Webexpenses is being used across the whole of our business, mainly for company car users, fuel expenses & parking. There are several benefits to Webexpenses, uploading receipts as you go avoids misplacing items & loosing out on money paid out in the course of performing company duties. I can also see when we have had busy or quiet months with the historical information saved, the price of fuel with all the receipts stored.
  • Uploading receipts on the go.
  • Access 24 hours.
  • Ease of use.
  • A clip board, to copy & save repeated information.
  • Built in GPS tracker, that could calculate & automatically complete Business mileage use or private use. This could save many hours of imputing data. No requirement for vehicle trackers.
As a company car user, the use of Webexpenses saves time when claiming for business mileage.

Webexpenses is an excellent tool that is used across our business. It's easy to use platform allows us the employees to insert our expenses claims and keep us up to date and on the progress of each claim before it's processed. I really like the fact you can track each claim and also check any previous claims made. I'd recommend any business to use Webexpenses.

Ideal for any expense claims especially fuel claims which I use it for mostly. Would be even better if a report was made that could be used for the end of tax year.

It is being used across the organization by all employees who expense travel or require accommodation, as well as further sundry expenses. A really simple and straightforward way to upload your expenses and have them approved. The web application is great to have too allows you to do your expenses while on the move. Receipt scanning is accurate and quick which saves further time meaning you don't have to tediously type in expenses.
  • Very quick way to upload receipts.
  • Few steps required to do expenses.
  • Approval process easy.
  • The receipt scanning doesn't always work - the total doesn't get picked up.
  • A copy function would be helpful as sometimes the same expenses appear the following month.
  • A way to split expenses among two users would be helpful.
When on the road it is a very convenient way to keep on top of expenses by immediately scanning in receipts and uploading them. A quick few drop downs selected and you have completed your expenses. Not sure where it isn't appropriate all scenarios for me work well - on the road, in the office.

We run an American missions organization in Europe, but use Webexpenses to file our accounting expenses, and this is how we do that. Webexpenses is used by all 17 members of our staff and approved by one of our staff. We are able to separate credit card expenses from cash expenses, and this program is easy to grasp for all of our staff. We are grateful for Webexpenses!!
  • Easy to navigate platform - both the phone app and web browser site is easy to navigate and understand. We have people on staff from 20 years old to 70 years old -- all ages have been able to successfully get "up to speed" with Webexpenses!
  • Great organization tabs/files - with each claim folder, you can easily label things and find them. Great way to keep your expenses organized. I file all credit card expenses per month.
  • Automatically syncs with credit card statement - GREAT tool! Love not having to worry about all the extra steps.
  • Automatically changing the country selection based on currency.
  • Complying with European date format.
  • Simplifying the process of adding receipts, adding claims, and filing claims. Right now, you must use your phone and your computer - improve the accessibility of the phone app.
Being an international ministry, it is very convenient to have software that can calculate the exchange rates/USD amount on its' own. Highly recommendable for an international business. We have a staff of various ages, and all are able to keep up with the Webexpenses system. However, there are many steps that you must complete in order to file - uploading the receipts, creating a claim item, and then filing the claim folder -- very tedious. Not good for those who are not "tech-savvy."

Across all employed members of staff at my organization. Makes claiming expenses an aligned fair process and makes it easier to make claims.

As a multi-brand commercial services provider, we use Webexpenses to break down our expenses (mostly American Express) into their proper brand and purpose. We use it across all our brands, approximately five unique operations. Breaking our expenses down allows us to properly cost purchases to the appropriate brand thereby allowing accurate financials.
  • Looks good.
  • Ease of pictures through mobile device.
  • Sync with credit card accounts.
  • It is awkward to use and not very intuitive.
  • We have had several employees struggle using the program.
  • Could be a lot better identifying receipts and attaching them to expenses.
As presented it is great for sorting expenses, just having a lot of issues with our users including me. I don't use other features.

Used across the whole organization by those who claim expenses. It addresses issues with manual input by automating the process and making it easier to claim for multiple different types of expenses during the month. Very helpful.
  • Allowing you to copy a claim.
  • Telling you if your claim is incomplete.
  • Allowing you to attach a receipt to multiple items.
  • Journey manager is very tricky to amend routes on, this is a huge annoyance for me.
  • Adding impractical routes as standard and being extremely difficult to correct.
  • The mobile app doesn't work well for taking photos of receipts and allowing you to attach them to the right claim lines.
Well suited for allowing you to copy claims for identical expenses you incur daily Not well-suited when you have to adjust a route on the journey manager and this is extremely difficult to do so - if you make an error you have to come out of the entire window and start again, as correcting the route once you've made a mistake is nearly impossible. This is compounded when you have a long route to make and the suggested route is consistently wrong/takes you round a roundabout multiple times, etc.

  • User friendly.
  • Great app.
  • Simple.
  • I find it easier to create the claim on the desktop app and once a file has been created to add the claims through the app. I have difficulty creating the file through the app. Could be a user error.
Webexpenses is extremely useful when I'm traveling and need to keep track of multiple expenses. Very easy to take a photo of the receipt and upload it immediately. It's been a game-changer for when I'm traveling.

We use Webexpenses across our whole business to facilitate reimbursement of travel costs and incurred business-related expenses. Due to the size of the business, we need a solution to be able to efficiently manage this process.

At our company, we use Webexpenses throughout the entire company for all employees expenses made for the business. It may cover team building events, meeting customers, business travel, phone, internet connection and communication costs, commuting costs. It gives employees clear ownership and accountability while providing leads and accounting with an auditable trace of expenses, with relevant data breakdown for statistical analysis when necessary.

  • User interface can be improved and simplified for submitters.

Webexpenses is used by the whole company- pays fuel and subsidence expenses. This makes submission of expenses easy and quick to compile and submit for payment into my account. Used weekly to keep on top of my spending for work use.

  • Overly complicated options for entering all the data, product/cost center/service charge, etc - not very user-friendly.
  • Processed payments can take a long time to actually be paid into account - still waiting for one from over a month ago.
  • Might be better to be streamlined and have fewer subheadings for cost center/product as it is unclear which is the correct one and there are far too many options.
Good for big or regular expenses claims, not so good for small amounts as a lot of hassle for just a few pounds.

Webexpenses is used for all expenses within the business, for me, it's almost exclusively for mileage claims.
  • Simple interface.
  • Great progress report on tracking expenses.
  • Easy to see past expenses.
  • Mileage tracking - annoying that it forces you to use a map once you choose the option, would like to turn that off.
  • Pop ups on mouse hover over is a little annoying sometimes.
Well suited as a preset of expenses types can be selected, leaving little room for errors. such as mileage claims, choosing options such as engine size will give pre-approved mileage rates for that given month - however, would like the option to not be forced to input to and from postcodes and Webexpenses chooses the route, in real-world, routes differ daily for long commutes due to traffic, etc.

We use Webexpenses across the 16 countries where we have employees in the organisation. It greatly simplifies the request and approval process, provides an audit trail and offers easy and quick process. The ability to use a mobile phone to scan receipts is particularly helpful as is the simplicity and clarity of the instructions both on the PC and mobile applications.
