Apptoto provides fully customizable appointment messaging software that connects to the user's existing calendar and address book, finds contact information, and can send SMS text, voice, and email messages to remind before and after appointments. Its main purpose is to reduce no-shows by up to 90% with automated reminders, but can also be customized to send follow-ups, schedule appointments online, carry on two-way conversations with new and existing clients, and improve client communication.

For people dealing with a high volume of clients and are heavily reliant on meetings. For someone who is not dealing with much traffic, it is easier to keep tabs on their schedule and stay on top of their appointments, so Apptoto will be just a luxury. However, make sure to keep a backup source as well, for example, a mobile calendar.

Apptoto is used in the organization mainly for appointment scheduling across the teams. it made communication easier by reminding the availability of the teammates which is rather challenging if the team size is bigger. this is a very crucial feature of this product. furthermore, it has the capability to schedule appointments and reschedule as per the availability.

As per my previous experience with this software, It is well suited if you are having a meeting with a large audience and not sure whether everyone is available or not, This tool is convenient to capture those responses and give a collaborative view about the situation. Based on the availability factor we can decide whether to reschedule the meeting or carry on with it.

  • Scheduling the meetings are easier. it is a big plus at least 30 % of time saving.
  • Reminders and reviews are collected in one place. rather than reaching out to every member every time.
  • Announcements can be delivered in matter of seconds.
It's fairly similar. some additional features are added like reminders through SMS, Email, etc. When we want to convey a message to reschedule a meeting or any other appointments Google Calendar will send that but we have to look at each attendee individually whereas Apptoto's UI makes it easier. All and all fairly similar as per my requirement.

We don't just use Apptoto for its original intention, an appointment setting & a reminder program. We use it for these purposes, yes, but we also use it and have manipulated it for use as an aggressive marketing campaign tool. We use it to remind our customers their yearly service is due to their equipment, based on their anniversary date from the prior years' service or new equipment purchase. So over X days/weeks/months, we use Apptoto as a drop marketing campaign generator. It is a manual process to set up, but once you fire it off, you don't need to babysit it to work it methodically.

  • Apptoto's customer support is some of the best I have interacted with. They are patient, kind, and have follow-through. This app works amazingly well for Appointment setting and reminders. SO simple to use.
  • For full-spectrum Salesforce integration, it does need some help. Although, with that, I am attempting to do probably out of the realm of intention with this software. It has the potential to do so much more with SF or other CRM's if they wanted to do so.

I have not used any other applications that would be comparable to what Apptoto is providing for our company. It was the first program I came across and was smitten by the demo, which took me down the Apptoto Rabbit hole to discover all of its current functions. To date, the limitations I have with Apptoto have been nowhere near enough reason for me even to consider looking at other applications.
Their online support and phone coverage are the best I ave ever encountered. Jovial, kind, and responsive are the word I would use to describe what they do and the methodology of why they do it so well. Online support is a breeze because you can upload images/video clips — no need to have a 3rd party app, like GoToMeeting for underlying support issues.

We use Apptoto across the company to securely book new consultations as well as existing client consultations in order to more effectively reduce no-shows and confirm appointments through text messages and emails. Our clients appreciate getting the messages in advance and we love being able to see who has confirmed and who hasn't before the appointed times.

Anyone booking clients over the phone and looking to confirm these appointments ahead of time should be using this software!

Apptoto is quick to fix any issues we have with software, though they are few and far between, and integrates well with a variety of software including Clio!

We use Apptoto to confirm information with clients and to remind them about appointments. The system can send email, text, and phone messages and lets us know if they confirm, need to reschedule or cancel. It reads information directly from our PSA that talks to Google Calenders, including date/time, location email and phone number.
