Most of our organization uses Box. We also have some other similar services that are available that are used more by other groups, but in the department that I work for, we are heavy users of Box. We use Box for file collaboration and sharing through Box within and outside of our organization, depending on the sensitivity of the information contained in a given file.
  • File sharing
  • File version management
  • File access control
  • Plugin documentation

We use Box for collaboration all throughout our organization as well as sometimes when working with external users. It has been a very good tool in our experience, with flexible use options through browser plugins and installable applications that can be used on the most common computer operating systems.

My organization selected Box because it's a product that many organizations use, so it was easy to get users up to speed and collaborating together. The interface is very user friendly and intuitive. This has saved us time and effort in allowing users to become proficient in utilizing the service to become more efficient at working together.
Its a very intuitive product. I am sure there are lots of features and functions that I am still not aware of, but the service has been easy enough to learn as I go without needing to be sent for extensive training in order to understand how to get started.

Box is used company-wide to share and collaborate on research projects, education-related documents, and work assignments. Many projects involve multiple employees and require the input of multiple people. Box is a very easy-to-use resource that permits this level of teamwork to occur. Each employee has access to their own Box account,
  • Seamless integration with Microsoft Office. Users can upload any Microsoft document (Word, Excel, PowerPoint, etc.) and share it with other users. From the Box, one can access Microsoft online which allows the user to make changes and have them update in real-time within the Box.
  • Simple and easy to organize. Box has reasonable customization options while not overwhelming the average user. It is easy to organize files and share entire folders or individual documents with other employees.
  • Secure. Box can be integrated into a company's secure log-in service such as a two-factor authentication requirement.
  • There have been times when changes are made to an online Microsoft Excel sheet, for example, and the modifications aren't immediately reflected in the Box version of the document. This has been rare but has occurred nonetheless.
  • This is not necessarily a drawback but users should be aware that in order to edit a Microsoft file, for example, they must open the Box file and then make one extra step to open this document on the Microsoft Online website.
Box is well suited for projects on which a smaller handful of individuals are working on the same project at the same time. I can imagine that for files that require the input of many individuals, Box file editing and sharing may run slower than desirable. Box will help seamlessly integrate desktop applications like Microsoft Office with online editing and collaboration capability.

  • Collaboration online through Box has required fewer in-person meetings to discuss project progress.
  • The most up-to-date information on each project and file can be reliably found in one location. Collaborators can easily view the most current progress and pick up where others have left off.
  • Project supervisors can be as involved as they need to be. Overseeing the progress of a project is easier than ever.
Box integrated well with our log-in system, requiring the same account information and two-factor authentication as other work-related sites. It quickly and seamlessly integrated with Microsoft Office and any other resources. Other sources like Google Drive didn't integrate as well and sacrificed some of the functionality that Box offers in this regard.
Box has a help desk email and phone number as a training guide which should allow the average user to pick up on the Box interface easily.
  • Uploading and opening documents is simple!
  • Organizing and sharing files is easy.
  • Depending on the internet connection, opening a larger file can take some time.
Yes, but I don't use it
I learned how to use Box very quickly. The main functions include opening and sharing a file, which are two of the most simple tasks to complete while using the Box.

I have been using Box for my personal use for around 5 years and it's been an amazing file sharing solution. I have been sharing files between my devices easily. I don't have to worry about large files as I have 50 GB storage space. I use it for sharing images, videos, documents and lots of other file types. I really like it and will continue using it without hesitation.
  • Very easy to use
  • Very responsive and fast uploading and downloading
  • Available on many devices
  • Login with different emails
  • Only one thing, when adding another email to login, I would love it if every email has its own files and not the same files together.
As I'm using it for myself only, I find Box is one of the best file sharing solution as I have benefited a lot by using it. I don't like the idea of transferring files using a USB as it does sometimes damage my PC. So, using this service is helpful and amazing.

