What is Zapier?

The Zapier Automation Platform is a platform designed to integrate data between web applications. Zapier automates the communication between apps by relying on “Triggers” within apps to catalyze pre-arranged actions, such as data formatting, and transfers of data between apps. The program featured pre-designed connections for more than 1,500 apps. It is scaled for small to mid-sized businesses and features a free version with limited connector complexity and quantities.

Zapier is used by a variety of my clients. It is the first option that we look at when trying to connect one or more pieces of software. It has really cut down on the number of custom APIs that we've had to build.
  • Zapier does a great job connecting multiple platforms to the CRMs that we use such as Keap and ActiveCampaign.
  • Zapier is easy to explain and set up for our clients.
  • Zapier allows our team to pay more attention to strategy than development.
  • I think the pricing structure could be made more clear to users.
  • Definitely more access to additional integrations and more options within those integrations would be helpful.
Zapier does a great job providing businesses with an option, other than custom web development, to integrate multiple platforms, trigger new actions, and assess incoming data.

We use Zapier to connect our cloud software and automate repetitive tasks. Our whole team uses it, and it makes it possible for our small team to handle a lot of different types of work.
Some of the most common things we do with Zapier include automated notifications to our company Slack for important notifications and new sales leads. We use it a lot to create tasks in Asana for reviewing new leads, partner applications, etc.
  • Quick to get started, and there are plenty of examples to follow.
  • Works with almost any program you use, either out of the box or via API.
  • Filters and branching help build logic into automations.
  • Finding and saving your Zaps can take some getting used to.
I would recommend Zapier for small teams where everyone is very hands-on and would be able to elevate an issue if something breaks. It's a great tool, but it's a little risky to rely on it for a lot of your internal processes, simply because you may not know if something has stopped working because of a software update or change in the integrations.
For small little fixes, personal productivity, and notifications/tasks it's a home run.

We use Zapier in our business to help our different apps/systems talk to each other. We were previously manually creating copies of records from one system to the other, copying and pasting data, and, as you can imagine, it was not only time consuming and tedious but error prone. We now use Zapier to move records between systems and keep their info synchronized. It also does things like automatic CRM updates and calendar entries for us.
  • Seems to have widest range of integrations compared to other vendors
  • Very clear and easy to use, from set up to testing and running
  • Some times the interface seems a little slow to load
  • Requires plugin for WooC integration that needs an admin login and password--would be better if just tapped directly into the API like other platforms can
  • Sometimes (though rarely) processes are delayed, which can interfere with business processes
Zapier is excellent for helping apps automatically talk to each other. It allows you to create a more unanimous business system, pulling in the strengths of multiple specialist apps into a customized system for your business. And it's a huge time saver and error reducer!

Zapier is a great tool that connects various apps. The main way I use it is to receive notification whenever a client emails me. This enables me to be very responsive without having to stay tied to my email all day. It is easy to add/remove people from my notification list.

We first started using Zapier when we adopted a new internal ticketing system from FreshService. At the time, the FreshService product was in its infancy but offered a good cost/feature value. It did not, however feature a native iOS app and/or push notifications. We started using Zapier as an intermediary between FreshService and our separate 3rd party SMS platform to deliver service request notifications to agents based on pre-defined rules. Eventually FreshService deployed a native iOS app which obviated this need. However, we had since learned how easy it was to define Zaps to plug feature holes in various platforms or make disparate services talk to one another. Eventually we gave access to it to those outside of IT so that they could experiment on their own. Now the majority of our departments have at least some type of Zapier usage even if it's as basic as pushing timesheet status reminders.
  • Comprehensive list of modern available apps.
  • No knowledge of coding is required unless you are automating dev scripting.
  • Cheap and scalable. Pay for the number of Zaps you use and adjust pricing if usage changes.
  • There is always one obscure app that isn't in their native support list.
  • No two way workflows/active synchronization. Some rule based automations require external services like IFTTT.
  • No native iOS app.
For various systems, Zapier is excellent at delivering notifications or triggering reports based on scenarios (uptime notifications from Pingdom, PagerDuty notifications for unsupported systems). It is also excellent for creating tickets based on events (bug reports create and assign helpdesk tickets based on rules). Essentially when events occur Zapier is a quick way to create a workflow that automatically subtracts a few manual steps from normal behavior. That being said, since there is no two way sync or complex modifiers, it is not useful as a reporting or analytics replacement.

