Zix is currently being used across the whole organization. It allows us, a health care organization, a means of securing our communications to ensure that users do not send PHI in an insecure manner. The system currently enforces encryption based on a number of policies. Some policies enforce automatic encryption, where others allow users to encrypt on demand. We are currently using Zix's cloud hosted offering, but we had a Zix server in-house for years.
  • Policies are set to manage the encryption, so it is mostly hands off. You can set them and forget them.
  • Zix has great support. If you need to understand why something was or was not encrypted, they can assist.
  • The hosted dashboard gives you report options, so you can search the logs on your own. This gives you the ability to do your own research and see what is going on. You can also have reports emailed to you on a schedule.
  • Zix to Zix emails (Zix customer to Zix customer) are automatically encrypted. Otherwise, recipients need to use the Zix web portal to receive the email.
  • Currently, the hosted dashboard does not allow me to touch or manage the policies at all. When I migrated from onsite to hosted, they pulled in my existing policies and added them to the general policies. If I need anything adjusted, I can call support and they will adjust for me.
  • Zix does not offer any other products other than encryption. I was hoping to have one vendor for spam and encryption, but was not willing to leave Zix for Proofpoint.
Zix is well suited for healthcare where PHI needs to be secured. Zix is also well suited for finance where financial information needs to be secured. If you are not concerned with any regulations regarding patient or client data, perhaps Zix is not for you.
  • Zix has given us more peace of mind when it comes to email security. We know that if the user forgets to send a message securely, that the built in policies should catch and encrypt the message anyway.

Zix was already in place when I got here. We have had the product for years. When I wanted to review the implementation, Zix told me I could migrate to their cloud offering for no extra charge. I prefer to have this type of service in the cloud due to maintenance. My issue used to be as follows: if we had an issue with Exchange, the mail would get spooled in Zix until the issue was resolved. Moving to the Zix cloud allows messages to be spooled in our SPAM/continuity provider, where we can take action on those messages until Exchange is back to normal.

We have Anyone is capable of supporting Zix. The support Zix provides is great. If you are not an experienced mail admin, Zix will assist in the setup of the system. When a problem or issue arises, simply call support and they are there to help. Most organizations IT staff wear many hats. Zix support helps fill in the gaps where staff might not possess the all the skills yet.

Zix is a great product, and it just works. There are rules in place to ensure that all email sent is safe and secure. With Zix in place, I feel confident that email is secured which means the organization is secured. If left up to me we will continue to use Zix.

First, I would come up with the criteria to rate the vendors against. As an organization, we would need to have a checklist built of the features we would expect the product to be able to achieve. Once we had a checklist, I would come up with the top three vendors in the space, and evaluate them against one another. The top vendor to meet all the organizations needs would be the winner.

We migrated from Zix on-site to Zix cloud. Change management was minimal. I needed to change my MX records to point to the new location in the cloud. Support was able to watch for traffic flow, and I needed to ensure that the mail was being allowed from the new location through the firewall. The changeover was fairly simple.

Zix was already implemented when I started. I migrated our Zix to the cloud version years later. Zix support did a great job assisting me in moving to the cloud. Originally we had an onsite Zix appliance. Zix support was very helpful in determining a mail flow issue when I had decreased visibility. They helped me determine that my mail server was having issues that were causing mail to be rejected and spooled in Zix. Thanks to Zix, I did not lose that email. Once the server was fixed, Zix released the mail automatically and we were back in business.
Zix is simple to use. Once the policies are configured, users do not have to interact with it at all. If they want to invoke encryption manually, they simply add the keyword to the subject and the message gets encrypted. Otherwise, there is no interaction. If someone on the recipient side does not have Zix, they retrieve the message via Zix's secure web portal.

Zix is currently being used by the Business Department to share confidential information with our financial institutions. We are also using it in IT when we need to communicate credentials with our partners. It has solved the business problem of needing to transfer information through email securely.
  • Easy manual encryption. You can define a key word or phrase that will trigger an email and contents to be encrypted.
  • Simple encryption rules interface. Zix supplies some pre-defined rules for auto-encryption such has for HIPPA, FERPA, PII, etc that will automatically encrypt if certain keywords or patterns are detected. These can be modified to fit your company requirements.
  • Automatically encrypts email if you are sending to another Zix customer. This makes the encryption process seamless because they do not need to log in to the Zix gateway to retrieve encrypted email. The email and contents are automatically encrypted.

