The entire firm utilizes Worldox GX4. It is our "word processing" software. It is simple to navigate and easy for all to access. Switching from file to file is a breeze and it is easy to make a short-cut for frequently used files.
  • Saving and re-naming documents

  • Searching for documents within a file is a breeze
  • Changing folders within a file sometimes take a bit of time to perform
  • Doesn't always bring up all sub-folders
Ease of navigation is probably the top seller for me. I might work on a dozen or more separate files per day and I need to be able to switch between files efficiently, especially when asked to find something quickly. Naming conventions are simple and easy to use. Searching for a document, even when there are hundreds, is pretty simple and straight forward.
This is a great program. It makes searching so much more efficient and therefore, cost-effective. On occasion I have entered a search term, but it really wasn't what I was exactly what I was looking for; this program provides me with multiple options!

Worldox is in use by my organization and many of my clients as a document management system. It organizes documents in extremely customizable containers and categories. The software works with cabinets and further specifies with multiple levels of categories and document types. Worldox also forces this structure by integrating with all basic applications including Office, Adobe, and browsers.
  • Forced structure via hooking into every day applications and producing Worldox Open and Save constructs versus the standard application Open and Save menus.
  • Extreme customization options including cabinets, folders, and document types.
  • The indexing system is very useful for locating documents by name, body, date, etc.
  • Because of its level of integration with applications, this can sometimes have technical issues or software compatibility complications.
  • Standard Worldox does not have built-in remote access. A separate software construct is required to setup a Worldox web client, which more or less involves "checking out" files versus working on them remotely. Enterprise Worldox is required for true online collaboration and remote access.
  • The software will have strange bugs and behavior from time to time. There are frequent smaller updates to patch code along with eventual large updates (GX 3, GX 4, etc.).
Worldox is well suited for any company looking for document management. It requires training and buy-in from company employees but can greatly improve productivity and organization and reduce clutter on network server storage.
  • Greatly improved productivity for users via searching, favorites, and forced organization.
  • Versioning and document preview can also improve productivity versus opening individual files.
  • Can require a "revolutionary" change in the workflow as the application's Open and Save prompts are radically different than normal application usage.
Worldox is the most structured and organized of the software packages. It is primarily an on-premises solution, but it allows for the most customization and has the easiest interface. NetDocuments has a much higher price tag and is fully cloud-based. NetDocuments also allows customization but does not force structure. iManage primarily works through Outlook for its interface, and also does not force structure. SOHODOX is a good solution but is not quite as feature-rich as Worldox. IBM Watson is less document management, but more so document indexing and searching. It is definitely on par with Worldox as far as indexing and searching go.

We use Worldox GX4 for our company's document management system. This software is very legal specific, however many other industries could benefit from its use, as it is highly customizable. With Worldox GX4 any/all documents and emails need to be profiled so that they can be easily searched/retrieved by other users in the organization.
  • Ability to find documents
  • Keeping multiple versions of the same document
  • Ethical walls (to prevent conflict of interest)
  • Cloud product is a little lacking
  • Little bit of learning curve out of the box
  • For a larger organization, may need to dedicate a resource to manage the program
Worldox Gx4 is well suited for law firms, specifically in that it does profiling, versioning and ethical walls very well. Finding documents and/or emails that have been previously saved is EXTREMELY easy, saving staff members a lot of time on a daily basis. Worldox forces all users to profile (save) files into a specific format, resulting in universal work flow as well.
  • Lots of time saved (no more losing documents)
  • All files in one location, resulting in easier backups
  • Ethical firewalls, ideal for law firms
Worldox GX4 is a very good on-premise document management system, as it also integrates with the more common practice management systems. Worldox does have a web-based offering, however, it is not anywhere near as robust as a true cloud offering, like NetDocuments. Also with the Worldox cloud offering, you need to have/manage your own equipment, whereas with NetDocuments "they" provide it.
