What is Adobe Workfront?

Workfront is a web-based project-management tool acquired and now supported by Adobe since late 2020. It was designed for both IT and marketing teams, but can be implemented for any kind of project. Workfront offers all the features standard to project management platforms. Editing and updating issues from the project view is styled to work somewhat similarly to a social networking site, bringing team members together in one central location. From the project view screen, issues, documents, and other elements of the project are placed along a tab bar so that they may be addressed with one click directly from the hub.

The platform's Capacity Planner allows a manager to move resources to where they are needed, and has some automation features (e.g. the Set Best Fit option, which attempts to allocate resources optimally within given constraints). Agile project management is supported with features like Gantt charts, an easily viewable and manipulable backlog, and storyboarding. Team members can be managed with the aid of quantitative metrics that show where work would be best allocated.

A free trial is available, after which Workfront comes in four pricing options. The lowest tier is Collaboration for small groups, followed by Work which adds mobile accessibility and time sheets, then Plan which adds additional analytic, planning, and reporting features. Finally, Enterprise Plus offers the highest configurability as well as support and data security.

Workfront is being used across several departments in our organization. They vary in how they use it - from simple projects to complex projects with templates to Agile and beyond. This system allows teams to work the best way for them while still providing visibility into overall project management.
  • Utilizing templates allows our teams to quickly start projects that follow the same project timeline
  • Their Agile processes have been great for our digital teams who found it hard to work through the traditional project management paths.
  • Proofing is great for the amount of content that we have to review.
  • There are some things that could work better in the Agile back log - primarily a place for projects that are on hold, but we still want to see visibility.
  • Information is in several places - which can make some people not know where to look for the right information.
  • The proof exports could be better displayed.
This is well suited for teams with multiple ways of working - from traditional to Agile. There is something there for everyone.

In the marketing operations department to manage marketing projects from campaigns to collateral updates. It's just being used in Marketing right now. It helps us address the lack of visibility we previously had for our projects and prove how much work our team produces.

We've been using Workfront since the start of 2017 within our Marketing department with outside departments brought in as requestors/reviewers. It's provided us with tremendous visibility in the status of our projects as well as helping us realize how inefficient our existing processes can be. We're beginning to use the reports and analytics to understand where we can improve and measure those improvements.

  • It would have helped to know up front how much project management and system admin time it would require.

Manage all requests and projects coming into and out of creative services and networks. Workfront address our need to track hours and show where additional resources may be needed or where we may be over allocated.
  • Initial setup and implementation. We had a research person who came on site to investigate our process and team, and then formulated our workflow for the system. Corey my buildout consultant at the time was phenomenal. They have good people on staff who really want the best for your team.
  • Customer support has been amazing.
  • Community - a worldwide network of users who are open to sharing and collaborating on best practices.
  • There tend to be glitches weekly where there are hangups. As soon as something goes down, as the admin I get an email from workfront and then my inbox fills up with users pointing out the issue. might be good to put the glitch report as a notification system wide.
Great for scheduling resources and project tracking.

Workfront is used across all agency creative and production departments. It is now the one tool where all project plans are kept and managed regardless of the client they are for. It provides visibility to all team members as well as helps when coverage is needed if projects managers are out of the office.
  • Gives full visibility into project plans and deliverables.

We currently use Workfront to help assist with many different departments. We are using it to help plan new software releases, upgrades for our retail stores, training development, and more. My team uses it to help manage a complicated multi-week rollout of new software to each of our 6000 retail locations.
  • Workfront does a great job managing the work for each of our employees - it gives us a place to keep all of work in one place, and helps prioritize and schedule the work so we always know what we need to work on next.
  • Collaboration - Workfront allows us to post updates on projects, tasks, and issues, so that everyone is always on the same page and knows what is going well and what is going not-so-well with the different challenges we face daily.
  • Project Management - Workfront gives us a great way to always know the status of our projects - whether a project is behind or ahead of schedule, whether or not a project is below or above budget, and whether or not we have enough resources assigned to a project that we need, we always know what our focus areas are and how we can improve them.
  • My team deals with over 6000 projects split between a small team of 10 people. This is the nature of our implementation.
  • Because of this, we struggle with "information overload" - any one of our technicians may have a few thousand tasks assigned to them at any one time. We always know what we need to do next thanks to the great work management tool - but we suffer from "alert fatigue."
  • For instance, if we create a new project, the technicians on the project may receive over 200 notifications - each notification letting them know that they have a new task assigned to them.
Workfront is very well suited for large organizations that manage hundreds or thousands of different projects across different teams and departments. Workfront allows the micro-level management of these projects, to always know what's going on with each individual project, but simultaneously allows the macro-level management - so we can see how our department or organization wide projects are trending. For instance, workfront may reveal to us that our projects in a certain department consistently go over budget. This way we can identify problems and strategize.

