ClickUp helps us keep track of the total pipeline of loans. We have spaces broken into individual areas and then the active company pipeline. The breakdowns make it easy to see what is happening and what will soon be happening as well as manage repetitive smaller daily tasks. The communication that can be automatically triggered is great, especially with the app.

If you have an office where people are in and out of a particular file and you don't want to have to follow up with 3 different people where we stand on the file. Being able to communicate with each other, regardless of where you all physically are, about your particular contribution and not having to run everyone down is a great benefit. A scenario negative scenario about ClickUp is the file management system. Sometimes on the app, it won't let me download a file. Other times on the desktop files won't upload at all and you just have to come back to it later. Also if you pull a file out of a ZIP file or your email and drop it directly into ClickUp, the file will show up in the folder but you won't be able to open it. You have to download the file to your computer and then upload it. The workaround is doable, but annoying in a minor way.

  • Having another redundant time tracker has helped us not miss deadlines.
We use ClickUp as an active workload tracker. We have daily conversations about each task in the company space. This not only keeps everyone up to date about what is going on, but it allows a fresh set of eyes that wouldn't normally have looked. We've caught quite a few errors or conflicts with these conversations.
ClickUp really helped us come together as a team. We didn't have other processes in place to bring us more together as a team and ClickUp has given us that.
I haven't used Teams in 2 years now, but when I did ClickUp did almost everything better than Teams did. I'm sure Teams has bridged the gap since then, but at this point, ClickUp does things so well that there is no need to go elsewhere at this time.

We went through trails of ClickUp, Asana, and Teams. We all liked ClickUp the most. I don't feel there is a reason to redo the process again or change how we did the selection process.

That we were all running around hoping everyone was doing their jobs correctly. Oversight and redundancy has help us catch errors before they're major problems.

It was easy for me personally, but I have more tech background than your standard person. What I would suggest would be that ClickUp review how a client is using the platform and then give a yearly or so call to the owner to see if they can help more.
Just right for this type of product. When we were setting it up I don't remember spending more than a day or two talking back and forth about what we needed/wanted. There were some customization after that, but minor and was able to be fixed that day.
Just keep an open mind and play around with the options.

I've only used it one time and the issue was resolved quickly and to my satisfaction. This is what I personally want, I don't need people who act like we're going to be best friends while we solve this problem. Fix it as quickly as possible and on to the next thing.

I honestly don't remember the issue, it was when we first got ClickUp (long time ago). I do remember that the issue was solved quickly and correctly. That feeling sticks with me more than the actual issue.

It's like Chipotles in my area, some of them are awful and some are great (but they all have delicious food). Can I really recall all the issues at the bad ones? No, but I remember standing in the restaurant frustrated and thinking I'm never coming to this location again.
It's pretty easy to figure out without having to invest a bunch of time researching how to use it. The additional different views and themes can really help you personalize how you like to see information, both physically and aesthetically.

We have 3 different jobs that all utilize ClickUp and I haven't heard any complaints.
I can't recall of any time ClickUp has been down for more than a few seconds. The only availability option is file retrieval at times, some times it just sits there trying to open a file, but again this happens very infrequently.
Updates are almost seamless and the pages load quickly.

