What is Xero?

Xero is an online accounting software platform for small businesses and their advisors, as well as for personal finance. Xero competes most often with QuickBooks Online. Its features, beyond the ubiquitous general ledger and double-entry bookkeeping support, include invoicing with quotes, bank reconciliation, purchase order and expense management, tax management, and it is mobile-accessible. Xero integrates with over 800 third-party applications, covering everything from inventory and logistics to cash flow, project management, customer relationship management, and e-commerce.

The product is sold by subscription (a distribution model commonly known as software as a service or SaaS) requiring the payment of a monthly fee. This charge is proportionate to the number (and type) of company entities managed by the subscriber. The lowest tiered pricing option is the $9 per month Starter pack, which supports unlimited users but a limited number of transactions. The $30 Standard pack breaks open usage limits and adds e-filing and payroll options. The $70 Premium package doubles the number of supported employees on payroll from 5 to 10, and supports multiple currencies.

Xero is our bookkeeping "bible". All our sales, purchases, payroll, banking flow into it from other applications. Everything works beautifully, except the bank feeds. The only problem we have is that the RBC credit card feeds through Yodlee are spotty, they sometimes just don't refresh, and then we will go 6-9 months and they are perfect. With hundreds of transactions per month, it is so important to have that connection. I know I can trust the data flowing into Xero, I rely on it. We know at any given day, what our financial position is, reports are built and easily customized to suit our needs.
  • integration with Dext
  • bank reconciliations
  • reporting
  • bank feeds
  • bank feeds
  • bank feeds (need I say more)
I have used Xero for at least 10 years, in Canada and Australia, with different companies, industries, in a CA firm. It has evolved into something that I cannot do without. I have used QBO, MYOB, Spire (shudder) but nothing compares to Xero. It is constantly evolving into something that just adds more and more benefits to your business.

Information is at your fingertips, generate a profit and loss (or balance sheet) with two clicks, drill down into your detail with a further click, then into the source transaction with one more. Source documents are attached at the source transaction level, allowing review by managers / tax accountant with ease. Notes can be added to transactions where required, because I have a short memory!!

Reports can be easily customized. We have created a monthly management report with a host of KPIs built to update every time the report is run. Fan-freaking-tastic. We have customized the P&L to reflect our needs. FFT

Multiple currencies are easy peasy. We have bank accounts in different currencies, bills and sales in those currencies, Xero handles the conversion without issue, reflecting properly on the balance sheet, profit and loss.

The bank feeds are evolving. I understand Xero is working with the banks to create a far better integration. My fingers are crossed, I know it will happen and will work well when it does.

Use it with our creditors and debtors of which there is about 800 customers.<br>Would love to be more user friendly. Sometimes we only have the cell number of a client on the bank statement and then it is difficult to find the appropriate client if we can only sort the debtors by name. Easier access on sorting will be great

We use Xero for normal accounting processes and procedures, as well as communicating with donors who receive their receipts as customized invoices. I still have to customize the statements. We still have to decide how of if we will use the inventory module.
  • Management Accounts
  • Budgets
  • Account transactions
  • Supplier and customer reports
  • Bank reconciliation
  • Inventory
Generally Xero is an excellent program. The inventory module, which I use for another company, in my opinion is not that good. The pay run module for salaries should also include staff leave tracking, i.e. leave due, leave taken and leave balance, categories of different leave.

Good for solo business owners who want control over finances with ease and less complexity than Quickbooks. Good for small business integrations to streamline admin. Not necessarily good if not willing to ensure integrations will work across other systems or if want something super standardized.

We use Xero for our whole office. At the restaurant level, invoices are entered into PeachWorks. We have a program that integrates those invoices into Xero, putting each item into the correct account code. Our office assistant enters invoices that come to the office like water and electric bills. Then we print check directly from there, or batch payments to pay online.

