What is Adobe Workfront?
The platform's Capacity Planner allows a manager to move resources to where they are needed, and has some automation features (e.g. the Set Best Fit option, which attempts to allocate resources optimally within given constraints). Agile project management is supported with features like Gantt charts, an easily viewable and manipulable backlog, and storyboarding. Team members can be managed with the aid of quantitative metrics that show where work would be best allocated.
A free trial is available, after which Workfront comes in four pricing options. The lowest tier is Collaboration for small groups, followed by Work which adds mobile accessibility and time sheets, then Plan which adds additional analytic, planning, and reporting features. Finally, Enterprise Plus offers the highest configurability as well as support and data security.

- Messaging was important for us. It provided for transparency as well as easy hand offs between departments.
- Time tracking was a handy feature.
- Reporting was strong with endless views and fancy pie charts.
- Account management and support. They seem very siloed as if they've been stuck in a small dark room with a manual. Common issues would be raised and you'd be given a series of inappropriate responses for months on end while being made to feel like you were the first person to ever ask for a backup of your own data, for example.
- Breaking patches released. We've had a login page with broken labels in place of "Username" for weeks.
A Quick Look at Workfront
- Reporting - Workfront offers a seemingly limitless number of both pre-loaded and custom reports that allow the user to get exactly what they need when they need.
- Workflow Management - Workfront's use of predecessor, task duration, and resource management makes it easy to plan a project and execute in an organized manner.
- Resources - Workfront offers training in multiple different formats that are accessible to all users. They also host a community page that connects other users to share best practices.
- Workfront has so many different functionalities/nuances that make it difficult to connect the dots. It would be nice if our Workfront instance only showed what we need. Example - we don't track time via Workfront so there is no need for that option to be available.
- Proof HQ and Workfront - These are not fully integrated and the automated workflows are difficult to understand. In addition, this feature is really well suited for small documents not large documents/slide decks.
- Implementation - The implementation team provided by workfront is very knowledgeable of the system but does not take on a lead role in getting the system set up as you might think. It really comes down to your appointed system admin and core team to learn the system thoroughly to get it set up.
The system administrator position is in many ways a full-time job. The system admin is really a champion of the system that is expected to attend multiple trainings, learn all the ins and outs, set the whole system up, develop the system over time, track enhancements, etc. In essence, this isn't something that you set up during implementation and then walk away from. It requires constant attention and management. If you do not have someone to dedicate to this your organization may struggle.
One good place for all your Project Management work
- Easy of use: this system is clean, very user-friendly and easy to work with
- Capacity planning: good tool to use for planning multiple projects with limited resources
- It would be nice to be able to add bulk assignments of people to your projects instead of assignment per task.
Workfront inside a Credit Union
- Having the ability to use the agile methodology, as well as waterfall, allows us to execute projects using the best method for each particular project.
- The timecard functionality helps teams not only to manage their projects tasks, but gives visibility to our PMO how much time and effort stakeholders and team members are spending on projects.
- We have created multiple templates so that no matter what project methodology we apply to execute and deliver a project, the phases and milestones are present and can easily be pulled into senior level reporting.
- My number one request would be to have an "undo" option.
- When I am learning new functions within Workfront, or trying to use functionality I know exists but am unsure of how to use the software, I will review any training in the Workfront Community but I have found that at times, the training does not answer my questions and when I have had to reach out to support, they often do not know the answer and I can days, and sometimes even weeks, to have my questions answered.
- In my opinion, sometimes less is more. I would like to understand what workfront customers are using the full functionality available or to see an option to purchase pieces of the software so that SME's can be assigned to support each client based on the version they own. There are some functions I don't believe my organization will ever utilize and in talking with clients and customers of Workfront at the conferences, it has taken some of the end users many years to add functionality as part of their process because its so robust and takes years to master. I would like to understand from a percentage standpoint how many customers use for marketing only, projects only, reporting only, etc.

- System settings are pretty much "take it or leave it". I'd love some more dynamic customization.
- Notifications are static and not customizable.
- Fields within projects/tasks are also static and cannot be "turned off".
WorkFront Review
- Keeping abreast of the status of a project.
- Putting all communication in one place, making it easy to go back to reference comments.
- Keeping things on time and on budget.
- It needs an UNDO button.
- Making an update in the the "My Work" screen doesn't always transfer to the project itself, which can cause issues.
- There are a lot of glitches that have to be navigated around.
It is great for reoccurring projects and reporting out - the custom forms are great!

