Overall Satisfaction with Webexpenses

We use it to manage all invoices and expenses. It is managed by Finance Team and I am just a user. I use it to process my expenses of which I have around 10 to 40 each month.
  • It is good for being able to manage expenses as they come in, rather than all in one go.
  • The process from uploading an invoice through to approval is automated and works well.
  • Sometimes it can be a bit glitchy. Usually user error but minor actions by the user that cause an item to not save, for example. This could be improved.
  • It doesn't seem to default all expenses to the default charge codes as it had initially, so I have to add them in to each expense each time which is frustrating.
It's usability is fine but could definitely be improved. The hovering over invoices will sometimes show an invoice (useful), other times download the invoice (irritating!). It would be good to have the option to do either. The invoice when it shows is sometimes too small to read properly so an expand would be useful (when filling in the expenses details). When you have to add an invoice retrospectively it's quite difficult and doesn't work well.
I only have experience of our internal support team and they seem to be pretty well informed of how Webexpenses works and how to support us as users by answering our questions. I have not had any direct support from the Webexpenses team so am not able to comment on that specifically.
We have been told to use Webexpenses so it has not been a choice as such! But it has certainly saved time to some degree. Mainly the fact that I can add my expenses as they come in. I can add invoices as I receive them. One feature of Webexpenses that I really appreciate is the automatic recognition of an invoice to a claim. This is really useful and definitely saves us time.
I did not purchase Webexpenses so am not able to answer that specifically, however as someone who has quite a few expenses each month, the system (once I have got the hang of it) mostly answers requirements of automating the process. I used to have to manually send my expense form to be approved by the different approvers and chase them when they didn't respond in time. Now this happens automatically - except the chasing bit! Maybe that would be a good addition, if approvers don't respond within say 48 hours, they are sent a reminder. Perhaps this happens already, I'm not sure.
Our previous system was a manual one with paper invoices (I know!) and spreadsheets. It was tedious, so to be honest anything would be an improvement!

Yes

It is good for managing expenses. It is a vast improvement on our previous spreadsheet based system. I would recommend it, however it can be quite complicated and a bit glitchy which can be frustrating and unnecessarily time consuming. I would not necessarily recommend to someone who considered themselves a 'technophobe' but I would recommend to people used to working with different management systems.
