Product Details

What is Xero?

Xero is an online accounting software platform for small businesses and their advisors, as well as for personal finance. Xero competes most often with QuickBooks Online. Its features, beyond the ubiquitous general ledger and double-entry bookkeeping support, include invoicing with quotes, bank reconciliation, purchase order and expense management, tax management, and it is mobile-accessible. Xero integrates with over 800 third-party applications, covering everything from inventory and logistics to cash flow, project management, customer relationship management, and e-commerce.

The product is sold by subscription (a distribution model commonly known as software as a service or SaaS) requiring the payment of a monthly fee. This charge is proportionate to the number (and type) of company entities managed by the subscriber. The lowest tiered pricing option is the $9 per month Starter pack, which supports unlimited users but a limited number of transactions. The $30 Standard pack breaks open usage limits and adds e-filing and payroll options. The $70 Premium package doubles the number of supported employees on payroll from 5 to 10, and supports multiple currencies.

I use Xero not only for my accounting and tax purposes but also to link my employee's timesheet from another software Deputy for my accountant to do the payroll. Xero allows business owner[s] such as myself to check on my monthly P & L reports, as well as various different reports to gain a better understanding of my business cash flow and expenses.

I believe Xero is the market leader when it comes to accounting software, and it has definitely lived up to [its] reputation. Xero has catered for all my business need beyond my expectation and it has simplified so many different aspects as Xero are linked up with so many other software which enables my business to operate more efficiently and effectively. I can access any reports whenever I travel hence it gives me comfort and convenience for me to work and plan better at [the] ease of login into the software without taking folders full of paperwork or searching for reports [on] my laptop. We use Xero not only for our basic accounting needs but invoicing and quotes, too. We have recently started using the Projects function for an additional fee and have found it to be useful for invoicing clients quickly and recording each time we work for a client.
  • The Projects feature is useful for keeping our time with clients organized.
  • The option to integrate Xero with Salesforce is good.
  • The new feature of assigning expenses to contact accounts while reconciling is useful because you're looking at your transactions anyways.
  • I would prefer that Projects were not a feature you had to pay extra for.
Keeping track of the time you work with clients and can invoice them for is convenient. I do wish that there was a way to have consultants or employees enter their client time directly into Xero's Projects section without giving them access to see/edit other Projects they're not on or having general Xero access.

I work in a bookkeeping company that manages bookkeeping across a diverse range of clients from small to large business sizes. Xero is the main accounting software we use for our clients and find it is suitable for a variety of business types and sizes. It manages the transactions, payables, receivables, BAS preparation, easy to use superannuation payments, and also has payroll (which if you have a complex payroll or timesheets with penalty rates then Xero is best used integrated with an external payroll software).

  • Superannuation.
  • Report building.
  • Payroll - timesheet function very basic and can be tedious if not integrated with another payroll software.
  • Audit trail reporting.
  • Bank reconciliation - doesn't show matched-off items (eg: cash deposit can't have sales deposits ticked off to balance to deposit).
Not suitable for complex payrolls - if you are processing a large payroll through Xero it gets quite pricey, especially if you are paying to add on another software such as Deputy. Excellent for report building, bank feed processing, BAS preparation made easier, payables are easy to see. It's very user-friendly and the amount of online learning options available to everyone is brilliant. It's easy for us to convert clients to Xero and do training with them plus we can send them additional resources for learning provided by Xero.

Scenario 1: Xero is used for a variety of cases based on real-life experiences, including accounting for complex organizations, financial budgeting, invoice automation, and business insights for social enterprises. Xero is our accounting software that is used for all of our bookkeeping and financial reporting needs. It is able to handle multiple currencies and multiple entities which is important to our organization. We also really like the ability to customize the reports to fit our exact needs.

Xero was a definite step up from QBO, specifically for the ability to handle multiple currencies. It has allowed us to streamline our bookkeeping and month-end processes through the use of integrations with other services. It is a great tool for basic businesses. I do feel it is not the best tool for enterprise customers, complex businesses, or the consolidation of entities.

it is an accounting platform and it is very powerful. We can prepare the financials very quick and timely matter and make financial decisions. It is very user-friendly so it is easy to use. I can see all my financials by logging in online and discuss my questions with my team online at the same time. I can also integrate Xero with so many other applications so it makes it very powerful to use.

