What is Adobe Workfront?

Workfront is a web-based project-management tool acquired and now supported by Adobe since late 2020. It was designed for both IT and marketing teams, but can be implemented for any kind of project. Workfront offers all the features standard to project management platforms. Editing and updating issues from the project view is styled to work somewhat similarly to a social networking site, bringing team members together in one central location. From the project view screen, issues, documents, and other elements of the project are placed along a tab bar so that they may be addressed with one click directly from the hub.

The platform's Capacity Planner allows a manager to move resources to where they are needed, and has some automation features (e.g. the Set Best Fit option, which attempts to allocate resources optimally within given constraints). Agile project management is supported with features like Gantt charts, an easily viewable and manipulable backlog, and storyboarding. Team members can be managed with the aid of quantitative metrics that show where work would be best allocated.

A free trial is available, after which Workfront comes in four pricing options. The lowest tier is Collaboration for small groups, followed by Work which adds mobile accessibility and time sheets, then Plan which adds additional analytic, planning, and reporting features. Finally, Enterprise Plus offers the highest configurability as well as support and data security.

  • I love that we are able to customize views. Making it easy to have each type of user see what is important to them.
  • My company generally uses Workfront as a project management tool. It also can be used as a collaboration tool too, since everyone has access to platform and documents.
  • I love all the add ons that are available. WebDAM and ProofHQ bring your Workfront experience to the next level.
  • While new functionality is coming out regularly on Workfront, some area can be harder to customize and require some workarounds, I have found this with the Request queue area.
  • I wish there was a central spot for all comments. Some comments can be found on documents and others in the update feeds making it somewhat of a search when you are looking for a thread.

  • Workfront contains al the necessary details and documents in one location for easy reference.
  • Workfront allows anyone within the company to review a project and know exactly what has happened through the work on the project and also the current status so anyone can pick up the project and work on it if need be.
  • The organization of types of billing is a great tool to be sure we charge appropriate rates for our time. Example: Wed hours are more expensive than studio/design work, so we are able to manage billing quicker and easier.
  • It would be nice if Workfront allowed a 'middle' category between a project and a task, so we can have subtitles to projects.
  • It would be great if Workfront could link to Outlook - our project orders come in through email, our project revisions come in through email, so we are always duplicating time in cutting and pasting each and every order or revision into Workfront system and then taking the update out of Workfront and pasting it in to an email, it would be great if that process could be streamlined.
  • Managing the end date for the project is difficult, the project status can't be in "complete-pending approval" if we want to push the finish date out further, so we have to adjust the status for the project, change the date and put the status of the project back to it's original status - sometimes we forget to do that after changing the date and the project goes into a place where the proper staff doesn't see it to manage it.
  • The rejection process is clunky. If the task is updated and then requires a rejection, it should carry forward the details from the update rather than requiring us to cut and paste the same information 2 times into both the update and the rejection.

  • Workfront is relatively easy to navigate with it's clean interface and tabs. With a few clicks, you can navigate to different projects or tasks or find data you need in a report.
  • As an administrator of Workfront, it nice to be able to restore deleted tasks, projects or issues within the system (within 30 days of deletion).
  • The flexibility of the reporting function in Workfront is a big benefit for the most part. By setting up custom filters, views and groupings, you can create reports to deliver the right data your looking for.
  • While it is nice that Workfront has ProofHQ as an added service, it would be nice if the proofing emails from ProofHQ also provided a link to the project within Workfront itself. For now, they do not and so while you can get to the proof, you can access to project to leave an update in the task, if you want.
  • In the My Work dashboard of Workfront, it would be nice if there was a way to prioritize the work by the planned completion date. At least for now, I haven't found a way to get it to prioritize it that way.
  • It would be nice if there was a global calendar that a team could view to see each other's PTO based on the information that they input in their Time-off Calendars in Workfront. We had to custom make a request queue to place approved PTO on a calendar to set something up like this. It wasn't too difficult, but it requires everyone on the team to input their time in Workfront two places: once in the request queue and again on the Time-off calendar.