We use ClickUp to track all of our internal projects, and several that involve stakeholders outside our department. Across three distinct teams, we typically have approximately 100 active projects. The department previously used other tools such as Jira and Asana. However, due to a lack of clear internal processes, they were abandoned.
  • The views! It is so easy to switch between views within a project which is great as people have different preferences for how they like to see project information displayed
  • Information roll-ups: Information can be rolled up into folders, spaces, or everything. Allows a high-level view for management to se everything that is going on
  • Agile functionality: integration of story points, burn up/down charts, etc. All these are amazing, and easy-to-use tools
  • Project organization: the side navigation is so customizable, and organizations can build out spaces and folders to help keep everything organized within a team
  • Integrations: so many integrations to choose from! We explored how ClickUp could solve a problem for us, and through the available integrations were able to solve it.
  • Option to see subtasks on Gantt charts; other tools we looked at did not have this feature. It is such an obvious need to see subtasks on timelines; so glad we could find this tool
  • The Whiteboard feature is new, and I'm sure will be greatly improved by this time next year. For now, however, it feels a little clunky and does not offer as much detail as I would like on a whiteboard. Sometimes it can be quite slow to load, and I sometimes can't see when others are on the board synchronously
  • Maybe there is feature overload? For example, the views available on a project (i.e. docs, whiteboard, etc), are also available as their own standalone "project", so spaces can sometimes get messy. If I create a whiteboard, but later want to create a project out of it, I'd have to start over, whereas if I'd started with a project from the start, and used the whiteboard view, the information would be integrated.
  • Explainer videos could be better. I have found the best information online about ClickUp features from Youtube, not from ClickUp itself. The videos I have found are not specific enough to really explain the product features and how to use them.
ClickUp is great for any organization that wants a task management tool combined with project management. I have used many other tools available on the market including Asana, Trello, monday.com, and Teamwork. ClickUp is by far the winner. It has the most flexibility in terms of how projects are laid out. There is an extensive library of templates available, and the customization options are endless. I have championed ClickUp in my own organization, and to others in my field at any opportunity.

We've used whiteboards in nearly all projects for brainstorming ideas. This process generates product storyboards and streamlines the internal workflow. We've incorporated the chat threads into our workflows, which has resulted in less confusion about where to find project-related info. While the chat threads have helped tremendously, ClickUp does not have an instant chat. We still have to use another application for it.
Our team previously used Microsoft Excel sheets to prepare and track projects. It was extremely confusing locating up-to-date information. Our workflows are streamlined by using the docs feature, as well as embedding Google Docs and Sheets. ClickUp helps ensure that team members do not have to struggle to find information.
Several of our team members had experience with Asana. ClickUp is a far superior product compared to Asana because of the following: The Gantt charts show subtasks in addition to parent tasks. Asana, on the other hand, required integrating with other products in order to show subtasks and have access to additional organizational features, including portfolios. Users had to pay for enterprise level, whereas ClickUp folders are included in all payment levels. ClickUp tasks can have multiple assignees added, whereas in Asana only one assignee can be added. That makes the workload feature extremely inaccurate since tasks have multiple people assigned to them.

We have several functional areas that use ClickUp. The group that uses it most widely are the Project Managers. They create project timelines, and one the project begins, create tasks and assign those to the various team members identified on the task. Those functional areas where tasks are assigned include:

In our experience, the people who are best to support ClickUp are the project managers. These are people that manage the execution of projects and timelines. We've seen this group most invested in ensuring that the tool is well organized, and are constantly looking for ways to enhance it so that all user groups are well supported.

  • Having the ability to share public links to people outside of the organization. We have created dashboards listing out all the project-related links, and have shared the view with stakeholders that do not use ClickUp, enabling them to easily find and access relevant project information.
  • In brainstorming session, we have used a wide variety of features, including whiteboards and Mindmaps. The Mindmaps have been unexpectedly useful in helping the team to visualize ideas in a collaborative way, as we now work remotely. We can keep these records located in a centralized place, or directly in the project itself, which helps us when we need to refer back.
  • Custom columns seem almost endless in how they can be used. Every single project is so customizable, and we can see that as each project is planned out, the list view (and custom columns that get added) are different to each one. There are so many options to include, it helps ensure that the details needed for each project are specific.
  • We have been experimenting with forms in order to centralize information within ClickUp. Our department currently have several scripts for google forms, however by using ClickUp instead, we can ensure that all project information gets stored in a central area, rather than many smaller parts of our processes in several places across our workflow.
  • Our department is currently very new to project management, and are just getting used to many core project management princliples. However in the future we do see the application of many of the Agile applications, such as burndown charts, sprint points, and release schedules. I'd love to see the Whiteboard set up better to be able to prepare a product roadmap in the future.
Having used several other project and task management applications, I find ClickUp to be far superior to anything else I have come across. Rather than ever feeling frustrated with the limitations, as I often felt with other products, I am rather amazed and exited with the wide variety of features and customizability of ClickUp. I love using it for work, and I love using it for personal organization!

