What is Zapier?

The Zapier Automation Platform is a platform designed to integrate data between web applications. Zapier automates the communication between apps by relying on “Triggers” within apps to catalyze pre-arranged actions, such as data formatting, and transfers of data between apps. The program featured pre-designed connections for more than 1,500 apps. It is scaled for small to mid-sized businesses and features a free version with limited connector complexity and quantities.

Zapier's goal is to enable automation for any process, allowing users to visualize and build advanced workflows with custom logic, conditions, and filters, with no code needed. Some features include:

  • Zapier utilities are brilliant - allow you to make much more complex workflows.
  • Lots of apps and services that Zapier works with.
  • Would be nice to be able to create multiple branches within one zap, rather than just using a straight yes/no continue logic filter.
  • Would be nice to be able to filter zaps at the trigger stage - so where we filter out all but one of the triggering events, we wouldn't have all the rest count against account limits.

  • They connect with every important SAAS company and maintain them well.

  • We use Zapier to connect our ad campaigns from Facebook to automatically add leads from contact forms to ONTRAPORT CRM and then in turn automatically
  • We also use Zapier to automate our workflow and passing information between multiple systems such as Gsuite, Zoom meeting, Asana project management, it saves us time from data entry and automates reminders needed for client projects.
  • We also use Zapier for client projects such as pulling contact information from point of sale systems into marketing automation tools designed to simplify and increase our clients' online reviews with less manual work for both their employees and customers.
  • Finally we can build custom integrations with Zapier that is not a premade Zap option. It is really very customizable.
  • I don't see any room for improvement at this time, I wish more online programs had existing open API's in Zapier

  • The Trello to front integration has allowed us to track the closing of tickets without manual intervention.
  • Front doesn't have a Basecamp integration, and Zapier opened that channel by tracking new to-dos for a specific client that uses it exclusively for communication.
  • They had an immediate response to a support related question I had over the ability of the zap to include the description text for a newly created card in Trello. They even made a suggestion over how to tag the content making it more organized.
  • There is no phone support.
  • There are not a lot drawn out examples over what the additional fields are for when creating zaps. I used mostly trial and error. My goal was for the zap to import the description text of a Trello card.

  • If you use multiple apps and want to integrate them, Zapier is likely the best tool for this.
  • If you see how your action on a particular app might optimally trigger an action on another app, Zapier does this pretty well.
  • It is not the most user-friendly app - takes trial and error often to get it working right.

  • Instant messaging! Front + Zapier means using virtually any messaging channel inside Front, thanks to Zaps that simplify transmission and reception of messages.
  • Zapier should make workflows shareable, so consultants can build zaps once and, with minor work, activate them
  • Historical data sync
  • Continuous data sync, 2-way (like PieSync). I hate paying for 2 subscriptions. I would rather spend more with Zapier, an arguably larger company with more robust support. Don't sync duplicates. Sync contacts based on mailing address, physical address, phone number, or email.
  • Workflow logic. We need "if-this, then that" logic on our workflows. If "this dropdown option" is selected, perform "this" automation. Otherwise, perform "this" one. So forth and so on.
  • More user support in the form of videos. Get the various software partners like Pipedrive, Front, and others to contribute this content, and even provide popular multi-step workflows from these tools that users can up-vote. Provide incentives for users to submit and vote on workflows, even.
  • Improve contact search functions to search off of other fields besides email address. Phone number would be extremely useful. Some use cases might even want another contact field for criteria, such as mailing address, physical address, or date of birth (say, for automated birthday card/swag rewards)

  • Zapier is great at keeping up with the latest software that people want to integrate with (for the most part), meaning you should be able to find most of the products you would want to connect
  • The Zapier team has done a good job predicting the types of "zaps" you might want to create. There are a lot of pre-built zaps and it is easy and intuitive to create your own
  • The free version of Zapier is actually pretty awesome! There is a good chance, depending on the work you are doing, that you might not need to pay for an upgrade. We have done both, but not many vendors give you as much as Zapier does on their free version.
  • Zapier isn't as easy to connect with if you have a problem. They use bots (who doesn't these days?), but being on the west coast, and our institution on the east coast, sometimes we have to wait a day to have a question answered.
  • Some of their resource contents are redundant instead of useful. I have found myself going in circles a few times trying to figure out how to set up a zap, but each time I was able to find another zap to just copy over and edit..which solved my problem.
  • Zapier has a great product. They have done the work many companies don't have the time or resources to do, but they could take it a step further now and build more predictive integration at this point.

