and voicemails to the correct person. Meaning, when each individual logs in, it has to be reset.

It is well suited for large organizations such as my school. Many hundreds of phone calls are made every night. Compared to the previous vendor, this one is so much better! It allows callers on the phone to have everything they might need to help make the call go great.

VanillaSoft is used by the Sales department only. One of the problems I have solved with VanillaSoft is that cold callers are able to get through the leads a lot quicker than other systems. This allows more leads to be called on. Another problem that was solved is the idea of having to go back and forth to send emails or make calls. With VanillaSoft everything can be done from the system without having to switch tabs. It even allows us to view a script to help during the calling process. This system also allows you to view a dashboard of all your callers to help see the progress of each team member.

  • The system is 'buggy'. It freezes sometimes.
  • You have to hit save several times for information to update on occasions.
VanillaSoft is well suited for the call center environment. I believe that it would be best to use if you have multiple people making calls. It would probably not work well with organizations in which there is only one caller. Also, this is more ideal for the sales/cold-call/ call center. I was unable to source from this system but entering new leads was not difficult.

VanillaSoft is being used by the Admissions Department only. It is an excellent time management tool. It keeps the team organized and on top of things when used properly. We absolutely love it. We see our appointments and all the prospects we need to follow-up with. All of our activity is in front of us.

  • There were lots of changes made initially to accommodate our environment.
I would recommend this product to anyone that has to reach out to people on a daily basis. The autodialer is an excellent tool for anyone in sales that has to make a lot of calls. Now we just pick up the phone and click on the prospects number and the system dials for us! This is a win, win. It is also great for those that are not organized!

VanillaSoft is being used to raise the contact, interview, enroll, and start percentages of leads for each of our campuses across the country. VanillaSoft helped create universal calling, texting, and emailing procedures for our campuses. VanillaSoft is currently being used by our Admissions department. We adopted VanillaSoft to become our CRM for prospective students so we have a clean student database.

VanillaSoft is being used by our organization to keep track of students that come into our campus whether they came to enroll in school or they came just to get information on the programs that we offer here at Fortis. It doesn't address any business problems it just helps use maintain our students and which representative they saw when they came in.

It is well suited when, as stated before, to keep track of students and their information when they come in to get information about the school or to enroll in the program of their choice. It would be better if we could just type in the first three letters of their first name and the first three letters of their last name in order to look them up.

It's used as a customer relationship management software, where we are able to contact our clients' leads through email, SMS, and VOIP. We are a sales agency so the entire sales team, up to 50 people, were using the software at any given time. The company was able to do huge volumes of outbound dialing thanks to VanillaSoft's easy to use software.

I'd recommend VanillaSoft for any organization requiring high volumes of outbound dialing. Also, it would be well suited for sales agencies that are managing a significant amount of clients' leads with various projects. We use it to take inbound leads and customize their profile. We can send emails, text messages, and respond and view their interactions with us. Store it seems like an unlimited amount of information about the client. You can customize the information needed to keep the client's information and what is really nice is the ability to have it auto-populate as soon as the lead is transferred in.

VanillaSoft is an excellent system to manage your prospects for appointment setting. It is very easy to use and I like the ability to see the time and date of prior calls and the notes of the conversation. New contacts and phone numbers can be added easily. It’s a great time-saving tool to use for appointment setting. If an issue arises, the help support staff resolves it quickly and is very courteous. The whole team uses VanillaSoft.

We use Vanilla Soft for sales. We have a group calling opt-in data contacts via Bria softphone VOIP that is integrated into Vanilla Soft. It keeps track of results and notations. The result codes change the next action needed or taken within each contact. We can pull reports and quickly identify issues and successes.

VanillaSoft is well suited for needs to identify different stages of client interaction and where they are in the process. More specifically, VanillaSoft is deployed in Bucknell University's student calling program, where students call alumni and parents to solicit them for donations to the University. VanillaSoft helps to address the problem of how to ensure organization and efficiency when calling thousands of alumni and parents each fiscal year.
  • From a caller's perspective, the VanillaSoft interface is rather easy to navigate.
  • VanillaSoft has many options to allow for detailed record-keeping of calls and individuals being called.
  • VanillaSoft, to my knowledge, does not have a function where you can record a voicemail that is automatically sent to individuals who do not pick up their phones.

