Overall Satisfaction with NetSuite OpenAir PSA

We use OpenAir for time-entry and project management/accounting purposes. We are a services organization, embedded in a software company. Services accounts for most of the users, but we do have some non-services team members leveraging the time-entry module. For time-entry only, I think OpenAir is overkill, but for aervices, we cannot run our business without this tool. We track new project bookings, manage our forecast, capture project expenses, and invoice and run KPI reports out of OpenAir.
  • Provides excellent visibility to historical billing and revenue history.
  • If set up properly, it make sure all eligible charges are invoiced - no missed revenue.
  • Very configurable.
  • Multiple departments can use at once.
  • Scheduled Reports.
  • The Dashboard is atrocious.
  • Reporting is not intuitive.
  • Too many ways to do the same thing - confusing user experience.
  • Sometimes impossible to get a comprehensive report and must run multiple reports to get what you need.
  • Setting up skills in Resource Management needs to be very basic, or not usable. This just might be our business as we have many areas of expertise within different product lines.
  • My least favorite module is the Resource Management module as there is no connection between a booking and a project task assignment.
  • Report view in OpenAir requires most to be exported into Excel to be viewed and pivoted. Not really easy to view right from system.
  • Timesheet entries for the week are all connected so if one project on that timesheet needs to be backed out, the entire timesheet needs to be unapproved
  • Difficult to see what queue the timesheet approval is in.
  • Improved reporting on KPI.
  • Ability to view project margin.
  • Invoicing for hourly work is easily accomplished with no missed or duplicate hours.
  • We have excellent transparency on project financials.
We came from a QuickArrow envirnoment, so going to OpenAir was the path of least resistance and it hit all the requirements. We looked at Financial Force and Changepoint. Financial Force was very intriguing because of the Salesforce platform, but not all our users are on Salesforce so the choice got very expensive.
Depending on your size, if you use OpenAir, you will need a full-time administrator who can provide documentation, training and support. I think it is a choice to be considered for any services business who want a single system that can manage projects, POs, expenses, and invoicing all in one platform.
