Overall Satisfaction with Webexpenses

I believe it is used by most of the organization, for anybody who has to travel as part of their job description. We use it to submit mainly petrol claim expenses. It has made the expenses process a lot simpler, quicker and therefore easier. Mainly due to the function that works out the distance travelled for you.
  • Makes it easy to see what the status is of a submitted claim, e.g awaiting approval or paid.
  • Works out the distance travelled between postcodes when submitting business mileage claim.
  • Makes it easier for a manager to see what has been added to the claim and therefore approve quicker.
  • I do feel that the receipt adding isn't as straightforward as it could be, having to add the receipt to every item of the claim rather than use the same receipt for the whole claim.
  • It would be helpful to set the calendar to a specific month for a whole claim, for example I completed October's mileage, but kept accidentally putting the date as November as it auto selects the current month from the calendar.
  • I have found it easier and quicker to submit a claim now I am more familiar with the product, this therefore has had a positive impact as I now don't forget to submit my claim in the timeframe that I have to.
I think once you are used to the product it is relatively easy to use, it does however take some getting used to. I know various colleagues who did not initially find it easy to navigate. The main thing was adding receipts which I have saved to Webexpenses but wasn't pulling through to my individual claim item, maybe we were not using this function correctly.
I had trouble logging in to my Webexpenses account initially, and found it very difficult to find out who was supposed to assist. I was directed to Webexpenses support and it took multiple chase ups and over a week (from memory) to get a response. In the end my issue was fixed but it took a long time to get to that stage.
Expenses approval is much easier for my manager to go through and I mean I can submit a claim, have it approved and ultimately paid a lot quicker than what it did before we used Webexpenses.

Very well suited for negotiators like me who are in and out of the office and can add items to their claim via the app, so that you can keep on top of a claim throughout the working day/month therefore it is not a longer task at the end of the month having to do it all at once.