Zix is well suited if you are looking for a solution that allows you to securely communicate through email. In our case we needed the ability to transmit email communication containing personal financial information that needed to be secure. It is also a good solution for sharing secure credential information with trusted partners.

The business functions that utilize the Zix encryption portal are our Business department and our Information Technology department. The Business department uses Zix when communicating with our financial institutions and for sending financial information to our vendors. The IT department uses Zix when we need to share credentials or network configuration information with our partners.

We have two of our network staff that support Zix for our employees. They have expertise in our email configuration and were easily able to integrate Zix into our Gmail setup. We have one primary support person and the second has been trained as a backup to provide additional coverage.

There is nothing we would change because we have been happy with our implementation of Zix email encryption. The installation was fairly easy and straightforward for our network folks and Zix support have been very responsive when we have had questions or issues. Zix support also worked well with us on the initial configuration.

During the first step was to fill out the Zix Implementation Configuration questionnaire to allow Zix support staff to understand how we would use Zix encryption. The first phase for us was following the documentation to configure our Gmail Mail Host for Zix through the Google Admin Console. The documentation was easy to follow. The next phase was to determine and set up the automated policies we wanted to use to trigger encryption (i.e., HIPPA, credit card, etc). The next phase was to configure the quarantine mode to 'insight'. This mode allowed us to view the quarantine functionality without needing to manually approve emails if they were flagged by a policy. Once we were done testing we set the quarantine to notify and set up approvers. The final thing we worked on with support was customizing our portal.
Change management was a small part of the implementation and was well-handled
It just confirmed the importance of documenting any changes to make sure both parties understood the scope of the change and to avoid scope creep from the primary project.
  • Clarifying the automated policies we would use for triggering encryption. This was an internal issue that we had to work through with all of the stakeholders.
  • We initially turned on quarantine and it delayed some email delivery because we thought the default was 'insight' mode. Once we switched it to 'insight' mode it helped us tune our policies to reduce false positives.

The online training we received from Zix was very good. They did a good job of walking us through the entire setup process and also provided good documentation as a reference. Zix support has been very responsive. They worked well with us when we initially purchased Zix to get it integrated with Gmail. They also worked with us to customize our Zix Email Encryption Gateway that our partners log into to retrieve encrypted email. The couple times we have run into issues, they have been very responsive in resolving the issues.

There was a teacher attempting to send an email out to parents with a notification regarding a future activity with her class. The email was being flagged by one of the phrase filters causing it to get rejected by the receiving email servers. I contacted Zix support in the afternoon and by the next morning they had corrected the issue and the teacher was able to send her email notifications. Zix support identified the issue and resolved it quickly.
The manual encryption is easy to set up and easy for our end users. The Zix gateway portal is very intuitive and our partners that access encrypted information had no problem getting their account set up and accessing encrypted email and attachments. Working with other Zix clients is seamless, even if they have web mail. The Zix gateway identifies other Zix users and automatically encrypts the email communication.
The scalability of Zix is very good. We can add additional clients as needed, not just at renewal time.
The availability of Zix has been very good. We have never had an outage due to an issue with the Zix portal or service. They plan their upgrades for off hours and do a good job of communicating any planned upgrades or outages well in advance. Zix has always been available when we need it.
Zix's performance has been very good since we have implemented it. The performance of the gateway has been very responsive. The integration with Gmail has not caused any issues with speed or performance of email sending or delivery.

We use Zix everyday and throughout our organization. We are a Title Escrow Service and heavily communicate detailed non-public financial information with real estate buyers, sellers, agents, and lenders. We looked at countless solutions which were not able to serve our needs. Many were not very useable by customers. Most were too cumbersome for our agents to manage complex communication threads. Zix is also used by our largest clients, making even greater usability. It has been performing very well for several years
  • Great usability for outside users who may need heavy access for several weeks and almost never again.
  • Streamlined operation for our agents, keeping communication threads organized (actually a function of our mail app - it is just that Zix actually allows this - it was a deal breaker with countless others)
  • Of course, bullet proof and highly recognized encryption. (duh!)

It has almost perfectly met our needs. A title company with 25 users that requires encrypted communication countless times daily. I am not sure that it would work as well for a small 2 user setup due to cost; I haven't checked that. I work with a small dental office that fits that scenario. There are many HIPAA solutions that match their use case, however.

Still agree with what i wrote a while back on this.