We use Zapier across the whole organization from finance, sales, marketing, development and support. We use Zapier to post messages or statuses to various applications such as Slack, email, CRM, internal apps and more. These integrations have helped us ensure people are notified about crucial events, can get the information they require and data is synced across multiple systems.
  • So many integrations! They integrate will all the systems we use.
  • Simple to use! The user interface is clear and guides you through what you need to do.
  • Many useful features such as webhooks, splits, formatters and more to ensure you send your data to the right place and in the right format.
  • Some integrations have limited 'triggers' or 'actions' although the app has many API endpoints available
  1. We use Zapier to automatically email relevant team members about events that are specific to their region. This data comes through our billing system and Zapier is able to decipher the region and based on conditions we have set up, forward emails to the relevant staff members.
  2. Zapier can capture webhooks and send these wherever you want. We have set up webhooks for errors in our application. These are immediately forwarded to message tools so our team know about the issue immediately, rather than having to log into our monitoring system.
  3. We have several apps that have similar information and we want to keep them in sync. However, they do not have native integrations with each other. Zapier can take events from one app and post these into the other app.

Zapier is used by every department at my B2B company. The Account Managers use it in [conjunction] with their support queue for project assignment, our Product Managers use it with Wootric to instantly be aware of any ratings given to our company. Sales use it to receive instant demos from various sources (i.e. landing pages, email campaigns, etc). Marketing uses it for all website and campaign needs. It allows us to be aware instantly of interested prospects and quickly mitigate any user issues.

  • Data stored in Zapier as well as having it automatically link to any other necessary databases
  • Working with outside companies is easier with Zapier connections
  • Communication across multiple databases from Salesforce to Wootric to Google Sheets
  • Being able to turn off one leg of a Zap without having to delete it or turn the whole Zap off
  • Not all fields populate when using certain aspects of Salesforce, but that could be an SF issue
  • Communication when support is actually needed basically doesn't happen
If you use any sort of CRM and also have a website that captures data you need to have Zapier. The only way that data is useful is if it is actionable, which it certainly will be if you connect your website and CRM via a Zap. Any type of sales-oriented business needs this. Also, if you have multiple databases that you find yourself having to copy and paste information from one into another you can save time and decrease human error by automating the process. Even if you aren't using a CRM connecting your website forms to a Google Sheet is incredibly helpful. I'm not sure who I wouldn't recommend Zapier to. Perhaps extremely small businesses.

In a nutshell, Zapier is becoming the go-to application for so many processes in the organisation. We use a number of different marketing softwares that don't always have a direct connection between each other and Zapier becomes the link between them. We have automated a ton of processes through Zapier that would otherwise be done manually and it simply makes life easier.

  • Automated client setup in ClickUp
  • Email capture into Active Campaign from Chatmatic
  • Inbound and outbound emails from various software
  • Zaps can break sometimes when software changes
  • Zaps can break sometimes when Zapier has updates
  • The learning curve can be long if there is not a pre-set connection between two softwares
If you are using a variety of legacy software that doesn't have API connections then Zapier is your saviour. It can not only make a connection between them but you can also add extra steps and processes to get the most out of both pieces of software (or more). On the downside, the learning curve is a bit steep at times and it can be frustrating get a zap to work for the first time, so non-technical people may have issues. Most times it's easy, but when it's not, it's not.

Zapier is connecting our Caspio Database with our email provider Mailchimp so that every time a new contact is added they are automatically added to our email. This has really made adding emails so much easier. It was difficult before using Zapier because it would not get done as efficiently. We also use it to take our Zoom webinars and add them to our Dropbox without having to do anything at all!

It has worked wonderfully when connecting our database and our email provider as well as Zoom and Dropbox.