We use Box for sharing files department only corporate wide. It's mostly used in the communications department, but is also used for project management and sharing with others in the corporation. It's also used to address a lot of issues, primarily it allows for revisiting in commenting, it's a lot more efficient than using email.
  • Box works particularly well with graphic design projects, and having multiple proofs.
  • It works well with communication, so you don't get trapped in reply all emails.
  • It's great to have everything in the cloud, so that the files are cesspool at all times, versus having them on the local server at the office which is hard to access.
  • Little things with cloud computing, it has its little quirks. The desktop app could be better, would love to see it more like Dropbox.
  • It's never fun to pay for these kinds of things, it would be nice if Box was a little cheaper for an organization.
  • It would be nice of Box [to have] it's own document editor like Google Drive, rather than having to do with proprietary Microsoft Word software.
Like a lot of cloud storage, it works really well for any kind of project where multiple people are working on the same file in a Word document. The commenting and social features really help with the project management side of things; I work in advertising and marketing and it does a great job in that field.

  • Boxes of the organization with communication and better sharing of content, this way we are duplicating the same working on being more efficient.
  • Well there's a fixed cost free product, I would say that it's definitely worth it in efficiency time and money.
  • The only confusion people have is when using Box versus email, but this is when people don't really understand how cloud computing works or file services like Box.
I use a number of cloud computing file storage products in my day-to-day work, and I would say that Box does a really good job with the commenting in revision and functionality. It's great when working with other people and sharing files that can't be a live online, such as Photoshop, Illustrator, and Design, and any other proprietary Adobe files.

Box primarily used for the communications department and working with design files, commenting on this, sharing proofs, and file revisioning,

Basically it involves helping people understand the new paradigm shift that is cloud computing and sharing information files in this way. People are very stuck in their old ways with email and have a very hard time adjusting to a different world that doesn't rely on email as much.
  • Graphic design
  • Proofs, file revisions
  • Communication
  • It's helped quite a bit with email chains in having less reply all conversations.
  • It's allowed for processes in cues to be followed.
  • It's been cool to see people get an understanding. I am [seeing the] shift the cloud-based file storage allows, and it's been cool to see people get on board with it.
  • I love to see it used across the board organizationally, and I would think it would help things be way more efficient.
  • I would love to see it eventually replace email.
  • It would even be great to use it for internal documentation such as human resources and other things that are stored on the local server.
I consider a product, while the cost to be a little high for a business, is definitely worth it in the end as it is a great return on investment.

The most important thing built into the decision were the features and usability of the product, primarily for commenting on files and file re-visioning.
I don't think I would change my evaluation process, I checked out the product, tried out the free version, and decided that it was worth my budget money organizationally.
  • Implemented in-house
No
Change management was minimal
Didn't really have any big problems with this, it's very easy to do organizationally, because I was only doing it and just my department. I also have a pretty hands-off IT department which helps, they were jerks about it.
  • The only major issue that I run into is end-users and them not understanding how to use cloud computing.
  • People love their email, and they love having inbox is full of junk all day I presume, because they're not the most willing to use a new cloud computing tool.
It's super easy, you just purchase it and start using it!

The in person training was done in house and I helped with the training, people seem to respond well.
The tutorials on their website are great, I think anybody can pick this up if they actually just watch the tutorials. The hard part is getting people to watch them!
Yes, it was. I would say the only training people need would be the help documentation on the box.net website.
I think the product is perfect for what it is, doesn't really need a whole lot of configuration for sharing files and commenting on them.
I would say that it's important to keep things organized

Mobile interface in the mobile app work really well, I've been very happy with them.
It's super easy to use and is very obvious to the user. Anyone who is used to using modern apps should have no problem using box.net.
It's great, as we put more files on there it's done very well.
Yeah, it's always worked, I've never had any kind of connection issues, the only issues I've had it I've been on our end when the Internet hasn't worked.
It works great and as fast as your Internet connection will work.
  • I've used it with Microsoft Word documents and it's worked well.
It was super easy, no issues whatsoever.

Nope, just that Microsoft word implementation.
It was super easy to use, I was able to use Microsoft Word without a hitch.
