Overall Satisfaction with UKG Pro (formerly Ultimate Software UltiPro)

UltiPro is being used across the organization and across other OpCos that we provide managed services to. It allows us to process payroll and administer retirement and H&W benefits across several employee populations easily and accurately. Even low-skilled users can get the information they need for their OpCo from UltiPro.
  • Payroll - ease and flexibility
  • Reporting - a full spectrum of reports as well as build-your-own capability
  • The Process management module does not allow automatic distribution to groups of employees, you have to request a distribution routine via SFTP.
  • You cannot edit the style or fonts in the offer letters in the Recruiting module
  • Streamlined and consolidated our processes
  • Cost and time savings
  • One platform for management of all HR functions
  • Costs savings
  • Time savings
  • Consolidating HR administration under a single solution
We definitely achieved significant cost savings moving to UltiPro. We achielved time savings as well because UltiPro lets us configure payroll how we want, and how it works for us. The payroll process went from 5 days to 2 days start to finish, with much more consistency. We are continuing our work to consolidate HR Admin to one solution, and should conclude the last pieces this year. Ultimate has all the modules we need to have everything on one platform.
We evaluated Ceridian along with UltiPro and chose UltiPro because of functionality, flexibility, price, and customer service. We moved from ADP Vantage to UltiPro. UltiPro is less expensive, much more flexible, has more functionality, Ultimate is much more responsive in helping with problems, and the majority of our payroll issues and employee issues disappeared with the conversion to UltiPro.
In general reports run very quickly and pages load quickly, and I have no complaints. I notice a slight slow down at month end and year end in page loads, but nothing that impacts my work. I have not noticed any slow down of systems that UltiPro integrates with as a result of UltiPro.
The Ultimate staff are very responsive to any issues we have. They are up front about system-wide issues, and they treat our individual issues and questions with urgency and respect. I am very impressed with the support staff, and the project staff as well. They are a pleasure to work with and very helpful.
We just implemented a new company into our system, going live Jan 1, 2020. The project staff and the SMEs in all areas worked diligently and went above and beyond to get us implemented - from system configuration to data loading to open enrollment for both new company and existing companies to payroll and benefits testing to interface development, each team did their utmost to help get across the finish line. Each individual Ultimate employee expressed their willingness to do what it would take to make their part work regardless of time of day or effort. I really appreciated their support on an internally difficult and complex project. This is the pattern of service at Ultimate, not an exception. It is what I routinely experience.
We just brought a new company on and trained the HR users, and it was remarkable how quickly people got comfortable in the system and became confident in performing their tasks, even though they were converting from a system where they were not allowed to do things in the system. It really illustrated to me how easy UltiPro is to use.
UltiPro has great reporting capabilities. It allows us to communicate HR information real time to CEOs, so they can see the current state and costs of their employee population. As an organization we are moving towards a one-stop solution for all things HR - payroll, communications, recruiting, learning & development, compensation, analytics, etc. UltiPro is helping us reach this ideal. As a global company it would be great if UltiPro had global payroll capabilities, but it does not currently have them.

Upgrading UKG Pro (formerly Ultimate Software UltiPro)

Yes - We recently added some new modules to UltiPro - Employee File Management and Employee Case Management. These new modules did not impact UltiPro Core, so there was no downtime of the system. The new modules work fine and we are setting up to speed on them. The UltiPro system is automatically upgraded twice a year and there is rarely any negative impact from these upgrades. They are usually invisible except for the new features available.
  • Document Management system
  • Automated process functionality
  • Training and development
  • Succession management

UKG Pro (formerly Ultimate Software UltiPro) Training

I took the training Ultimate offers and I would recommend you take the training to understand how the system works. Our managers were encouraged to take training, but many didn't and they picked up their tasks pretty well without it. I would still recommend the training.
The training is very good, plus there are lots of materials - desk aids, quick-start videos, etc. to help you get up to speed quickly. I like the training on the new features, they are very in-depth and help you use the system to its fullest. There are so many options for training it fits everyone's learning style.