We also Xero to integrate our sales from the restaurants. After bills are paid, we use multiple types of reporting features.
  • Bank feeds work great, or I can easily import statements.
  • Easy to use, but still has the manual journal options for more detailed accounting.
  • Fixing errors is easy, plus gives detailed info on which user did what.
  • Cost! Very worth the low price.
  • Setting our own fiscal calendar is not available, so for every return or P&L, I have to manually adjust dates.
  • Remittance information on the checks is not available, and it very frustrating what they let you put on the checks.
  • Checks print in whatever weird order Xero puts them in. You can adjust to make it alphabetically and I can't figure out what ordering system they use.
  • We do use a small bank for one of our accounts, and it doesn't integrate with that bank. But that could be the bank's fault.
For a small or medium business it is excellent. We do not use it for payroll, but I can easily upload a GL import.

We use Xero as our accounting software & practice management software within our practice so it is used on a daily basis. It is used to store client details and records, used to prepare and lodge tax returns, used to log our timesheets within the firm and serves as an integrative platform with our other software programs. It solves the issue of having too many data bases to update when a client changes details etc
  • Xero tax - (creating tax returns for lodgement)
  • Client data base
  • Reports/report builder
  • Timesheets sometimes dont work
  • Xero tax sometimes doesnt load
  • Integrate with monday.com (workflow manager)
It is perfectly suited to an accounting firm that wants to use more cloud based accounting system. It is perfect for firms that have most of their clients on Xero, as you can pull through the published reports in the clients Xero file directly to their tax return. It needs more improvement with the workflow manager - it needs to be more transparent to the other members of the team so we can all see how much work we all have on and how they are progressing.

  • Entering purchase invoices

  • Producing financial reports
  • GST reconciliation
  • Purchase order

  • Project management
Xero is well suited if used for small/ medium business with relatively uncomplicated needs.
Xero becomes insufficient when the company has multiple entities and in needs for consolidation, although this can be solved with add-ons, but complicated accounting treatment is also quiet limited with Xero.

Acquiring Xero has enhanced our accounting and financial benefits since the installation was easy. It is software that simplifies our accounting tasks since the creation of invoices is very easy. The user interface is dynamic and interactive. It allows us to create financial reports and accounting in a very simple way and with great editing power. Xero is a great product to promote fluidity in the Finance department. We have a good administration of all our financial data with a lot of fluidity with Xero since you can see how the income, expenses, petty cash are evolving and if the figures made low adjustments to drive financial growth with the features of this software.
  • Good report editing and great power to share them with colleagues to seek to improve our accounting processes.
  • A simple and very dynamic user interface to manage financial and accounting data, it is a very automatic software.
  • We can use it from the office or from our phones, which allows us to work from home. I like that feature as we don't always have to be in front of the computer and we can do it remotely.
  • Xero has been a great software for us. We have not noticed any limitations in its use, the benefits have been constant, and we hope that it will continue to increase our financial and accounting effectiveness.
Xero is a 10-point software since it streamlines accounting and financial processes with great agility, generating immediate productivity. I recommend using all its features since, from creating reports to paying bills, the whole process is easy and does not require much knowledge. We can use it remotely with our phones and still build fluidity, plus it can be integrated with Salesforce, building even more power for short-term results.

We use Xero for bookkeeping, accounting, payroll, and tracking cash flow in the business. It brought a lot of order and clarity in the bookkeeping and simplified the task. It actually makes accounting less daunting and provides us with key reports with just one click. It allows us to have a finger on the pulse and to see trends. We can also pay superannuation directly from Xero which makes it really simple and efficient and avoid missing deadlines. Overall, Xero removes the friction for accounting and fiance management.
  • Bookkeeping with direct feeds from bank accounts.
  • A simple and elegant user interface.
  • A variety of specific reports.
  • Makes reconciliation a breeze.
  • Lodge Activity statement.
  • Payroll management.
  • Integrates well with Stripe.
  • Superannuation contribution payments
  • Can upload receipt/scan receipts to have everything in one place for bookkeeping
  • Sometimes bank feeds disconnect for no obvious reason.
  • Could provide graphic charts in addition to number reports to make it more visual.
Well suited for a small business to maintain good quality bookkeeping and get some insights into your numbers in real-time. It facilitates the provision of Taxes and the management and reconciliation of transactions. It's simple, effective and cost-effective. It makes accounting much more enjoyable and gives you accurate numbers in real-time wich allows you to create a budget for forecasting. It also simplifies payroll and superannuation and Tax reporting.