  • Tracker - You can track financials by location or project but after a while, it gets slower. This is not Xero's primary function but they introduced new addon called PROJECTS, functionality could be better.

Xero suits almost any industry. You can set up bank accounts and bank feeds and receive daily active feeds to review and reconcile bank transactions. It also supports both single and group companies with lots of employees. Payroll is easy to set up and run as well. One of the most powerful functions to integrate with different platforms. We are using Xero to integrate different Point of Sales Systems like Vend, Kounta. Same for Payrolls like Deputy and Tanda. Same for Ecommerce like WooCommerce, Shopify, and payment platforms like Eway, Stripe. There are many integrations.

Kanopy operates on a multi-subsidiary basis, internationally. Xero is both the legacy ERP system that accounting used prior to 2021, as well as the current system that Kanopy's Australia subsidiary uses to maintain its books. Xero works well as an international ERP and specifically is beneficial for companies where simple is better. Xero is not a highly sophisticated ERP, compared to things like NetSuite or MS Dynamics. Kanopy migrated to NetSuite in 2021 to better leverage customized solutions and a heavier bundle of APIs connecting with the ERP to integrate our business. Xero works great until a high degree of customization and connectivity is needed, and that's where it starts to fall when compared with the other bigger ones.
  • Multicurrency subsidiary management - easy to transaction and translate financials into various currencies.
  • "plug and play" accounting system with minimal customization required - great for smaller businesses or straightforward operations.
  • Smart-scan software integrations for accounts payable and receivables.
  • User management and permissions is the easiest out of any ERP system I have used, and that's comparing across many.
  • API connectivity to key systems is not as robust as systems such as NetSuite and Dynamics. If your business wants to connect all of its core platforms and flow data using best-in-class connectors, Xero will fall short.
  • Customized financials and reporting is also simplistic - this is both a pro and a con, depending if your business is simplistic or if it has a high degree of specific and non-standard requirements. It's extremely easy to maintain a P&L and balance sheet, for instance, but custom reporting for things like FP&A are a challenge.
  • Scripts for automated accounting processes are similarly not robust and I would not recommend scaling a business with complex automations and build-outs in Xero.
Xero works great for multi-national companies with a lower degree of accounting complexity. Basic tools and business functions can be set up extremely quickly from implementation, but custom build-outs, API connections, script deployments, and complex business needs do not scale up well in Xero. Oftentimes, Xero works great as an entry-level ERP, and as companies scale up and grow in significant complexity, the need to graduate to a more accommodating system arises. Xero is an excellent value for the price though.

Xero allows us to manage the Bookkeeping for our clients in the cloud. It provides up-to-date information at an instant allowing us to assist our clients in more meaningful and relevant ways. Prior accounting software packages were often complex and the everyday business owner could not navigate their way around the platform with ease. Xero was really a game-changer allowing everyday people to access their accounts in a more meaningful way they could actually understand.

I personally find most businesses that come to us are well suited for Xero's software. Clients who would like to run the day-to-day bookkeeping functions and have us do a monthly or quarterly review also benefit from the user-friendly interface. Payroll can become a bit slow above the 100 employee mark, so for larger-scale businesses, we might recommend alternative software packages or using a third-party provider that integrates to Xero.

I love Xero - they were the leader in cloud-based accounting and still hold that spot in my opinion. At the time of this writing, Quickbooks is making big moves to challenge them through acquisitions and new product features - we'll see who ultimately comes out on top. The one problem area for all eCommerce companies at this time is COGS calculations - in my opinion, whichever platform streamlines that process the best will win the race. If you have an eCommerce company, Xero is the choice. Unsure how service-based businesses would fare.

Xero Integrates with our POS system, Rostering system and bank accounts. By being connected to all parts of our busines, we get a great holistic view of everything that is happening within the business. Xero becomes the source of truth and we use it for our reporting and decision making.

We use Xero to manage almost all aspects of our finances across the company. This includes financial reporting, reconciliation, bank synchronisation and payroll. It handles our UK and international invoicing and is an integral part of keeping the company ticking over. We use it to understand where we are as a company both in terms of cash flow, profit and loss, and our balance sheet.

