Workfront is a web-based project-management tool. It is designed for both IT and marketing teams, but can be implemented for any kind of project. It helps us with initiating projects. We get more details on the PRFs for new projects. Its transparency allows a better view of the project and its status. It also allows to see any comments, or approvals where teams can communicate with one another. Browser plugins to streamline research tasks. I am not sure what their enterprise business pricing is, however, I imagine the ROI is well worth it as many corporations I have worked for use Workfront for both project management as well as timesheet tracking.,,The Workfront platform ranks high on the scale of collaboration, both internal as well as external. This platform was deigned with collaboration at its very core. With multiple teams spread across not only the United States but Globally, Workfront enables seamless collaboration, communication and the ability to complete cascading assignments.,I know that our company uses Workfront for timesheet tracking, however, I am not part of said team. The layout and user interface for timesheet tracking is just as intuitive as the project management interface.,Workfront really worksWorkFront is slowing taking over all of the teams within the company. It started with just the marketing teams and slowly migrating to many other facets. As we add more people into the same system, we are able to get more visibility to what's coming as well as a better understanding of the company as a whole. Workfront is great with managing projects and creating robust reports. We are able to track 4k+ projects a year with the system and not spend hours a week making reports. You set it and forget it. They can even be scheduled to email out to those who need them. Workfront manages all of the tasks necessary to complete a project and can house the approvals and back and forth conversations. With one link you can see the entire life of the project.,The calendar feature is very difficult to create and understand. It may work better for some but I haven't been able to figure that out WorkFront is so robust that you can dive too deep to fast and end up "breaking" the system for others. Be sure to limit access levels BEFORE you add people to the system. Multiple people can be assigned to the same task so it makes it a good place for us to collaborate. Easy to log time to tasks and track the amount of time on various tasks in one or more projects. Updates/alerts are sent to email addresses so you know when status has changed on tasks to which you are assigned or own.,Priority of tasks can be difficult to ascertain from my assigned work list. It'd be nice to know at a glance the tasks that were the highest priority. They can be sorted by priority and a priority can be given - could just be the way we use it but it's a feature that I haven't seen utilized effectively. Seems like a small thing but I don't know how many times I've updated a task and thought to include another co-worker on the update. Unfortunately, I can't add someone to the update after the fact. So, I have to delete the comment and add it back with the other contact included. I haven't created a lot of projects but dates can be funny when building a project. Often seems like it's trying to help but ends up doing some weird stuff. Could very well be user error but in any case, it's not intuitive.,7,I don't have a lot of visibility to this but it seems as though our clients have appreciated our ability to report on employees' activities. This includes any marketing campaigns or updates to the site. The business problems it addresses is we are able to minimize meetings and internal email. Workfront gives everyone high level visibility into their projects down to the smallest detail. It allows us to communicate within the project so that we have an audit trail on the project. On the comments tab, when you make a comment it would be nice to be able to bold text or highlight in a color. Prior to Workfront (AtTask), we went through five project management systems in seven years, including COTS and custom solutions. Workfront has helped us get a handle on the thousands of project we do, providing visibility and better consistency than we have had before.,Collaboration is excellent in Workfront. It largely replaces emails for work requests, and allows communication across projects, tasks and issues. Communication is very similar to how a social media tool would operate, making communication very user friendly. Reporting and dashboards are a strong feature in Workfront. We use it for management, individual, department and team specific dashboards and reporting. It is quick and easy to setup a report or dashboard, and we often can write them in minutes...even during the same meeting it is requested in.,The API is easy to use and powerful in Workfront. But there is no method to trigger an external process through the API (for example, complete a field or achievement of status triggers an external process). We use the "external page" feature in Workfront to achieve this functionality, which works well...but it would be nice to see it natively in the product.,8,Before Workfront, our department was in silos with each team doing their own thing and no visibility across the entire project lifecycle. (We process approximately 1500 requests per year from over 125 internal