We use Webexpenses as our main tool for reimbursement, whether it's team events or personal invoices that the company has decided to finance on our behalf.
  • User friendly tool
  • Fast upload times, easy to track progress
  • Organized in a clear, understandable way
  • Sometimes it's a bit hard to figure out whether or not my claim was submitted, as it's not always clear.
Webexpenses is well suited for times when you have an invoice. You can upload it as a document and fill out the necessary fields to match. I haven't found any scenarios yet where it is less appropriate, as it is exactly used for what is needed.

Webexpenses is being used across the whole business to ensure we can track and claim back expenses incurred with the day-to-day running of the business. This can vary between travel, sustenance, postage, or other ad-hoc expenses. The software enables us as a business to see a clear breakdown in where and when expenses are being incurred, specifically within which departments and with which of our customers.
  • Provides a pre-populated / interactive map when claiming travel expenses.
  • It enables me to specify details around expenses should our finance team need detail to approve the expense request.
  • I find the functionality between phone and desktop very different, this can sometimes be quite confusing.
I find the mileage function really helpful. The ability to add in mid-way points is useful when making multiple stops within a single day, the same goes for the ability to add in extra passengers as within my workplace this results in a higher payment per mile driven.

Webexpenses is used across the organisation that I work for. It is intuitive to use, can be used across all platforms including an app, and gives the user and management the required levels of control. I was new to Webexpenses but I'm an avid fan [now]. [It] does what it needs to do in a format that works!

It is appropriate for companies of all sizes whether a SME up to a large corporate.
It's ideal for both non-managers and managers and is equally suited to a mobile workforce. It is ideal where control, reliability and reporting is a pre-requisite. I couldn't recommend it highly enough. It is considerably better than other systems that I have used.

It is used across the whole company for expense claims from all departments, as engineers we can easily manage our expense claims easily and being to upload receipts immediately there is less likelihood of losing these and not being able to claim, being able to add an expense claim there and then means I do not lose any claims by not being able to submit a receipt.

  • I can take a photo of my receipt and Webexpenses app will obtain the relevant details and fill in the relevant details within the app.

  • I would like an easier Home page with clearer buttons.

Webexpenses is so easy to use with the mobile phone app - it allows you to be able to add a claim at any time rather than trying to keep hold of receipts until you get home to a computer to be able to input detail into a claim document - one photo and it is all done for you.

Webexpenses is used across the entire company.
  • Capture of expense claims using company policy.
  • Web site is slow, very slow, and frequently drops the connection.
  • The software assumes that receipts are scanned on the fly, this assumed workflow does not suit my own preferred workflow.
  • The iPhone app receipt photo engine is basic and lacks the functionality of better handheld scanning apps such as CamScanner meaning that the captured image also includes shadows, etc.
Ok, Webexpenses allows the enforcement of company expense policy and is pretty good at handling multiple currencies, but [in my experience] the web browser version is slow and unstable, and the iPhone app receipt scanning functionality is very basic.

Webexpenses is being used across our whole UK-based organisation. It streamlines expense approvals for both the expensee and the approver. Receipt management is particularly helpful.

  • Adding details to a receipt and adding a claim - it took me a few tries to learn the difference.
  • My approver doesn't default to my actual approver. I always have to go find him in the drop down menu.
  • When adding a person to a meal/staff entertainment receipt, it doesn't always auto-populate when I start typing a person's name and I often have to type these in by hand if they're not saved as a favourite.
It is very user-friendly once you have a chance to go through it a few times. The app is particularly handy, as you can simply upload a photo of a receipt right then and there and don't have to worry about losing receipts.

Webexpenses is used across all departments at ISG. I find it great to track and claim necessary expenses, such as traveling to learning and training courses, traveling to site visits outside of my local area, and the cost of taking compulsory competency tests needed as part of my job.

  • More options for types of claims in the automated filter.
  • Notifications to come through as emails, so updates are not missed.