My sales executive was exceptional at working with me to get on board. But, it was beyond even that how she followed up after the sale. That is unusual with a product such as this.

I stalled a lot in looking at Zix, because I believed that there could be a free solution to meet my needs. Nothing else worked, though.

She called me agin because Zix had begun to offer a new configuration more ideally suited to our needs, and I bought in.

We handle real estate closing. We communicate with buyers, sellers, agents, lenders and more. We use Zix to securely transfer financial moments which contain a variety of no-public personal information. We are required to be compliant with federal and state regulations as well as being useable for non-professional end users. Because of strict time requirements, we need a system which is not prone to slowness or downtime.

It has almost perfectly surpassed all of our requirements, and interactions their people are a delight. We expect to continue using Zix to provide streamlined encrypted document delivery and for sensitive communications. It is also helpful that many lending institutions are standardized on the platform, making the high level of interaction that we have be as seamless as possible.

Must be breathing. It is almost dead simple. Of course, it is important that support personnel respect that users are often very capable at their job; due to time and other pressures, do not handle changes very well. Zix is almost entirely transparent to our users, so is very easily maintained.

Many, many others trialed and failed.

We were not about to give up on the security that Mac give us to encrypt email communications. Many products that are available depend upon using Microsoft Windows and Office; neither of which has a seller record of security or reliability. We wanted to continue using Mac Mail and not have to jump through a lot of hoops for us or our clients. But, Zix works well with Microsoft organizations; making our interface with lending institutions seamless.

In real estate transaction, we see a user with heavy usage for a month or so, and then they are gone. It is critical that the system be easily learned by them without hand holding from our people. Other systems had problematic password systems that made life for the end user as difficult as possible.

Another area that many other products fell short was in organization of the conversation. Our mail app organizes these in threads where it is very transparent what has taken place in past communications. Products which would not integrate with it were impossible to use in this respect.
Zix isn't free. I held off due to cost consideration. But, I came to see the value. It took a while to realize that I needed a full time end user directly involved in the search process. Once I had them involved; it was much more efficient to recognize pitfalls which were deal breakers. The biggest issue that clear during this process was the importance of threaded conversations. I was well aware of the need to bullet proof security, rock solid reliability, and drop dead simple accessibility for end users. There were products that did pretty well in those regards. But, our agents need to be able to easily see each step of the communication thread. Often, a response would come as a simple 'no' of other ambiguity. Without maintaining a clear thread of to conversation; it was too difficult to follow, let alone understand fully the conversation. And, it would be very prone to error. This is not sustainable with transactions in the 5 and 6 figure range. And of course, our agents are dealing with many of these projects simultaneously.

The training is very thorough and well individualized for our application. It was done online with the trainer on telephone.I felt that they were truly interested in my success, and provided resources for follow up. The trainer was easily understood with thorough knowledge of the product and giving helpful advice for implementation.
Using the actual tools, with guided instructions made it very clear. The end user experience is completely intuitive. The management console is a bit creaky. Having clear instructions provided by the trainer, in addition to using the actual tools, made it work. I am informed that the management console is being streamlined in major overhaul.
Zix is so straightforward that there really isn't any learning curve. There was only a small amount of discovery required by our agents. There is little or no intervention required to help end users (buyers, sellers, lenders, and real estate agents) It is especially helpful that each is capable of using the system on the platform of their choice.
There are very many usage scenarios in which it can work. We are a Mac only organization. There were many options which either wouldn't work at all, or were very unwieldy. We were not about to give up our systems for email encryption.
We haven't had any issues outside of the regular usage. It just works.

I am a very capable user. I seldom have issues that I cannot resolve myself. I have rarely been in need of more than basic support. And Zix support is plenty good. But, Zix is a premium product. The subscription cost includes premium support. The calls are answered quickly be staff who are both knowledgeable and excellent communicators.

No, but it is a major issue to resolve. There is an issue where documents are opened on a smart phone and the list of encrypted documents is truncated, of course hiding there relevant content. I have been advised that this issue is being reviewed and considered for resolution. Many of our end users open these documents on their phones due to the nature of the real estate business.

As I have said, end users have difficulty seeing their documents. Otherwise; all is perfect.It is compatible with all mobile platforms and is highly available allowing safe secure and speedy document delivery. One great feature is that once the account is setup, the end user can easily open secure documents almost as if there is no encryption.
It has no problem with our workload. We depend heavily on the ability to transfer large documents securely through the system and it has never let us down.

