It is being used to manage expenses for all individuals who are in remote locations. Everyone in the business has to use it and expenses will not be paid without putting them into the system. There are lots of pre populated drop down boxes and a hierachy which makes it difficult to claim for anything that is not within those parameters.

  • The form filling is too long and takes for ever
  • Regular journeys could be selected from a menu to save time
I have used other expense systems that are more user friendly. The fact that you can not use a single receipt more than once causes problems, particularly with petrol expenses when a receipt needs to be uploaded multiple times as they are removed as you use it. Its a very clunky system and I have lost some of my inputting because it is difficult to use and not user friendly.

Webexpenses is being used across the whole organization internationally. All departments and subsidiaries also use the product. This helps us to streamline our employee expenses claim, approval, and processing.
  • Multiple interface to access the system is a key advantage. We can scan the receipts on the go using the app.
  • The uploaded receipts could automatically prefill the claim form saving time.
  • One single portal to claim all types of expenses be it hotel, transport or even car mileage.
  • The web UI is outdated, although recently changed the graphics colours etc, it's still clunky and feels ancient.
  • Does not use AI to process the receipts automatically.
Well suited for small and mid-size organizations. May not be suitable for large companies.

It is smart enough and works well when there are many approvers and chains. With more improvements around scanning, I believe it can be a very convenient tool for companies to have.

[Webexpenses] is used across the whole organization. Once invoice is captured no need to keep physical copy ; even if ink on invoice shades not to worry as soft copy is taken and can be reprinted when needed.

  • Some times photograph is not captured properly - need to improve scanning software
  • Does not give logic - explanation of which GL to code - user gets confused for selecting which gl to use - we have given training - but user needs explanation at the time of selection of GL code.
  • Sales pitch needs to be improved - they give 24 hours to sign the agreement - which was not good - we tried on their another product for scanning document - way it was presented was not good - felt bit rude - and not happy with that scanning document product.
  • Support is not local - in Australia - only possible by an email ; phone support not available.
[Webexpenses] works wells in apple and android phones - good; does not work well with OPPO phones.

Our company uses Webexpenses to manage all staff expenses and credit card transactions.

We upload a csv file of the credit card transactions, that we get from logging into our bank.

We export expenses and credit card as a csv. report file and manipulate the data so it becomes a journal which we upload to Sage.
  • Customisable downloadable reports mean we can manipulate data to suit our business needs
  • Provide online training sessions so customers are aware of features
  • In my exerience, not end user friendly. e.g if an authoriser gets updated mid claim the claim needs to be re-done. The updated authoriser does not instantly update on a users account
  • In my experience, quite buggy. Can take few times to upload the credit card statement due to unknown issues
  • Support sometimes do not respond
  • System bugs such as vanishing fields after user inputs and saves an item is frustrating
The system can be customizable - to a point. The system is used by non Finance minded individuals so need try and simplify things for them as much as possible. There are good features such as uploading receipts early, however this depends on users being organized which unfortunately is not usually the case. But there are good features.

Easy to use as an end user and manager of other users, both on the app and the web portal.

Webexpenses is used for expense management currently where all credit card holder submit a claim for their credit card statement. Webexpenses is being used by all the credit card holders of the organization and their managers. It reduces the time spent manually keying in credit card expense claims and improves the security around the approval of the claim.
  • Easily upload receipts via mobile app. This means that when it comes to completing an expense claim there is no need to dig around for your receipts.
  • Adds greater security around the approval process of the claim as the claim can only be approved by the manager defined for the account.
  • Email alerts for when you have a claim pending and when claims are approved.
  • Can code to budget codes there and then during the submissions process.
  • Initially the process is a little complex.
Webexpenses is great if you are currently manually entering you claims on to a spreadsheet (which isn't a very good use of an employee's time) as the process of importing your credit cards statement into Webexpenses is very simple. Also sending to your manager for them to sign by only entering their name in the signature field of the spreadsheet isn't very secure secure whereas Webexpenses automatically sends the claim to your manager and only they can approve via their own account.

Used to monitor and award expenses for travel and meals. This is used by the whole business. It is used to streamline and simplify the process of claiming expenses. The only problem for the business is that someone is required to monitor any claims put in by employees.
  • Simple processes.

Claiming back travel expenses are extremely simple. Claiming food back is more difficult but this is down to some company policies.

We use the expenses system for our employees to submit their claims remotely and we use the purchase ledger system. It is used across the whole organization and all staff uses the expenses part and the Accounts department mainly uses the invoicing system. Some managers and directors have access to make authorizations. The expenses system seems a bit crazy like too much info at some points but does what it needs to. The accounts system works but sometimes invoices are initially input wrong.
  • Keeps an online version of all our invoices for reference.
  • Invoices and expenses can be authorized anywhere.
  • Can import information to our SAGE.
  • Suppliers can email invoices directly.
  • Coding can be done automatically.
  • The imports for our expenses still don't work.
  • Currency often input wrong.
  • Expenses have a funny layout and could look simpler.
With the pandemic, it has helped us with being able to do a lot online, like authorizations. For me personally, it helps sometimes to have physical invoices in front of me so I know if I have missed stuff. I don't get this anymore and I have missed processing payments as I didn't realize it was on the account but missing some info—this is my fault really though not the systems.

We use Webexpenses in our business to track our expenses. As we are meeting clients and candidates often, we use this regularly either on the computer or on the app. A lot of expenses are input mainly for mileage, client entertaining, team rewards and other general expenses we incur with client visits.

