Overall Satisfaction with Ooma Office

Ooma Office helped us streamline our phone infrastructure. It allows us to easily scale, add numbers and stay connected. The virtual assistant also makes it very easy for us to keep our customers up to date and reduce the workload on our staff. It's easy for all of office staff to use and we're able to customize the virtual assistant, hours, incoming call menu, and saving our employees time.

It's much easier to manage than our previous solutions. It makes our phone infrastructure robust and scalable. The virtual assistant has also been very useful for us to keep our customers updated on changes in pricing, hours etc. We had to manually record any changes earlier and this was a definite improvement.

Ooma Office is great for small businesses. It's very easy to set up, configure and manage. The virtual assistant allows to convey up to date information and to smoothly transfers calls and keep our customers informed about any changes on our hours, holiday timings etc. It also easy to add mobile options for our staff to take calls on the road.

Using Ooma Office

12 - The represent everything from front office/reception, our Medical Assistants to call back patients, our Providers to discuss care options with patients, and our office manager. This is the first means of communication for our customers. Recruiting and sales also use our phone functionality. We also use it to phone screen new candidates, reach out to potential customers/partners.
1 - Our office manager does everything that needs to be done for managing and updating our Ooma Office. It includes modifying schedules, hours, or pricing. A basic knowledge of how the configuration is setup in Ooma Office and understanding of the Virtual Assistant options. A basic level of computer knowledge is sufficient to manage Ooma Office as the menu is quite intuitive.

  • The virtual assistant allows us to keep our customers updated. We didn't realize we were missing something like this until we went live with Ooma. It's reduced the number of routine questions our staff had to answer everyday.
  • The mobile app has been useful for us to respond to calls even when the staff isn't in the office.
  • Adding lines required no additional IT support as the phones came in pre-configured.
  • We are planning to use the mobile app a lot more as we expand into mobile service lines.

We have found it very easy to configure, manage, and expand our phone operations with Ooma Office. We needed a reliable phone network as this is the first means of communication for our customers - Ooma has made it a lot easier for us to manage. Their support is also available 24x7 so that's a huge plus.

Evaluating Ooma Office and Competitors

Yes - We used a managed VoIP solution earlier and it was very difficult to manage and make any kind of changes. Every time we had a change in our schedule or pricing we had to re-record our message, using the virtual assistant makes it a breeze. The mobile option is also very helpful as we scale operations.

Product features were the most important for us. We needed an easy to manage, scalable phone solution with good support. Our earlier phone system was unreliable and making any changes to the setup was a nightmare. It's now really easy to update schedule, timings etc on the Virtual Assistant. Adding phone lines is also a lot easier as the phones are delivered with preconfigured options.
I would look at all the features we need to make our phone system scalable. It's one of the most important ways for our customers to communicate with us, the features that we would look for are - ease of management, ease of making changes and adding lines, virtual assistant like capabilities, mobile options.

Ooma Office Implementation

Have a plan in place before you start the implementation, open communication with the staff on the changes being made, prepare a reference guide on the system and how to navigate the new setup. Budget and allocate time for helping staff learn the new system. Consolidate and coordinate all the questions internally before reaching out to support.
Change management was a small part of the implementation and was well-handled - Keep everyone looped in on the changes, have a training plan in place to make sure that they understand the changes, and have a guide to help them navigate the new system (had a few dropped calls). We think the implementation was well-handled and there weren't too many issue but we could have made it a whole lot easier on the staff.

Ooma Office Support

Ooma support is available 24x7 so that's been very helpful. Especially when we first started with Ooma we had a few questions wrt setup, routing, virtual assistant etc. The support was always reachable and helpful and made it very easy to get started. Now we only have to occasionally reach out to support for minor changes to setup or adding more lines etc.

Ooma Office comes with very reliable support options, so we had no need to purchase the premium support option. The support staff is always available, knowledgeable, and quite reliable so we haven't found any reason to need to change our support options. Whenever we reached out to support they fix our issues or give us a prompt call back whenever they need to check on something.
We had an issue with our setup that we weren't really able to figure out. We called Ooma Office support team and it took a while for them to figure out too. They had to do some research at their end to understand why the issue was occuring, they took their time, figured it out and gave us a call back to fix our issue. Ooma has a really good support team.

Ooma office is very easy to use, configure, and make any changes. It's also easy to add more lines because the phones are delivered with preconfigured options. The virtual assistant makes it easy to update hours, schedule, pricing etc. and reduces the number of routine questions our staff has to deal with.

Yes - The mobile interface is available through Ooma. It needs a bit of improvement, and setup can be a bit confusing on mobile. The mobile option also needs to be configured properly to make sure that the calls are correctly redirected. The app is quite intuitive, easy to use and for receiving and sending messages.
