In our organization, Workato allows our product support team to communicate directly with our product development teams while allowing each side of that equation to use the software solution that best meets their needs. Workato ensures that our users aren't required to use multiple systems or enter their data twice and are always up to date, minimizing the time and effort required to solve often complex customer support issues.

  • Time to production is measured in hours including testing and end-user validation.
  • Flexible, allows you to test multiple approaches to solving a business problem.
  • Robust software that lets you build in error handling.

It is used across the whole organization.

Well Suited Scenarios:
Workato makes it simple and quick to link different systems together.
Low Code: It is easy for business users to go in and understand integrations

Less appropriate:
It is less suited to parse large amounts of data all at once. These cases are possible in Workato but will need to be done in batches

Workato is primarily being used as an automation and integration tool. We used it for the following use-cases:
  1. Foreign currency rate integration and triangulation. We are receiving an XML file from our parent company on a daily basis and we integrate the rates into Netsuite. As an additional requirement, we have to perform a currency triangulation for some currency pairs which don't exist on the source file. Workato was able to perform the calculation with a simple formula.
  2. Customer on-boarding from Salesforce into Netsuite.
  3. Transfer XML file from Netsuite to bank sFTP with sign and encrypt. One requirement is to message the user through Slack whether the file transfer is a success or failure.
  4. Integrate cash payments from Excel into Netsuite by creating a callable recipe. With the callable recipe, we were able to use our existing Excel tools without a complete redesign. We simply changed the ERP API connectors that we use to bring over payment records into our new ERP system.
  5. Using Slack workbot to get customer information from Netsuite. Users may now get customer balances or transactions through Slack by just typing in keywords. They no longer have to log into Netsuite. This is particularly helpful if a customer support person is talking with a customer over the phone.
  • Process automation with multiple SaaS applications. It's easy to move records from one SaaS application to another.
  • User-friendly. Users need minimal technical knowledge to start using Workato. The workflow-oriented user interface makes the recipe easy to understand. The recipe is described in plain English and not in some technical jargon.
  • It has a look of built-in functions which are particularly helpful for non-technical users. I've seen functions in Workato which are usually not readily available in some other tools like.
  • Slack workbot integration. Easy to create recipes and Wizard-based recipe creation is available for beginners.
  • Technical support is 5 out of 5. They are always available on the chat room whenever you need them.
Cons
  • I would be nice to have a more automated deployment process like automatically changing connections when a recipe is deployed into prod.
It is well suited to multi-step process automation but not an RPA tool. Also not for big data, I think.

Workato is one of the automation tools used in our department. Workato is used to automate various IT processes to provision VPN, email and software licenses. This helps reduce the manual efforts done by the Help Desk and Account Management Team on a daily basis.
  • Integration with various cloud platform tools. Easy to integrate with cloud tools.
  • No code required. Action available as ready-made and reduces development and production time.
  • Very quick customer support where issues are fixed on the spot.
Cons
  • Copy function from one recipe to another recipe.
  • Scroll through the recipe.
Well suited for integrating with ServiceNow and the provision of software licenses. Less appropriate for integration with Unix & Windows platforms and integration with VM tools.

Cons
  • Cannot handle large, complex enterprise integrations
  • Timeouts if you try to push a lot of data through
  • Cannot cache large datasets
  • Error tracing and remediation difficult
  • Not designed for ETL, EDI or Enterprise Application Integration (EAI)
  • If a prebuilt recipe is not available, difficult for non-technical people to create
  • Not a no-code solution by any means
  • Issues with data corruption from OPAs in same group but different servers (OPA per step vs OPA per recipe is the cause, apparently)
For simple, low data volume integrations where a prebuilt recipe is available, it can be used by Data Analysts, Business Analysts, or power users in finance or other departments to build simple integrations or connect to APIs.