  • Work organization - team members see their work in two lists. One is a "Working On" list which contains items the team member has selected her/himself to work on based on priorities from her/his manager. The other list contains work requests, upcoming and future.
  • Collaboration - a customer (work requestor) can see the status of her/his request and communicate with the team member to whom it is assigned and vice versa. This has been a huge satisfier for both the requestor and the team member because all the communications are in one place (no searching through email!), it is clear as to whether or not a response has been received, and the customer stays informed on work status.
  • Team management - as a manager, I can see the status of my teams' work and I have access to dozens of reports where I can see information about portfolios, projects, tasks, requests, time tracking.
  • Manager view - When looking at my team member's "Working On" view, I would like to see the priority order my team member set in his/her "My Work, Working On" view. The sort change would provide an at-a-glance view of my team member's priorities. I can then determine if s/he understands his/her priorities and follow-up, if necessary. Right now, I have to ask the team member about their priorities (or, as an administrator, log in as the team member to see the priorities).
  • Reporting Issues/Tasks - I'd like to see more flexibility within reporting without adding another vendor's software. For example, "issues" and "tasks" are reported separately because they are two different objects. Workfront should have the ability to combine the objects. It may be necessary to make the fields more consistent between the two objects which is okay. I would also like a report on planned hours at a team member level instead of role level. I understand that more than one person may be assigned to a single task; an allocation is fine.
  • Resource planning - I've wanted to use resource planning but it is labor intensive to set up and maintain.

  • I love the flexibility of the Workfront system. Due to the object-oriented design and amount of customization it affords, we've been able to adapt the system for some particular needs in addition to what the system is "supposed" to do. Over the years I've evaluated several similar systems, but all of them feel very "locked down" and restrictive with features designed to do a very specific thing and nothing more.
  • Workfront has great reporting and dashboard capability. It combines a very simple wizard-like interface that allows you to build custom reports quickly and simply. At the same time, there is also a syntax-based mode that lets you get far more sophisticated if you want.
  • Related to the other points, the custom forms and fields that you can attach to different objects (projects, tasks, issues, users, etc.) in Workfront allow you to store, analyze, and report on all kinds of data and descriptors for everything you need in work management. Essentially all other systems I've reviewed have predefined fields and reports with little opportunity to flex.
  • The ability to make comments and updates on everything in the system is also a huge benefit. It puts information at the point of need, where it's relevant to the specific task or other work item you're executing. This saves you from having to go searching through an unrelated email application that has far less structure and organization.
  • The simplified reporting generally only allows you to go two layers deep in segmenting the data. For example, I could look at users' hours worked by business unit by geography (e.g. business unit 1 in N. America and Europe and business unit 2 in N. America and Europe). I could not look at a third layer, such as hours worked by business unit by geography by role. This might be possible by using "text mode" (the syntax-based approach) for reporting, but I don't think so. You can always export data to a spreadsheet and do that level of manipulation there.
  • The mobile app for Workfront is good but not great. It does a lot for work management, but my consistent desire is for better timesheet functionality in the mobile app. There are ways to log general hours in a consolidated view, but to log project hours, you'd have to look at individual tasks or projects and log hours on each one separately. I'd love a single, consolidated view of a timesheet with a listing of all my projects and tasks, almost like a spreadsheet view, where I can simply enter a number of hours (as you'd normally expect with a timesheet). This is done very well in the normal web application. It's not quite there in the mobile application.

  • Communication. By utilizing the updates tab within Workfront, the entire project team is aware of the status. This cuts down on our email threads and allows me to see how things are going on a project from a supervisor perspective.
  • Flexible task management. We have templates to streamline processes, but every once in a while something doesn't fit neatly into those processes. With Workfront, you can easily add a new task without disrupting the entire project.
  • Reporting. We've been able to utilize the reporting feature to give a real time look at how the team is performing. Where we need to make adjustments to help keep things moving on time.
  • The resource planning tool is a little clunky to navigate and understand.
  • Would like to see more 'out of box' reports for dashboard suggestions.

