I use Zip Intake-to-Procure for procure to pay process. Use of Zip Intake-to-Procure will start from onboarding vendors up to payable processing.

1. Zip Intake-to-Procure helped us to eliminate manual processes such as uploading vendor invoices. It was able to pick up all the vendor invoices in our designated email.

2. Zip Intake-to-Procure also aide us in eliminating the manual process in our endorsement for approval and to treasury. Through Zip Intake-to-Procure, there is an automated notification for the users and approvers through email and Slack.

Zip is a newer product in the P2P space, and as such there are still some areas for improvement. They don't have all the "bells and whistles" products and configurations that some of the other players in this space have, but the products they do offer are best in class. We use it to manage all new purchase requests. The platform's ability to allow conditional logic for questions and customizable workflows ensure we are capturing all of the pertinent & relevant information for each request type and enable us to only have the necessary approval steps for each request type as well. From a user perspective the platform is easy to learn and use. From an admin perspective, it was been relatively easy to pick up on how to customize the different aspects of the platform.

This has been a great tool for us to manage our purchase requests and approval workflows. The platform is highly customizable, which makes it work perfectly based on our internal processes. We are also working to build out vendor risk questionnaires within the platform to help consolidate the amount of tools used throughout the procurement process and provide more visibility into what is happening during our security reviews. We're excited to consolidate other processes we have within Zip Intake-to-Procure to streamline the end-to-end procurement process.

We're a mature start-up that just recently implemented Zip Intake-to-Procure to rollout a more formal Procurement tool to help with vendor spend management. Previously, we were doing it off Netsuite (our ERP tool), and there was no centralized place to provide insights on open POs, committed spend, etc. Zip Intake-to-Procure now allows us to track spend at the vendor level and tie invoices back to specific POs
  • Admin level access is easy to use
  • Helpful to see SLA times by approval org
  • Provides good visibility for PO submitters to see where their PO currently is on the approval process
  • There are some duplicated fields such as anticipated total spend vs. price line item breakdown that asks for the same thing. This is a little bit tedious
  • Does not show which invoices got processed and applied to open POs
  • Does not integrate / migrate special custom fields within Zip Intake-to-Procure into other tech stacks (NetSuite)
I think Zip Intake-to-Procure would be a good option for smaller companies that don't need a lot of custom configuration and functionality. Additionally, if invoicing visibility and details are critical to users, Zip Intake-to-Procure may not be a strong candidate.

However, Zip Intake-to-Procure is constantly working on new capabilities and rolling out new features communications via their platform, so it's encouraging to see that they are incorporating feedback and building out stronger usability.

My company did not have a procure-to-pay solution previously and used e-mail for manually routing approvals. Zip is a game changer for providing a consistent intake form and for providing visibility into each request. Zip is easy to configure and customize conditions that fit your company needs. The workflow visibility is very helpful so everyone can see status of a request and what steps are remaining. Zip also makes vendor onboarding easy and has helped transform this manual process into a seamless electronic experience for our supply base.

Zip is well suited for the majority of indirect purchases. It is perfect for software purchases and allows governance areas, such as IT, Security, and Legal, to be involved int he approval process. We use Zip Intake-to-Procure to manage our procurement process. We process all purchase requests as well as virtual card requests through the Zip Intake-to-Procure platform and take the user through all stages of approval (security, IT, legal, and finance). Zip Intake-to-Procure allows us to give visibility to our employees on where their request is at all times and helps us measure SLAs for everyone involved.
  • No coding - Ability for the administrator to make changes without development resources helps us be agile as a procurement org.

  • Accountability (helps us track SLAs on response time), Audit trails keeping track of everything
  • The implementation team was incredible, as is ongoing support. They want you to succeed in your goals vs. just implement their tool

Zip Intake-to-Procure is a modern platform and fits perfectly with the way SaaS companies operate now. The product gives viability to our users and everyone involved in the procurement process, allowing procurement to focus on adding value vs. pushing paper. Their product team pushes out improvements weekly. Zip Intake-to-Procure is so customizable, but the implementation didn't even take that long and wasn't onerous + the Zip team held our hand throughout implementation in a way I have never experienced before. Other systems just don't compare.

We use Zip for all of our purchase requests. We manage all approvals (Business Leader/Budget Owner, Finance, Legal, Security, Procurement) in the tool and also leverage it for document collection. Zip alleviated visibility issues for requestors around status of their requests and enabled us to reduce cycle times for end-to-end approvals of requests & contracts.

Zip was created for the intake process and it shows. It's easy to set up and use as an admin and intuitive for submitters of requests. It has a highly configurable workflow engine that is also easy to update and change, even at a request level. It offers clear visibility into status of requests and the company continues to make improvements, both small and large. One area that I would like to see more of is the ability to create walled off sections for different use cases, like security reviews.

Zip is our single entry point for all vendor contract requests. Prior to Zip, the company was using Ironclad as the intake tool which provided the necessary workflow but not the transparency or ease of use. We were able to implement Zip within 3 months and now all intake requests are visible and integrated with most of our tools that are used in the procurement process. We are currently implementing Zip Order and will be rolling out PO by early next year.