VanillaSoft is being utilized as a calling software for fundraising initiatives at Bucknell University's Student Calling Program. It easily connects Bucknell's student callers with prospective donors and is a great software for capturing necessary data and results. The administrative back end is very user-friendly, and the end-user result is just as simple to use.
  • I believe VanillaSoft does a great job of being able to be customized for each individual account. It is largely used in sales but has recently started integrating with higher education institutions. Sales and higher ed fundraising are similar, but the language is very different. VanillaSoft does a great job of being able to fulfill all needs for any company needing to make customization quickly.
  • VanillaSoft has an amazing support team. Any questions, concerns, or issues are addressed immediately and continuously communicated.
  • VanillaSoft does a great job of continually working to improve its product from suggestions made to them. The company is always willing to listen to their customers.
  • I would like to see the routing filters (list builder) to be a little more visible in anticipating when prospects/leads will be coming to the front of the calling queue.
Higher education programs are a great scenario for VanillaSoft, and I highly recommend it for that case.

It is being used across the whole organization to help lead specialists to identify with their target, garner as much information as possible and deliver high quality leads to our clients. With it, we are able to track how individual callers are progressing and gives us much-needed analytics for our clients.

VanillaSoft is extremely suited for lead generation. All the information is right there, no fumbling around looking for the person's title or extension. The notes/comment field is great, I have ample room to write notes. On projects where I need to ask a lead questions, the worksheet is highly visible so I can't miss it.

VanillaSoft is well suited to leads coming into the software and being nurtured from raw enquiry to qualified lead to sale. It allows for lead flow and cross-selling opportunities. Along with automated emailing and trigger responses to promote highly engaged leads to the top of the flow. This is not a 360 call center solution.

My organization, SalesRoads, uses VanillaSoft as our CRM and SEP. It houses all of our leads' email addresses, phone numbers and direct extensions, addresses, notes, job titles... EVERYTHING! I cannot fathom the missed opportunities and lack of professionalism if we were without VanillaSoft. Simply put, this thing is the best.

To the best of my knowledge, my whole organization uses VanillaSoft. That is dozens of campaigns and probably over one hundred reps. Depending on the campaign, we all sync it to different programs. On my end, my VanillaSoft account is connected to MicroSIP (for the autodialer functions) and Pipedrive (for the client's perusal). As for what business problems this CRM/SEP addresses, I think there is only one word to sum it up best: organization. Without fantastic systems like VanillaSoft, any sales or management professional would be living a nightmare right out of Death Of A Salesman. Leveraging modern technology like this is an absolute imperative for success in 2020 and beyond. Thank you for making my work so easy, I do not see myself using another program ever again.

VanillaSoft is best used for tracking and leveraging leads. I would imagine it is less appropriate outside of a sales environment. I do not think it would be appropriate for the medical industry, for instance.

VanillaSoft is used by everyone in the office to manage contacts across multiple campaigns. It makes it incredibly easy to organize contacts, keep important notes and send e-mail and mailings and keep track of them! Integration with software like “RingCentral“ makes one-click dialing simple. There are also a lot of customization options to allow for various email templates to be saved as well as to make resulting each “contact” is done in a clear way that enables future contacts with that patron to be managed appropriately.
  • Ease of use and simple functionality. The layout for the screen is simple and easy to read. It takes minimal time to learn how to use it.
  • Customizable buttons and information screens. We are able to add specific information about patrons to panels that make finding information easy. Also, we can add buttons to make resulting in each contact easy.
  • The ability for each user to save our own email templates rather than having to create them for the whole team. More personalization would be nice
  • Email functionality could improve also. It uses an HTML based text similar to google docs but Google Docs is way better. It would be nice if it was easier to copy and paste text - sometimes formatting changes during pasting text.
VanillaSoft is an easy-to-use and simple software that offers powerful tools. It would be nice if it was more customizable per user so each person can save their own e-mail templates, but it’s still incredibly useful as-is. I’m able to keep track of my contacts with detailed notes and even search through old campaigns to find further useful information.

VanillaSoft was being used by our entire sales department for closing calls and reaching out to potential prospects who have been vetted. The organization for how you can track your interactions is very helpful because when you aren't available to speak with clients over the phone, you can send them a message through VanillaSoft. Some prospects respond better through messaging.
  • You are able to prerecord a voicemail for prospects who do not answer a call.
  • The reliability of calls not dropping is dependable as long as you have service.
  • You aren't able to draft ready to send messages unless you are an administrator.
  • It might be helpful to have an option of a three-way call.
It would be appropriate to recommend VanillaSoft to bosses or companies that have a large amount of traffic. I would recommend this to influencers who get traffic to their videos and seminars but have trouble converting. I would not recommend this to influencers who have big-ticket items and do not need to have large call volumes daily.

VanillaSoft is used across our whole organization. It is used to hold all of our leads, as well as all of our information on each lead. It addresses all of the needs that our clients need. They are able to see the leads, and any info received by the agent. They are able to request changes that are tailored to their business needs.

  • VanillaSoft keeps track of all of the leads, comments, and appointment sets.
  • Sometimes the auto dial is difficult to use.
  • Sometimes stalls.
Scenarios that are well suited for Vanilla Soft include adding marketing leads and calling companies to provide info.
