Product Details

What is Xero?

Xero is an online accounting software platform for small businesses and their advisors, as well as for personal finance. Xero competes most often with QuickBooks Online. Its features, beyond the ubiquitous general ledger and double-entry bookkeeping support, include invoicing with quotes, bank reconciliation, purchase order and expense management, tax management, and it is mobile-accessible. Xero integrates with over 800 third-party applications, covering everything from inventory and logistics to cash flow, project management, customer relationship management, and e-commerce.

The product is sold by subscription (a distribution model commonly known as software as a service or SaaS) requiring the payment of a monthly fee. This charge is proportionate to the number (and type) of company entities managed by the subscriber. The lowest tiered pricing option is the $9 per month Starter pack, which supports unlimited users but a limited number of transactions. The $30 Standard pack breaks open usage limits and adds e-filing and payroll options. The $70 Premium package doubles the number of supported employees on payroll from 5 to 10, and supports multiple currencies.

Xero is the cloud based accounting software that we use to run our entire business. It has proven to be a beautiful solution because it provides real time cloud based data about every financial aspect of our small business. We can log on each morning to see an up to date snapshot of payables, receivables and bank account balances on one easy to read dashboard page.
  • Communicates with our bank to provide real time account balances.
  • Makes filing state sales tax returns simple and quick.
  • Gives a great overview of revenue and expenses and allows me to easily drill down and see the details of each transaction.
  • Customer support and documentation is extensive and easy to access.
  • Time to enter daily sales invoices has been reduced by 75%.
  • Budgeting module allows us to 'predict the future' with increased accuracy.
  • Almost 4 continuous years with zero (or should I say 'Xero') downtime! Outstanding service.
  • I've been waiting to come up against that one thing that just doesn't work right or seems awkward, but it hasn't happened yet.... kind of amazing when you think about it!
  • The one area I found to be challenging was establishing the feed from one of our company credit cards. My experience with another program (Mint) tells me this could be an issue that originates from the credit card company rather than from Xero.
We have found Xero to be the perfect solution for our small business. A key question to ask before deciding to use Xero is whether or not it can access the feed from your bank. I am aware of a small local bank we could not use because of this issue.

UPDATE: Even without a feed from your bank, it is quite simple and quick to simply download transactions from your bank. In some cases, I have found this to be better.

We selected Xero because of the fair price, the ease of use and the extensive documentation and support. I used QuickBooks for many years and I don't dislike it, but I just find Xero to be more intuitive, less cluttered and easier to use.

The company Financial Controller is the main user and the owner reviews the numbers on a regular basis. The ability to upload vendor invoices to this cloud based accounting system is a major benefit and has proven to be a huge reason why we love using Xero.
The simple fact is that Xero works great for us and I cannot imagine switching. Even if our company grew tenfold, I cannot think of any scenario where this solution would not work for us.

It's Particularly well suited for service businesses. Product-based business require integrations for anything but rudimentary retailers / products. Need to be comfortable working with bank reconciliation process; other products allow multiple ways to create and edit transactions, while Xero is best suited for transactions which will ultimately flow through as a bank transaction. Reporting formats, few of the terms are more "European"; no problem for me, but may be a turn-off for some.

Previously exclusively a desktop QuickBooks "shop". Hate the version control issues and need to collect and transfer data files to get source documents. Auto bank downloads clunky and not as intuitive as Xero bank recon features. Few clients use FreshBooks - nice customer invoicing tool, but not a real accounting system. Selected Xero because it's easy to learn, dashboard view is great and bank recon makes accounting efficient and easy.

Beside what's already covered, the "discussion" feature in Xero, and the "Cash Coding" feature as well as "Find & Recode" feature allow classification or reclassification of many transactions quickly.

Ease of use was most important factor. The single ledger and use of bank reconciliation as central features are brilliant and intuitive. Base features such as multi-currency and fixed assets are often additional cost in other systems, but not Xero. Saas model allows automatic upgrades, so no tracking versions of software and no loading of upgrades.

Should make it part of switch to digital, online office. Look to digitize all, or as much as possible, of your documents as well as full investigate other apps in Xero marketplace for integration for real-time, powerful end to end systems and automation of most processes. Make sure credit cards are used exclusively for business, otherwise have to sort personal or other entity transactions.

Should take minimal effort and be fully implemented within a few hours. Payment system and other app integration may take a little longer, but well worth the effort. Might look a little different than used to for older accountants, but take the time to learn and get more comfortable.

