Overall Satisfaction with Webexpenses

Rolled out across the whole organisation as part of an upgrade to our expenses system, it allows very rapid submission of claims and very easy attachment of receipts. I can have the claim for a meal submitted before the first course comes out. It also allows individual receipts to be assigned to specific cost codes and have notes attached to them.
Receipts are kept separately to claims and can be easily attached to a claim. OCR in the app will detect values and give you a first guess of the value of the claim.
  • Quickly add receipts and save them for later. Photos of receipts are saved and converted to first guess submissions in the claims.
  • Easily edit the values from the claims and assign receipts to claims.
  • Assign individual cost codes to receipts within a claim.
  • Claims seem to be locked to a default cost code, even though individual receipts may be assigned to different codes. This may be a setting my organisation has required.
  • More of a flow to the process, at the moment it seems hit and miss as to whether you should add the receipt then the claim or the other way around.
  • Some better image manipulation or highlighting would be good, allowing highlighting of relevant areas for example.
  • Allows better tracking of incidental expenses, providing staff with better access to reclaim their incurred expenses.
It is easy to use. Scan/photograph your receipt, check and enter the details, add to a claim, starting one if necessary, submit the claim.
The fact I can do all of this from my phone on a relatively lightweight app is a positive.
I can check and track my claims on the web portal when I want.
I have not used the customer support so I can not comment on it. Support for my phone and tablet is fine, technologically speaking, and the web page is supported by my the internet browser programmes that I use. The user guide I perused at the start guided me through the process well enough to be able to use the system.
I've been saving receipts from expenses as I go takes very little time and once they are all in the system it is much faster to process them all into a claim, assigning the right codes and submitting it. On an individual level, this has saved me time and made it much easier to keep on top of submitting my claims.
Most importantly for me were that it worked with the office system, this was guaranteed as it was the system the office required me to use, so big check there.
It needed to be easy to add receipts and attach them to claims and it needed to provide an auditable trail for the claims.

Good for small amounts of claims and good for on-the-go situations using the mobile app. The web based system is handy for larger claims if one has the images of receipts already loaded onto the computer.
I managed to get the claim for my lunch submitted before I had drunk my espresso, assigning it to the right cost code and department.
Less good with more complicated claims in my case; I couldn't change the overall cost code so the claim went to the wrong manager for confirmation.
