Overall Satisfaction with UKG Pro

We use UKG Pro for both Payroll and HR functions. We have recently added recruiting. I do not use that module, but from what I have heard it is making it easier to enter requests for new roles to be filled. I like to reports, and the ability to run on the fly or modify current reports. My biggest issue is the help desk ticket system. I feel like I open a case and never really get a resolution. On the live call or chat I get excellent service and quick answers and/or help. I do receive an email with each step of a case but the email gives no information, which is time consuming to go into the system if you have many open cases. The resolution time is getting faster and may just be a case of catching up.
  • Reports- a great variety of reports that cover the needs over many functions. Being able to run on demand what reports I need for a given task is great.
  • Enhancements-UKG Pro listens to the users and takes suggestions for new products or services.
  • Qtr and year end planning- UKG Pro has a great review and listing to tasks needed to be completed for the quarters and year end.
  • Quick to report on tax updates and changes for State, local, sui taxes
  • Case system. If you open a case you get email acknowledgement. Then another when it is assigned. Then another email letting you know they have reached out to you. Not in that email just in the case notes. The emails do not give any details other than case number. I open many cases and have to go in and out of case system to figure out which case they need or want information on.
  • Additional tax payment notification.- Aside from checking every day if there is a new payment coming out, other than normal PR [payments], there is not a good notification process.
  • I feel the updates to open a tax case are a little cumbersome.
  • The ability to have up to date employee and salary information is great.
  • Report capabilities allows for quick employee hire/turnover/salary for multiple business uses.
UKG Pro has the quick turn around on reports. Other [companies] would process the reports and send or email back for review. UKG to select and print [in real] time.

Easy to understand and use system. Even beginners can understand and use the product.
It is a well rounded system [that] I have implemented and used at two companies. At the 1st company we also had international employees. Ulti had very good third-party providers that were very knowledgeable.

Upgrading UKG Pro

UKG Pro Training

While it is a very easy to understand and work with system, training is available for a reason. This product has differences from other available and is work exploring through training courses
The training covered so many different area that you get a great overall picture of the products. I in addition to the payroll classes took many HR and recruiting just for reference.

Using UKG Pro

8 - Payroll, HR and recruiting
3 - Just Payroll and 2 from HR offer the support
  • Tax updates and corrections
  • adding deduction codes
  • General updates from Government entities
  • The reports available provide employee information for more than just payroll and HR
  • Make quick work of labor statistics reports by state that used to take hours and hours
  • Makes quick work of compiling department cost from payroll
  • As the company grows candidate tracking and recruiting will be a big asset

Evaluating UKG Pro and Competitors

Yes - Humanic. The decision was made to take over the payroll function from our parent company. They explored many different software and this fit the need the best.

I wouldn't change the process

UKG Pro Implementation

Having a good plan of action is very helpful. Ulti provided a time line. I think the company should also have a timeline and expectation chart. List all key players and their role. I joined the company after the implementation started so having the players and roles would have been nice upfront instead of as I ran into an issue.
Change management was minimal
  • information received from prior provider verification was not done the most efficient way
  • running two software implementations as the same time

Configuring UKG Pro

I think the system is very configurable. I think the expectations need to be set on both sides what is wanted and want can be done clear before the start. Make sure both teams understand what is being requested and what is more than can be accomplished. Also the cost if some items are done after go live.
It would be nice if Ulti had a "book" of items/forms that will need to be completed as part of the implementation process. As an example what layout is required by Ulti and from customer side what the bank needs for file transfers. That seemed to be a last minute dash for us. What is needed by tax departments for Ulti to be a 3rd party file and pay. I seem to have to keep getting POA's signed so issues can be addressed. Make clear the expectations that the customer will also give access to Ulti for file and pay with the state and local entities websites.
Some - we have done small customizations to the interface - I think we did some for some of the file feeds to carriers and banks.
I feel the customer and the vendor both have the desire to meet each others expectations of the product and services. However I don't think it is always clear what the end result is.

UKG Pro Support

Live and chat support are great. The case system could use work. They over use email on cases without giving much information. They give more info in the email on non case related items that on actual help cases.

Jon Harper during implementation. We were taking over the PR function from our parent company. He walked us through the process clearly. Provided guidance when we struggled to get required information out of a system we did not have access to and had to rely parent who was also implementing the new system.

UKG Pro Reliability

The system is very flexible working across many departments. Having used Celegro at a former company I fell the system worked well bringing in multiple locations/countries and currencies.
To date I have not had a problem accessing the system whenever and where ever I happen to be.
Generally very happy with the service. Have had some issues with creating batches. Having to exit and restart to clear whatever the issue was. No earth shattering issues or delays.

Integrating UKG Pro

I felt it was cumbersome. Again that could have been because we did not have the same expectations on what to expect when.

Don't rush it. Start at the beginning of the year or quarter, not mid way through a quarter. Don't implement at the same time as open enrollment. Don't be afraid to ask questions and don't be afraid to questions answers. Make sure the customer understand timelines/deadlines. Hold teams accountable for the actions they are assigned. One process fail can affect the entire implementation.

Relationship with UKG

This was before my time so I had not input.
Because I already knew what to expect during implementation I found the process very easy. Point of contact going forward was not always clear. Having a defined list of contact is very helpful.
I do not hear from our customer service rep, Diane Chacon I think. She may contact HR but has not reached out to me in a very long time other than an occasional email with an update
Not sure, but do know working to resolve billing issues was not an easy task. We have had an ongoing issue with a credit. We took one then the same credit was applied to another invoice without our knowledge. It appeared we took the credit 2x. Was a nightmare to clean up.
Be clear on what you want and expect. Make sure those expectations are what is in the contract. this will confirm that both vendor and customer giving and getting what they signed up.