We use Xero, and its associated products eg Hubdoc, for all our bookkeeping and accounting needs. We have been doing so going on for 5 years. We have multiple accounts for different entities but also use profit centres in Xero to manage multiple sites within one entity. Our accountant and a large portion of our suppliers also use Xero making things even easier.
  • Payroll
  • Reporting
  • Bank feeds
  • Batch payments
  • Reports are constantly changing
  • There are duplicate reports and the difference is unclear.
  • Random bugs
In hospitality, we have a large number of bank transactions, both revenue and expenses. Xero bank feeds make it easy to keep on top of such a large number of weekly transactions. It also helps in making sure suppliers get paid on time and also ATO reports are submitted in a timely fashion. Bank feeds are the best!

Xero is being used in two ways at our organization, as our in-house accounting system and as the accounting software we recommend to clients that hire us for their work.
  • Xero has a clean user-friendly interface.
  • There are strong integrations with many complimentary applications.
  • The software is constantly being updated.
  • Since Xero was built for the web the application runs extremely smoothly.
  • The reporting function can certainly be improved. The function is good, but I think it is an area that could be simplified more.
  • Update the support function; they are very responsive but I don't think you can speak to a live person easily.
Xero is well suited for do-it-yourself business owners and accounting firms. There is a slight learning curve, but I believe it is easier for people without an accounting background.

  • Business analytics.
  • Improved ease of linking to Australian Tax Office.

First, I want to say, overall I LOVE XERO. Several years back, I made a business decision to only offer Xero. When we have clients who use other software, they have to agree to switch to Xero. Xero is good for training for new employees and business owners. The concept of money spent and receive helps business owners understand. The reporting is great. The reason I did not give them a 10 out of 10 is due to customer service. I wish similar to another larger company there was LIVE support. You can go weeks and never get anyone to respond. Xero loves responding with a video. This is great for larger firms. A company my size does not have the time to view a video, just provide the answer.
  • Cash Coding.
  • Fix posting.
  • Generate Financial Report.
  • Customer service.
  • Eliminating duplicate posting of contact.
  • More plug in similar the other major accounting software.
My reason for not giving a 10 is the lack of plug-in and customer service.

We contract for manufacturing companies and Xero is our time keeping tool for tracking and sending billable hours to clients. This tool allows our users to track their hours in real time, and additionally, inform clients on not just hours worked, but also the content and achievements for that time.
  • Real-time tracking of hours
  • Easy and simple UI
  • Mobile app is big benefit to tracking
  • being able to add details to hours worked is helpful
  • I have no feedback on improvements
Xero is great for 1099 and W2. Being able to track hours in real-time is a huge benefit. It gives users the ability to track only hours that are work related with no hassle.

I'm a small business owner, and I use Xero to manage all the finances in my organization. I will send quotes and invoices to clients directly through Xero. It has a really nice user interface online and on my phone, giving me the confidence to manage my finances on the road or in my home office. I track my expenses with Xero as well, which means I don't have to fret with paper receipts. Take a picture and add a bit of information. I usually have my expense uploaded before I've left the place where I made a purchase.
  • Invoicing
  • Statement of accounts
  • Expense management
  • Syncing with bank statements
  • Communication when bank feed fails
Well suited for a small business like mine with less than 10 employees. I would suspect Xero would be good for companies with 100 people or less where there isn't a huge finance department. Xero allows people to easily monitor the finances of their business. I've not had to integrate payroll with Xero, so perhaps this is when Xero would be less suited.