customers). Workfront allows us to effectively manage the deadlines required and the workload and resources necessary to complete those requests on time and on budget. It allows us to instantly see the status of all work in progress and its Update feature allows all stakeholders on any particular project to know exactly what is going on and why. We would be lost without it.,Workfront has a terrific request queue - that is fully customizable. Workfront has an incredibly powerful and customizable engine. We mimicked our processes exactly in Workfront when we installed it. Workfront allows all stakeholders to see exactly what is going on in their particular project. It allows all communications to be stored within that project - no more email trails. Workfront keeps all relevant documents within the specific project for easy access. Workfront has a powerful proofing tool. Workftront has a powerful and easy to use reporting tool.,Its nomenclature is suited to people with a programming background. Non-technical people need to learn a new lexicon if they are administrating this product or if they are utilizing the help feature. Its resource allocation process is clunky. It needs to be improved. Workfront does not allow you to directly transport data from custom forms into the main forms.,10,We generate 100% ROI each year in our Traffic department. Specifically, the money we save on FTE's in this department more than pays the entire annual costs for Workfront each year. All other returns are just gravy... We are able to maintain SLAs for request conversion and we can now track our performance (project duration, actual vs expected costs) on all projects. Getting better at what we do by improving what we do. Workfront provides us with the information to do that. We were able to move a lot of conversations out of emails to AtTask. This provided the necessary transparency and visibility within the organization which was lacking before AtTask. Work management is another winning feature of AtTask. Users can obviously keep track of the overall projects that are in the organization but manage their own personal work within the tool. This used to be done using all kinds of different personal tools and applications and even post it notes or to-do lists. Again building on that visibility and transparency which is the corner stone of productivity in any organization. Workfront was incredibly proactive and did their best to resolve the issue, they called to check in, were available to screen share with them and asked for as much information as possible (e.g. screenshots from different computers).,Project creation and timelines are simple to do, you can drop/drop tasks, easily add new ones underneath and edit the entire project in one place without too much moving around. Timesheets enable you to add time easily in a number of different places, whether in the timesheets tab or in the actual task it allows you to add in realtime.,Scheduling tool is not easy to use, there's no real way to add people to the entire project lifecycle Selecting tasks to delete, if you accidentally hit outside of the box you have to start again Copying tasks/projects, you have to re-type in the project name every time as it takes you to a global project page.,Yes, but I don't use it,8Workfront's ease-of-use is what makes it #1 for meWorkfront is used by several departments: Professional Services, to manage all of their customer engagements; by Marketing, to manage internal requests and projects, and to extract data on PS projects and customers; and by the Business Process team, also to manage internal requests and projects. Sales enters new deal information which triggers the PS project and ensures information flows between the two groups. Workfront helps ensure consistent delivery processes are followed and that nothing gets forgotten. It's very easy to navigate between projects, tasks, issues, etc. Custom views are easy to set up and data fields can be edited directly in views and reports. It's very easy to set up custom forms and data fields and build reports and dashboards. It's a very versatile ticketing system. It's very easy to set up request queues for any department with custom forms that help speed up prioritization and assignment. Metrics and dashboards are also easy to set up and navigate. External views (if you have collaboration licenses) allow customers to see project plans, charts/dashboards, add their own issues, put comments on tasks, upload documents, etc. It's a great project portal for collaborative work, across all internal departments AND with external partners and customers.,There is a lot of resource management functionality but it's difficult to get it to work effectively across a large organization. This challenge isn't necessarily specific to Workfront or related to how they implemented the functionality. It requires very strict discipline to ensure all resource assignments are always up to date on all tasks. A better data loader would be helpful. There is "kick-start" functionality to load initial data sets but it seems limited in making mass updates.,10,Ability for PS team to manage more projects and ensure customer satisfaction. Their customer service is adequate when asking the right questions. If there is a solution they will get it to you quickly and effectively. The interface is pretty well designed and relatively intuitive. The