It is being used by our Admissions Department to track emails to prospective students. We also use it to give each of the admissions counselors resources that they can send out to their students in the form of an email template. It helps us to make sure our communication to prospective students is consistent and saves the counselors time drafting emails from scratch.
  • Email tracking
  • Email templates
  • Mail merges
Cons
  • Not a fan of the transition to campaigns from mail merges. The idea is a good one but in practice it is much more clunky and often causes mistakes.
  • I would love for templates to be smarter. Give the option for if-then templates.
  • colleague tracking is annoying because it cannot specify which recipient opened the email if you sent to multiple colleagues.
I originally thought that the email tracking was the main reason to get Yesware, but in fact, the templates are the best service it offers. We save so much time drafting complicated emails by having a template that we can build/use. It is worth the money for our department for sure.

Yesware was one of several email tracking tools we tried at my last job, and it worked extremely well to enable our sales team to communicate with prospects in a timely and professional manner. It allowed us to reach out to prospects when their attention was grabbed by our emails and made a cold call somewhat warmer.
  • Email Tracking Notifications
  • Create and Consolidate Templates
  • Providing Email Analytics
Cons
  • When you forward an email to a coworker, it marks it as if a client opened the email (skews data)
  • CRM Integration
  • Limited Fonts
I found Yesware to be most effective when I was in correspondence with a client and received notifications that they were viewing our email thread. It allowed me to call them and anticipate that our conversation was already on their mind, and I had their attention/wasn't disturbing them.

The majority of our utilization of Yesware is done by our sales development and new business team. I had used Yesware at a previous company with the connection to Gmail, and now use it as a connection to Outlook. While I don't use all facets of Yesware, the email tracking and visibility provides a lot of clarity on the success of email hits and ensuring we understand what messaging is working and not working within the company.
  • Email Tracking - From opens/forwards/replies, it helps provide visibility.
  • Templates - If templates are working based on high hit rates, you can save them and use them in the future.
  • Reporting - Seeing how many opens/replies occurs gives me an idea as to what needs immediate follow up.
Cons
  • I'm not sure I understand other pieces of the technology enough to know what else to integrate. For what I use it for, it works quite well. There are probably opportunities for wider engagement based on my persona/use-case.
Great for business development and new business opportunities. Not great for key account management and specifically named accounts. It provides email tracking and visibility, but I'm not sure if there are other benefits that we aren't taking advantage of.

It is extensively used by our sales department. Yesware can easily be integrated with Outlook and Salesforce. You can create templates and also it offers some pre-made templates for sending emails. Users can easily track all the emails that are sent to company workers and customers. Users can also easily identify whether their emails are being opened or not. The sales team is working smoothly with this tool.
  • Email tracking
  • Reporting
Cons
  • Sometimes shows a false ‘message has been read by the receiver‘ because they use a firewall.
  • Should be able to use it seamlessly on mobile phone.
Yesware is best suited for sales departments where they need to keep a track of all the emails so that they can conclude whether emails have been opened or not. Users cannot give silly excuses once they have read the email. People on higher positions can keep a track of customers as well as employees.

Email tracking made simple, and with a few improvements - would be amazing!

Yesware is used only by me. I use it to track open and reply rates for various sales related emails (namely cold email prospecting). It helps me to determine if the subject lines and/or content of my emails are effective --are people reading? are people responding? why or why not?
  • Yesware is especially easy to use. It's intuitive and doesn't require any special installation.
  • Yesware has very responsive customer service.
  • Yesware recently launched the capability to schedule emails to send automatically at a time in the future.
Cons
  • I've experienced challenges with the accuracy of tracking. If people are CC'd on it, it does not accurately track who opened it. At times, it has tracked my opens as recipient opens.
  • I've also experienced challenges with the 'send later' feature. Some emails simply didn't send at the appropriate time and were stuck in my drafts folder. Or- worse - it did send but a copy remained in my drafts folder so I sent duplicate emails to a prospect.
  • In using the templates feature, I noted a sluggish performance (i.e. it would take quite a while for the template to load once I pressed the button).
  • One of the more significant drawbacks was the fact that template metrics (reporting) did not update in real time. There was no historical record or way to see the open rate / reply rate for a specific day - it only showed the aggregate of past 30 days. It also looped in there the open/reply rate for internal emails.
  • If Yesware integrated/synced with Insightly, I'd like it a lot more. This would mean that I'd have a rich history of open/reply metrics for each prospect. Sadly, this functionality is only available with SalesForce.
If you're not looking to track unlimited emails, there are similarly priced options that you may want to consider. While this was a few months ago, Yesware was the only email tracking plugin that offered unlimited tracking for the price I wanted to pay. They have recently raised their prices, so I'm not sure if this is still the case. If you need real-time metrics to track open/reply rates across team members, this would likely not be a good fit for you unless they have made improvements in this area.