  • I have learned about and integrated new products from reading the information Zapier provides about apps and use cases in their blog.
  • Their help assistance, through reading articles online, or by email have been spot on. I feel as I am totally supported should something go awry.
  • It would be helpful for Zapier scheduler to offer a day of the week option instead of numeric day option. I have an auto Zap that goes out on the 1st of the month. When that is a weekend, my responses rate is impacted. I'd prefer to send on the first Monday of the month.

  • Really easy to use. It's impressive how simple they've made connecting APIs.
  • A lot of integrations. Occasionally I'll run into one that they don't have, but the integrations (and functions you can do with the integrations) are really impressive.
  • Quality. I've never run into a glitch with Zapier (that I'm aware of). Seems to be well made.
  • It'd be awesome to be able to work with Zapier from inside applications as an extension of sorts. I.E. not having to log into a separate system to make changes. Not sure if that's even possible, though.
  • Use cases for some of the integrations would be helpful. There's a few things that sound interesting, but unsure how exactly they would be applied.

  • Integrations: Zapier is nearly idiot proof. Choose your trigger app and your action, connect your accounts, and you can automate thousands of different tasks that save time and money. There are even templates that make it really easy to set up those actions (e.g. a "new lead" template for Salesforce that ensures each lead is being tagged and added appropriately)
  • Notifications: If anything goes wrong with a Zap, you're notified within seconds and can take appropriate action to fix the workflow. Additionally, depending on your subscription, Zaps can be set to automatically re-run after a problem.
  • Pricing: We had looked for a cost-effective way to integrate our contact forms with Salesforce, but there is a growing trend of companies forcing an enterprise-level pricing tier ($250/mo. and up) to grant API access for connections to Salesforce. At $20/month, Zapier is a serious bargain, and I have begun using it for more than just lead capture and creation.
  • While the templates are incredibly helpful, there are some quirks that new users will have to get used to. For example, when you're linking a contact form or form service to a Salesforce lead, you will need to run a separate test of that contact form with every possible option in order to configure the template.
  • Expect some occasional JSON errors with Salesforce integrations until you can figure out how to get the apps talking to each other effectively.
  • While Zapier provides integrations for 1000s of apps, there's still a good chance that at least one app you want to use isn't included.

  • Zapier enables us to build the integrations ourselves without having to wait for development or external resources, which would take weeks.
  • We can modify the integrations in real time without much technical knowledge, which is a huge benefit for us, given that the specifications for an integration/automation might change often and rapidly.
  • Zapier internal apps like filters and formatters allow you to create even more complicated zaps that function like little calculation machines.
  • We use many different channels for lead generation and user acquisition and Zapier enables us to connect them all seamlessly.
  • Zapier supports several data formats and allows you to perform calculations using data from multiple apps.
  • Some apps offer integrations that are less complete compared to others, which might not enable you to create the functionality you want.
  • Some apps use wording and multiple options that are not easy to comprehend and distinguish. Documentation around that should be a bit more clear.
  • A few of the apps that we use have not yet been included in the huge list of Zapier apps, but I'm sure this will improve soon.
  • The team will need some initial training in order to feel comfortable enough to start creating and editing zaps. It would be nice if Zapier offered an introductory training course.
  • It is difficult to copy - paste actions, especially between different zaps.