  • Existing integrations with tools like Docusign, Ironclad, Slack, and more!
  • Missing the ability to proxy as another user. Currently, if one approver did not set up their delegation, an admin or the approver of that step must reassign each of the approvals to another person.
  • Bulk upload options for admins to update queues and subqueues.
  • Missing ability to schedule reports or the option to share a saved view with another user. It would be easier if certain filtered views can be shared with others to avoid each user having to create their own views.
Zip is great for companies that mainly purchase services (in-direct spending) and don't need access to 3rd party punch-out sites. For companies that are in the manufacturing or supply chain that require extensive breakout of purchase lines, Zip's lack of a "bulk upload" option may cause issues. Companies that also have a very strict policy on workflow access (i.e Event Marketing team should only use workflow designated for them due to the matter of the contract and urgency on the review cycle).

Zip will be a great tool for an organization that does not have a full buyer org and is working as lean with hyper-growth and constant change management.

Our entire organization utilizes Zip Intake-to-Procure for Vendor Management and Purchase Requests. This tool has allowed our procurement, privacy, security, legal, and finance teams a single location for Vendor information and tracking.
  • Clear visibility into the PR workflow for all requesters and approvers
  • Ability to modify/tweak workflows based on particular requests or as our organization evolves without needing technical support from Zip Intake-to-Procure
  • Easy integrations into other tools already used by the organization including NetSuite, Slack, Asana and DocuSign
  • Vendor level records for tracking privacy and security data as well as vendor contacts
  • More robust reporting functionality. You can pull data out via a CSV but it would be great for there to already be standard reports and ability to create custom reports

Zip Intake-to-Procure is a great tool for a Procurement team to manage purchase requests whether the workflow is simple or complex and needs many parties to be involved. It allows us to capture information at the Vendor level so it helps procurement, finance, privacy and security teams have a single Vendor record (i.e., are they a data processor, what is their security risk level, what are all the requests for this vendor that have been submitted, what documents are attributed to this vendor). If you need a tool to not only approve a PR but make payments this tool is not yet there and does not have this functionality. It can manage documents at both the PR and Vendor level but it is not a tool to use for editing documents. It doesn't manage budget information, yet.

We use Zip [Intake-to-Procure] across all departments for vendor level purchasing, requests, renewals, ongoing vendor management reviews for security and compliance, and the overall source-to-contract process before the PR or PO.
  • Zip [Intake-to-Procure] was implemented cross functionally in an incredibly fast and painless process that integrates with our JIRA ticketing system, our Netsuite, GRC systems and CLM. Pair this with the Slack integration and user interface and Zip becomes an great solution for any of our employees to use for requesting or approvals chains.
  • Zip [Intake-to-Procure] could use better commenting capabilities, more flexibility in its dashboard, and could integrate more broadly into our GRC systems.
For any indirect spend or vendor level purchasing at a scaling organization, Zip [Intake-to-Procure] is THE solution. Zip loops in the correct stakeholders every time and creates spend clarity that enables more time to be spent on renewals and negotiations.

We used to have no single process to actually purchase anything across finance, legal, IT, etc. It was a confusing experience for employees, and we never knew what was truly in process. Zip Intake-to-Procure has thoroughly improved this process for us.
  • Zip Intake-to-Procure allows us to set up routing logic for approvals across all of our internal teams without knowing how to code.
  • It’s easy to draw lines and set up the flow correctly, kind of like Lucidchart.
  • The intake questions in Zip Intake-to-Procure are also extremely easy to set up and configure, and we can now ask only the necessary questions.
  • It would be great for Zip Intake-to-Procure to have no cross-border or FX fees for their virtual cards.
  • I would also like to see some additional ability to customize dashboards.
Zip Intake-to-Procure is great for organizations that are in the hundreds and certainly in the thousands of employees. Controlling spending and managing risk/compliance are incredibly important.

We use Zip for approving requests across finance, accounting, IT, legal, and other teams. Zip has thoroughly improved what was an otherwise manual and confusing process for requesters and approvers. As the business scales we needed a platform that was going to support our changing needs and put an emphasis on the employee experience.
  • The intake form is really easy to configure and manage and the upstream workflow is intuitive so maintenance is employed easily across different members of our team without IT.
  • Zip visually displays where a requester is at in the entire workflow, making the steps and approvals required transparent.
  • Zip doesn’t integrate with our TrustArc and includes cross border fees for virtual cards.
Zip is extremely well suited for all procurement and sourcing requests in our company, regardless of the team. For a company attempting to scale, Zip is necessary.

Eventually, it will also be used to simplify the way that we procure as well since it will be integrated directly into NetSuite.

Zip can be used for routing all vendor-level approvals for new vendors and all renewals across our organization. It can also be helpful for managing all purchases from existing vendors. For non-spend related approvals, it’s not as well suited. Zip was definitely designed for procurement workflows.

They also have a vendor management portal that links up directly to something like NetSuite for management and visibility.
