Overall Satisfaction with Webexpenses

We use Webexpenses across our Global departments from the UK to the US and as far aware as Australia and China. Webexpenses is great to use as a platform as we can use several currencies across the group effectively, and training employees in the use of Webexpenses is very straightforward as the system is quite self explanatory for any user. One of the major factors that helps us is the way to store receipts and the ease of use to add them to a claim line, the auto receipt function is a time saver for some.

  • Rather than use the word "Paid" when I check the claims, "Processed" would be better to avoid confusion from some users who think that is when they get "Paid" their expenses.
  • Individually have a "home currency" per user even when on a shared account.
  • Saves time for everyone.

  • Uniformity across the group.
  • With saving time it also saves money so employees have more time for other tasks.
The menus are really easy to follow and the text and fonts are bold and clear, it also tells you on occasion if something isn't completed correctly what you need to do to make it a viable claim. Running specific reports adding codes and categories are great functions as an administrator are great too so I don't waste time going through lots of claims unnecessarily when I need to choose only the ones I need by department, code, dates or categories.
The support is one of the best things of Webexpenses. If there has ever been a fault I would report it straight away and get a response within minutes from a dedicated support team, also one click of the support button gives you access to so many videos and tutorials. It's so easy to get an answer to your problem.
Expense approval is so much quicker for approvers now, an email received saying a claim is ready and a few checks and clicks later and the process can be complete, saving valuable time for all across the group. As we only use expenses for now I don't know about the other functions just yet.
The way the system flows for us and that we can get anyone's record up in a few clicks is essential for any audit trail. Storing receipts online quickly was a big part of what we wanted too, with so many worldwide travelers we needed to get away from paper trails and get everything online asap, being able to get a receipt from point of purchase stored on your profile in under 20 seconds possibly 10 if you are quick using your phone. This made the decision to use Webexpenses an easy one, never mind how also easy the system is to operate. Things of course are not always perfect but being able to bring that to Webexpenses' attention is great too as they listen and on one occasion changed how things work after we pointed something out. It's essential they keep doing that as it's a great partnership to have.

Because of how the system is set up and the ease of use for our employees we find it so much better than any previous way we have done expenses. The app works really well too and people can take pictures of receipts immediately or forward PDFs to their profiles with a few clicks on a desktop storing receipts within seconds ready for the upload of the Credit card statements, followed by intelligent receipting. This can save the user so much time, with the boxes we need them to complete being so basic to use it can make the whole process take a few minutes rather than an hour out of their day. Also having access to a support function when the offices aren't open with some places across the globe that proves an essential part of the package, the tutorials are so straightforward for any ability of a computer to use.