  • REPORTING: No matter the topic or structure I can find a way for Workfronts reporting capabilities to organize the data in a digestible way.
  • PROJECT PLANNING: After receiving an SOW Workfront makes it easy to structure a project plan for the life of a project. Predecessor options allow for easy updates.
  • INFORMATION SHARING: Communication setup allows for all project communication to be stored in one place so it's easy to reference whenever necessary.
  • It is a VERY robust software. If you don't have the time and manpower to really focus on setting it up correctly for your business it will be worthless to you.
  • There are often things that I want to share or remove from access levels of different job roles, and there are 2-3 different places to remove access. So it take a lot of digging to get used to where things are hiding.
  • As in any software like this. It's garbage in and garbage out. If you can't train your staff to utilize the software correctly/efficiently then it will be useless.

  • Workfront's support system is great. Their support reps respond quickly and are patient even when you are not. If the support rep doesn't always know the answer they are great about researching and following up with you.
  • Workfront is incredibly customizable so you can configure it in a way that works for your company. We find that when building process into Workfront there are several ways to go about it.
  • We love the custom forms and the ability to put metadata on every object in Workfront.
  • The reporting/views and fields available are not always intuitive. For example, when creating a document, task or issue report/view, you cannot access the program or portfolio information/metadata unless you calculate it through to the project level. This equates to a lot of extra calculated fields and work, that in my mind, should not be necessary.
  • The integration with Proof HQ needs some work. We were Proof HQ users first and have begun the Workfront implementation. Eventually, they will be integrated where users access Proof HQ through Workfront. The approvals process in Proof HQ is much more robust that Workfront's; however, the reporting that Workfront provides on the Proof HQ processes and approvals is severely lacking which makes visibility on Proof HQ approvals difficult.
  • There are 3 levels of objects in Workfront: Portfolios, Programs and Projects. There is no way to tie Projects together except to create an issue on the first Project, then convert the issue to another Project. Complicated text mode fields must then be created and placed on a view/report to see if/how these projects are tied together. There should be a better way to tie projects. Our solution was to change the use of the Program object (to have a Program = a Client IO, rather than the Program = Brand). Further, the Portfolio and Program access is tied together. You cannot provide different access to Programs vs. Portfolios which makes our solution a little cumbersome.

  • Workfront allows project managers to manage the project more than the people because it has built-in notifications that are sent to the individuals that perform the work in the schedule so the PM doesn't have to bug the person. If the individual neglects to respond, WF even has the ability to notify the person's manager, not that I've ever had to use that functionality.
  • Outlook Plug-In functionality: I love the ability to insert an email and all of the attachments directly into a specific WF task in my project directly from my mail client. No more copy and paste of the email message to the Updates tab and saving the attachments and having to attach them to the Documents section...the tool does it all.
  • Workfront's customization is amazing. If it doesn't have it, you can build it. I love that I don't have to wait for someone else to build it, I can build it myself. I can create fields, forms, reports, dashboards, processes, automatic approvals, etc.... It's really amazing what this tool can do. On top of that Workfront has the BEST reputation for adoption of user suggestions. They even created an Idea Exchange to capture the ideas.
  • No more searching for documentation on Sharepoint or a shared file directory. Every file that is related to my project is attached to the exact task in my schedule. All of your documentation, notes, emails, comments, etc. are captured in one location for future reference.
  • Want to centralize how you capture your work? You can create a request queue to allow users to submit request for support, enhancements, issues, etc. If you have a process that requires an approval by someone before the work can be performed, i.e. project intake, enhancement work, or access to some type of systems application, you can attach an approval process to the queue to automatically send the request when the work is requested alleviating the need for an administrator to intervene before any action can be taken to help the end user.
  • Having worked in two different environments with Workfront as the main project management tool, I have to say that having more examples of best practices for implementation by industry would be helpful. I want to know how other people manage Risks (need to be able to outline a mitigation plan in the project schedule automatically), best practices for teams, groups, approval processes.
  • When moving tasks around in a project or from project to project, I would like to see the hierarchy structure more clearly defined. I don't like having to scroll through hundreds of parent tasks and children tasks to find the location where I want to move the new tasks.
  • In the Agile environment, I would like to know when the sprint will begin and end. In addition, I'd like to see what stories/points the team started the sprint with and what they ended with.
  • Setting up new users...when I'm creating a new user, I'm not sure what their initial view in Workfront will look like and often it isn't what I want them to see. I would like to either better understand how to create users with an immediate view that I've predefined (I almost think this is Layout templates and I'm just not familiar with them) or understand how others set up users to do this.