We are a digital marketing agency in business since 1999. Our clients are primarily in healthcare. We had a challenge where we were using SharpSpring forms to capture new patients driven by our campaigns, however we also needed to make the forms HIPAA-compliant. We found a HIPAA-compliant form solution through Formsite, but still wanted to be able to track the campaign results. With Zapier we were able to easily connect the two. Prospects complete the Formsite form which keeps it compliant and then Zapier sends the data to SharpSpring (via what the call a "Zap") so we get both our needs met. It's extremely easy to set up - it took about 15 minutes.
  • Easily helps two different online programs (SAAS) talk to each other.
  • Very user-friendly and intuitive.
  • Easy to set up Zaps.
  • We have multiple forms on Formsite that we need to connect to SharpSpring. It looks like we're going to have to do some additional work to get it to filter them separately. This just came up, so we are still working on it.
  • I really have no other complaints. It's been a great, easy solution to what otherwise would be a complex problem. We also used it to send leads from Eventbrite to SharpSpring.
As described previously, we have used Zapier to send leads from a HIPAA-compliant Formsite form to SharpSpring to track leads. We also used it to send data on people who signed up for an event on Eventbrite to SharpSpring to track which marketing campaigns they came from and for future marketing. In both cases it was extremely easy to use Zapier to connect the two programs, something I have no idea we could have done otherwise, except by manually exporting the contacts, then importing them into SharpSpring.

I use Zapier to automate integrations across the various apps I use. Mainly for marketing automation and purchasing automation of my online courses. Zapier makes it easy to connect these disparate cloud services that I use, since it requires no coding and is done through a rather simple interface that guides you nicely through the integration process.

  • Better support for lists and arrays inside zaps would be nice
[Zapier is well suited for] connecting online forms to spreadsheets or mailing list services. Practically anything where you need one service you use in your business to provide an input to another service you use, or to collect data from it so you can process it later.

I also use it heavily to connect automated processes like purchasing of online courses to manual processes in my business using services such as Manifestly.

We are currently using Zapier as part of our Marketing & Sales funnel for new clients. Zapier helps us to route leads from various sources into one Sales funnel and distribute to our team appropriately. In addition, Zapier has helped us to automate routing leads through the appropriate steps in our sales funnel, reducing the human analysis that's required on each lead.

I use Zapier to coordinate Asana and GSheets for arranging product priorities. , we put several competing priorities as cards into Asana, and then they auto-push into a specific Google Sheet, which is then sorted for priority. It's been a beneficial tool to see in one single pane of glass which competing priorities we have.
  • Asana -> GSheets.
  • Easy to understand and set up.
  • Though it's easy to use, you do need to have a knack for critical thinking.
  • As the product gets older, more and more apps have easier connectivity to it, but at the beginning, it didn't have a lot of apps to connect easily. A lot has changed in the last few years!
  • Some applications work well, but some not. I couldn't find many Slack integrations, but I did see useful GSheets integrations.
  • It's also good for creative solutions; you may not think two or more apps can connect, but they really can. It takes someone with creativity, critical thinking, and a bit of time to tinker to do well with this product.

Zapier is used within specific teams in our department to perform workflow automation. We wanted an easy way to perform automation without needing to code but also have a drag and drop interface to set-up easily. For example, we use it with Google Forms for our customers to fill and let Zapier perform the automated approval workflow, and integration to Jira to open a ticket for our team without manually performing it ourselves.

There are many uses for Zapier that could be used in your environment, as there are numerous connectors available. In our environment we are connecting Google Forms, Google Drive and Jira to perform our workflow for customers.

Zapier is an important tool to merge processes inside Kushki. We use different tools for different departments inside the organization and Zapier is the bridge to join and connect these tools. now Zapier is a decisive factor while we are choosing a tool if the tool does not have an integration with Zapier probably will not be selected. Zapier has been implemented in the operation team to automate a process like client affiliations catching the information throw forms, auto-filling documents and sending emails. Usually, automate this kind of task takes many hours of development but with Zapier just minutes. Probably if you have a process that involves some tools and areas could be automate using Zapier.

From our own proprietary CRM, to our B2C email database to our B2B marketing automation platform, to event marketing software, our tech stack is fairly fragmented. Zapier is an amazing tool that connects them all and shared information. Mainly our marketing team uses Zapier.