Xero is an excellent platform for e-Commerce and online businesses. These businesses are already in the cloud and have sales going on 24/7. Xero integrates with cloud inventory solutions that connect with their platforms to provide Cost of Goods Sold, Advanced Inventory Management, sales tax management, etc. Xero provides the one vision of the truth for all the financial transactions; provides a clear dashboard on the status of each account and makes it easy for these businesses to know their numbers.

  • We are significantly more efficient using Xero than Intuit QuickBooks or QuickBooks Online, allowing each virtual bookkeeper to support more clients.
  • The Xero Add On Ecosystem allows us to support our vertical (ecommerce) efficiently and profitably
  • We are able to engage and collaborate better with our clients using Xero, where all parties have real time access to the finances and we can make notes on the income statement/balance sheet to communicate information.
  • Xero has been absolutely stable and reliable, we don't lose time with platform issues, doing upgrades, backing up data, or dozens of other issues running this great cloud applications. Our peers on other platforms lose hours and hours of productivity dealing with issues, sitting on hold, and taking weeks for issues to be resolved. We have none of that with Xero. There are minor issues here and there but they don't halt work or involve significant time to resolve.

Where to start, Xero is a significantly better designed product over the QBO or QBD as it was built as a cloud product from the core. Xero took the time to look at accounting and technology from a new perspective and has built a clean product that is easy to use, easy to learn, takes complex accounting tasks and makes them easy to complete. Intuit is slamming multiple legacy cloud products, databases, mindsets and approaches into QuickBooks Online and not doing it well. They are using their clients and most importantly their accounting partners as alpha testers on their product with many bugs, major security issues, and just wasting the time of their partners. We selected Xero because we can have a relationship with the people there at multiple levels from the executives (Rod Drury), the product and marketing teams, customer support and sales teams, they have a great culture. If I am going to bet my business on a cloud accounting platform, I am going to have to be able to talk with them, this isn't possible with Intuit. Plus, it is just beautiful accounting software and allows us to provide significant value to our customers by updating the accounting for every client every day, so their books are always up to date. Xero's API and support for add-on partners is significantly better than Intuit which only had forum support for any business that wants to integrate with them, where Xero has multiple people in every region and online resources to help any partners integrate with Xero.

All of Xero's training is online and available for anyone (business owner or accountants) to learn and become experts in their system. There is a range of content from product training to real world webinars from their partners. Xero is beautiful accounting software and their training is the same.
We have been actively using and 100% Xero based for our ecommerce accounting practice for over 4 years. There has on been one real outage for more than 5 minutes. Xero was open and transparent about the outage, what they were doing to resolve the issue, and provided 15 minute updates. Showing how they care about their customers and partners. Plus, showing that their customers care too, were understanding, and went surfing or in our case took a nap. Couldn't run our business without Xero as a partner.

Xero offered the best mix of features + customizations. Freshbooks actually came in very close, but we went with Xero because we have more flexibility. Oh! and their API is great :)

  • Invoice Generation System fed from our main LOB application
We have a system that keeps track of customer billable time. At the end of the month our hour tracking program sums up all client time and automatically creates an invoice for each one using Xero's API.

Integration was done in less than a day thanks to the Xero API and an open-source wrapper for .NET that the company hosts on github.

  • It is intuitive and easy to learn.
  • Interface is beautiful and welcoming.
  • Platform is constantly evolving. For example, they recently introduced a future payroll module which would be a great tool. They are working on integrated payments and and invoicing, and a scheduling / workflow module. They are constantly updating and improving the platform.
  • Check printing. This has been problematic since the check printing template does not seem to work very well and we have spent a long time trying to get things lined up so that checks print correctly. Part of the problem maybe that this is an Australian company and the check printing capability is designed for Australian check stock. In any event, this appears to be a frequent complaint judging by comments on various forums I have seen.
  • Integrated payments (getting there). This is also an issue at the moment. It's not possible for our customers to simply click a button on an invoice to kick off making a payment. We are forced to work with a 3rd-party payment processor called Stripe, which adds another step to the process. This is not ideal since Stripe cannot handle recurring payments which is important to us. It would be better if there were an integration to the Authorize.net payment gateway since this is a better-known processor and can handle recurring payments. Xero is working on an integration to Authorize, and that will help a lot.
  • Increased workflow efficiencies.
  • New revenue streams on subscriptions. When we were using QB, it was very difficult to set up clients on the platform. Since Xero is a SaaS solution we have a lot more options. For example, we can have clients subscribe and Xero bills us. We then pass that payment onto the client as part of their monthly accounting packages. Also as we are a Silver partner with Xero, we are featured on their website which generates more leads for us.
So far so good. We are bullish on Xero.
Xero is the future of accounting software. We are excited to get in on the ground floor as a partner!