  • Not always a relevant option available for expenses
  • Adding receipts is difficult on the web browser
It is well suited when you are tracking mileage, meeting with clients or candidates and need to track your travel so you can claim back costs. It's easy to map out where you have been and it gives you a mileage total. It's also good for uploading receipts, especially through the app.

It is used across our whole organization, it is fully rolled out on an internal internet server system so that any member of the James Latham timber plc company can easily use it. It is all linked so that managers and the accounts team, can easily access and approve any claims.

  • Too much info sometimes.
Webexpenses is very well suited for its current use. it is easy to upload both small and large claims, and approval is both quick and straight forward for management to do. sometimes it can be awkward to work out exactly where you are in the claim process, especially when trying to add receipts.

Webexpenses is good for the use on the mobile phone for inputting claims and also attaching photo receipts. I use this service at least once monthly. I do not like that you have to wait for a previous claim to be approved and paid until you can put a new claim in. I also do not like that it can look like a claim has gone through but you still have to click submit which has confused some of the staff members when making a claim. Otherwise it is a great tool to keep track of our petty cash float to ensure we have plenty of change and no cash is going missing. It is an easy product to use once you understand it and there are plenty of help guides if there is anything you are unsure of. I would recommend the use of webexpenses in a business workplace such as a veterinary practice where I work.

  • Having to wait for a previous claim to be approved and then paid before put another claim in. Can be slow if claim is not approved quickly. Although this is actually a head office staffing problem that it takes so long and so not the fault of the programee really.
Good for a staff member to put in petrol claims as webexpenses can work out the milage for the staff member and also the rate of pay for travel. Also good for other claims such as staff treats, catering etc... Easy to use once you understand the programme but I don't like that you have to click submit twice to put the claim through for approval. I like that it keeps track of the petty cash tin float for me, so that I can make sure there is no discrepancies and that I can easily track a time frame for when it went missing etc.. I would recommend using webexpenses to use in a business.

As the company has grown its size from tens to hundreds and thousands the whole package has scaled to meet the growing requirement. The development of the product has been great over the years and the mobile app was a massive move forward for the field engineers to upload receipts there without the need to store receipts

All employees use Webexpenses for their day to day management of business expenses. Over the month this results in a complete infantry of the expenditures . This saves Saving without having to send in receipts and paperwork at the end of the month. Just a simple click and your done. You can add notes if necessary.

  • Some items say overspend for the category but it does not recognize it may be 2 or 3 Nights subsistence.
  • I would like to see a box that tells me how much I have spent as I go along.
Being easy to use is probably the best recommendation I can give this product. The great customer support is the second and thirdly it saves me a lot of time every month. I scan receipts daily and add any information required and then at the end of the month, it's ready to submit.

We use it for monthly car mileage claims and general office expenses. Webexpenses keeps everything all in one place and documented easily for ease of accounting and audit purposes. The app is very convenient to me able to keep on top of any claims needed and quickly. All works well.

Webexpenses is being used by the whole organisation I work for. It is easy to use and keep up to date with costs for your relevant cost centre. Submission is straightforward. All expenses costs are kept in one place and easy to navigate through and refer back to if necessary.

  • Straightforward to upload receipts either via website or app
  • The link between the app and website is not always straightforward.
  • Adding a new mileage claim can be unnecessarily time consuming.
  • The steps when submitting claim, etc. are easy when it has been done a few times, at first it does not feel intuitive.
It is easy to use when you have used it a few times, at first it does not always feel logical. The steps to add a new mileage claim can be long-winded. Adding receipts, etc. could be slicker. On the whole, it is fairly straightforward and efficient both from a claimant and approver point of view.

Across a team of field-based surveyors - this is our core business, so effectively it is used across the whole organisation. The team used to collect paper receipts and post them in once a month. This means receipts are submitted via the system.
  • Plots different cost codes.
  • You can upload on a daily basis and then it is quicker at the end of each month.
  • You can separate cash and credit card into different claims.
  • It adds everything up!! Simple but necessary!
  • The photos snap to square - would be better if they stayed portrait as you have to keep retaking.
  • When we signed up we were told that there would be integration with our credit card receipts but this hasn't been possible - we are with HSbC bank.
  • I find it confusing between taking photos for each item or loading them up first.
All seems OK to me. I don't have experience of other platforms however if you are going on business travel it would be good if you could group things under one overarching title to have to repeat info time and again.

Used for monthly expense reports and payments. Enables staff to enter expense receipts for any payments made for work purposes. As the company has a lot of remote staff, they are able to use the system to claim back mileage which is automatically calculated based on number of miles completed.

I find the system Well suited for internal expense payments especially as many staff are remote based and may not have regular access to laptops which makes the phone app highly beneficial. Can not envisage it being appropriate for external use however this is mainly due to the fact that we are currently using an internal system that addresses all of our needs for client payments.

The ability to automate approval flows for expenses. The previous manual system was not ideal as we had to rely on manual processes to push expenses through. With the automated reminders set in web expenses, we're able to ensure all expenses are submitted before the pay cut off being run.

Very well suited to scenarios where there are lots of expenses being lodged, with multiple approvers and time sensitivity. If an organization has a very simple process, with singular approvers and rare expenses being submitted, it may not be worth the time/money to implement and maintain the system, especially if a compatible finance syhstem is not used.

We use Webexpenses to manage the whole company's expenses. employees submit their own expenses to the system, which is then verified by their direct manager and submitted to finance for payment. This is all handled in the system, so managers can keep track of their staff and their expenses.

  • Receipt attachment could be clearer
It works well for managing and submitting expenses to our finance department. It may not be suitable for more complex finance scenarios, such as split bills or instances where receipts aren't clear cut.
