What is Zapier?

The Zapier Automation Platform is a platform designed to integrate data between web applications. Zapier automates the communication between apps by relying on “Triggers” within apps to catalyze pre-arranged actions, such as data formatting, and transfers of data between apps. The program featured pre-designed connections for more than 1,500 apps. It is scaled for small to mid-sized businesses and features a free version with limited connector complexity and quantities.

Zapier's goal is to enable automation for any process, allowing users to visualize and build advanced workflows with custom logic, conditions, and filters, with no code needed. Some features include:

  • Multi-step Zaps - Zaps that automate several tasks at once.
  • Paths - Zaps that perform different actions based on if/then logic.
  • Filters - These ensure Zaps run only when certain conditions are met.
  • Schedule - Zaps can be set to run whenever it's right for the process.
  • Formatter - Used to transform dates, currency, text, and more into any preferred format.
  • Webhooks - Can receive data from any service or send requests to URLs—without writing code or running servers.

Zapier's no-code automations include with 6,000+ app integrations from partners like Google, Salesforce, and Microsoft so users can collaborate across departments.

  • Automation of repetitive tasks
  • Lots of app integrations and constant updates
  • Ease of use for people with little knowledge
  • Limited Editing Capability: Sometimes after creating a Zap and wanting to edit it, it may be necessary to re-create the entire Zap from scratch
  • Difficulty when you reach the limit of tasks that you have assigned for your plan. It would be a very good option to be able to reset the monthly usage or something similar.
  • If you have a high volume of tasks or zaps, the price may be somewhat high

  • Updates leads into Google Sheets from the lead sheets aligned with Facebook.
  • It helps save lot of time by automating the things without doing manually.
  • It works as a personal assistant to remind us about the Zoom calls and meetings.
  • Lead form integration.
  • Need to increase the tasks especially for starter plan.
  • Need to provide free trial of premium features as well.

  • Zapier can integrate perfectly with almost every single app or service out there
  • Even if an integration is not developed you can always use the global integrations to connect with webhooks, emails, parsing, and build from zero your own custom integrations (you need more tech knowledge)
  • Zapier can run as fast as real-time, and with one of the paid options it gives you more than 75,000 tasks which is really good. They also have the free version which runs I think every 15 minutes and it has 100 tasks which is not bad for testing purposes. Actually, a few companies nowadays offer this kind of free tier.
  • The builder nowadays is really easy and friendly to use, they have implemented advanced features as paths and decision points and they continuously improve the platform.
  • Sometimes 75,000 tasks are not enough (believe it or not), and after that point, you start to pay per task it would be nice if they would offer more tasks under the same plan price.
  • It's supposed to work in collaboration with your team, but I feel there is plenty of opportunities here.
  • They have user communities for advanced and new users, but I think it could be done better

  • Allows for integration with apps that don’t have a native integration
  • Do not have to create complicated API codes
  • Provides instructions and examples on how to create work flows
  • Some can be lacking in instructional details needed
  • Sometimes a zap will yield an error which can be hard to troubleshoot
  • Customer support is limited bc zapier cannot access your apps

  • Massive amount of supported apps
  • Reliable at getting data where it needs to be
  • Easy for non-developer team mates to setup integrations with on their own
  • Pricing is high depending on use case
  • Related to the above, if an app does not have the best trigger or action setup, it might take 2-3 zaps to accomplish what should really be a single zap, and this would could be prohibitively expensive, costing even more per month than the software tools themselves you are connecting

  • It is very easy to set up. Even for internal applications, you can get it up and running really quickly.
  • Automation rules are easy to create and deploy.
  • It is very reliable. I have never had it miss a trigger so far. Not a single crash.
  • Works with a majority of big apps like Gmail, etc.
  • For some applications, you will need an IT or Development team to work with the API. Not exactly plug and play.
  • I always found the pricing a little confusing.

  • Zapier layout is super easy to use.
  • You do not need to have coding experience.
  • Price is a no brainer for the savings in time.
  • If there are errors or a zap does not work, it can be difficult to figure out what the problem is.
  • I would like more notifications about when zaps run and what they do.
  • Complex zaps are not as easy.

  • Connecting software and services that do not connect natively.
  • Passing data from one software system to another.
  • Using simple logic to trigger automations in specific situations.
  • You can only access logic pathways (ie perform different actions based on data received) on higher plans.
  • Sometimes when a zap fails it notifies me by email but they get lost in my inbox and I don’t notice.

  • Automatically collect leads from Facebook's API and put it in any CRM of your choosing.
  • Automatically send emails based on the CRM status of your lead/client (meaning you can plug in your Mailchimp or whatever you're using and integrate it into your sales pipeline).
  • Use webhooks to start automation sequences from your LP lead generation (for example if someone left their details on your LP, send their data to Mailchimp and start an emailing sequence).
  • Sometimes specific CRMs aren't configured to the max in Zapier's interface, but their customer support always listens to your problems, opens a ticket and lets you know once your feature is done.

  • Ease of use - multiple people in the organization can set up and run Zaps per their specific use cases without much training.
  • Connectivity - Zapier is able to connect to multiple applications we use on a regular basis.
  • Functionality - Zapier provides embedded functionality within the app itself (email, data conversion), but also appropriate triggers and actions for apps it connects to.
  • Versatile - Zapier can execute complicated and simple tasks and thus has many use cases.
  • Complexity - due to the flexibility it provides, this can introduce some complexity across the different steps being set up operationally.
  • Dependence - depending on the use case Zapier becomes a key tool and dependency and thus needs to be monitored, without internal control to fix things. If Zapier goes down (rarely, but can always happen), then this could present a problem.
  • Variability in pricing - pricing relies on the numbers actions being triggered and depending on how you've set up the zap, it could increase quickly, and thus needs to be monitored and understood.