Using UKG Pro (formerly Ultimate Software UltiPro)

400 - All - finance, HR, employees.
We do not have any in-house support for UltiPro.
  • Payroll generation
  • GL reconcilation
  • We use the personal employee phone number in UltiPro to text weather alerts or other work impact alerts
  • Training tracking
  • Succession planning
We are setting up UltiPro as our one-stop HR shop, so we will be using UltiPro for the foreseeable future.

Evaluating UKG Pro (formerly Ultimate Software UltiPro) and Competitors

Yes - ADP HCM
ADP was very expensive and had little flexibility for us to manage our processes. Employees had a hard time with ADP and our HR team was very frustrated.
  • Price
  • Product Features
  • Product Usability
Usability was probably the biggest factor. We have a diverse set of companies we provide HR services for and we needed flexibility to set up payroll and benefits to for each company their own way, We have a skilled team that was completely frustrated with ADP and it rigidity and lack of flexibility.
WE had a thorough review and evaluation process, I would not change how we did it. We involved all the stakeholders and took our time.

UKG Pro (formerly Ultimate Software UltiPro) Implementation

The implementation team was superb and very responsive. They worked long hours with me to get the job done. They knew the system inside and out and were good at advising me on configuration based on best practices, which was very helpful and helped me avoid issues I would not have avoided without their expertise.
Change management was a big part of the implementation and was well-handled - Communication was key in the implementation. There was such a bad feeling among employees about our previous system, we did a real PR campaign for UP to let everyone see how user friendly and reliable it was going to be. There was some resistance, but consistent and regular communication solved the issues. The Go Live period was fairly smooth due to this.
  • Mapping historical data to UP
  • Configuring PTO plans for several different companies
  • Configuring payrolls for the different companies

Configuring UKG Pro (formerly Ultimate Software UltiPro)

In my experience it is just right for this type of product. We are able to configure and customize almost everything we want to, there are very few exceptions.
Talk to the UKG experts and get best practices that other clients have done. Our team was great about advising and helping us design our system based on our needs and the best practices of others.
Some - we have done small customizations to the interface - Customizing the user interface is easy and simple to maintain. We use it to communicate with employees and need to change the materials regularly. It is easy for us to do.
No - we have not done any custom code

None
We did not purchase premium support because the system was so user friendly we didn't need it. The regular support has been sufficient. We were in a tight budget situation so we did not choose the extra cost. It has worked out fine with the regular support.

  • GL is a little clunky

Yes - The mobile interface is very good. Many of our employees use it and really like it. We have not experienced any issues with the mobile interface.

UKG Pro (formerly Ultimate Software UltiPro) Reliability

We have several Operating Companies that are set up as individual companies for payroll and benefits in UKG. This works great, and was fairly simple to configure. We recently added a new company and the process worked well and UKG scaled to the new complex processes and configuration that was required.
Overall UKG is very reliable. It seems like i get a lot of messages about Recruiting or Onboarding having issues. We have not had any employee complaints about availability at all.

Integrating UKG Pro (formerly Ultimate Software UltiPro)

The interface process went smoothly. We did develop and report extract form import to Oracle and that process, though complex went well and is still working effectively for various companies' GL.
  • Interfaces with H&W benefits vendors
We did not integrate with any of our internal systems. We only have interfaces with H&W benefits vendors and those work well. The configuration process was effective and we have no issues with the interfaces.
  • File import/export
  • Single Signon
Nope
Talk to the experts at UKG to ask about all possible integration options, so you can automate as many processes as possible.

Relationship with UKG

They were responsive but not pushy. They designed a system that worked for us on cost and functionality.
for the first couple of years they have been very responsive and helpful to work with, however since the merger I have noticed a serious drop off in service quality and everyone seems to be much busier. and to be honest people seem less satisfied with the company they work for. It used to be they talked about how great Ultimate was to work for, and their happiness was reflected in their level of service and relationships with us. Now that is gone.
Our contacts communicate with us regularly and the communication is effective. They keep us up to date on things and are quick to answer our questions.
3 year contract for UP COre
Set a regular meeting, like every other week, with your Account Manager to address or escalate issues. Keep on their radar.