We replaced Asana. Even though our organization was using the Enterprise level plan, we were constantly having to come up with workaround solutions for daily project work. For example, our organization was using the Workload feature in Asana to ensure that team members workload stayed within business hours. However we ran into so many issues with the Asana workload feature, since many tasks required several people to be assigned. Unfortunately in that tool, only one person could be assigned to each task, and therefore the workload function is always inaccurate.
In ClickUp, however, being able to assign multiple people per task ensures that estimating is more accurate and we can better plan workloads.

When doing a scan of available products on the market, our first priority is that it met our requirements. So product features was at the top of the list, and already ClickUp exceeded many others in this regard. When looking at the price comparisons, this bumped ClickUp even further, since it was the best priced application across all the tools we looked at. There was simply no competition.
I don't believe we would change anything about our selection process. We began with a survey to our internal users of what issues they faced in their role, and what types of support they would like from a potential tool. We then used this data to help inform our requirements list. Following this, we prepared a comparison matrix looking at many of the available project management tools currently available on the market, and did an analysis of how many requirements each one provided. In this feature analysis, ClickUp was found to provide the most features that our team was looking for. Finally, we looked at the price between the products, and again ClickUp came up on top.
For myself, I found using ClickUp very easy to use, and intuitive to learn. However, I have been responsible for helping others in my organization to learn it, and have heard feedback from others that there are a lot of features to learn and that can be quite overwhelming. This might be an issue of personality types or general comfort level with change and/or technology. I think that anybody who has a good grasp of modern digital products will have no problem learning ClickUp.
  • Setting up custom dashboards. There are so many possibilities, the options seem endless
  • Setting up different views. With the click of a button, projects can be easily converted into so many layouts.
  • Dashboards: we have not been able to effectively use dashboards as we would like. I think if there were more flexibility in customizing the dashboards. For example being able to add a notes column to our projects dashboard, which would help to supplement the information displayed.
  • Goals have not yet been utilized. I have seen ClickUp show how these can be sued in agile planning, however we have not yet been able to utilize that feature at all.

As a Project Manager, I of course prefer to use the desktop view, which gives me the widest view of all the work, and especially the Gantt chart. However in a pinch when I am out and about, I do open up my mobile app at check the status of tasks. It is not something I use daily, but rather occasionally when I need to look up some information about a project and am not at my computer.
As long as organizations are thoughtful when setting up their workspace, I believe that ClickUp is very scalable. For example, we have divided our spaces into functional areas, and further organized projects into a folder system within spaces. By being thoughtful in the early stages of set up, I believe we are avoiding a disorganized situation down the line where projects lack any clear structured hierarchy.
Having used ClickUp for less than a year in my current organization, there have been only a couple of times when errors occurred and we've been unable to access our projects. However these have only been very brief, and did not negatively impact us. I recall these times only lasted for no more than an hour or so.
I do find ClickUp loading time to be very slow. For example, when working on Whiteboards, it often takes a very long time to load, and changes that one user makes does not automatically load for the others to see immediately.
In addition, in the desktop app there is no refresh option, and so changes that I make are not immediately reflected in the project. I tend to use the browser instead, because there are times when I need to refresh the page to see a change immediately.

We use it as a master calendar for the entire team's tasks. ClickUp eliminates a lot of back & fourth communication. Instead of calling, emailing, or even sending a Slack message anybody on the team can input and assign a task with a job description and it's super easy to reference. Also super nice to see everyone's workload at once! We also love ClickUp Docs. Client information such as brand guidelines, preferences, and passwords are all stored right next to the task list so the info to complete the task is right there. It's convenient to be able to send a stylized doc that looks like a professionally designed PDF, but it's live so any changes we make are seen on the client's side as well. We're still working on getting a good system for our marketing, but the bones are there - editorial calendar, content brainstorming, and even the content itself lives in docs and be organized into a space. ClickUp is also a convenient hub for everything that makes the business hum behind the scenes - standard operating procedures, employee files, and pricing information.
  • The tasks are AMAZING. Lots of robust options without being overwhelming.