Well at its core this is a great cloud accounting platform and at its most basic level, it fulfills this function brilliantly. It really becomes super powerful once you start making use of its 3rd party marketplace which allows you to manage business functions in software purpose-built for this but with direct integration to your accounting system.
  • Integration
  • Ease of Use.
  • API
  • Recurring Invoice API.
  • Local currency pricing.
This can work for any business small to large, it is scalable and provides an intuitive interface for the new or seasoned user. Its marketplace for 3rd party apps & integrations is second to none. This allows you to create the ideal automated business processes and workflows.

Xero is one of the more popular options among our clients (along with QuickBooks). Xero is reliable, user-friendly (for non-accountants i.e. business owners), and doesn't cost an arm and leg. It has most of the major features that small and medium business owners need from cloud accounting software. The Xero ledger and Cashbook options are a great offering for accounting firms for clients who don't want to spend a lot of money on subscriptions or no money at all.
  • Reporting (customizing look and contents and the ability to add multiple comparative periods is brilliant and not found in many other competitors.
  • Bank feeds. The way they organize bank feed and subsequent matching or coding is very user-friendly for non-accountants and fast for accountants.
  • Can file VAT returns and is MTD compliant in UK.
  • Customer support has been helpful (at least in my experience).
  • Bank reconciliations. I would like them to try something like QBO where reconciled transactions are marked and then locked, so when editing or deleting those transactions, you are shown an extra warning.
  • Vendor and customer pages. It should be easier to see a list of activities and then access those transactions from there. Again QBO does it better, in my opinion.
  • Search feature. Once again their main competitor does that better, you can search an invoice number, amount, date, vendor name, and account head in QBO and it will show relevant results. Xero global search functionality is pretty basic.
It is great for small businesses especially:
- If there is a local variant for your country (US, UK, NZ, etc), so you can file GST / VAT returns directly, CIS returns (UK).
- If you are a business owner who wants to maintain books on your own because it is very friendly for non-accountants and rarely uses accounting jargon anywhere. They have done a good job of translating everything to layman's terms.
- If you don't mind paying slightly more than some of the basic options and get a huge set of features, reports, integrations, and customer support. All you usually need from cloud accounting software.

We use Xero in our accounting practice. Many customers come to us frustrated with Intuit products and have no idea there is another and often better solution. All my clients enjoy Xero for UX, ease of use, and integrations with their other 3rd party applications. Xero also recognizes that accounting platforms need accountant expertise and advises customers when they sign up to find an advisor. Our practice operates 95% in Xero and we love it.
  • Customer Service
  • Recommending accountant advisor for the accounting
  • User interface
  • Fair pricing
  • Xero Projects easier to use and implement
  • Being able to cancel subscription right away- no 30 day wait
  • While pricing is fair, their billing department is terrible

We use Xero for all of our invoicing needs. Keeping those straight is a task all itself. Xero allows us the freedom and flexibility we need yet keeps us structured and on task with past and current invoices. To include allowing the comfort of sending the ones we select and keeping the ones marked that we have sent and so many more ways available to keep us tasked and moving forward.
  • Allows dates of invoices to change - not rigid
  • Sends individual or multiple invoices, whatever I choose
  • Shows which invoices are late, which ones are due, and allows us to have drafts that are not comingled with valid, current invoices
  • It would be nice to be able to pull an invoice and put in drafts
  • I wish it was compatible with our HUBSPOT app
I have not found a time when Xero has let me down. Both mobile on my phone or stationary from my desk, Xero has made it nearly foolproof to use this invoicing system. I rely on this program daily, and it has made light work of the billing I handle. Thanks Xero, solid, user-friendly, and convenient. Not many things are this way anymore. I would say that it has saved me hours of time when monthly bills are due.