Zapier is a great product if you have a fragmented tech stack like ours. Most marketing teams have multiple software tools that get customer information. I currently use Zapier to connect apps that we currently don't have native connections with. One very useful one connects JIRA with my mailing system. If I put something in a folder, the Zapier connection will automatically create an issue for me.

  • It does break on occasion. You can't debug issues and sometimes have to recreate your connection.

We use Zapier to automate our social media postings to Facebook, Twitter, LinkedIn, and others, and also to automate our RSS feeds and comment feeds to individual Slack channels, and to sync data across our marketing and sales platforms.

  • Zapier has a user-friendly design, especially for beginners.
  • Helpful testing features: Zapier allows you to test all automations before going live.
  • For active Zaps, their error messaging is not great. It would be helpful to have more data on why a zap has failed.
  • When connecting accounts, I wish they would allow you to sign-in separately, instead of using the accounts you are currently signed in on in your browser.
  • Accounts will occasionally disconnect for an unknown reason.
Zapier is well suited for syncing data across your different systems. For example, if you need to sync contacts or leads between Salesforce and your email platform, Zapier is an excellent, user-friendly option. It is also well suited for automating social media postings. You can hook your website's RSS feed to Zapier and send all posts to any number of different social media accounts, all at once and automatically. You can even automate these posts to your Slack.

Zapier is used by multiple departments across the organization to automate tasks. Graphic Design and Art services teams use Zapier to create and track cards in Trello. It has been used by Customer success department to track NPS scores from type form. Pipedrive integrations have been used to import leads on a daily basis.
  • Excellent automation services between business, productivity, and CRM applications.
  • Zapier has a wide range of integrations available for every business need.
  • User-friendly: it's easy to create and administer zaps.
  • It has very dependable monitoring and notifications in case of failures.
  • Field mapping can get tricky in certain zaps.
  • It has limited triggers in some integrations.
Integrations with Slack and Trello are excellent case scenarios where Zapier really shines. It has seamless integration with recording Typeform responses in Google Sheets. Recording Zendesk tickets in Google Sheets also works great.
Integrations with SQL server can be tricky to set up.

In my department, we need to send information from our workflow to a Google Drive folder, and we do it through Zapier. It was easy to set up and solved a really complex problem if we were to use web services or other integration mechanisms.

The business case is that we have an approval workflow, including several attachments, and when it is approved, we want to store all of them in a shared folder. The same business case could apply to send information when the workflow goes to a spreadsheet in Google Drive (via Zapier).
  • Easy of use to set up the connection
  • Stability - it has been working for a while
  • Reports when anything unpredictable happens
  • 100% cloud, no hidden surprises
  • Language support. I find it difficult to manage both languages at the same time.
  • Not too simple to log errors for improvement.
  • good: interconnecting web applications
  • good: sharing files between web apps
  • good: chaining actions between web apps and passing data between them
  • room for improvement: performing calculations with the data of one app before send it to the next
  • room for improvement: implementing loops with the information received from one, for example to "simulate" a "do while"
Usage Examples:
  1. Set up a workflow to write/revise/approve Tweets in a cloud BPM tool (i.e I use Flokzu)
  2. Have all your revisions and approvals in the workflow tool
  3. At the end, connect your workflow with Tweeter via Zapier to automatically publish the approved tweet.

I am a software developer with http://assessmentgenerator.com. I built a Zapier App to allow our users to connect their Assessment Generator assessments to their CRM or other apps using Zapier.
  • Zapier technical support is outstanding. Their support staff is friendly, responsive, helpful, and knowledgeable
  • The Zapier platform is quite flexible; it can accommodate a variety of needs and use cases.
  • Developing a Zapier app requires coding knowledge and familiarity with software development tools. I think, though, that this is unavoidable due to the nature of developing an app.
It's great for taking the well-defined output from one application and routing it into another application in order to cause some action to occur there. In Assessment Generator, for example, when a user completes an assessment, their contact information (and scores if desired) are automatically passed to the assessment author's CRM system, where they are used to create new contacts or kick off an auto-responder sequence.