  • Zapier does a great job allowing me to customize the information that is pushed from one app to another. For example, if I want it to send an email with data from an app, such as Infusionsoft, I can create an email template and then just merge the fields into the email in any order I want, rather than just send raw data.
  • Zapier pushes the info from one app to another in a timely fashion. In case something goes wrong I always get a notification so I can go troubleshoot, whether an app needs to be reconnected to Zapier or not.
  • It would be great if Zapier could be integrated with Quickbooks desktop software as well, in addition to QuickBooks Online.

  • One of the biggest pleasant surprises for me when I began purchasing Zapier was its customer service. It is very literally the same thing as having a skilled developer a mere email away to help you with whatever issues you're facing. If you have a complex zap you're trying to set up, Zapier's staff will friendlily and professionally help quickly and efficiently. It's awesome.
  • Zapier is *constantly* adding new functionality, apps, and services to its repertoire. It's pretty rare that I receive a weekly email digest from Zapier and I'm not greeted with a new feature or app that I can utilize in my business. They're always coming out with new ways to make things easier – and for their monthly fee, it's highly worth it.
  • Zapier's stock-built tools (like filter, wait, date formatting, email parsing, etc.) are really the secret sauce to why Zapier is so incredible, in my opinion. Zapier is so much more then, "if this happens, do that." That is, of course, its core of how things work, but you can dive so much deeper, based on the needs of the automation you have in mind, to accomplish precisely what you need. Zapier is simply magic for those of us who have limited coding knowledge.
  • I've had some issues dealing with beta apps and integrations, where I've had to log out, log back in, reset certain parameters, etc. so that's been slightly difficult to deal with at times – but I can't even say for sure if it was Zapier's issue, or if it was the beta app's issue.

  • Zapier allows users to create a link between two different web services. Often this is referred to as"If This, Then That" programming. They enable you to make quick connections between different services without knowing how to program or dive into each services API.
  • Zapier has presets that allow you to pick your sending service and then your receiving service. By showing you presets or "Zaps" that others have created, you can get unique ideas or quickly create "Zaps" that work on the first try. This eliminates trial and error.
  • Zapier is highly customizable. Many times I have found a preset or template to start from and tweaked the workflow till it did exactly what I needed it to do. With so many web services available, the possibilities are endless.
  • Zapier relies on partnerships with other web services. There have been a few instances where my Zap didn't work as it should or would create an error that I could not figure out how to remedy. I am sure that their support could have helped me out, but I found myself deleting the current Zap and starting fresh.
  • Because it is based on the technology that is available to them, I have found a few Zaps that I created broke over time. I didn't see that as Zapier's fault because they are a middle man for web services however, it did cause frustration on when those broke. On the plus side, I did receive email notification when a Zap has an error and cannot complete the outlined task(s).

  • The setup is actually pretty easy. I understand how to use technology, but I am not a tech expert. Anyone can do it.
  • Data can be shared instantaneously from one system to another, eliminating the need to check multiple places for info.
  • The "Zaps" are on a set-it-and-forget-it system. Once setup I don't have to worry if the system will keep working. It does the hard work for me.
  • I have a hard time finding the button to do a manual data push.
  • You have to make sure access to Zapier and the connected system are the same. I had "view" rights in Wufoo but not "edit." I could set up the Zap, but when I went to turn it on I got an error. This was fixed once my access in WuFoo was upgraded.

  • Zaps (the core unit of functionality in Zapier) are very easy to get setup through a simple workflow.
  • List of supported applications, especially for paid accounts, covers a very wide range of services.
  • Multi-step zaps provide a way to do slightly more complicated tasks and can often reduce the need for manual processing.
  • Although the list of supported apps is robust, some apps have limited functionality. Be sure to check the details on apps you are planning to use.
  • I'm not aware of good shared account functionality. This might be available at higher account levels, but I don't know that it is possible for multiple users to manage the same set of zaps.
  • The most common frustration that I have is realizing that a functionality isn't available in Zapier because an app doesn't support it through their API. It can take some digging to figure this out.