Workfront is currently being used by our strategic communications team as well as our marketing team. We use the tool to manage incoming requests from our internal clients as well as manage projects related to trade shows and marketing efforts. It helps to keep all communication in one place, improve proof process with clients and streamline work and assignments.

We use Workfront to manage our IT projects. We had a different project management tool that was not user friendly and people hated to use. Workfront is much easier to use and our users are much happier. The tool is very easy to use and intuitive to learn.

  • Always enhancing the program
  • Great networking among other Workfront users
  • Easier to implement bigger pieces of WorkFront post launch such as capacity/resource management or diving into agile. Adding a large piece like this many years later is a little tougher, doable, but a little challenging to get a new big piece introduced.

We are using Workfront in the creative services department of a Biotech company. We use it to manage all marketing and sales collateral from creation, through approvals, and to release. It has made our work processes less manual, it has made my designers work availability more apparent and it has allowed us to gather more information up-front from out clients so that we can better create their request.
  • We appreciate the automated workflows and the ability to run sequential workflows on rush projects.
  • The clients appreciate having more visibility into their project and approvals of their collateral.
  • The reports save my boss so much time and validate to her boss that the system is worth it.
  • The updates tab could be a little more intuitive, but they are currently in the process of fixing this.
  • The view for clients could be simpler, or best ways to use it for clients should be communicated better. They don't care about all of the layers.
It is great for our small projects like sales sheets and brochures, but we have yet to figure out the best way to use it for large projects such as tradeshows. Sometimes all of the collateral gets lost.

I am able to accurately measure my team's productivity, produce high-level reports for the executives of my company. I use it as a PM but I manage the work load as well. My team uses it as a ticketing system for customer engagement.

It centralized all creative requests and projects into one system instead of three different systems before.

The reporting capabilities are fantastic, and have provided valuable insight into how and where we are spending our time.

Worfront is used by multiple departments to manage their project workflow. The in house design team uses it to manage marketing project requests from multiple business units. The packaging design teams use it to field packaging design requests from our sales reps all over the world. The reps enter opportunities into Salesforce which are then approved by the project managers and then are sent to Workfront as a project to be managed by any number of design centers across the United States.
  • Workfront helps standardize the design process for our design teams so that the same process is being repeated for all projects. This helps reduce confusion and design timelines.
  • All communication regarding projects is now done in Workfront instead of email. This gives visibility to current and historical projects to all design team members.
  • Would like to see more easily customizable reports in Workfront. The current reporting features are able to produce needed reports but sometimes multiple hoops need to be jumped through to get exactly what is needed.
  • workfront offers many notification options but there are very few customizations that can be done to them. Would like to be able to build my own custom notification rules.
  • Workfront would benefit greatly from triggered actions based on workflow rules to help with more robust automation.
Workfront would be well suited for organizations with repeatable projects and workflows. Expense tracking for project and resource expenses is also a scenario where Workfront would be a benefit.

We implemented Workfront at my company shortly after I was hired to create and manage the IT PMO. I began researching the right tool for what we needed and quickly landed on Workfront. It is exactly what we needed to manage our projects and processes, properly utilize resource management and conduct capacity planning. Additionally, we have found a myriad of ways to use Workfront beyond project management including a PTO approval and tracking system and a potential replacement for our incident reporting system and help desk ticketing system.