Longtime Workfront Admin gives thumbs up
- Collaboration - the ability to discuss and comment on ongoing tasks is really helpful. Before Workfront we would use email. Email threads can become complicated and confusing. Workfront simplifies some of these difficulties because the conversation takes place in the context of the work and it's in a public place rather than in just a few inboxes.
- Request Queues - these are useful for a variety of situations like project initiation, simple work requests, change requests, etc. You have the ability to automatically assign or route each request based on information provided by the requester.
- API - I was able to develop a custom connector between SharePoint 2003 and Workfront to automate task creation.
- Community - Workfront has an active community that you can access through the community portal.
- Reporting - the reporting system is intuitive and powerful.
- Training - Workfront has invested heavily in training resources and help system. As the Workfront admin, I refer to them regularly.
- Performance - We experience slow performance at times. This mainly affects project managers who are editing/creating projects. I haven't received many complaints from other team members on performance.
- The ProofHQ/Workfront integration still needs some work. It's improving rapidly though.
- As an admin it can be difficult to manage email notifications. While each user can manage their settings, few of my users understand them. It's difficult to dial in the right level of email notification. Users can get annoyed that they are getting too many notifications or not the right ones.
- Project templates: Because we are a marketing company, we tend to have projects that are cookie cutters of each other. By being able to create a template and assign milestones, converting requests to projects is efficient.
- User Task Lists: This feature is outstanding. The ability to sort, search, and create a customized priority is awe inspiring. As an administrator, I can get away from sticky notes or daily standup meetings to determine what is being worked on by the team, and what will be worked on next. This is all in Workfront, and I don't have to interrupt the team to get status updates.
- User Interface for Project Status/Roadblocks: My account manager appreciates the ability to not only see the progress, as a % complete, of a project, but he likes that he can scroll down and see at what task the roadblock appears. Similarly, if a client asks where we are with the project, he has a quick and simple way to verify for himself. This self-service UI allows me to not be interrupted for quick questions.
- Ability to provide ideas for new functionality or improvements in Idea Exchange.
- Reporting Feature: I inherited Workfront from the previous project manager. It had only been used for 3 months up until this point. By that time, our set up hours were depleted, and I was up to my own devices to determine how to build and customize reports to get what I needed. Unfortunately, the former PM wasn't very experienced with reports and dashboards, so the reports that existed were broken or inadequate. This means, I had to fumble through the reports. I am not getting what I need from the reporting functionality, and the help / training sessions are very underwhelming.
- Updating tasks: I appreciate the template feature, but to update the tasks when you have more than 15 is cumbersome. Each cell is responsive, and I would very much welcome a spreadsheet type page where I can enter everything and press "Save" before changes commit to the system.
- Assigning tasks to a user where the date is already set: For example, I use a template, and one of tasks is graphic design, and the date was pre-populated to 10/31/2017. When I assign this task to the user (e.g. Bob Smith), the task automatically enters into their "My Work" as 10/31/2017, which is great. But, let's say I after I assign the task, I update the predecessor to take longer, which makes this task's due date 11/15/2017. This makes Bob's task still due on 10/31/2017. What a headache!!!
Workfront falls short at being a true project management system. It is very hard to get reporting and Gantts out of Workfront. I have clients that want a weekly Gantt of their programs, which I have to do by hand by trolling through each project. I should be able to quickly see a snapshot of the project, program, and company from Workfront.

The security model within Workfront allows for these, often sensitive projects to be surfaced to the correct people and allows us to share projects across many programmes and portfolios to senior management who receive assurance where projects are going well but also allows them to see and act upon pinch points or issues holding up critical projects.
- Great UI which allows for a great and positive experience

- Simple Report creation but provides fairly complex results
- Resource planing and scheduling without the need for timesheets
- Not able to add Company Logo on reports
- Not able to set lists to show more than 100 items automatically
- Use of a full PPM tool but with the ability for full collaboration with the rich messaging capability within the product. The reporting is rich and allows for fairly complex reports that if shared as a link provide for live reporting.
- Recording of issues is very strong but if not strong enough for a company then the custom form function will fulfill most requirements.

- It has a very flexible reporting engine that enables us to surface data of all sorts.
- It is very intuitive.
- It has a clean interface making it very easy to use.
- The resource management engine needs improvement.
- There is little functionality in the programme area.
- Some simple reports, e.g. display TOP TEN, does not exist.

- We get a solid view of whats going on (if tracked properly).
- We can see comments and updates - but the comms to email doesn't always follow through.
- I feel that it can improve on better service to us in terms of visibility on an Account manager that I can contact.

Great work management tool.
- Tasking to set specific start/end dates for users and collection conversations on that work.

- Consolidates work into a single location for all users of the system.

- The resource management tools are not simple to use currently but upgrades are coming in 2017 from what I hear.
- There are some peak periods where the system runs slower than we like. Makes it difficult to build things at certain periods of time.
- I wish there was a more integration between the various reporting objects so it was easier to build complex reports from the different reportable objects in the system. It's okay for now but fixing that would really be fantastic.

- Need more color options for calendar and chart views.
- It would be nice if the proof owner could make comments on proofs without unlocking the proof. This allows users that have already reviewed the proof to add additional comments or changes.
The King of Project Management
- Reporting provides our workers with an easy way to prioritize tasks and keep project status up to date
- Calendars provide managers with an easy way to view key dates on their projects in the way they want to see them
- Custom forms give us a way to collect required information for the projects prior to becoming active
- Calendars will not print in a readable format
- ProofHQ integration is lacking some features available in the standalone PHQ application
- I would like to choose notification sounds
The antidote for project chaos poison!
- The flexibility of the templates, custom forms and work flows are great!
- The ability to create projects on the fly ad-hoc, create from a template and make adjustments afterwards is key to project success.
- The Workfront Community is amazing. Have an "Idea Exchange" where users from different organizations can collaborate and request enhancements...and then vote on those enhancements is something I have never seen before. Best yet: Workfront listens and develops new features based on what the users want!
- Customer support is the best!
- Rollout is slow for new features.
Still not as robust for IT as JIRA.