No, they do not.
Most importantly, there is no integration change requirements. Zix is completely transparent operating on the back end. It makes it possible to integrate fully with Apple Mail app, or any other application, on any platform that our users may choose. They often need to be able to securely access, and reply using their iPhones, and have that correspondence included within the conversation threads. It all works.

I am convinced that there is dark magic involved, because it works with everything, is fast as a bullet and rock solid. I did not have to touch anything on client workstations, our routers, or possibly even DNS. (I may have touched DNS,; it was so easy that I don't remember)
They play well with others. I really cannot imagine that there are any conditions where this platform would not completely satisfy the needs of users. (I am using the cloud based solution; there are also hardware packages that install on-site) I really believe that their team can get it working in the end environment without significant change.
They really worked patiently with me to get me on board with the idea of using them. The sales executive really bent over backwards to make sure that I had what I needed to make the choice. They communicated clearly throughout the process to make sure that everything flowed smoothly.
Tech support is very accessible. I have also been able to work with them in reporting a bug and am working to resolution. Finally, my sales executive has done an amazing job following up to make sure that it is meeting our needs.

We use the ZixGateway to monitor outbound email and securely encrypt on demand, or based on policy, email containing confidential or electronic Patient Health Information (ePHI) ensuring HIPAA compliant email communications. We also use the ZixOne MDM product to sandbox corporate email on mobile devices.
  • Widespread usage of ZixGateway in the Healthcare arena makes end to end encryption very seamless for our users.
  • The product is easy to use. Our users can encrypt either through the use of an Outlook add-on that puts a "Send Securely" button in Outllook for Windows. Though there is no client for those users on a Mac, or those who use OWA, they can still easily encrypt by inserting a keyword in the subject line. As a safety net, the rules that are processed at the Gateway allow for automatic encryption when end users forget.
  • The ZixOne product has grown in functionality over the years and now includes the ability to encrypt from the mobile device. It's become a very stable, reliable program.
  • The backend management of the ZixGateway could be simplified. It took a while to get the hang of how the rules interacted with one another. That having been said, once we had it tweaked out, it's been relatively hands off. Since we rely on this for HIPAA compliance, an improvement in this area would be a periodic "health" check of our appliance to ensure we've not made a rules change that has invalidated the intended use of the product.
  • We would have liked to seen the ZixOne MDM product allow integration of calendar items with the device's native calendar application. That was the biggest complaint of our users, that their business calendar, which contained no ePHI, was now segregated from there personal calendar forcing them manage two separate calendars.
This recommendation is based on the combined rating of the ZixGateway (10) and ZixOne (8). The lowered score for ZixOne is based on my recommended improvements. ZixGateway is well suited for anyone with a need to encrypt email, manually or by rule. Due to the number of Zix clients in the Healthcare arena currently using ZixGateway, it is especially suitable due to the seamless process for the recipient. When the sender's ZixGateway is communicating with a ZixGateway at the receiver's site, the email is encrypted by the sending ZixGateway, decrypted by the receiving ZixGateway, and delivered to the recipient with no extra effort on their end. By comparison, most of the other vendors we evaluated forced their recipients to a Portal from which they could retrieve the secured email, requiring them to maintain yet another set of credentials.
  • Zix products have increased comfort level that our email communications are HIPAA compliant 100%.
  • Before Zix, we trained our users about the importance of securing their data. We had a manual and time consuming process for securing email which often resulted in end users being tempted to bypass the process.
  • Zix has reduced the burden of securing email on our IT support staff as end users are now able to do this on their own with the click of a single button.

ZixGateway was our first email encryption product. We did evaluate a couple of other MDM products when we were evaluating ZixOne. The fact that Zix was able to bundle the two products together and provide an attractive price was extremely attractive. The interoperability between ZixGateways in use throughout the healthcare arena made ZixGateway a no-brainer.

For the most part, Zix is used by our administrative and clinical support staff. Everything from department managers to insurance workers to clinicians exchanging patient data.

To effectively configure Zix, your staff will need a good understanding of the email flow process. A network background is helpful. All back-end management is handled by our networking staff. Client deployment is a simple IT helpdesk task.

We needed assistance setting of DKIM signing for outbound email on multiple domains. Support was able to clearly outline the steps we needed to take so that the project was successful.
From an end user standpoint, it's a 10. The complexity of the back-end management tools bring that overall score down slightly.