ability to specifically decide which emails you wish to receive makes up for the vast number of emails you will receive when involved with a project.,AtTask should not be only focused on IT. We are a manufacturer and their new version clearly left us out of the loop. The New AtTask seems bent on making their software easier for non-technical users, but fails to maintain high level Project Management capability. Reporting can be accomplished now, by first time users, it really is quite straight forward. But reporting for PM's has become tasking to say the least. Old AtTask gave so much more control to the users that they could customize reports all the way down to the width of Columns, but that feature has been removed as well. Now I send out a weekly report, that shows several tasks with percent complete usually between 10-90%, but the column width is defaulted to a single character and the 5 and 0 end of on different rows. It is an embarrassment to me who provides these reports and an embarrassment to our company that cannot fix such a simple mistake. (And before you ask, Yes, I did try using the Text-Mode, which still didn't solve it, and reported the issue to Help Desk, which in turn escalated it, but there has still not been a resolution.) AtTask sometimes focuses too much on making a more appealing interface for users, and impossible for managers. When they switched to the New AtTask they abandoned the ability to customize reports exactly as desired and tried to make them easier for non-users to jump in and build reports. New AtTask removed the "Replan" feature from Old AtTask. "Replanning" is an essential element of project management. Why would they remove features? When projects fall behind or creep, an active PPM team will reschedule the project based on the current situation, usually based on PM's advisement. The Replan feature allows all "New", unstarted tasks to easily be rescheduled to have not started yet and now be On Time. This allows a PM to quickly and effectively reschedule projects that have changes during development. I can no longer choose which report elements are links and which are not. When I asked customer service to fix this, they sent me to a website of theirs, where suggestions can be made. Since Launch, less than a year ago, I have submitted about a dozen suggestions for bringing back features from Old AtTask, and none of them have been brought back. While customer service from their Help Desk is quite good, their timing is sometimes a pain. They outsourced to Armenia, and I usually submit an Issue Monday, they reply Monday night and I get back Tuesday, and they reply Tuesday Night, and we have clarified the Issue by Wednesday. Sometimes that means it takes almost 3 days to deal with an Issue that could have been 15 minutes if they were local. Other times it means it takes almost a week to elevate the Issue to someone who sees that the code is bad. I had major issues with their Java Scripts for their Gantt Charts. Constant updates make it a pain to work with even though it is one of the most effective tools. They have some turn over issues with Reps. I have been working with them for 3 years, and have dealt with more than 5 reps. The most recent has been a Customer Success Consultant, who when I called to complain of new issues, ranted at me for 30 minutes before finally letting me speak. He was unable to correct my issues, but told repeatedly said how bad he felt about that...,2,AtTask has helped us document our progress well. We have had situations where we have "he said she said" and AtTask has helped clear that up. But instead they ignore us and try to pry more money out of us each year. Why are they not valuing their customers? I'd like them to move away from Java,No,NoAtTask: Usability+Scalability+Customizability=High Degree of LikabilityVisibility: When I began interviewing team members when I first started in my current role, the first and most common complaint I heard from the majority of them was "Too many status meetings eating up time." I've always viewed this as a symptom of a problem, rather than the problem itself. Upon further investigation, it became clear that the problem was a lack of visibility and consistency in reporting for stakeholders. Some of our project managers were creating a wiki space for every project, others were using online workspaces, some even resorted to using a local Excel or Word document to keep track of progress. This caused our stakeholders to experience what I call "Status Anxiety." It was infinitely easier for each of them to setup a weekly status call for their projects, which in turn made the work going into maintenance of the project wikis, workspaces, and scope documents redundant. Enter AtTask. Ease of use for our stakeholders mixed with customizability made it very easy to give all of our stakeholders a "one stop shop" for engaging our team, communicating with the project managers, and allowing them to see exactly what the project's status is in a few clicks. Obviously, the caveat here is that our project managers are then responsible for keeping information up to date, which is unavoidable in almost any scenario. It's difficult for project managers to change behaviors and commit to using a new tool, but AtTask provides the best combination of usability and capability which is helpful in the buy-in process. Single Source of Truth: The second