It's being used across the entire organization. It allows visibility into project management, tracking for all of our campaigns, and reporting capabilities we can't receive elsewhere. It allows for capacity planning and resource management across departments. We use it to determine need for resources and tracking for deployments of certain campaigns for over 300 clients.

Our entire organization is deploying WorkFront for work management. It allows us to implement consistent business processes and iterative process improvement. Generally it has been a very flexible platform for development and customization. It is complex and does have a steep learning curve. However, the support during launch has been very good.

Workfront is the best work management site available for creatives. As the on-site admin, I've worked hard to customize the tool for my team. It could be better tailored to "out of the box" templates dependent on the nature & size of your team. But after some hard work, getting a consultant on site, and a lot of customization, I cannot IMAGINE ever going back to FileMaker or any other request system.

  • We have been able to automate a project Intake process to better prioritize projects.
  • With better understanding of actual time spent on different stages, we are better able to determine our capacity and manage resources better.

For our operations group, Workfront has allowed our teams to organize our production-level incidents and action Items (tasks) in to "tickets" that can be handed-off and assigned to projects for respective teams. This allows us to increase visibility on items that need to be addressed and it helps expedite their resolution by allowing us to track when these items are made and generate SLA/OLA reports on how quickly they are being addressed. Additionally, the metrics that we can obtain from Workfront via its customization using fields allows us to generate in-depth reports on alert trending, problem areas (which projects/products see the most issues), and overall productivity.
  • Ticket visibility and knowing what tickets are "on your plate", and what the status of them are.
  • Search functionality is simple. Seems to work well.
  • The tool is very extensible and the API works well for simple tasks.
  • Field management can be clunky/difficult at times.
Workfront is well suited for managing individual task loads, but I think it could use improvements when crosslinking work/creating subtasks/organizing into sprint cycles etc.

We use Workfront across our organization to manage creative projects both small and large. Previously, we were using several different platforms to manage budgets, tasks, and hours. It's great having it all in one place! It helps us to track our financials closely, what areas do we have a lot of work, what are areas for improvement? What resources do we use the most? How efficient are we at our projects?




  • Track a budget in real time.
  • Proof documents in one place where several users will need to review and check work (ProofHQ).
  • Wide array of reports to monitor client projects as a whole, makes our status meetings easy and far more efficient.
  • Manage resources allocations and projects in one place
  • Track hours spent on a project, where are we overburning and on what area of the project
  • There's so much going on, sometimes Workfront can lag when adding project information. Can make it frustrating when we have large projects to add tasks to and organize.
  • No real easy way of adding people globally to all tasks without several steps to get there.
  • Copy/Pasting tasks is not simple, requires several steps rather than a simple CTRL/PASTE.
  • Posting in workfront is not easy if you have a lot to post, it doesn't allow you to use bullet points/make bold etc to highlight key points/dates.
Workfront is especially well suited to a creative environment. It allows for many people to collaborate in tasks at any one time, add hours and make comments to a creative piece/document with multiple reviewers. As a project manager, I really appreciate the ability to track budgets in real time, especially during a rush situation.
It is probably less suited to a smaller environment where people can talk with each other and not go through a system, but would benefit them with the ability to track timelines, budget etc.

Workfront is currently being used as our work management tool. We use it in conjunction with a custom built change management system to manage all work for the entire IT department. It resolves the issue in relation to resource estimates and managing all of the resources available in IT.
  • It allows you to manage your resources well as long as you set the tool up correctly.
  • You can manage documents well.
  • You can charge time to tasks.
  • It is difficult to set up completely.
  • The reporting is not great.
  • Licensing is not cost effective.
Workfront is great if you are looking for a tool to manage and track time. There are basic approval workflows that can be created in the tool and it is great for storing documents/versioning etc. It falls far behind however in the reporting realm. There are many custom codes you need to learn if you want to be successful using this tool for reporting as basic relationships can't be created between data points without it.

  • Calendar functionality is buried about 3 clicks deep and in astrange spot (reporting???). It is also slow.