For small business accounting. Tax returns, business activity statements, invoicing, linking sales transactions from Shopify to Xero to measure performance.
  • Links shopify very seamlessly via applications like A2x
  • Makes creating invoices easy
  • Ensures all sales are filtered through from Shopify and broken down into GST, discounts, sales
  • Lower price point for small businesses
  • Linking shopify without the need for A2x
  • Improve interface so it could directly link to ATO
For larger businesses and corporations. This is suited for small businesses.

We use Xero for our accounting. Invoices are created there and sent to the clients directly from Xero. It is great that Xero allows bookings in various currencies, but there are still improvements regarding reporting in other currencies. In the area of report in general, I think there are still a lot of improvements to be done, being able to create customs reports, for example.
  • Very user-friendly software.
  • The possibility to create recurring invoices.
  • Nice functionality to reconcile bank accounts.
  • Customer reports missing.
  • Limited setting up in the access rights. It would be very useful to be able to set up the user access rights more in detail.
  • Not all the banks available for bank feeds.
I think Xero would suit to small (or medium) company side, but not for big companies. For international companies working with many currencies, it would not be the best choice as the reporting in other currencies is very limited. There are only two cost centres available, I find it a bit limitate if may cause an issue for some companies.

We use Xero.com accounting software for multiple tasks including bank account reconciliation, coding the general ledger and trial balance, producing end-of-financial-year financial statements, for GST returns, business analysis, etc. We don’t use any of the practice management elements.
  • Bank reconciliation.
  • GST returns.
  • Automatic bank feeds.
  • Financial statements.
  • Support is only through email.
  • Outage advisement is poor.
This software as a service is specially designed for the end-user who does not have a lot of accounting experience. It is far more user-friendly and intuitive than other comparable accounting packages. Gradually over time, Xero has built up the backend so that it is more suitable for accounting firms as well.

We use Xero internally for expensing and reimbursing employee expenses. We also use it as a quote and invoice generator. It allows us to quickly and easily track and payout expenses and can generate simple quotes quickly.
  • Quote/Invoice generation
  • expense tracking and reimbursement
  • Employee visibility on dashboard and payment status
  • Easy invoice templates
  • It is relatively simple overall, good for ease of use but no real advanced functionality
  • Relatively inflexible invoice generator tool
  • No integration and visibility to other payroll platforms

I use Xero to manage the books of my eCommerce company. It allows me to connect my bank accounts and automatically pull in all transactions, which I then reconcile and share with my CPA so that they may calculate quarterly tax payments. Before using Xero, I was doing this all manually with spreadsheets.
  • Allows me to quickly label transactions
  • Allows me to easily pull reports like Balance Sheets and P&Ls
  • Removes the human element and automates my transactions
  • The bank feed doesn't always work as expected, still requiring some manual entry
For a smaller company like myself ($500K annual revenue) with around 150 transactions a month, Xero is robust enough for my needs. Perhaps a larger company or even a more complicated company with more transactions/more varied transactions may need something more robust. The price is very attractive and I feel fits my needs.

Xero automates our small business accounting, making it easy to bring in transactions through bank feeds. Beyond that, Xero provides decent reporting for P/L and similar reporting needs of small businesses. Finally, we use Xero for vendor payments and to report 1099's at the end of the year.
  • Transaction Feeds
  • Bank Reconciliation
  • 1099 Reporting
  • P/L Reporting
  • Batch Payments
  • Bulk Void/Delete of Bills and Bill Credits
  • Confusing Reporting System for Non-Accountants
Xero seems to target two different types of users: small businesses and accountants. While a lot of the functionality is simple enough to be used by small businesses, some things are clearly geared toward accounting professionals and are confusing for non-accountants. If you're looking for an application that is simpler and easier to use than Quickbooks, and want to keep your books and bank feeds in sync, then Xero could be a good choice.