major symptom I learned about from team members is that the same information about a project was being maintained in more than one tool, and those tools did not communicate with each other. The real concern here is that the information being duplicated was critical data that was vital to a successful project execution. In the most extreme example, one project manager had to update 4 separate data sources any time there was an update on a project. Each of those 4 data sources had a different owner, which mean they all had their own quirks and nuances when it comes to naming conventions and editing processes. Again, this was a symptom of the real problem. The problem being that no one had taken the initiative to implement a single set of standards for tracking project information. Everyone was left to their own devices. This might give those people an illusion of satisfaction by letting them "do it however they want." The reality, however, is that this mode of operation is a catalyst for chaos. With AtTask, we were able to migrate existing data to the appropriate projects and use the reporting and dashboard tools to provide the project managers with the same functionality while giving our stakeholders that "one stop shop" they didn't know they wanted so badly. The caveat here, is that licensing becomes an issue. We have 150+ licenses, but hundreds of stakeholders. We are able to use public reports to allow those stakeholders to have visibility without requiring a license, but this is undoubtedly a restraint in my opinion. There is more good news however, if license quantities is an issue. AtTask provides a wonderful API for accessing, creating, modifying, and even deleting project data using the RESTful API. If you have some PHP, JavaScript, and HTML skills, then you can heavily customize your usage of AtTask and enable reporting, updating without having to be logged in to the AtTask interface. "Scalable Usability": I don't know if this is a real term, but I use it anyway. I use it to describe how easy it is to control the complexity of the system on a group or user by user basis. If one of our stakeholders requires nothing more than read-only access to projects, I can easily control what they see in AtTask and cut out all of the excess information that is not required. I can also setup one of our project managers with an expert level access that permits them to customize their own interface and create unique views, filters, reports, and dashboards that they need. In all of the work management tools/solutions I have used, this is where AtTask really shines. The same system is as relevant and useful to the "once a week" user as it is to the "I live in it" user. The ability to create custom data that you can track and report on is of immense value. After only 12 months of tracking a few metrics from our custom data, we are now aggressively expanding the amount of tracking and reporting we do inside of AtTask. The trends we were able to report on using custom data, which required minimal maintenance during the year, spoke for itself when those reports were delivered. Buy-in from management was instant. As with my previous examples, I'll caveat this as well. If you get in the habit of creating too many unique access profiles and too much custom data, I can see how it could easily get out of hand. The temptation to "just throw it in there" is great, especially since it is so easy to do. Ease of Use: Regardless of how simple the tool is, you will always encounter push-back when trying to transition a large group of people into a new system. We understood this and released AtTask in smaller, more digestible waves, incorporating the more advanced features gradually. This helped by allowing the users to get to know the system on a simpler level first, helping in their "conversion" if you will. As we then rolled out the more advanced, and "cooler" features, they were anxious, even excited for it. Even with this approach, we still faced potential roadblocks. Taking advantage of how customizable the AtTask experience is, our stakeholders were able to catch on very fast, and we were surprised at how quickly the praise started to come in. A great example of this is an email that was sent to myself and my manager. The subject line, "AtTask Rocks!" She went on to express how much she loved being able to find the right person at any given time on any one of her projects, and how easy it was for her to collaborate with the project team. We have even received requests from multiple teams for licenses so they could start using AtTask because they had seen such positive reactions from their peers. I have never seen that happen before. A team coming to me, asking to be a part of the radical process change.,The Calendar: Although I am listing this as something that needs improvement, I want to make sure it's clear that the calendar tool in AtTask is much better than most. It's just that I have yet to see a Calendar tool that is actually usable. The AtTask calendar comes close, very close, but it has a few fatal flaws. It lacks customizability. It's greatest feature is how easy it is to customize your calendar filters, but it lacks customizability in the actual calendar view. I'm unable to: control how titles are displayed, modify information in the calendar view, control size/scale. If the calendar could be updated with some more customization