  • Full Transparency of project goals in terms of costs and time through the team members and at all levels ==> priorities and scope change clear.
  • A full integration of all company projects in one place with resources use, cost control and warnings on risks.
  • Program dashboards and performance are completely missing. Fine for projects and portfolio but nothing for Program. As we have organized, a program can be a registration process of a pharmaceutical that goes through different complex stages. Each stage is a project with owner with GO / NO GO for next stage. The program is therefore the overview of the overall product development.
  • Reports for the projects or programs or portfolio should be easily accessible. An option within each of the views should be directly accessible in order to speed-up the reporting review.
  • When we initially purchased Workfront a personal consultancy on site was included for a certain number of hours (as a function of licenses acquired). We used it, however, it was too early to use it properly. Now that we are ready for more sophisticated personalized and programmed fields or views, this option has been cancelled. This was also one of the reasons for choosing Workfront initially. This is disappointing.
  • As an alternative, a hotline with remote access and availability for a certain number of hours as a function of number of licenses should be offered.
  • A special license for giving limited access to customers that can see the task advance situation, the gantt chart, specific documents, but not the business case or other sensible and confidential informations like costs, budget etc. This would also incorporate in the team the customer that is more confident about his project advance.

  • Permissions-based views only allow users to see the information they should, making client "firewalls" easy to maintain
  • Added flexibility on how project plans operate (ex- our "plan" was to have task A done by Tuesday and task B start Wednesday, task A is completed behind schedule, task B still shows that its planned to begin even if its not ready to start and the date is now in the past). It would be nice to have the system update your plan automatically if other tasks are completed late.

  • Reporting - you can report on just about anything within Workfront. You are able to get a great idea of where your strengths and weaknesses are.
  • You can customize Workfront to fit your needs. Although Workfront can be a bit complex, it does allow you to customize the tool in a way that works for each of your users. Everyone works differently so having the ability to customize the user experience for each user is a huge strength.
  • Mobile/App - when it comes to using workfront on a phone it is a bit frustrating. I used the app at first and the majority of the time the app did not work. I then just tried to use it on my phone's browser and the sit was not mobile responsive.
  • I have only reached out to customer service a few times, but the few times I have reached out they have not been completely helpful. Instead of helping me through my issue they would send me to a FAQ page for me to dig through and find my answer. Would've been nice to just get the answer from the customer service team and not have to dig through the FAQ page.

  • The visibility of resource management has greatly improved in Workfront in the past year. This has helped us understand where are resources are overloaded and has helped prioritize effectively.
  • Digital reviews and approvals are hard to beat in Workfront. Having the review information centralized and housed on a document helps us move through our review processes more quickly with fewer questions about why certain edits have been made.
  • Project templates and timeline generation help streamline the project building process and helps us remain consistent with our processes.
  • The aesthetic and functionalities of the reports is one thing I'd like to see improve, since it can also affect the quality of Workfront dashboards. I've received negative feedback on multiple occasions about Workfront reports from a functionality and aesthetic standpoint.
  • The portfolio system in Workfront is very lack-luster and complex. I would like to see them move to more of a foldering system.
  • Overall, I think Workfront could start eliminating certain capabilities to make the system more user friendly and less complicated to set up. It's a lot to take in for team members and to onboard project managers.

  • Email notifications on project updates keep me from having to repeatedly log back into Workfront just to find out if there are any updates
  • Ability to attach reference documents to projects keeps all associated documents tied to project
  • Ability to tag as many or as few people as I want on a particular update gives me control over communications
  • The interface and user experience is a bit cumbersome compared to competitive software such as Asana
  • Mobile apps need greater functionality as compared to competitive software
  • Creative proofing (including video) could use enhancements so that it works better for a creative team workflow

  • User friendly - the interface is easy to use/learn how to use.
  • Customization to a certain extent that allows for almost any type of data to be captured if its desired by the user.
  • Limitations within reporting. The reporting capabilities are not as expansive as they are sometimes needed to be. There are no capabilities for comparative analysis within one report.
  • The functionality for publicly accessed reports could be improved. Currently, there is no way to save specific views for non-Workfront users who are accessing reports through a distributed link.