We recently hired a website designer who put her entire client workflow into ClickUp, and we've been using it for a few years so we're pretty comfortable. It was confusing as all heck. Not suited for this process. (This could be specific to her and the way she set it up, but unless a business is working long-term with a client asking them to sign up and learn an entirely new platform is a BIG ask.)

  • Has eliminated the need for lots of internal communication - fewer distractions, streamlined operations, and more productivity - SIGNIFICANTLY
  • Has leveled up the legitimacy of our brand and improved client experience through beautiful, slick documents - there's nothing as impressive as a good system that's also aesthetically pleasing
  • Have been able to recommend it to other business owners who have also seen great results... finally being able to get a handle on their deadlines after years of struggling, managing a team, and organizing brand information in one central location. Game changer.
Our team's collaboration has improved tenfold! We used to have to hop on a call, send an email, or Slack a team member to add anything to our plate - and we were constantly checking in with each other to see where the workload was at. We didn't know when we could schedule projects (because we didn't have a team calendar) so we'd just guess and end up over or under-committing. It's so nice to be able to glance at the calendar and know where a team member is at... if she's having a crazy day or if maybe she has a little extra bandwidth to give someone else a hand. Also, nice for scheduling time off - the drag and drop interface is amazing and it's so nice to be able to easily shuffle things around.
Communication is the biggest thing that we've been able to streamline, but we also integrate it with our Calendly so when someone books an appointment, it automatically populates on the Master Calendar. It's also nice to have a central location for company documents - employee files, standard operating procedures, monthly and quarterly health checks, pricing, etc.
First up, aesthetic. It probably shouldn't be the most important thing, but that's what drew me to ClickUp originally and there's nothing I love more than a beautiful system. If it looks good, I'm far more likely to use it.

ClickUp is more robust than Asana or Trello - I love being able to choose between a list, board, Gantt, calendar, and many other views depending on what I'm working on. Different team members can view spaces in different ways, so everyone can find something that works for their brain. The docs are super handy. Plenty of integrations for our purposes.

It wasn't intuitive - we were always shuffling things around and nothing quite fit the purposes that we needed the software for. The tasks are nice, but being able to see them on a master calendar and add the level of detail we can in ClickUp has been a game changer.

It's super versatile - the sky's the limit. If you can imagine it, you can probably set it up in ClickUp.
I always get an error when it loads, but then it loads fine.
I understand that it's a beast and does a lot of things, which is probably why it's laggy. But I do find it takes longer than I'd like to load, and if I am sending a complex document to a client or team member they aren't quite sure if they're getting the right thing at first. This is actually a pretty significant problem - my biggest beef with ClickUp.

We moved to ClickUp over a year ago from Asana. As a Digital Agency we needed a comprehensive system, which, on one hand, would allow us to manage different projects from a wide range of services e.g. web development, branding, naming, web design, brand strategies, etc., and on the other, that would enable us to combine and integrate a lot of data regarding these ongoing, complete, and future projects into our own, custom, data hub, thanks to which we're able to track the most important financial aspects of the company and plan on our future. ClickUp has also enabled us to invite our Clients and work on the projects together with them while using our own workflow. We're using ClickUp every single day in our work and find it excellent for everyday operations at our company. It allows us to track our progress, receives notifications on the completed or assigned tasks, creates mind maps, dashboards, and projects, and find our way through big chunks of data in an easy way. For a year the only issue we've encountered was a rare case of ClickUp working slowly or lagging but other than that it's just perfect for our organization.