Accrualify is robust spend management software that integrates with Xero. Xero customers can use Accrualify to gain the benefits of its platform and sync data to Xero in real-time. Accrualify integrates with Xero's accounts payable module that includes vendors, bills, payments, and its non-transactional data accounts. Departments, items, terms and business units.

Xero is the best fit for a small business that operates as a single subsidiary and does not foray its operations into manufacturing and require inventory as a core module. Xero is used by all staff in New Zealand for timesheet keeping, payslip generation, leave entitlements, tax collection, and to share all information straight to the accountant firm.

We use Xero across multiple entities for managing our accounts, invoicing, payroll and paying taxes.

Our accountants then have direct access to our business information and are able to prepare our annual accounts as soon as the tax period has ended.

Honestly, I don’t know how people managed before software like Xero came along. It integrates directly with our bank feeds so as long as we keep up to date with our reconciliations, our accounts are always current. Shared access with your accountant makes it very streamlined to prepare any filings. Invoicing is very straightforward and the templates make for a professional front with customers. Here in New Zealand we can also automatically file PAYE which is a huge time and cost saver.

Xero is being used for the whole business. The business has 3 departments. Xero is being used to track sales across these departments as well as for invoicing, expenses, cash flow forecasting, payroll, and GST returns. There are multiple log-ins to enable roles to create invoices, save contacts and review the status of invoices and expenses.

  • I can't find a place to view upcoming expenses displayed in individual categories for cash flow forecasting.
For invoices and expenses, Xero works well. It's easy to use and understand and has a clear layout. Payroll for a small number of employees is workable in Xero but if there is a need for a larger number of workers to log their own timesheets the system and cost are not great. There's an additional monthly charge for each worker who requires a login.

Swapped Sage 50 for Xero around 4 years ago and haven't looked back since. Saves much time and effort, as well as being significantly cheaper than Sage. We integrate with several other pieces of software which plug into Xero that have allowed us to streamline several different processes. Would highly recommend it.

Currently, we use Xero across the whole organization. At the department level, it's used to generate budget variance reports for various department heads to track and monitor the annual budget and actual spend to date. Organization-wide, it's our primary accounting system. We use it to create IS, BS, CF, etc., and to generate GL, JE, etc. for our auditors and tax preparers. The application is also synced with our bank accounts so we get real-time account balances. It's also integrated with other systems we use, including Expensify (used for employee reimbursement and corporate card purchases).
  • Easy to set up/use. It took me only 15-minutes for the initial setup.
  • Provide necessary integration with other applications we use. We integrate Xero with Expensify and JustWorks.
  • Cost-effective and therefore much cheaper than other plans out there.
  • Real-time link with our bank, which provides real-time account balances of what's in our bank account.
  • Standard reports already built-in.
  • Customized reports - allow more customization of reports to meet the specific needs of users.
  • Allow multiple journal entries at one time.
  • Create more free integrations with other software applications, like SAP Concur.
Xero is well suited for small companies/organizations that don't have very large transaction volumes and whose accounting is fairly simple and straightforward. It's also suited for entities that only require some basic/intermediate reporting needs. Xero is less appropriate for companies/organizations that require more advanced reports, have large transaction volumes, or if there are many accounting/finance professionals who will be using the platform at any given time.

Good for those hesitant to learn new software. I would recommend having an accountant/bookkeeper help set you up properly for the features you need to use. I probably only use a fraction of Xero's capabilities, but enough to do everything our startup needs to do.

We use Xero in our business for invoicing and tracking expenses.
  • Simple and easy to use.
  • Great for reconciling bank statements.
  • Great Marketplace of add-ons.
  • One of the more expensive systems.
  • Very difficult to send deposit invoices.
  • For the price of Xero there aren't many improvements and updates.
In South Africa, it is the best option for us as we don't have Stripe. It works well and is easy to use. We are now using extra add-ons to Xero from the marketplace like Xero projects which adds a whole feature list.

It is used by the finance team. We use it for all accounting purposes for our United Kingdom company and all the international subsidiaries.
  • It's very user friendly and intuitive.
  • Does well what it's supposed to do.
  • Integrates easily with other apps.
  • Can't work with two different companies at the same time, on a different tab for example.
  • It doesn't allow to do a one off address change or contact person change in a sales invoice.
  • [I feel] it could use a cashflow function
It's very good for it's price, so very convenient for small businesses. But it's not the most practical when working with different companies at the same time.
