Overall Satisfaction with Insightly

I use Insightly in my property management department. Insightly allows me to keep track of properties, tenants, vendors, their relationships and our work orders. We use it on a daily basis, my folks in the field use it. I use it for monthly reports; really could not do without it. It makes it easy to tell who is working on what, what items are outstanding, who to ask for when you visit over 200 tenants over multiple office buildings.

On the reporting side, it's super easy to export and manipulate the data. I have used other work order systems and contact management software in the past (for over 20 years), Insightly is definitely the best to date even though it was not designed for our specific use.
  • We deal with complex relationships like which vendors are working for us for which tenants for which ownership group, etc. This was a very tedious effort with other software so staff just didn't do it, it is so easy with Insightly.
  • We really use the Projects to simplify who did what when, what still needs to happen, who said what to who. Using Projects with tasks really helps us organize.
  • The Gmail add in has really helped us capture issues which just were lost before. Instantly turning an email into a task has really improved our tracking and follow through.
  • The one real weakness is native reporting. For example, if I am on the task screen and select print, it just prints that one screen, not all of the tasks I can scroll through. One report that would save us loads of time would simply be the ability to print a task with all of the attached contacts. Works great on the screen, but if I need to send it to someone outside of my organization, I am out of luck. (Actually, I use "Export All" and then have created a database that I reload at least monthly. Works but a pain!)
  • Gmail sidebar - isn't really functional for us. Please don't remove the ability to convert an email to a task in Gmail, which works great with the add in but not at all with the sidebar.
  • Archive/Mass Delete - can't do either! My tasks are getting out of control (for example I do a report on completed tasks, have to scroll to the bottom (because of the sort), I have several years of completed tasks so it is a pain. If there was a way that you could archive completed tasks based on date range, that would be great.
  • Use voice to create a comment or task - if you could use the voice (microphone) function when creating a task or adding a comment on the mobile apps, that would be great for our folks in the field.

We have achieved the large majority of these outcomes. Our contacts are now centralized and more robust than previously. We work much more efficiently since we can see what is going on for a task instead of having to call field staff, and can add new tasks easily regardless of how they are reported to us (phone, email, in person). Our business processes are more streamlined as we don't have to manage our contacts and work orders in two different systems. If we were able to integrate some type of time card tracking as well we would really be there. We have reduced our number of meetings, plus it is easier to prepare for meetings now that all of the info and history can be found in one place.
  • ACT
Used ACT for years, back to the old floppy disk days. Insightly is way more flexible, and it takes much less time to get your info in (and out).
Insightly is well suited to an organization with multiple people on the same team, and when working with clients of your clients and subcontractors (it works well with straightforward cold calling as well!). The interface is extremely simple, so training staff is a breeze. It is less well suited for report heavy users.

Matching fields was easy, consider what customization you need, especially keywords to regroup.

Configuring Insightly

I think as far as the ability to add fields, it is very good, and the export facility is very good as well. I think that the ability to configure reports, and the selection of key fields for filters and sorts could be improved.

Insightly Support

I have never given any other software support a 10, but Insightly has really done a great job over the 3 years we have been using it. They are quick to respond, don't ask stupid questions, don't bump you to others, and every issue has been resolved in very short order.

I had developed a database schema that I used for reporting, and I would regularly use the "export of all data" function. After doing this for many months, a field which I needed was no longer included in the exported data. Even though I may have been the only person using the data in this way, Insighly added the field back to their export for me. I believe any other company would have just said sorry and left me hanging.