Webexpenses is suited to any claim that was vital for doing your job. Things like travel to courses, travel to site visits, cost of tests and accommodation if you live far out from a course location. It is less suited to your own personal use, such as social occasions unrelated to your job.

Currently, Webexpenses is used in my company to claim expenses we may incur while working.
  • It has a logical layout.
  • It highlights well the progress of your claim.
  • Very slow
  • I do not see why you have to save the details of the claim filled and then navigate to another page to upload the receipt.
I think the WebApp is useful but can be frustrating when wanting to add receipts for your expense claims. Also, you have to create a claim first and then add the items you are claiming for. Before you can move on, you have to manually save the details already filled in. Once you have done this you then have to navigate to an 'add receipts' page. You add the receipt and then have to navigate away from the page by using the 'back button. There is no save button here. Needs work as it is currently a slow drawn-out process.

We use this for all our expenses. We mainly use it for mileage but we also use it for any receipts we have and these can be for anything from catering to stationery etc. We can input these daily, weekly, or monthly.

It is good for doing mileage as you can use a map to show the routes you took. However, it doesn't allow for alternative routes that you may have had to take due to road closures, etc.

It is used by all staff in the organisation. Allows me to submit my own expenses and approve those for my team members. Allows for frequent submission of expenses and reimbursement.

  • Struggle with adding receipts. Sometimes they are allowed, other times not.
Users are able to submit for a variety of reasons. It is quick and user-friendly and you are able to add as you go along and submit frequently or each month.

I have been using Webexpenses for mileage and other little bits now for 2 years and it makes the whole process very easy. Being able to just snap a picture of a receipt and upload directly into my claim saves a lot of time. Overall I would say it is the best expense tracking software I have ever used. An one that I have recommended to others and will continue to do so.

I believe that Webexpenses is being used throughout the whole organisation. It allows us to claim back money that we spend on work-based travel and training days etc. It allows employees to spend money on situations like the above without the worry of losing any of their earned money, instead, they have the reassurance that they will get the money back.
  • The website/app is very simple and straightforward to navigate.
  • It updates you throughout the different stages of the claim.
  • The simplicity of uploading receipts.
  • It could tell you when your claim is due to be paid.
Webexpenses is the perfect tool for things like training days/business meetings in different parts of the world/country. For example, I have to go to London quite a lot for training days, the cost of a train to London from my home location can be quite expensive. However, with Webexpenses I have the reassurance that I will get my money back quite quickly.

Any employee that needs to claim expenses can access Webexpenses and add their charges manually and easily. It removes the need for company credit cards and takes the time pressure away from end-users, as you can fill in your claim at any time that’s convenient for you. We use this across the whole organization however our engineers, sales agents, and trainers use it the most frequently.
  • Allows you to upload pictures of your receipts to each claim.
  • You can use the mobile app for access anywhere.
  • You can clearly organize your months and expenses with headers and sub headers.
  • Uploading receipts through the desktop app doesn’t save receipts for next use automatically i.e. petrol receipts across 2 different entries.
  • Allow the route to be dragged.
This is suited to any user or employer that needs to manage staff expenses in one user-friendly location. As mentioned, we use this across departments and I don’t think there are many situations for our company where it wouldn’t be appropriate.

Webexpenses is used for expenses management across the whole organisation.

  • None - can't think of any significant failings.
Very suited in my situation, as I can input my expenses as I spend them on a daily basis, and upload any receipts or other documentation there and then, so it is done, and then I simply click submit at the end of the month. It is very easy to review by the manager, who tends to authorise them very quickly.

It is used to upload and explain our expenses. This is then approved / rejected by our managers where feedback and reasoning can be left. It then gets paid to us.
  • Easy to upload receipts.
  • Easy to keep track of the process.
  • Easy to see any issues raised by management.
  • When uploading new expense claims, it isn't clear how to upload receipts until you click accept.
  • You can't respond to claim rejections.
Webexpenses from an employee point of view is relatively self explanatory and simple to use. New employees do not need to use a lot of managers time to work out how to use it, and it can be used from the mobile allowing no expense to be missed.