Thanks to ClickUp we've been able to create our own workflow, which has significantly enhanced our everyday work. Thanks to ClickUp we were finally able to stop using external tools for different aspects of our work, like time tracking, collaboration with our Clients, project management, etc. Instead of using about 5-6 external tools and systems, we are now able to just focus on our work and develop our own workflow, depending on our needs.
The tools we have used before are good, however, we had to split our time and focus between them, instead of just being able to work within one environment. Moreover, ClickUp has allowed us to use options that worked worse elsewhere. For example, TimeCamp's integration with Asana often dropped off, and then we had no clue what was going on when it comes to time tracking in our projects. ClickUp barely ever has such emergency cases, thanks to which we do not have to worry about such an issue anymore.

One doesn't really need much specific skills to support ClickUp on the on-going basis. The system is intuitive enough itself that any user can actually learn how to operate on it, create formulas or integrations they would like to have. We never had a need to have a specially dedicated person just to manage the system for us.

We're very pleased with how the system works in general. For over a year we've barely ever had any problems with ClickUp and there might have only been one or two times when it wasn't operational for us due to a global emergency. Moreover, when we had a problem once with renewing our licenses we've been contacted directly by our account manager and taken care of in a very professional way (with a due refund as well). The exceptional customer service makes us firmly believe that ClickUp is just the right tool for us.

We were able to stop using TimeCamp and Asana and instead swap them for just ClickUp instead. Thanks to that we do not have to worry about integration between those systems, which was often breaking up for us, thus leaving us without a much-needed tool for time tracking.

Product features were generally the key for us to move over to ClickUp from Asana. We've been looking for a system that would be the most flexible and spent tens of hours on exploring the market. ClickUp was simply the fruit of our long research into what system would be best suited for our needs.
I wouldn't really change our evaluation and selection process, as we believe we've made a great choice of picking ClickUp as our main system to use.

It wasn't too difficult for us to change the management as we were working on Asana prior to moving to ClickUp, so when it comes to task management the systems are fairly similar. However, where it comes to time tracking, data management, office management etc. ClickUp has allowed us to enhance in all of those fields immensely when compared with other systems.

Using ClickUp is fairly easy. There are multiple guides on how to use all of the functions in the system. An organization wanting to start working with ClickUp should simply try it out and see how it would like to adapt its workflow to the possibilities the system gives the users.

There are multiple guides on literally all of the functions you can find within the system, therefore it's easy to learn anything you'd really like to use, starting from project and people management, down to Gantts, mind maps, time tracking, inviting Clients as guests to work with you on the projects and so much more.
We've only had one problem with ClickUp for over a year and it occurred when we were about to renew our subscription for the paid licenses. Thanks to exceptional customer service we've been able to resolve it fairly quickly and on top of that ClickUp has refunded us quickly with an amount that was due. We've barely ever come across such helpful customer service, so that's a big plus.
We haven't purchased a premium support as we're not an organization big enough yet to see the value in it. We barely have problems with ClickUp that we wouldn't be able to resolve on our own, therefore we're happy with the current plan we're using for over a year and plan on keeping it.

As stated earlier, we once had a problem with the renewal of our yearly licenses for the paid membership. ClickUp resolved the issue quickly and delivered an exceptional customer service, thanks to which we were able to focus on our work, instead of dragging this topic for a long period of time. We've been directly contacted by an account manager dedicated to our account to enhance the process and that helped a lot as well.
There are multiple services you can use ClickUp for, data management, time tracking, task/project management, reporting, API integrations, and just so many more. It's just up for you to decide how you would like to use it in a way best suited to your needs.

Yes, but I don't use it
Scaling with ClickUp is superb. If you create a workflow best suited for your organization then it's all about creating new accounts and teaching the new employees the workflow you're using. It's that simple. There is no black magic when it comes to Clickup.
For over a year ClickUp was unavailable to us just twice for a couple of hours. I would say for a system this big and working globally that was a minor issue. They managed to fix all the issues within a couple hours and then it was back up and running perfectly fine.
The speed of ClickUp is average to be honest. This is one of the biggest flaws of the system, sometimes it's also lagging a little bit but we also have a lot of documents, lists etc. on our workspace. However, with the next version of ClickUp I've seen they are planning to increase the speed by almost 500%, probably by changing the technology, so I am more than looking forward to it.
