Overall Satisfaction with Paycom

I was sold Paycom as a payroll service that would be up to date on California payroll laws. What I found out is that Paycom is payroll software, and it's up to you to learn how to use its incredibly complicated software and get it to work with California laws. We use the Timekeeping (glitchy), payroll, expenses, scheduling, HR, and talent acquisition functions. The expenses were sold as highly customizable, but the reports they use do not show any of the custom fields you created unless you run a custom report, so you lose the ability to sort the information in a meaningful way. I turn off the expense portion since it has never worked or imported into my QuickBooks correctly, and they removed all access to past reporting, so I've lost a year of expense backup.
  • Sales
  • Access to people who know how to use the software
  • Honesty in the sales process
  • Access to the tax department to fix issues
  • Quick response to problems
  • Following through with employee promises
  • Paycom has cost me hours needed to learn their product, as trainers often don't know how to do things
  • Paycom has messed up my P&L by not creating a correct import file to QuickBooks

Using Paycom

48 - 45 are Oil well service techs who work in the field. Three are in the office.
2 - We got Paycom in order to lighten our workload for Payroll and HR, but managing it has become a full time job. I spend more time than ever fixing and arguing with Paycom.
  • I was promised a Payroll advisor who specialized in California payroll law. After signing up I was told they don't have that. Payroll law is up to me to keep up on and tell them how to make it work. I've forwarded the email promising this and they just say "we're sorry, we can't do that".
  • I was promised the import to my QuickBooks GL would be set up. It wasn't and they messed up my financials. After a year of fighting with them over the expense module I asked them to go ahead and turn it off, as we could not get it to import the classes correctly. They turned it off and removed my access to any past reports.
  • Per diem or phone allowance that is non-taxable shows up on wage reports, even though they are not wages. You have to remove them when running reports
  • I cannot get the tax department to respond in less than two weeks, even when it's obvious they made a mistake
We are looking for a replacement.

Using Paycom

The system is very complex, and was not set up for our use. They expected me to finish the set up, but the people I worked with didn't know the system, and I was frequently given wrong answers. Our service techs switch between service items on their time card several times a day, specifying class (for QuickBooks) and customer. If I have to create a manual check, none of that information is able to be pulled into the manual check. On top of that, it does not calculate blended OT required by California law, so I must edit the rates after entering all the lines. This means a manual check takes me anywhere from 20 minutes to an hour to create. Currently, if I go into edit the check, it corrupts and must be deleted and reentered. I have sent them 2 videos showing the error. It's been over a month, and they still won't acknowledge it's a real problem, let alone fix it. All communication must go through your "specialist" who is really just a handler, who sends an email to another department, and waits for that department to respond. It's a terrible game of telephone that always drags out problems since you have to spend weeks convincing them a problem even exists.
ProsCons
None
Do not like to use
Unnecessarily complex
Difficult to use
Requires technical support
Not well integrated
Inconsistent
Slow to learn
Cumbersome
Feel nervous using
Lots to learn
  • Background checks
  • Timecards frequently glitch if you use a phone for timekeeping
  • Expenses do not route correctly, reports don't show complete information
  • Manual checks take 20 minutes to an hour
  • The schedule feature doesn't show vacations so employees can't work around each other
  • Org chart requires several steps and after a year we still can't get proper work flows
  • Employees must choose a correct type of punch i.e. transfer, out lunch, out day but cannot see this information to double check it on their phone. If they don't use the correct type, overtime and California lunches don't calculate correctly.
  • Documents can't be set up to both scan in or complete online, you must set up separate documents for each method
Yes - It's horribly glitchy. When an employee tries to edit their timecard on their phone, they cannot see all the needed information at once. Sometimes the system will switch their in and out times, and not let them correct it, causing them to have to delete the day and re-enter it. I've sent a video of this occurring, but Paycom hasn't fixed it in over two months.