options, some forms of conflict or clash detection, and some integrations with web calendars, then the AtTask calendar would be the cream of the crop. Resource Management and Portfolio Optimization Tools: I won't get into these too much, but I want to make a distinction. I dislike the tools that are built in to the product for these features. I love the capabilities. It just needs to be implemented in a more user-friendly solution. The old flash-based interface is clunky, and the user experience is terrible. Mobile App: I am NOT talking about the AtTask View iPad application. The AtTask View iPad app is phenomenal. I am referring specifically to the iOS and Android app that is built for mobile phones. It is such a great start, and could be so good, but I feel like it is more successful at being a tease than a real solution. I understand that it was initially built for "team members" and not project managers or stakeholders. For managing your own tasks, it's a decent solution. For anything more than posting updates and marking tasks complete, however, it needs work. In this arena, Basecamp and Asana are far superior. They are inferior in almost every other way, but in the mobile world we live in, AtTask really needs to have a more powerful mobile solution. The on-demand version of AtTask is actually very usable on a tablet, but it is impossible to use on a mobile phone. Object Reporting: One little nuance that can be a little bit annoying at times has to do with how the system is built. When reporting or otherwise interacting with Project, Task, or Issue objects, the separation between them becomes a barrier when trying to setup some advanced reporting. For example, you cannot create a report that consists of both Projects and Tasks. You can create two separate reports; a Project report and a Task report, and then pull those two into a dashboard to show them together in a single view, but you cannot aggregate data across the two objects without some heavy customization. Such customization almost always requires integration with a 3rd party service or application. Advanced Charts: If you only need to create simple or moderately advanced charts, then the built in chart tool is great. Very easy to use, sets up with a couple of clicks. If you want to get into some advanced charts however, AtTask does fall a little bit short. Obviously this is a sacrifice to make sure the simple and intermediate charts are so simple, but if you need to create complex aggregate or trends reports that are generated using a lot of data, a 3rd party integration may be required.,Turnaround Times: I can't speak for any improvement to lead conversion, or how revenue has been directly impacted. I am part of the Web Production team, which is a services team to the corporate marketing organization. What I can provide an example of, is how drastically our team's efficiency has improved. When I first started in my current role, the average turnaround time for production of a single asset (web page, email, etc.) was 6+ days. At the end of Q4 in FY13, the average turnaround time for production was 2.13 days. So although we don't track revenue figures in AtTask, we have observed both a reduction in turnaround time and an increase in throughput. In 2012, we successfully executed 536 projects. 30 - Everyone, top to bottom. Executives us it to report on employees' time and usage. Project managers use it to manage tasks, see employee availability, and review time spent on tasks. Employees use it to determine what tasks they're assigned to, when the work needs to be completed, and how much time they have to put towards is.

150 - AtTask is used by most of the employees in our company from production to managers to support staff. The business functions of our employees who use AtTask include Accounting, H.R., General Managers, Project Managers, Account Directors, Advertising and Data Managers, Email Marketing, Artists, New Business, Editors, Web Developers, and Internet Marketing. The employees that aren't using AtTask currently are our sales teams although, we are looking into a connection between our Salesforce and AtTask accounts that might allow us to include our Sales staff too.

About Workfront

Workfront is a web-based project-management tool developed by Workfront, formerly AtTask, based in Utah. It was designed for both IT and marketing teams, but can be implemented for any kind of project. Workfront offers all the features standard to project management platforms. Editing and updating issues from the project view is styled to work somewhat similarly to a social networking site, bringing team members together in one central location. From the project view screen, issues, documents, and other elements of the project are placed along a tab bar so that they may be addressed with one click directly from the hub.

The platform's Capacity Planner allows a manager to move resources to where they are needed, and has some automation features (e.g. the Set Best Fit option, which attempts to allocate resources optimally within given constraints). Agile project management is supported with features like Gantt charts, an easily viewable and manipulable backlog, and storyboarding. Team members can be managed with the aid of quantitative metrics that show where work would be best allocated.

A free trial is available, after which Workfront comes in four pricing options.
